2 Sargent School District Crisis Management Plan Goal The goal of the Crisis Response Team is to manage crisis in a way that effectively addresses safety issues and the social and emotional well-being of students and staff. Definition Any disruptive event that threatens safety and security shall be considered a crisis. Crisis situations that could impact the district may or may not occur on school property and include but are not limited to suicide, death, acts of violence, trauma, natural disaster and accident. Crisis Management Coordinator The superintendent shall be designated as the Crisis Management Coordinator. In the absence of the superintendent, the building principal closest to the crisis will assume the role. The Crisis Management Coordinator shall be given a broad range of discretion allowing for his/her professional judgment in handling the crisis. Crisis Team The Crisis Team includes principals, counselors, district secretary, building secretaries, and district department heads. (See Crisis Response Team list.) Staff Training The Crisis Management Coordinator shall work with building principals to provide annual crisis management training for all staff in accordance with policy GBGAA. On hearing about the crisis, the Crisis Management Coordinator will: 1. Make necessary arrangements to ensure the safety of students and staff members. 2. Arrange a meeting with the people needed to address the crisis issues. The attached phone number lists apply. Any early morning meetings will be conducted at 6:30 a.m. for the crisis team and 7:15 a.m. for general staff. 3. Decide which of the following resources are needed and when they will be needed. Invite the following crisis team to the meeting if applicable. Emergencies dial Sheriff Ambulance/Fire Department ; Monte Vista Del Norte, Del Norte Fire Dept Hazmat Community Mental Health Rio Grande Social Services Red Cross Pastor, Sargent Comm. Church Conduct the meeting(s) as per the applicable portions of the attached checklist. 2

3 Crisis Intervention Checklist Review Crisis Communication Brief the crisis response team on the situation. Assign an administrator as the contact person. Compile a list of high-risk students and faculty members The contact person will follow the steps provided in Policy KDEA-R Crisis Management Communications. If appropriate, an informational letter will be sent to parents providing a brief summary of the situation, what action the district has taken, who the contact person is, signs to watch for in students and what crisis intervention services are available. Deal with the Crisis (Assignments) Assign the most appropriate adult to assist high-risk students. If possible, meet with these students before any general announcement is made. Assign member(s) of the crisis team to help faculty deal with their own feelings as well as planning for how to deal with the student body. Assign members of a community team to several areas of the school for small group meetings for the grieving process. Excuse students from their classes and send a list to the office each hour so all students can be accounted for at all times. Assign crisis team members to watch hallways, bathrooms, parking lots and other buildings. Be aware of students that may be grieving on their own. Assign sensitive, knowledgeable adults to deal with previous appointments, students, walk-ins and others who might need assistance. Assign an administrator to contact the student s family to offer assistance and solicit permission from parents to make general announcements to the student body. Develop a statement with the family. 3

4 Evaluation and Follow-Up Meet with crisis response team to evaluate at the end of each day. Establish a time and place several days after for the faculty to process the event. Establish a group or regular meeting place for high-risk students for several weeks after the crisis. Establish a time for debriefing and evaluation of the crisis and how it was handled. Revise the plan to improve the system once the process has been completed. Establish on-going counseling and follow-up by school officials. Establish on-going counseling and follow-up by outside agencies. 4

The family requests privacy at this time so please allow some time before offering condolences or assistance. Counselors and clergy will be available throughout the day to assist students and teachers in the grieving process. The (library, cafeteria, etc.) will be used as the gathering place for that help. Students or teachers who know of someone who may need some special attention are requested to give that information to the (office, counselor, etc.). Our heartfelt sympathy goes out to (name of student) s family, friends and teachers. Information concerning funeral arrangements will be relayed as soon as it becomes known. 6
