3 1. Introduction Express Cloud Storage Manager provides System Administrator to take back up of all users documents from Google Apps to local backup storage. It allows downloading documents, spreadsheets, presentations, drawings and all other files in an original uploaded format. Considering large number of organization moving to cloud through Google, it become imperative because of various legal compliance to have a copy of documents stored on Google Apps Cloud repository on the local storage as part of disaster management. PCVITA Express Cloud Storage Manager provides organization an easy, efficient and effective way of taking backup of Google Docs. 2. Features Support all document formats. Support for Incremental backup i.e. only documents which have changed since last backup are downloaded. Maintain revision history of each document. Maintain folder hierarchy on backup repository. Support for creating different type of backup policy based on various backup intervals. Backup can be taken periodically by creating Hourly, Daily and Weekly policies. Provide comprehensive reporting on backup documents. Facilitates monitoring of in-progress back items. Support for OAuth based authentication. Support to suspended backup for specified time.

4 3. Terminology 3.1 Policy Policy specifies the time interval at which backup of Google docs should be taken. When policy is applied to Google Apps Group, documents of all the users of that group will be downloaded at interval specified by policy. In Express cloud storage manager Administrator can create different policies to take backup at different intervals. Policies can be of three different types: o Hourly o Daily o Weekly Takes backup after specific number of hours Takes backup after specific number of days Takes backup at specific time of day 3.2 Synchronization The process of Synchronization synchronizes the Google Apps Groups and Users with the local storage repository. 3.3 Logs Log is collection of recorded events for the backup process. 3.4 Monitor Monitor is the way of monitor the health of backup process.

Admin Console Admin Console facilitates the administrator to configure various backup policies and monitor the health of the backup process. 2. Express Backup Service Express Backup Service is a background service which leverages the policies configured through the Admin Console and provides a seamless way of taking the backup of Google Docs.

6 5. Process Flow Configure Sync Policy Backup 6. Configure 6.1 OAuth Setting in Google Apps Steps to configure oauth for your Google Apps domain 1. Sign in to Google Apps with Google Apps Administrator account. This will take you to control panel for Google apps. Go to Advanced Tools 2. Go to Advanced Tools -> Authentication -> Manage oauth domain key

7 3. On this page Consumer Key and Consumer secret are mentioned. Please check the checkbox Enable this consumer key. xxxxxxxx 4. Go back to Advanced Tools. Go to Authentication -> Manage Third Party OAuth Client Access

8 Please enter value of consumer key in Client Name textbox. Please enter following in One or More API Scopes textbox Click Authorize button. Consumer key should get added with scope.

9 6.2 Express Cloud Storage Manager Settings Please enter Domain Details and Document Download details. Destination path is path on the local system where documents should be downloaded. 10 7. Synchronize Members Clicking on Synchronize synchronizes the Google Apps Groups and Users with local storage repository. It retrieves all the groups and associated users from the Google Apps. It is manual process to synchronize the groups and users not an automated. Administrator is recommended to synchronize on a periodic basis so as to keep the local storage up to date. The sync process take care new user addition and existing user deletion. The user who are deleted from the Google Apps domain are marked as deleted in local storage.

11 Once the synchronization is over, it represents the groups as node in the tree as displayed in the above figure. All the groups are displayed in the alphabetical order.

12 When the group is selected from the tree, it displays the associated users for that group in the list. The list provides a way to search within the list. NOTE: When Google apps administrator for a given domain adds or deletes any group/user from domain, he needs to run this synchronization process to reflect the changes. 8. Backup Policy Backup can be started by creating policies for Google Apps Groups. Policy specifies at what interval backup of Google docs should be taken. When policy is applied to Google Apps Group, documents of all the users of that group will be downloaded at interval specified by policy. Under the policy tab you can see existing policies and create new policies. Policies can be of three different types: Hourly Daily Weekly Takes backup after specific number of hours Takes backup after specific number of days Takes backup at specific time of day Administrator is allowed to create policies based on groups. Administrator can club similar set of groups together and create policy for them.

13 8.1 Creating hourly policy Hourly policy will be useful in scenario where Google Apps Administrator wants to take backup of some Google App Groups after fixed number of hours. Following screenshot shows Hourly policy with interval of 4 hours created for group PCVita_Departments. So after every 4 hours documents of users in this group will be backed up.

14 8.2 Creating daily policy Daily policy will be useful in scenario where Google Apps Administrator wants to take backup of Google App Groups after fixed number of days. Following screenshot shows Daily policy with interval of 2 days created for group PCVita_QATeam. So every alternate day documents of users in this group will be backed up.

15 8.3 Creating weekly policy Weekly policy will be useful in scenario where Google Apps Administrator wants to take backup of some Google App Groups at specific time of week. Following screenshot shows Weekly policy with time as Sunday midnight for group PCVita_Product. So at every Sunday midnight documents of users in this group will be backed up.

16 8.4 View Existing Policies Under the policy tab Administrator can see different policies created and also modify existing policies.

17 8.5 Modify Existing policies Administrator can modify existing policy to change frequency of backup. Policy can be modified to associate new Google apps group with existing policy. In the following screenshot daily policy is modified to associate a new Google App group Support with this policy.

18 9. Logs Logs-> Policies tab will display policies which are completed during specified time interval at User level. User can also search on specific policy. Logs->Today tab will display documents downloaded on that date

19 Logs-> History tab will display documents downloaded during specified interval. 10. Monitor Monitor tab will display documents being downloaded currently when backup is in progress.

20 11. Backup Service Windows service PCVITA Express Backup Service for Google Docs is responsible for taking backup.
