1 Who does graduate advising? HUGH HODGSON SCHOOL OF MUSIC A QUICK GUIDE TO GRADUATE ADVISEMENT (Initial version: 8/2012; Updated 8/2013) General Policies and Procedures Doctoral students with appointed Advisory Committees are advised by their Major Professor. All other graduate students (that is, all master s students, all EdS students, and doctoral students who don t yet have an appointed Advisory Committee) are advised by a faculty member designated by the Graduate Committee for this role. These faculty are identified by program and area; a complete list of graduate advisors is posted outside the Graduate Office. The advisement process The Graduate Office provides all faculty with a list of advisees each semester. During the designated advisement period, advisors should meet with their advisees to develop an appropriate program of study and approve a specific plan for the upcoming semester. A signed Trial Schedule form must be provided to the Graduate Office before students can be cleared for registration (blank Trial Schedule forms are available outside the Graduate Office). Registration requirements Students who are receiving any kind of institutional support from UGA that includes a tuition waiver or reduction must register for a minimum of 12 graduate credit hours (course numbers 6000 and higher) in the fall and spring. MUSI 7005 (for master s students) and MUSI 9005 (for doctoral students) can be used to bring students up to this 12-hour minimum. Students must be registered for a minimum of 3 graduate credit hours in at least two semesters each year until graduation and must be registered for a minimum of 3 graduate credit hours in the semester in which they graduate. Students cannot take more than 18 credit hours in a semester without the support of their Major Professor (or the Graduate Coordinator) and the permission of the Graduate School. 2 Advising Master s Students Understanding the curriculum Curriculum guides for all master s programs are available on the HHSOM website at Choose Graduate Programs from the menu on the right, then choose a specific program. The curriculum guides are available as downloadable PDFs. All curricula include courses in three categories: major area studies, other music studies, and electives. Advisors should help students to choose classes that will satisfy these requirements and prepare the students to meet academic and professional needs. A projection of when courses will be offered is available from the log-in side of the HHSOM website in both the Faculty Information section (under Faculty Tools) and the Student Information section (under Student Tools). Academic courses Entering graduate students take diagnostic exams in both music theory and music history. Faculty from the academic areas provide advisement advice based on students performance on these exams. Master s students generally choose from among the various period and topics courses at the 6000 level to satisfy their musicology requirements. Weaknesses identified by the music history diagnostic are often most easily remedied through suggested coursework. Students should choose musicology courses that will help them to prepare for their Orals, on which a broad knowledge of the history of Western music is expected. In addition to the period and topics courses offered each fall and spring, the musicology faculty offer MUSI 6290, which provides a broad overview to the history of Western music, every summer. (NB: MUSI 6290 cannot be used to satisfy curricular requirements for MA or MM students; it can be used for this purpose for MMEd students.) All MM and MA students should take MUSI 6160 (offered every spring) and MUSI 6170 (offered every fall) to satisfy their music theory requirement, as they are expected to be familiar with the content of these two courses for their Oral exams. These courses are designed as a sequence and should be taken in order. (Most students take MUSI 6160 in the spring of their first year, followed by MUSI 6170 in the fall of their second year.) Based on their performance on the music theory diagnostic exam, students may also be required to take MUSI 4050 (offered every fall) before taking the 6000-level courses. MMEd students should choose from among MUSI 6120, MUSI 6150, and MUSI 6160 to satisfy their theory requirement.

