1 Northern Arizona University Recruiting Policy for Official Visits In developing these policies, the institution reviewed the intent of the NCAA s recruiting legislation, the university s academic mission, as well as the recruiting policies of institutions that Northern Arizona University believes to be similar in nature. Northern Arizona University s Department of Intercollegiate Athletics (ICA) embraces the core values of: Achievement, Integrity, Family and Well-Being. ICA s recruiting philosophy is to engage and attract young men and women to Northern Arizona University (NAU) who are committed to competing at the highest level in both athletics and academics, with a high level of character in a manner consistent with NAU, Big Sky Conference and NCAA guidelines. Northern Arizona University recognizes the importance of official and unofficial visits during the recruitment process of prospective student-athletes. The visits should provide prospective student-athletes and his/her family comprehensive information about the overall university, academic opportunities and support programs, intercollegiate athletics and individual sport programs needed to make an educated, well thought out decision on the institution that he/she wishes to attend. Northern Arizona University is committed to ensuring that all staff, student-athletes, prospective student-athletes and their guests understand this philosophy and are accountable for all behavior that occurs during the recruitment process (i.e., official and unofficial visit). EDUCATION It is the objective of the Department of Intercollegiate Athletics, during an official visit, for the prospective student-athlete and his/her family to receive information about the educational mission and academic support programs of ICA, as well as, academic programs and opportunities throughout the campus at large. This is accomplished by the prospective student-athlete at minimum: Meeting with the Academic Advisor assigned to his/her sport to discuss academic philosophy, support programs and life skills programming; Touring the academic facilities (i.e., computer lab, quiet study and tutoring rooms, structured study lab, tutorial coordinator area, etc.); and/ or Meeting with a faculty member or advisor in a single, or multiple areas of academic interest that he/she may have; and Touring the campus on an official tour. 1

2 Additionally, when appropriate, prospective student-athletes are able to meet with additional resources, such as the Multi-Cultural Student Center, to connect with programs that could enhance their experience at Northern Arizona University. HEAD COACHES Head coaches are responsible for educating their personnel, student-athletes and prospective student-athletes on the established recruiting guidelines for official and unofficial visits. They are also responsible for the continued adherence to these recruiting guidelines. It is their responsibility to create an overall culture concerning how all involved parties should behave. The head coach will review all recruiting policies with the student host and prospective student-athlete (if possible policies will be reviewed with prospective student-athlete s family) once the official visit begins as well as, at the conclusion of the visit. If the head coach chooses to assign this task to another staff member, he/she may do so. However, the head coach will still be the one held accountable for all communication to be completed. RECRUITING HOST GROUPS Northern Arizona University does not use any athletic department group of students as hosts to help in the official and unofficial visit process. OFFICIAL VISITS Student Hosts Student hosts will only be current student-athletes who are of the same gender and if possible, a part of the prospective student-athlete s sport. A student-athlete who is chosen to be a host for a prospective student-athlete during an official visit will meet with the head coach (or his/her designee) prior to the official visit to review all NAU recruiting policies as well as written policies stated on the Student Host Instruction Form. The host will review and have an opportunity to ask any questions at that time. If there are no questions, the student host will sign the Student Host Instruction Form acknowledging that the recruiting guidelines have been reviewed. The student host will receive the NCAA permitted host money at that time as well. At the end of the official visit, the head coach (or his/her designee) will meet with the student host to discuss the visit. The head coach (or his/her designee) will again review the Student Host Instruction Form and the host will sign acknowledging that all recruiting guidelines were followed. The host will also submit receipts documenting how the student host money was spent during the official visit at that time as well. 2

