1 GUIDANCE NOTES FOR APPLICANTS 1. Part A Personal Details / Work Permit / Disability / Job Requirements etc 1.1 Personal Details Please provide your personal details in the boxes provided. 1.2 Work Permits: If you require a work permit you should tick Yes at this question. The main groups who are not subject to immigration control in the UK, and who the College can employ without restriction are: - British citizens; - Commonwealth citizens with the right of abode; - Nationals of countries in the European Economic Areas identified in the table below (EEA) Or Swiss nationals; - Family members of nationals from EEA countries and Switzerland, providing the EEA national is lawfully residing in the UK. All other country members require a work permit to work legally in the UK. If you are recommended for appointment a check will be made to ensure you are eligible to work in the UK. Failure to provide the appropriate documentation may result in any offer of appointment being withdrawn. 1.3 Disability: Please tick Yes or No in respect of whether you have a disability as defined. If, as a direct result of a disability you cannot fully meet the essential experience requirement of the criteria for a post, the College will waive this requirement. If you have a disability and are unable to complete the application form, an application form completed by another person and verified by you as the applicant at Part C is acceptable. However, the application form can be made available in alternative formats on request. If you are invited for interview and require interview preparation or any adjustments/support please contact the College using the contact details on the last page of this document. 1

2 1.4 Job Requirements You should read the job description and personnel specification carefully. Applicants will be shortlisted in relation to the essential criteria. However this may be enhanced by the panel at short listing if this is necessary, to achieve a suitable number for selection. Each aspect of the criteria indicated in the personnel specification should be addressed in your application form in this Part of the form, your application will be shortlisted solely on the basis of this information. You are required to provide full details in the boxes provided as to how you meet the criteria Qualifications: If qualifications are a requirement of the post you must provide full details of the required qualifications i.e. subject(s), qualification, grade, awarding body, level, and date obtained. Only the qualifications held at the closing date of the advertisement can be considered by the selection panel. Qualifications obtained after the closing date will not be considered. If you hold overseas qualifications please identify on the application form the UK equivalent level to facilitate short listing. For information on the level of qualifications you can access the Register of Regulated Qualifications website at Verification and documentary evidence of all the qualifications listed on your application form will be required and any discrepancies may result in the offer of employment being withdrawn. It is advised therefore that you do not detail qualifications if you are unable to provide evidence of certification. Documentary evidence should be in the form of original examination certificates however on some occasions an official statement of results or a letter from the School or Awarding Body etc, may be acceptable. You will be required to bring all of your original qualification certificates with you to your interview Experience: If experience is a requirement of the post you must provide dates of current or previous employment and should provide full details of dates e.g. 01/02/95 30/11/01. If this information is not provided you may not be shortlisted. The panel reserve the right to enhance the criteria therefore it is important that you detail as much information as possible General: Voluntary Exit Scheme (VES) If you were employed as a staff member of a FE College and left under the Voluntary Exit Scheme (VES) please tick YES and indicate the name of the FE College and the date you left under this Scheme. 2

3 2. Part B Employment Record / Qualifications Record / References 2.1 Employment Record This information is required for safeguarding reasons. You should outline your employment history in chronological order. This should include voluntary work, apprenticeships and periods of unemployment (starting with the most recent). Full details of dates should be provided e.g. 1/9/96 to 31/9/ Qualifications Record This information is required to ensure that if appointed we have a comprehensive record of all of your qualifications on file. It should be in chronological order starting with the most recent and should also include the qualifications already claimed under Part A of the form. This information also facilitates safeguarding requirements. 2.3 References You are required to give the names and contact details (including addresses) for two people from whom the College may obtain further information in relation to your application. One must be your current or most recent employer/line manager. If this is a regulated post one reference should be from your last post where you were working with children or young people. You should obtain the prior consent of referees before using their names. References will not be accepted from relatives or from people writing solely on the basis of friendship. References will be taken up for shortlisted applicants only. Your referees will be contacted by therefore failure to provide an will result in delay of your application form being processed. 3

Part C Equal Opportunities Monitoring / Criminal Record Check etc 3.1 Equal Opportunities Monitoring You are required to complete the monitoring questionnaire which collects important information required under Fair Employment Legislation. Failure to complete this form will result in your application being rejected. The College is committed to equality of opportunity for all employees and job applicants regardless of their perceived religious belief, political opinion, gender, marital status, dependants, disability, race, age or sexual orientation. The College selects those eligible and suitable for employment and advancement solely on the basis of ability, qualifications and aptitude to carry out the duties of the post. It monitors its activities to ensure that its equal opportunities policy is implemented effectively. In order to fulfil its legal obligations under the Fair Employment and Treatment (NI) Order 1998, as amended in 2003, the College is required to monitor the religious composition of job applicants. The information you supply will be held by the College s Fair Employment Monitoring Officer. Access to this information will be strictly controlled and will not be available to those considering your application for employment. Monitoring will be by the use of statistical summaries of information in which the identity of individuals will not appear. The information will not be available for any purpose other than equal opportunities monitoring. While the College will seek to maintain the confidentiality of all documentation relating to appointments, disclosure of documentation may be required under the provisions of the fair employment and equal opportunities legislation applicable in Northern Ireland. If you require any further information or a copy of the College s Equal Opportunities Policy statement please contact HR Services. 3.2 Criminal Record Check It is our policy to ask for a criminal record check to be carried out by Access NI in order to assess suitability to work with children and young people. In addition, if this is a regulated post a check will also be carried out against the Barred List for Children. This is a requirement of appointment and you will not be offered a contract if you do not comply with this requirement. Any information received will be treated confidentially, and we will talk to you about it before a final decision is reached. After the decision is made the information will be destroyed. Checks will only be carried out if you are successful. The College is fully committed to carrying out the criminal records check in accordance with the AccessNI Code of Practice which is available online at or on request from HR Services Registering with AccessNI: Before submitting this job application form to the College, you are required to register online with AccessNI to apply for an Enhanced Disclosure Certificate (EDC). Failure to do so will 4

