1 SISRA Analytics Excel Add-In Set-Up Excel Add-In Set-Up The SISRA Analytics Excel Add-In helps you to format your Student Data and Grades files correctly before uploading them into Analytics. Each school is assigned a unique code which you can use to create your schools profile in the Excel Add-In, this means that any changes you make to your Student Data Profile (within Analytics) will automatically be downloaded (if you have an Internet connection / dependant on security settings at school). For information on using the Add-In to format your Student and Grades data (once setup) please take a look at our Preparing Data guide by click the this link: Compatibility Currently the Excel Add-In is only compatible with a PC that is running Windows XP with Service Pack 3, Windows Vista, Windows 7, a full version of Windows 8 or Windows 10. The Add-In is compatible with Office 2007 (SP3), Office 2010, Office 2013, and Office 2016, but you may find that only Offline Mode works with Office 365. 2 Step One Downloading and Installing the Excel Add-In To download the Analytics Excel Add-In, log in to Analytics then click the HELP button (A1) on the left hand side, and then click Videos & Guides (A2). You should then be able to see a Downloads section (A3). Here you will be able to see a variety of downloads we have provided to help extract and format your data for Analytics. You should then be able to see a Downloads section, including a blue link which says SISRA Analytics Excel Add-In (A4) and your schools unique Excel Add-In code (A5) (we recommend highlighting your code and copying this, so you can paste it later; as you will need it in order to link your Add-In to your Student Data Profile in your school). To download the Excel Add-In click the SISRA Analytics Excel Add-In link. You should then be prompted to Run the Add-In. When you re ready, click Run (A6). (The example below shows the download box in Internet Explorer). If you re not prompted to run or save the Excel Add-In then it s possible that a pop-up blocker enabled on your browser is preventing this. For guidance on this take a look at page 8 of this guide. 17/05/2016 Page 2 of 10

3 Some browser settings may not allow you to run this directly, in this case you should save the file and then run the setup. Once this has been verified you should be presented with a pop up box, click Install (A7). You will then receive confirmation that this has been successfully installed; next click Close (A8). The Excel Add-In has been installed. You can now open up Excel and you should see a new tab across the top menu called SISRA (A9). When you click this you only have the Manage Profiles and About options available. You will need to add your school s profile, by clicking Manage Profiles before you can begin preparing Student or Grades data. If Excel was already open during the installation process, close down Excel and then open this again for the changes to be reflected. 17/05/2016 Page 3 of 10

4 Step Two Manage Profiles Before you can use the prepare data options you will need to add your school s profile. Analytics can help you do this automatically as long as you have access to an internet connection. If you do, click SISRA (B1) then the Manage Profiles button (B2), then click Add Profile (B3). You will now need your school s Excel Add-In code (as mentioned on page 2 of this guide) which can be found in HELP > DOWNLOADS > Your School s Add-In Code under SISRA Analytics Excel Add-In. You can also find this in Analytics itself by clicking the DATA tab and scrolling down to the Downloads section of the page. Once you have your school s Add-In code, paste or type it into the Add Profile pop-up (B4) and click Next. If you re unable to see a Next button, please see the Hidden Buttons section on page 10. Check that the appropriate school name is appearing and when you re happy, click Finish (B5). 17/05/2016 Page 4 of 10

5 Your school s profile has now been added and you should now be able to use the Prepare Student Data and Prepare Grade Data options. For further guidance on this please see our Preparing Data guide by clicking here. If you ever need to delete a profile click on the profile you d like to delete, then click Delete Profile (B6). If you have multiple Profiles set up and would like Analytics to use one by default when using the Add-In you can click on your chosen profile then click Set as Default (B7). When you have finished click Close (B8). Connection Error When Adding School Profile? If you re unable to add your profile (and you have an internet connection) then it s possible that your school or local authority has a proxy server which is preventing the connection. We ve provided information below on what to check in order to allow Online mode to work successfully. Step 1 - Firstly, the Excel Add-In uses port 80 to connect to exceladdin.sisraanalytics.co.uk. We d recommend passing this address onto your IT department to ensure that access to this is not restricted. Step 2 If the above does not resolve the issue, you can configure the Add In to use specific settings for your proxy server by following the instructions below: 1. Click the Manage Profiles button and select the Proxy tab as shown below: 1. Select the Use these settings as default connection settings check box. The four text fields will become active. 2. Fill in the fields with the address, port and user credentials for your proxy server. If you are unsure what value to enter for any of these fields, contact your local IT Manager/Support. 3. Click the Save button. You should now be able to configure the Online mode as described above. Please report any issues you encounter, or other feedback you may have to support@sisra.com. In the meantime if you are unable to add your online profile, you can use the Offline Mode of the Analytics Excel Add-In to successfully format data (described on the next page). 17/05/2016 Page 5 of 10

6 Offline Mode The Excel Add-In is designed to use the Internet to automatically check for any changes to your Student Data upload Profile. Sometimes due to restrictions on the Internet in a school it isn t possible to do this. In this case, you can enable Offline mode which allows you to manually add the columns you wish to format and upload into Analytics as part of your Student Data. You would only need to set this up once (unless you change your profile), and then the setting would be remembered. The information below explains how to enable and use Offline mode. If you make changes to your Student Data Profile while Offline mode is enabled, please ensure that you manually update the columns in your Add-In to include them. Click the SISRA tab (C1) in Excel, followed by Manage Profile (C2). In the pop up, select the Offline tab (C3). Once you have read the information, place a tick in the Enable Offline Mode option (C4). 17/05/2016 Page 6 of 10