3 Filing a program of study A program of study should be filed for Master s students no later than their second semester in residence. The program of study should include all courses that the student has taken or will take to satisfy curricular requirements. If the student chooses to take additional courses beyond the requirements of the curriculum, these should not be listed. The Program of Study form is available from the Graduate School forms website. MM and MMEd students use the Non-Doctoral Professional Degrees version; MA students use the MA and MS version. Courses should be entered on the form in the order they will be taken. Course numbers that are repeated in multiple semesters (such as lessons) should be listed separately for each time they will be taken. Do not list GRSC 7770, MUSI 7005, courses with undergraduate numbers (anything less than 6000), or courses for which a grade of less than C has been earned. Completed forms should be filed with the Graduate Office. Students must take and pass all courses listed on their Program of Study in order to graduate. Each course must have a grade of C or better, and the overall GPA must be 3.0 or better. (Note for MA students only: MA students must have an Advisory Committee of three faculty in place before the Program of Study can be filed.) Exit requirements Students are responsible for knowing and meeting all Graduate School deadlines (these are found on the Graduate School website) relating to their intended semester of graduation. They should also inform the Graduate Office of their intention to graduate. All Master s programs in music require a final oral exam, which is heard by a committee of three faculty and usually chaired by the student s Major Professor (the chair must be a member of the graduate faculty). Students request an exam committee through the Graduate Office. Once the committee is appointed, the student should consult the faculty members to schedule a time for the exam (plan for one hour); reserve a room for the exam through LaFarrah Smith; and inform the Graduate Office of the time, date, and place of the exam. Paperwork to report the results of the exam will be provided to the chair of the exam committee by the Graduate Office. 4 The DMA curriculum is very flexible and includes requirements in five categories: the major area; the minor area; music history, theory, and literature; music in higher education; and research. The easiest way to help a student plan to fulfill these areas is with the DMA Program of Study Worksheet, which is available in the log-in side of the HHSOM website in the Student Information section (under Student Tools). This worksheet includes columns for each of the five categories. Courses from the student s Master s program (up to 32 credit hours) are placed above the line, while classes that the student will take as a doctoral student at UGA are placed below the line. Each column must add up to the minimum number of credit hours required for each category. In general, coursework to satisfy the minor area, music in higher education, and research categories must all be below the line. Academic courses Entering graduate students take diagnostic exams in both music theory (one exam for all graduate students and another just for doctoral students) and music history. DMA students should plan to take MUSI 8110 (offered every fall) and MUSI 8120 (offered every spring) as part of their music theory coursework, as these courses are specifically designed to prepare students for their Preliminary Exams. These courses can be taken in any order. Depending on the results of the music theory diagnostic exams, students may be required to take remedial coursework at the 4000 or 6000 level before they can attempt 8000-level classes. Filing a program of study During their first year of residency, doctoral students should form an Advisory Committee and file a Preliminary Program of Study. The Advisory Committee is requested through the Graduate Office and consists in a minimum of three graduate faculty. These three faculty must include the Major Professor, a representative for the student s minor field, and one faculty member from either musicology/ethnomusicology or composition/theory. If Co-Major Professors are desired, they count together as one member of the Committee. Committees that exceed the minimum size of three (again counting Co-Major Professors as only one member) must have a majority of graduate faculty. The Preliminary Program of Study is available on the Graduate School s forms website. Courses from the student s Master s program go in the upper section, while courses to be taken in the

5 doctoral program are listed in the lower section. Courses should be entered on the form in the order they will be taken. Course numbers that are repeated in multiple semesters (such as lessons and recitals) should be listed separately for each time they will be taken. Do not list GRSC 7770, MUSI 7005 or 9005, courses with undergraduate numbers (anything less than 6000), or courses for which a grade of less than C has been earned. Complete forms must be signed by the members of the Advisory Committee and filed with the Graduate Office. As the student approaches candidacy, a Final Program of Study filled out in the same manner must be completed and filed. Students must take and pass all courses listed on their Program of Study in order to graduate. Each course must have a grade of C or better, and the overall GPA must be 3.0 or better. Advancing to candidacy DMA students must take and pass two Preliminary Exams, one in music history and one in music theory. These exams are offered every fall and spring semester. An informational handout on the Preliminary Exams is available on the log-in side of the HHSOM website in the Student Information section (under Student Tools). After passing their Preliminary Exams, DMA students must take and pass written and oral Comprehensive Exams in their major and minor areas. Before taking the Comprehensive Exams, the student must file a Final Program of Study (see above). The written exams are scheduled with the Advisory Committee and must take place within a two-week window. Members of the Advisory Committee then have two weeks to grade the written exams. Students who pass their written exams can move on to the oral exam. The student should consult the members of the Committee to determine a date and time (plan for two hours); reserve a room for the exam through LaFarrah Smith; and inform the Graduate Office of the date, time, and place of the exam. This must be done at least two weeks before the exam is to take place. The Graduate Office will provide the Major Professor with the paperwork used to report the results of the Comprehensive Exam. (Important note: Before the oral comprehensive exam can be scheduled, a Final Program of Study must be on file with the Graduate School.) Once the Preliminary and Comprehensive Exams have been taken and passed, the student can file an Application for Candidacy. Typically, this is provided by the Graduate Office at the time of the oral Comprehensive Exam and filed together with the report on the Comprehensive Exams. Exit requirements After students are advanced to candidacy, they must prepare a prospectus for their DMA document. When the Major Professor feels it is ready, the prospectus is circulated to the members of the Advisory Committee. A minimum two-week reading period must pass before a defense of the prospectus can take place. The student should consult the members of the Committee to determine a date and time (plan for two hours); reserve a room for the defense

6 through LaFarrah Smith; and inform the Graduate Office of the date, time, and place of the defense. An approved copy of the prospectus (with the signatures of the members of the Advisory Committee on the cover) must be filed with the Graduate Office. When the Major Professor feels it is ready, the completed document is circulated to the members of the Advisory Committee. The Graduate Office must be informed when this takes place. The document must be distributed to Committee members before the HHSOM deadline that appears in the administrative calendar. A minimum five-week period must pass before a defense of the document can take place. This includes a three-week reading period, after which the committee must indicate whether the defense can take place as proposed. The student should consult the members of the Committee to determine a date and time (plan for two hours); reserve a room for the defense through LaFarrah Smith; and inform the Graduate Office of the date, time, and place of the defense. The defense must be announced to the Graduate School at least two weeks in advance. Paperwork to report on the outcome of the defense will be provided to the Major Professor by the Graduate Office. Students are responsible for knowing and meeting all Graduate School deadlines (these are found on the Graduate School website) relating to their intended semester of graduation. They should also inform the Graduate Office of their intention to graduate.
