5 1 Trusted Cloud Collaboration Fabasoft Cloud enables secure and reliable intercompany collaboration over the Internet. Secure and Reliable Figure 1: Fabasoft Cloud The use of Fabasoft Folio Cloud requires the user s personal authentication. In the basic version, Fabasoft Folio Cloud primo, login is supported with username and password. Communication between the client and Fabasoft Folio Cloud is always encrypted via https. In other Internet applications https is often only used for secure entry of credit card numbers for payment transactions. With Fabasoft Folio Cloud each and every access is protected in this way, even via smartphone access. When a user invites contacts for collaboration in a Teamroom, Fabasoft Folio Cloud ensures that only invited and identified users have access to shared team content. These users are granted either read permission, write permission or full control. All team activities are traceable at all times, for instance through automatic versioning of documents when there is a change of editors. Every modification remains traceable. Mobile Fabasoft Folio Cloud can be used anywhere and at any time over the Internet. Using a variety of web browsers on different client platforms, e.g. Microsoft Windows, Apple OS X and Linux desktops. The user interface is available in 21 languages. Fabasoft Folio Cloud can also be accessed with smartphones or tablets, e.g. iphone, ipad or Android devices. Folio Cloud Editions Fabasoft Folio Cloud product capabilities are packaged as Fabasoft Folio Cloud editions. Fabasoft Folio primo is the basic product edition which is available for free. Additional editions differ in terms of product capabilities, included Folio Cloud Apps and guaranteed storage capacity. They are charged on a fee per user per month basis. Figure 2: Fabasoft Cloud Homepage 2 User Value Fabasoft Folio Cloud primo 2.1 Online Space Fabasoft Folio Cloud primo provides five Gigabyte online storage. The maximum file size is 250 Megabyte. Maximum number of objects: 2, Technical Information Information about service levels and system requirements can be found in the document Technical Information. 2.3 Secure: Product Features Encrypted Communication Encrypted Communication Communication from an end device to Fabasoft Folio Cloud is always encrypted. In this way data that is transferred from an end device to Fabasoft Folio Cloud, or vice versa, cannot be deciphered by unauthorized people. Encryption is realized by way of the technological standard https, which is supported by all common web browser end devices.

7 2.3.2 Standard Login Login with Address and Password When registering with Fabasoft Folio Cloud with a valid address, you can also select a login password. Each time you log in, you will be asked to enter the address and password you have used for registering. The login password can be changed in Fabasoft Folio Cloud at any time. ISO is a globally acknowledged standard for the security rating of IT environments. The validity area of Fabasoft s certificate specifies the requirements of a complete information security management in reference to all IT and business processes as well as of a company s sensitive data. 2.4 Reliable: Product Features Versioning Automatic Versioning on Alternating Editors If multiple users are working on the same document, Fabasoft Folio Cloud saves each modification status as a version. 8 2.4.2 ISAE 3402 Type 2 Examination by PriceWaterhouseCoopers The International Standard on Assurance Engagements No (ISAE 3402) is an internationally acknowledged standard that was launched by the International Auditing and Assurance Standards Board (IAASB). ISAE 3402 is a standard for the examination of outsourcing businesses. Through this means a report about the service provider s implemented controls and control objectives is filed. Such a report certifies that a company has a functioning control system. The ISAE 3402 standard distinguishes between two types of tests and the resulting test reports: ISAE 3402 Type I confirms the description of the service provider s internal control system at a specific time and comprises the summary of an independent audit firm s results. In addition to a pure account of the control system, ISAE 3402 Type II aims at testing the internal control system comprehensively, with a special emphasis on a detailed evaluation of its effectiveness. The test is performed over a period of six months. The ISAE 3402 Type II report comprises an external audit firm s estimation about the service provider s control system, a description of checkpoints and controls, information concerning the test period, a description of the test method and a statement about the effectiveness of controls. In the course of the Fabasoft ISAE 3402 Type II examination procedure design and efficiency of the selected controls were tested by an independent third party auditor from PriceWaterhouseCoopers in relation to Fabasoft Folio Cloud. As leggero or medio user you can also change your location any time via the symbol in the portal header. We currently offer Folio Cloud Locations in the following countries: Germany Austria Switzerland Teamrooms, folders and their content are only available in the location in which they are saved. As a primo or allegro user you can only create Teamrooms in the default location. The editions Fabasoft Folio Cloud leggero and higher allow you to also create Teamrooms in other Folio Cloud Locations, not just in the default location and you can set your preferred Folio Cloud Location. However, as a primo or allegro user you can still access Teamrooms in any location and therefore collaborate with Folio Cloud users from other locations. 13 2.6 Collaboration: Product Features Register and Use Instantly Register as a New User To register as a new Fabasoft Folio Cloud user, you only have to create a new user account on the website To do this simply enter your name, a valid address and your mobile phone number. After registering, you can start using Fabasoft Cloud right away. It is a familiar operating principle on the Internet. The Fabasoft Folio Cloud web client shows Teamrooms and digital documents. The user navigates through structured business objects (e.g. Teamrooms and projects) in a structured view. The contents of the selected object are shown in a detailed view (list view). Freely Adjustable Columns in the List View The columns in the list view are easily adjustable for the user. Via symbols in the column s header, columns can be added or removed. The product offers context related characteristics of documents that can be displayed as columns. Sorting Lists via Multiple Columns The web client offers a list view that enables sorting list entries via multiple columns. Grouping Lists with Many Entries for Gaining More Overview The web client enables the grouping of list entries according to specific columns. In this way you can keep an overview of many entries. Nested groupings are also possible. Editable Columns in the List View By pressing F2 or by double-clicking, specific columns are directly editable in the list view. Thus the user can directly edit columns in a list without having to open a form. Moving Files via Drag-and-Drop Users move files and documents in the Fabasoft Folio Cloud web client simply via drag-and-drop. Preview With the preview it is possible to display the contents of Teamrooms and folders as preview images without having to open them.

