1 Visual Identity Team Section name Job Description SF06416 Post Title: CAD and Project Documentation Officer Grade: 6 Faculty/Department: Reports to: Responsible for: Project Department Building Services Engineer No direct reportees Purpose The role of CAD and Project Documentation Officer is to maintain and keep up to date all our drawings and related documents in support of the University s operations. A key function is to assist in the delivery of all our construction projects ranging from refurbishment to new build as well as infrastructure upgrades and demolition by ensuring the accuracy and compliance of all project drawings. In addition, working closely with framework partners and Estates personnel, the post holder shall manage information exchange to and from the Estates and Facilities (Projects) document management systems and web site. The position requires that applicants have a detailed understanding and specific skills and knowledge in the use of Autocad software. Main duties and responsibilities Work closely with all members of Estates and Facilities to maintain the University s master drawings for its buildings and site infrastructure and continually review the drawings to ensure early identification of variances and to update the master drawings where appropriate; Prepare project specific drawings and extracts from baseline master drawings and surveys as necessary to assist the Project Manager at various stages of the project cycle. Ensure the accuracy and maintenance of all general arrangement drawings and the University s infrastructure drawings by updating with new information coming out of projects and surveys; Define, maintain and monitor electronic filing, documentation management, and AutoCAD protocols specific to project procedures and the department s business objectives in accordance with the E&F Capital Projects Manual & integrated management system. This will include the management and implementation of industry standard CAD conventions such as layering protocols; University of Reading 2015 Page 1

2 Develop and maintain the department s document management drawing database site within the Estates and Facilities web portal in-line with its business objectives and liaise with the appropriate partners and internal departments to ensure compliance with branding; Ensure that all drawings issued at project handover comply with the University s drawing formats and media types and ensuring that Contractors and Consultants comply and offer advice as required; Discuss with Project Managers, Consultants and Contractors what is required by the University to ensure projects follow our agreed procedures and protocols so that the University maintains its records in a consistent format to enable it to operate and maintain its assets in a safe and efficient manner; Liaise with Project Managers, Consultants and Contractors to ensure that they receive the correct baseline drawing information from which to base their designs which will have a direct cost and Health and Safety impact; Proactively engage with project managers to ensure master drawings are updated following completion of a project; Attend handover meetings to check as-built drawings are being prepared in a timely manner in accordance with our handover procedures and that they are correctly formatted, correcting where necessary, to ensure they are suitable for incorporating in the project s handover documentation; Maintain the drawing register and ensure it is correctly updated and maintained; Liaise with projects to ensure survey data collected as part of a project is fed back into our master drawings; Represent the department on all documentation and web matters and make decisions on its behalf at meetings and general interfaces with IT and other University partners; To work with colleagues and peers to share experiences and develop improvement opportunities within the Project department; To identify and communicate lessons learned within the Project Department; To undertake any other duties requested by the Head of Projects; For liaising with the Building Services Engineer with respect to the use and access to all electronic data and drawings; To deal with project related queries from students, academic staff and other members of the University; Manage, maintain and update information and data within the University s growing BIM database. To assist Head of Projects and Estates Managers as directed to develop programmes, reports and budgets associated with maintaining or updating the University s CAD and BIM systems. Key Safety Responsibilities & Accountabilities For ensuring as-built records are received from PM s upon completion of projects and are loaded into the appropriate University database; To ensure the accuracy and maintenance of all base line drawings of our facilities and the University s infrastructure drawings; University of Reading 2015 Page 2

3 Supervision received The role reports to the Building Services Engineer but is expected to operate within a matrix of personnel. Supervision given There are no direct reportees. Must be proficient in the use of Autocad software. Good IT skills (competence in using word processing, spreadsheets and database software). Accurate with high level of attention to detail. Attainment Knowledge Proactive and selfmotivated and able and willing to take responsibility and to take the lead. Able to handle a portfolio of work. Good organisation and time management skills. Ability to engage with project teams, contractors and consultants clearly, persuasively and with confidence. Minimum HNC or equivalent. Excellent standard of written and spoken English. AutoCAD 2000 upward. Drawing formats and related computer packages. Document management systems. Certificate in Computer Aided Design level 3 Awareness of BIM University of Reading 2015 Page 4
