1 Quick Start: Register for the Microsoft Business Center Customer Guide The Microsoft Business Center lets people in your organization securely view purchase agreements, view volume licensing orders, download software, manage other users, and much more, depending on their role. This guide explains how to select a domain and create work accounts so that you and other people in your organization can start using the Business Center. 2 Introduction This guide walks you through the process of signing in for the first time to the Microsoft Business Center, so that you and other people in your organization can begin using it to manage your volume licensing. You just sign in to the Business Center using a work account. If you have never signed in to a Microsoft service using a work account, you can learn more in the section below titled Understanding the work account. The employee designated as the domain administrator in your organization s Microsoft Products and Sales Agreement (MPSA) is assigned the task of setting up work accounts and accessing the Business Center for the first time. This guide is intended for that person. Microsoft sends this domain administrator an message inviting them to the Business Center and telling them how to get started, which is the subject of this guide. Microsoft Volume Licensing 2
3 Register your organization to use the Business Center If you are designated as the domain administrator in your organization s MPSA, Microsoft will send you inviting you to get started using the Business Center by signing in with an existing work account or signing up for a new work account. The sections below explain how to do that. IMPORTANT The link in the invitation expires in 14 days. If you don t use it within that time, you can ask to have the invitation resent to you. Optional: Ask Microsoft to resend the invitation to you If you didn t receive the invitation and believe you are the correct person to receive it in your organization, you can ask Microsoft to resend it to you or ask your Microsoft partner to have it resent to you. This invitation can only be sent to the person in your organization assigned the role Purchasing Account Domain Administrator in your volume licensing agreement with Microsoft. Microsoft Partners have the ability to resend the invitation and also modify the designated domain administrator for your organization. They can also change information about the current domain administrator, such as their address. If your partner isn t sure how to resend the invitation, they can find detailed instructions in the partner Quick Start Guide titled Register for the Business Center. This guide is in the Help section of the Volume Licensing Partner Center. Before you ask for the invitation again If you did not receive the invitation and believe it should have been sent to you, you may want to see if someone else in your organization received this . The person who signed your organization s Volume Licensing agreement or your Microsoft partner should be able to tell you who was designated the domain administrator in this agreement. Request to have the invitation resent 1. Go to the Business Center home page (dashboard page) at Microsoft Volume Licensing 3
4 2. Try signing in with your work account to make sure you don t already have access to the Business Center. 3. If you don t have access, select the link below the Sign In box that says Haven t received your invitation ? Click here. 4. Enter your domain administrator address, agreement number and purchasing account number. Then select SUBMIT. Microsoft Volume Licensing 4
5 5. If you are not designated as your organization s domain administrator on the agreement, you will see a message telling you the information you entered does not match the information on record. To find out who is designated as domain administrator or to see if you can be designated, contact your Microsoft partner. 6. If you are designated as your organization s domain administrator, you will see a message telling you to check your for the message from Microsoft inviting you to start using the Business Center. NOTE If you still don t receive the message, make sure your spam filter is not blocking the message. Contact your Microsoft partner if that doesn t work. Sign in or Sign up After you have received the invitation from Microsoft, you can sign in to the Business Center using an existing work account and start using the Business Center. Or you can sign up for a new work account and then start using the Business Center. Here s how: 1. Open the invitation to the Business Center. 2. Select the Get started now link. NOTE This link expires in 14 days. If you don t use it within that time limit, ask to have the invitation resent to you. Microsoft Volume Licensing 5
