Hotel reservations should have been made through THS, our hotel reservation specialists again this year. If you did not book your reservations through THS or did not receive approval for a waiver you could be subject to loss of your bid. If you have changes or concerns about your reservations please call or try the THS website ( FOOD, COOLERS AND CHAIRS: These items WILL NOT BE ALLOWED in, or outside of the building and will be subject to confiscation from the Indiana Convention Center security. For your safety, security and peace of mind, keep coolers in your vehicles. The Indiana Convention Center will be selling food in the venue and they have made an effort to provide a good variety of options. Although we ask that they try to sell a few healthy snacks, we cannot control what they will ultimately sell. TOURNAMENT CHECK-IN: All check-in procedures will take place at the Indiana Convention Center in Rooms There will be registration booths set up in this area. In an effort to make the registration process more efficient we have designated the day before competition begins to all age divisions for check-in. We do encourage teams to check-in early if you are on site prior to your check-in date. However, priority will be given first to the age divisions designated to that day. Teams must be completely checked in prior to closure of registration (9PM) on their designated registration day. NOTE: The Chaperone does not have to check in separately, however, the person who is checking the team in must have a signed chaperone form and copy of an ID to turn in before the team is considered cleared. Teams that fail to check-in during this time frame will be penalized by forfeiting their first match of the tournament. Teams will not be allowed to check in the morning or afternoon of play. Please arrange travel accordingly to ensure you arrive on your check-in day. 2. Only the team representative, club director or coach should go to the check-in of the Indiana Convention Center to register the team(s). Team Chaperones are not required to pick up their own credentials but will need to sign the Chaperone Form and give it to the representative checking the team in. 3. Credentials will be issued to verified personnel only, duplication of personnel from one roster to another WILL NOT get the additional credentials. All rostered adult staff must be registered with their USAV region and have passed a background screening through the USAV screening process. If roster additions will be made onsite, event staff will have to be able to verify USAV membership and background clearance through the official membership database.

3 WHAT TO BRING TO CHECK-IN: Players birth certificates (legible photocopies acceptable) - Must show at check-in only; you do not need to turn in a copy. (Copies of a driver s license or passport will be accepted as well). The Coach or Team Rep should have the copies accessible court side in case any player is challenged for identity. MEDICAL RELEASE FORMS: Teams must have a copy of their completed medical release forms to show at checkin. As in past years, we are not collecting them you just need to show them. The forms must be with the team coach or chaperone throughout the tournament. No player will be allowed to participate without a copy of the medical release form in the possession of the coach/chaperone. *Suggestion: Have your copies of the team s medical release forms in a folder. Alphabetize them and even place them in plastic sleeves for easy manipulation. You are welcome to print a copy of your event roster to bring with you. A copy will be provided at check-in for verification purposes. You can access the exact roster USAV will print by clicking on the team name in AES and where you see the event listed, click on the Print roster. All adult members listed as Staff including Chaperones must have passed a background screening through your region and must be members of USA Volleyball, no exceptions. All verified membership should be USAV verified, RC will only be accepted for Team Managers under 18 and Puerto Rican teams. If you have an N, please try to get this cleared prior to arrival. CHAPERONE FORM please make sure your chaperone signs the form and gives it to the person checking the team in along with a copy of a driver s license or passport photo. TOURNAMENT CREDENTIALS: Tournament credentials will be issued to those individuals who were designated on the Official On-line Roster. Chaperones must be a minimum of 25 years old and must turn in a Chaperone Form. ALL staff members listed on a roster must be registered with the teams USAV region and must clear a background screening. Only a total of 5 staff members may be listed on the official event roster. The following individuals who are listed will receive credentials: 1. Players 2. Head Coach (REQUIRED) 3. Assistant Coach(es) (if applicable) 4. Team Representative (if applicable) 5. Team Manager (if applicable) 6. Chaperone (REQUIRED) No duplicate credentials will be released; Head Coaches cannot double as the Chaperone. Chaperones can only be assigned to one team per session with no overlap. Those persons whose names appear on the verified roster receive credentials for admission and are permitted to sit on the bench. The player s credentials are NOT GOOD for adults or parents of the players. At any time a credential is found to be misused it WILL be confiscated and destroyed. Players and team staff must have credentials with them to enter the event arena. Lost credentials will NOT be replaced and tournament passes will have to be purchased for entry. CHAPERONES, who appear on the roster, must sign a Chaperone Form and give it to the team representative checking the team in. Chaperones are expected to remain with the team at ALL times outside the playing venue, especially when the coach is not present or available. ALL CREDENTIALS ARE NONTRANSFERABLE AND WILL BE CONFISCATED IF MISUSED UNIFORMS: Uniform number sizes are to be a minimum of 4 on the front and a minimum of 6 on the back, NO EXCEPTIONS. Verification of uniform number sizes will be done by officials on the playing court. Consult the Official USA Volleyball Rules Book for additional information on uniform number sizes and placement. You can also download the Rules Book on our web site: (click on officiating). PLAYERS MUST WEAR THE SAME UNIFORM NUMBER THROUGHOUT THE ENTIRE TOURNAMENT!