5 mean your job application cannot be processed. Your EDC application will only be processed if you are successful at which stage you will be required to pay for an Access NI Enhanced check. Payment of fees does not guarantee appointment. Once you register with AccessNI you should put your Application Reference Number into the Boxes provided in this section Pre-employment Disclosure Consent Form - Protected Offences: As a result of the Rehabilitation of Offenders (Exceptions) (Northern Ireland) Order 1979, as amended in 2014, certain old and minor convictions will no longer be subject to disclosure on the Enhanced Disclosure Certificate. These old and minor convictions are considered as Protected under this legislation. A summary of what is considered to be Protected is provided in the table below. On the Pre-employment Disclosure Consent Form you are required to disclose certain information concerning your criminal convictions. You must disclose information about spent and unspent Convictions that are not Protected under the Rehabilitation of Offenders (Exceptions) (Northern Ireland) Order 1979, as amended in DETAILS OF PROTECTED OFFENCES (NO REQUIREMENT FOR THE APPLICANT TO DISCLOSE) AGED 18 OR OVER AT THE TIME OF THE OFFENCE An adult conviction will be a Protected conviction and will not need to be disclosed by an applicant if all of the following apply: 11 years have elapsed since the date of conviction, and It is the applicant s only offence, and It did not result in a custodial sentence. If the conviction is not recorded on the list of specified offences (see note below), the applicant does not need to disclose the conviction. If an applicant has more than one conviction, then details of all their convictions will need to be disclosed. AGED UNDER 18 AT THE TIME OF THE OFFENCE A young person s conviction will be a Protected conviction and will not need to be disclosed by the applicant if all of the following apply: 5 ½ years have elapsed since the date of the conviction, and It is the person s only offence, and It did not result in a custodial sentence. If the conviction is not recorded on the list of specified offences (see note below), the applicant does not need to disclose the conviction. If an applicant has more than one conviction, then details of all their convictions will need to be disclosed. IMPORTANT NOTE: All convictions for specified offences can be found on the Specified Offences list. This list includes a range of offences which are serious, relating to sexual or violent offending or are relevant in the context of Safeguarding and will remain subject to disclosure. Therefore, for these certain offences, applicants are required to always disclose such details, regardless of when the offence took place. 6 4. General Information before completion of application form 4.1 A recent photograph MUST accompany your application form. This can be scanned on to the front of the form before ing, ed separately along with your application, or attached to the front of the form if you are posting it. The photo should be recent and show a close-up of your head/shoulders. This is to assist with identification of those attending interview in accordance with Safeguarding Guidelines. (APPLICATION FORMS WILL NOT BE ACCEPTED WITHOUT A RECENT PHOTOGRAPH). 4.2 It is preferable that applicants provide an address on their application form as all correspondence will be communicated via where possible. If you do not have an e- mail please indicate this on the last page of the application form. 4.3 The post specific application form which is published on the College website at the time of advertisement must be used. No other versions of the application form will be accepted. 4.4 Each member of the selection panel dealing with the appointment will be given a copy of your application form. Do not, therefore, include covering letters, additional information sheets, curriculum vitae (CV), references, examination certificates or indeed any other documents with your application. If you do they will not be considered. 4.5 All relevant information provided in the application form will need to be verified. This may include the use of external sources. 4.6 Members of the selection panel are not permitted to make assumptions about you or take account of any personal knowledge they may have about your qualifications/experience. You must therefore ensure that the application form is completed fully and concisely. 4.7 If you are recommended for appointment or deemed suitable for appointment and placed on a panel list the offer will be subject to a number of pre-employment checks i.e. satisfactory completion of a health declaration and, if necessary, attendance at a medical examination; verification of your qualifications (if applicable) and completion of a criminal history check in order to assess your suitability to work with children and young people. In addition, if this is a regulated post a check will also be carried out against the barred list for Children. An offer of employment is also subject to receipt of satisfactory references and the provision of photographic identification. You will be required to bring current photographic identification with you to your interview i.e. Passport or Driving Licence as well as your original birth certificate and if applicable your marriage certificate. 4.8 If you take up an appointment you should note that you may be required to work at any of the College s buildings as necessary and that a no smoking policy is in operation at all buildings and sites. 4.9 You should submit a separate post specific application form for each post for which you wish to be considered.