Thus it is easy to browse through a Teamroom s or folder s contents via an overview map. Presenting Documents via a Slide Show Fabasoft Folio Cloud supports the presentation of digital documents in a slide show, which is especially suitable for the presentation of photo collections. Use of the Keyboard The Fabasoft Folio Cloud web client can be navigated via the keyboard. Direct User Feedback Users can give feedback about the use of Fabasoft Folio Cloud directly via the support button. Integrated Spell Checker Figure 8: Support Button Fabasoft Folio Cloud offers an integrated spell checker. Spelling mistakes in object names or for example in invitation texts can be avoided. Using Actions The displayed actions enable an easy learning of Fabasoft Folio Cloud s features and relieve working, by offering quick access to important functionalities. 16 Notifications via RSS Feeds Objects (like documents, collaboration folder or Teamrooms) can be subscribed as RSS feeds. So the user is informed about changes on these objects. The RSS feeds can be read with a common RSS reader (e.g. Microsoft Internet Explorer, Mozilla Firefox or Microsoft Office Outlook). 17 Searching for Contacts A user can search for contacts through addresses. A maximum of ten hits for a search is displayed. Importing Contacts from Microsoft Office Outlook Fabasoft Folio Cloud supports importing contacts from Microsoft Office Outlook, including a check for duplicates. Microsoft Office Outlook contacts can be copied and pasted into Folio Cloud. Structuring Contacts Contacts can be structured via contact folders. Imported contacts are automatically stored in a contact folder with the appropriate name. Contacts can also be combined within a group. 18 Use Cases for Search Search for documents Execute an action on a search result 3 Fabasoft Folio Cloud Apps Fabasoft Folio Cloud Apps extend the product capabilities in terms of vertical composite content applications and business process utilities. 3.1 Cloud App Teamroom Exchanging documents and collaboration with your contacts is offered via so called Teamrooms. Within a Teamroom the collaboration of a team is managed from inviting members to attributing individual access rights. The Teamroom is the basic Cloud App and the central element for collaboration in the cloud. In the Teamroom, you can not only create documents, but also run other Cloud Apps such as Scrum Projects or Conference Management. Central Repository The Teamroom represents the central storage of a team. All important documents are stored in the Teamroom to collaborate with your contacts.

19 Removing Documents From a Teamroom If it occurs, that access rights get lost when removing a document from a Teamroom, an appropriate warning is displayed. Define a Team To collaborate via Teamrooms, users can create the team directly out of their Fabasoft Folio Cloud contacts. Read Access for Teamrooms For each Teamroom, the contacts or groups, which are allowed to read documents, are defined. Change Access for Teamrooms For each Teamroom the contacts or groups, which are allowed to edit and create documents, are defined. Full Control for Teamrooms For each Teamroom, the contacts or groups, which own administrative rights, are defined. Guest User If you create a user in the team of a Teamroom, the user will get an invitation to the Teamroom. Via the invitation link the user can be registered to Fabasoft Cloud. This user will be a guest user and cannot create objects. Inviting People for Collaboration Users can be invited to a Teamroom via . The invited users can take part on the collaboration by accepting the invitation. Invitation History Each sent invitation and accepted or refused invitation is logged for better traceability. Invitations to Teamrooms are listed on portal page History. There you can also find Cloud mails such as s to teams or contacts. Exclusive Teamroom Assignment An object is explicitly assigned to a Teamroom. This is especially needed for the storage limit. In case an object is stored in more than one Teamroom, the assigned Teamroom can be changed at any time by authorized persons. Show News to Teamrooms The news is displayed as a symbol in the card view and can be sent via . News to a maximum of ten Teamrooms can be displayed. For each Teamroom you can also subscribe to RSS feed. Personalize Teamroom An own logo can be defined for a Teamroom. This logo is displayed instead of the Fabasoft Folio Cloud logo when opening a Teamroom and is displayed to all contacts of the Teamroom. Set a Publishing State for a Teamroom For each Teamroom can be defined if this Teamroom is public for all users in the Cloud. There are several options to choose. For example just the defined team, has access to this Teamroom and its contents or everyone in the Cloud can read this Teamroom and its contents. Create and Comment Stories A user creates a news feed in the Teamroom. Any user who possesses access rights to the Teamroom can create news and comment existing entries. Users with full control can remove any notification. Furthermore, any user can remove his created news or comments. Add Attachment Users with the appropriate access (change access, full control) can add new or existing objects to their news. Set Publishing State Determine who is authorized to create and comment stories in the news feed. Saving Photos via Drag-and-Drop Photos can be transferred into Fabasoft Folio Cloud via drag-and-drop. Editing of Photos Photos can be turned clockwise or anti-clockwise. Saving Videos and Audio Files via Drag-and-Drop Videos and audio files can be transferred into Fabasoft Folio Cloud via drag-and-drop.

21 Playing Video and Audio Files in Web Browser It s possible to play multimedia files directly in the web browser.