6 3. This link will open a page welcoming you the Business Center and asking you to SIGN IN with an existing work account or SIGN UP for a new work account. Which option you get on this page depends on whether Microsoft detects if your organization has used the Business Center before or other Microsoft services: If Microsoft detects that your organization has used the Business Center or other Microsoft services, it will display a list of the domains for the work accounts used to sign in to those services, as in the screen shot below. You will be directed to SIGN IN with an existing work account that uses one of these domains. You also have the option to SIGN UP for a new work account if you prefer. If Microsoft detects that your organization has not used the Business Center or other Microsoft services, it will not display a list of any domains, as in the screen shot below. You will be directed to SIGN UP for a new work account. You also have the option to SIGN IN with an existing work account if you have one. Microsoft Volume Licensing 6
7 If you already have an existing work account you have used to sign in to Microsoft services, you should use that. If not, then create a new work account. If you already use Office 365 or other Microsoft services, you should already have a work account. To learn more about work accounts, read the next section. Understanding work accounts Work accounts are the user accounts that you and others in your organization will use to access the Business Center, Office 365 and other Microsoft business services. To sign in to the Business Center for the first time, you can use either an existing work account or create a new one. If you aren t sure if someone at your organization has created a work account, you may want to ask other members of the IT staff. If some employees at your organization already use Office 365 or other Microsoft services such as Microsoft Azure, Windows InTune or Dynamics CRM, then they must be signing in with an existing work account. Replacing the Microsoft account Work accounts are different from Microsoft accounts (formerly known as Live ID accounts), which are used to access personal services from Microsoft, such as Outlook.com or Xbox. Work accounts are not intended for personal use, but to allow employees to sign in to their organization s Microsoft services. Individual users typically do not set up their own work accounts. Instead, their accounts are usually assigned to them by their organization. Work accounts can be created and managed in the cloud, or synced from an onpremises directory such as Active Directory. By using work accounts instead of personal Microsoft accounts to access the Business Center and other Microsoft business services, organizations gain centralized user management and other benefits. When employees use the same work account to access the Business Center and other Microsoft services, they enjoy single sign in on across these services. NOTE Work accounts were previously called organizational accounts. Sign in with an existing work account If you selected the SIGN IN button on the welcome page, this will open a page asking you to sign in with your work or school account. (A school account is just like a work account, but for people who work at a school.) Microsoft Volume Licensing 7
8 Sign up for a new work account If you selected the SIGN UP button on the welcome page, this will open a page titled Register to use the Business Center. This is where you create a new work account. Fill in all the fields on this registration page to create a work account. Here s how: Microsoft Volume Licensing 8
9 1. Fill in your first name, last name, address and country. NOTE Your work address is different than the work account you will create to sign in to the Business Center. 2. Select a DOMAIN NAME that you and your other users will use to create your work accounts. Enter a DOMAIN NAME and select Check Availability. To learn more about selecting a domain name, read the section below titled Understanding domain names. 3. If the domain name you selected is available (not already used by another organization), you will see a message saying The domain name entered is available. If the name you selected is not available, you will see a message saying Domain name entered is not available. Please use a different domain name. Keep trying different domain names until you find one that is available. TIP You can add a number after your domain name if your first choice is not available. For example, a company named Fabrikam might use fabrikam1.onmicrosoft.com or fabrikam2.onmicrosoft.com. This will make it easy to complete the registration process and start using the Business Center without delay. In this example, the domain name entered is not available 4. Once you find a domain name that is available, enter a USER ID for yourself and create a PASSWORD. The USER ID is typically the same as the ID in your work address. (Such as taitoy for an employee named Taito Yee.) 5. When you are done completing all fields, select SUBMIT. 6. A page will open with important information you should save for later. It displays the link you will need to sign in again to the Business Center and your new work account. Copy this information and save it. 7. Under LAST STEP, select the link that says Sign in with your new work account. NOTE To complete the registration process, you must perform this LAST STEP. This will activate your account and allow other in your organization to use the Business Center. Microsoft Volume Licensing 9
