Digital Content Management Workflows: Examples These are examples of workflow diagrams that apply the workflow approach from the DPM workshop from Digital Audio Music Project (DAMP) at MIT Libraries. The workflow architect and the high-level workflow designer, Nancy McGovern, adapted the diagram conventions from those developed by Cole Whiteman for the data pipeline at the Inter-university Consortium for Political and Social Research (ICPSR). Tricia Patterson, a Resident in the NDSR Boston program, has worked as the documentalist and lower-level workflow designer, iteratively capturing information from the DAMP workflow subgroup s work in the diagrams and supporting text as part of her project. Version 1.0 of the workflow documentation from DAMP will be shared when ready. These diagrams reflect the working version as of March DPM Workflow example from DAMP at MIT Libraries (March 2015)
Digitization Workflow (Stages A1-A6) detail This diagram supplements the digitization workflow stages with explanatory text and illustrates connections from the manage physical/analog collections workflow [e.g., an inventory or description of content to be digitized and an assessment of treatment that may be needed before or after digitization is completed in the Identify Options for Physical (P5) Stage] and to the manage digital content workflow (Stages D1-D6) [i.e., digital content that results from a digitization project is transferred to the manage digital content workflow via a handshake (H2) with the content curator]. 2 DPM Workflow example from DAMP at MIT Libraries (March 2015)
Decide to Digitize (Stage A1) The steps in this workflow stage ensure that the necessary decisions and approvals are made and captured to inform the rest of the digitization project. 3 DPM Workflow example from DAMP at MIT Libraries (March 2015)
Define Digitization Requirements (Stage A1) The steps in this workflow stage capture the digitization requirements from the content curator so the requirements can be used to allow less expert staff to prepare the content to digitize, to define the desired outcomes from the reformatting stage, and provide a checklist for Quality Control after reformatting, for example. 4 DPM Workflow example from DAMP at MIT Libraries (March 2015)
Handshake (H1): Content Curator to Reformatting The steps in this handshake ensure that the physical content to be digitized passes from the content curator to reformatting in a controlled and documented way that maintains the chain of custody. 5 DPM Workflow example from DAMP at MIT Libraries (March 2015)
Manage Digital Workflow (Stages D1-D6) This diagram supplements the mange digital workflow stages for both born digital (Stages D1 and D2) and digitized content [that comes from the Reformatting Stage (A4)] with explanatory text. 6 DPM Workflow example from DAMP at MIT Libraries (March 2015)
Handshake (H2): Reformatting or Producer to Content Curator This handshake conveys digital content securely from submitters (Producers) for born digital content or from Reformatting (Stage A4) for digitized content. 7 DPM Workflow example from DAMP at MIT Libraries (March 2015)
Receive Digital Content (Stage D3) The steps in this workflow stage ensure that the digital files, either born digital or digitized (received from Stage A4, Reformatting) are securely received and managed, maintaining the chain of custody. 8 DPM Workflow example from DAMP at MIT Libraries (March 2015)