4 IMPORTANT IMPACT CERTIFICATION NOTICE!! IMPACT Clinics are no longer offered at the Junior National Championships. In addition USA Volleyball policies have changed; it is now a requirement that EVERY coach listed on a team roster be minimally IMPACT Certified. Teams will be deemed ineligible and denied access to the 2016 USA Junior National Championships if their coaches are NOT IMPACT Certified. All coaches, Head and Assistants must now be certified to coach. Please make arrangements prior to the Championships to become IMPACT certified. For more information on IMPACT Certification, contact your local RVA. As an alternative, there will be IMPACT Webinars available through USA Volleyball. Teams will NOT be eligible to participate at the Junior National Championships without meeting the coaching certification requirements. An IMPACT Certified member of the roster MUST be present at the Scorer s Table during all team officiating assignments. ROSTERS: The team roster is limited to 15 players and 5 adults and will be in effect throughout the Championships. ONLY those persons whose names appear on the verified roster will receive credentials and are permitted to sit on the bench. All changes as of the roster change deadline and made onsite will have to be verified by the USAV registration system and will be charged in the amount of $25.00 per change to the roster(s). These changes will have to be processed at check-in time at the Indiana Convention Center. If the paperwork is not complete, any and all proposed changed personnel WILL BE deemed ineligible. NOTE: For any staff member additions, USAV membership and background screening clearance must be able to be verified by the USAV membership database. Roster verification: We are making every effort to get the rosters 100% verified at this point. Please take a look at your rosters on AES and make sure they are correct. You can see the roster that we will print for the event by logging into AES, clicking on the Team Name and clicking on the Print roster under the 2016 Girls Junior National Championships event. SCOREKEEPERS CLINICS: A scorekeeper clinic will be held the day before the start of each competition session. If you do not have a player or adult on your roster who is a certified scorer, someone from the roster must attend the scorekeeper s clinic. USAV will do our best to locate information for local practice facilities in the Indianapolis area for you to secure at your own discretion however because of previous experience in some cities we cannot guarantee there will be available sites. Practice Facilities in Indianapolis, Indiana OFFICIAL BALL: The official ball for the 2016 USA Girls Junior National Volleyball Championships is a Molten, Super Touch IV58L-3 (Red, White & Blue) for the 13s-18s divisions and Molten, VBLite (Red, White and Blue) for the 11s & 12s division.

5 WARM UP BALLS & CARTS: USAV WILL NOT be able to provide warm-up balls & carts on every court. With the recent growth of the Girls tournament, we do not have the inventory of balls and carts to accommodate all of the teams. However, USAV WILL have balls available for teams to check-out on a first-come, first-serve basis throughout the tournament. The person checking out the volleyballs will need to provide a credit card at the time of check-out (there will be a charge for any balls that are checked out and not returned to USAV). Note: We do not have enough balls to supply every team so it would be wise to bring balls and carts with you. PLAY SCHEDULE & RESULTS: The play schedule is available on the USA Volleyball website and through AES (Advanced Event Systems). Once the tournament begins the results will be updated continuously on this site as well. & The waves and finals schedule will also be posted on this link. GOLD FINALS TIMES & THE FINAL DAY OF PLAY BRACKETS: All age division teams will play all 4 days (except for the teams in the 11 Patriot Division who will only play for 3 days). The final day of play will be single elimination brackets. Brackets will all start between 8am and 11am and the final matches scheduled in all brackets other than the Gold might be scheduled as late as 3pm. Take into consideration that courts generally run behind on the final day of play and that the losing team must stay and ref the following match on the court they are playing on. All player data is extracted from Advanced Event Systems (AES) and supplied to colleges on their mobile devices. Teams that submit incomplete player information are putting their athletes at a disadvantage for recruiting purposes. It is the responsibility of the Team Representative/designee to input the data into the registration system (AES) accurately and completely for all players. Player information will be supplied to colleges for age divisions only. University Athlete is an important tool for all participants, parents and coaches. Most colleges obtain important information on student-athletes from data collected by University Athlete.