7 You will then be able to customise the filters that the Excel Add-In should reflect in order to format your Student Data file. On the left hand side, you can see the Fixed Filters (C5) that the Prepare Student Data option will automatically include, as these must be contained within your Student Data file. On the right, you can see any Custom Filters (C6). These should represent any additional filters added within your Student Data Profile in CONFIG (in Analytics). To add a filter click Add Filter (C7). You can then use the Move Up and Move Down buttons (C8) to ensure your filters will be in the correct order (the same order as your Student Data Profile). You can check the filters included in your Student Data Profile, and the order within Analytics. To do this click CONFIG (C9), then Student Data Profile on the left and scroll to the bottom of the page. If you have manually added any filters to your Student Data Profile, in addition to the default filters, you would need to set these up within the Offline profile in Excel. You would need to include all additional filters, and they would need to be in the same order as the Student Data profile 17/05/2016 Page 7 of 10

8 Troubleshooting when Downloading and Installing Problems Downloading the Add-In (Pop-Up Blocker) When you re downloading the Excel Add-In you may get a warning that pop-up blocker is currently enabled, which will stop the download process. In this case you will need to allow popups for Analytics in order for the download pop-up to appear. Once this has been allowed, you may need to click the download link again for the download to begin. For more detailed instructions of how to disable the pop-up blocker in your browser please take a look at the following guide. Please note, if you do have a pop-up blocker enabled you may not be able to access this guide via the hyperlink; in this case we d recommend copying and pasting the URL into the address bar bit Office If you have a 64-bit version of Office installed you will need a registry fix in order for the Excel Add-in to register in Excel. Click the link below to download the zip file, extract the registry file and then run it. Please ensure you have Administrator rights on the computer you re running this on. You can check this in Excel by going to FILE > Account > About Excel. However, the process may be slightly different depending on the version you re using; due to this, it may be worthwhile asking your IT department for this information. Excel 2007 There is a known compatibility issue with early versions of Office 2007 and newer Excel Add- Ins. Please ensure you are running the latest version of Office 2007 and you have all updates installed for it. This has resolved this issue for all of the schools who have had this problem. I can t find the SISRA tab in Excel? If you re having problems finding the SISRA tab along the top banner of Excel it may be that you had Excel open while installing the Add-In. If this is the case close down Excel, and re-open this, you should then be able to see the SISRA tab along the top menu bar. If this does not work it may be that the Add-in has not been enabled. To check this, click FILE in the top left hand corner of Excel (D1). 17/05/2016 Page 8 of 10

9 Then click Options (D2) on the left hand side. A pop up should appear with multiple options, click Add-Ins (D3) on the left hand side. When in the Add-Ins option, at the bottom of the window expand the Manage drop down (D4) and select COM Add-ins, then click Go (D5). In the COM Add-ins pop up window, place a tick next to the Analytics Excel Add-In option (D6), then click OK. The SISRA tab should now appear as an option on the top banner of Excel. If you find the tick is already appearing next to the Analytics Excel Add-In icon, we recommend taking the tick out and clicking OK. Close down Excel, open Excel back up again and repeat the process, this time placing a tick next to the Analytics Excel Add-In option. This should then show you the SISRA tab in Excel. 17/05/2016 Page 9 of 10

10 Excel Add-In Error (when adding school profile) SISRA Analytics Excel Add-In Set-Up If you receive an error (shown below) when trying to enter a new school profile code, this may be because you do not currently have an active Internet connection. To add a school profile you will need to have a connection to the internet as this is used to link the Analytics Add-In in to your Student Data Profile. If you have problems with this it may be best to talk to your local IT department. You may also experience an error from the Excel Add- In if you re trying to prepare your Student or Grades Data without a connection to the Internet. In this case, you can also enable Offline mode, which allows you to use the Excel Add-In without connecting to the Internet. It s important to note that your Student Data Profile will not be updated, and you will need to manually select the data columns for formatting as the Add-In will be unable to connect with your Student Data Profile without an Internet connection. For more information on Offline Mode please read page 6. The Excel add-in has been designed to detect network settings and most schools are able to use Online Mode but sometimes settings on the School or LA network may restrict access. The Excel Add-In uses port 80 to connect to exceladdin.sisraanalytics.co.uk. If you experience problems using the Online mode it s possible that your school has a proxy server which is preventing the connection. Please see page 5 of this guide for more information of how the Add-In can be configured to use specific settings for your proxy server. However, if this does not resolve the issue you will still be able to use the Excel Add-In to format data via "Offline Mode". Hidden buttons or filters If you find buttons are hidden off screen (as in the examples below), or additional filters you have created are hidden when you chose to prepare data so you re unable to continue, this could be due to a resolution setting on your local PC or laptop. Due to this, we have released an updated version of the Excel Add-In which should resolve this for you. You can download this from HELP > DOWNLOADS. Thanks for reading.