10 8. Sign in with your new work account and password. The first time you sign in to the Business Center, you may be greeted with a popup screen telling you that the Volume Licensing Center has been upgraded to the Business Center and explaining some of the changes. (The Volume Licensing Center is Microsoft s previous Volume Licensing site.) 9. Select Thanks, got it! This will take you to the home page (dashboard) of the Business Center, where you can begin using the site and add other users in your organization, so they can also begin using the Business Center. 11 Understanding domain names Here are some tips on how to select a domain name for your organization to use with the Business Center. If you are the domain administrator, you can choose what domain that you and all the other users in your organization will use in your work accounts. If you want, you can choose a domain name that matches your organization s name. That would typically look like this: Microsoft Volume Licensing 11
12 orgname.onmicrosoft.com For a company named Fabrikam, that may look like this: fabrikam.onmicrosoft.com When employees use their work account to sign in to the Business Center, they will append their user ID to the front of the domain you select. That will look like this: username@orgname.onmicrosoft.com For example, if an employee named Taito Yee working at a company named Fabrikam has an address taitoy@fabrikam.com, he would sign in to the Business Center with this work account: taitoy@fabrikam.onmicrosoft.com Add other users to the Business Center After you sign in to the Business Center for the first time, you will be taken to a page called Manage Users. Because you are the first person in your organization to use the Business Center, you will be presented with the opportunity to add other employees so they can also use the Business Center. Here s how: 1. On the Manage Users page, select ADD USER. 2. On the ADD USER page, complete each field and then repeat as needed for each additional user that you want to add. 13 Complete all the ADD USER fields for this person: CONTACT ADDRESS: The address for this new user. USER ID: Assign a unique identification (ID) to this user. This is often the user name in their address. For example, taitoy for someone with the address taitoy@contoso.com DOMAIN: Select the domain associated with your work account. The USER ID plus the DOMAIN will form the work account that each user must use to sign in to the Business Center. A key aspect of creating a work account is the selection of a domain name to use in the work account. For an explanation of work accounts, see the section below on Understanding work accounts. If you already have work accounts in your organization, use that domain. If you need to create a work account for the first time, the domain administrator for your organization should choose what domain to use. PASSWORD RECIPIENT ADDRESS: The address where you want to a password and other information inviting this user to start using the Business Center. NOTE A user s work account is typically not the same as their address. For example, someone with an address taitoy@contoso.com might have a work account of taitoy@contoso.onmicrosoft.com PREFERRED LANGUAGE: Set the language for notifications this user will receive from the Business Center. COUNTRY/REGION ROLE: Set permissions for this user in the Business Center by assigning this user one or more of the customer roles described below. Microsoft Volume Licensing 13
14 3. After you are done completing all the fields, select SUBMIT or SUBMIT AND ADD ANOTHER USER. Microsoft will send a message to the PASSWORD RECIPIENT ADDRESS welcoming the person to the Business Center with a link to sign in. Understanding user roles You can assign your users the following customer roles with these permission levels for the Business Center. You must edit their user roles and other user details (such as name and address) in the Azure Active Directory. The section below on promoting users and changing their information tells you how to do this. ROLE ACCOUNT ADMINISTRATOR AGREEMENT ADMINISTRATOR USER ADMINISTRATOR ACCOUNT MANAGER REPORT VIEWER ACCOUNT VIEWER PERMISSION LEVEL Users assigned to this role can manage all tasks. Users assigned to this role can view information specific to agreements. Users assigned to this role can manage users. Users assigned to this role can edit active agreements, handle self-service provisioning, and download software; and they can view agreements, keys, orders, license details, and reports. Confirm new user was added When you complete the Add user page and select SUBMIT, the system returns you to the Manage Users page. To confirm that your new user was successfully added, review the notification message on this page. If you tried to assign the new user to an administrator role, you should see another message informing you that you must first promote this user to a new role in your organization s Windows Azure Active Directory (AAD). The section below on promoting users and changing their information tells you how to do this. Microsoft Volume Licensing 14
15 Assign new user roles After you add a new user, you can assign them new user roles in the Business Center. Here s how: 1. Select the Manage Users section on the Business Center home page. 2. Find the user you want to edit on the Manage Users page. 3. Select the user to open their User Details page. 4. Select EDIT to select or delete any of the roles for this user in the menu under ROLES, and then select SAVE.