3 Prospective Student-Athlete and Family The head coach (or his/her designee) will meet with each prospective student-athlete and if possible his/her family that comes to NAU for an official visit to explain the NAU recruiting policies and what behavior is expected of him/her while he/she is on the visit. The head coach (or his/her designee) will review the NAU Recruiting Rules and Regulations with the prospective student-athlete and his/her family and will be given the opportunity to ask any questions. Both the head coach (or his/her designee) and the prospective student-athlete will sign the Adherence to NAU Recruiting Rules and Regulations verifying that they will abide by all said rules and regulations. At the conclusion of the official visit, the head coach (or his/her designee) will meet with the prospective student-athlete and if possible his-her family to discuss the visit. The head coach (or his/her designee) will again review the NAU Recruiting Rules and Regulations with the prospect. Both the head coach (or his/her designee) and the prospect will sign the Adherence to NAU Recruiting Rules and Regulations indicating that all said rules and regulations were followed during the official visit. Official Visit Paperwork Pre-Official Visit Prior to an official visit taking place, the sport must turn in to the Office of Compliance the following documents: Official Visit Form Official or Unofficial Academic Transcripts of the Prospective Student-Athlete SAT/ACT or PSAT/PACT Test Scores of Prospective Student-Athlete (high school prospects only) The Office of Compliance will approve the official visit and will communicate this to the sport. The Office of Compliance will forward the approved Official Visit Form in its entirety with the academic evaluation to the sport. Post-Official Visit Once the official visit has concluded, the sport will turn in the following documents to the Compliance Office: Student-Host Instruction Form accompanied by appropriate receipts Post Official Visit Form accompanied by receipts for all expenses incurred during the official visits. Receipts for meals should accompanied by a list of all in attendance at the meal 3

4 Completed Adherence to NAU Recruiting Rules and Regulations Prospective Student-Athlete s Flight Itinerary (if Applicable) Prospective Student-Athlete Reimbursement Form (if applicable) The Compliance Office will then review all documentation and expenses from the official visit to verify that all NCAA rules and the NAU Recruiting policies were followed. Once approved by the Office of Compliance, all paperwork will be forwarded to the Athletic Business Office for its final approval. LODGING Per NCAA rules, NAU will provide standard lodging for the prospective student-athlete and his/her parent(s) legal guardian(s) (If applicable). Standard lodging is defined as a normal hotel room with no special accessories (e.g., Jacuzzis, suites, etc.). If a sport wishes to use other lodging, it must contact the Office of Compliance who will determine if it fits the definition of standard lodging. In special and unique situations, the Office of Compliance will submit an ARS Waiver asking the NCAA for relief. TRANSPORTATION Per NCAA rules, if transporting prospective student-athlete by air for an official visit, NAU will use only coach-class commercial airplane flights. Once at NAU, it will only use vehicles normally used to transport all prospective students on campus. This will include the use of institutional vehicles, golf carts, staff member s personal vehicles and student-athletes vehicles. In addition, it is permissible to rent a standard larger vehicle (without the extra amenities) to transport numerous prospective student-athletes and their families at one time (e.g., for transportation from the airport to campus and back). MEALS Per NCAA rules, NAU will provide meals to the prospective student-athlete and his/her parent(s)/legal guardian(s) comparable to what the current student-athletes are provided while participating in athletics (e.g. pregame/postgame meals, meals while traveling to away contests, etc.). GENERAL BEHAVIOR While entertaining prospects, there shall be no use of sex or drugs as a recruiting device, no underage use of alcohol, no gambling/gaming activities, no use of strippers or gentlemen s clubs or the equivalent, and no activity that violates criminal law. All entertainment must take place within a 30-mile radius of NAU. 4

5 SANCTIONS/PENALTIES If student-athlete hosts, prospective student-athletes, coaches, staff members or any other individual involved with the official visit violates the NAU recruiting policies as well as, NCAA and Big Sky regulations, the offending party will be reported to the NCAA and/or Big Sky Conference as appropriate. Sanctions may range from a letter of admonishment to termination of employment. OTHER PERTINENT NCAA RULES (This is not exhaustive. Please review NCAA Bylaws 13.6, 13.7 and 13.8) It is impermissible to personalize any items for an official or unofficial visit. This includes but it not limited to, a personalized jersey, welcome signs and decorations in a hotel room. This is regardless of whether or not these items include the prospect s name or picture. All facilities and locations the prospect will visit during the official or unofficial visit should be maintained in the same manner as they would normally appear. It is impermissible to do any game simulations during an official or unofficial visit. The only thing that is permitted during the visit is the showing of a highlight film (defined by the NCAA) on a video scoreboard. 5
