3 Adobe Acrobat Pro X & Online PDF Forms Insert & Convert a Word, PPT, or Image file to PDF Steps Initial Setup: What You See Select: Adobe Acrobat X Pro Click: Create PDF Browse: For file you wish to generate into a PDF file Note: In this example we are converting a PowerPoint file into PDF by following these steps Click: Open after selecting your document you wish to open as a PDF

4 The document has been converted over to PDF format. Note: In this example the PowerPoint used had 7 slides, thus there will be 7 slides converted over as individual pages in one PDF document.

5 Steps Inserting More Items: What You See Select: Tools at tope right of Acrobat Click: Insert from File Note: If you don t see the Insert from File option then you have not clicked the Pages icon to expand out the menu options. Browse: For file you wish to generate into a PDF file Note: In this example we are not able to see file types because it is currently limited to just Adobe PDF File types. Adjust this field to say All Files (*.*) Click: The Field of type dropdown menu and select All Files (*.*)

6 Files are now viewable for all supported types. Select: The image file to insert, or Ctr. + Click to select multiple image files to insert into your PDF Click: Select after selecting (highlighting) your document/s you wish to open as a PDF A prompt appears! Location: Determines whether the item or items being inserted will appear before or after the page selected. First This will make the current first page of the document as your start point Last This will make the last page of your document the start point Pages This allows you to adjust manually where the insert page function will start from Click: Ok when you have made your selections

7 In this example I have successfully turned an image into a PDF document by using the insert from file function.

8 Adobe Acrobat Pro X & Online PDF Forms Combine PDF Files Steps Click: Combine Files into PDF Initial Setup: What You See Drag & Drop: Files from your computer into the white space Note: In this example we have 6 different file types being converted into a compiled PDF document. Click: Combine Files when done Note: The order at this point is not vital; however, if you really need to, you can adjust the order of the files in your compilation during this step or at any point after. To do so during this step you will need to click on the Move Up or Move Down option for the highlighted object to adjust in its order. Adobe Pro X & Online Forms

9 Adobe Acrobat Pro X & Online PDF Forms Navigate & View Quick Tour: 1 Document Work Space This is where your inserted documents will be viewable. Adobe Pro X & Online Forms

10 2 Navigation Pane Use the tools here to navigate through your compiled PDF documents. 3 Task Pane Each option will expand out to specialized tools that you can use to improve your PDF, comments for corrections or further information, or sharing options. 4 Menu Bar & Tool Bar Section This is where the general selections for File, Edit, View, etc. are at plus a very handy set of quick tools items Adobe Pro X & Online Forms

11 Document Navigation: Click: On any of the icons in the Navigation Pane to expand out your options Navigation Pane collapsed Navigation Pane expanded Note: You may collapse the Navigation Pane by clicking on the collapse button Page Thumbnails: This provides you a slide thumbnail presentation of all artifacts in your compiled PDF Bookmarks: This expands out to bookmarks that are setup. Bookmarks are a great tool to keep organized and will be explored further at a later time. Attachments: Attach files you would like to store with your PDF using this tool. Using this tool will make your PDF document VERY LARGE! Signatures: Use this tool to view signatures on this document. Adobe Pro X & Online Forms

12 Task Pane: Click: On any of the icons in the Task Pane to expand out your options Task Pane collapsed Task Pane expanded Note: You may collapse the Task Pane by clicking on Tools, Comment or Share You will know which Task you are in by the text color is gray and the radial glow behind the text. In this example Tools is selected. Adobe Pro X & Online Forms

13 While inside of the Tools and Comment options list you will be able to modify what is available to you by clicking on the small drop down icon at the top right. If a selection has a check mark next to it then it will be viewable in the list. Currently, Print Production, JavaScript, Accessibility and Analyze are not options in the Tools list. 14 Adobe Acrobat Pro X & Online PDF Forms Page Manipulation Steps Rotate Page: What You See Click: Rotate, while in the Pages drop down menu A Rotate Pages prompt will appear. Click: Drop down menu items to control how you want to rotate your pages. Direction: Determines which direction something will rotate - Clockwise 90 degrees - Counterclockwise 90 degrees Flip page about axis degrees

15 Select the page range you would like to adjust. This allows you the control of what pages you wish to rotate. Rotate: - Choose between rotating only Even Pages, Odd Pages, or both types - Choose to rotate pages by orientation o Landscape or Portrait pages only Steps Crop Pages: What You See Click: Crop, while in the Pages drop down menu Drag & Click: The region you wish to crop to Note: The crop region will be highlighted in blue Tap: Enter on the keyboard

16 A prompt appears! Click: Ok

17 Steps Header & Footer: What You See Click: Header & Footer to expand options Select: Add Header & Footer Note: The Header & Footer placed in this document will replace the information in these fields for documents from Word A prompt appears! Depending on where you type in text will determine where in the header or footer your text will appear. Type text here

18 To add a Page Number: Click: in the text region you wish to have that page number appear: - Example: Click in Center Header Text. Click: The Insert Page Number button Note: <<1>> Denotes the page number To add a Date: Click: On text box that you wish to have the Date shown Click: The Insert Date button Note: <<m/d>> Denotes the month and day that is on your system clock To change Date & Page Number structure: Click: Page Number and Date Format Select from the dropdown menu which format you prefer to use. Note: Adjusting this only changes the format for future manipulations, not for what has already been done. Thus, repeat the steps above to add the desired look for date and page number. Select Page Range: Click: Page Range Options Decide where this Header and Footer setting should be placed. Click: Ok after making selection

19 When finished: Click: Ok to change all the pages in your PDF document. Click: Apply to Multiple to apply this effect to this document and other documents at the same time Click: Cancel to not apply your modifications Note: Before making a decision you will be able to determine if the desired heading and footing appear in the preview section

20 Steps Watermark Pages: What You See Click: Watermark, while in the Pages drop down menu Select: Add Watermark A prompt appears! In this mode you are able to either add a file or type in what you wish to have display as a watermark.

21 Type: In the text region to have your text appear on top of the page or pages you wish to have affected Click: Page Range Options to choose what pages to add this watermark to Adjust Orientation and location of text: Select: Rotation radial option Change Vertical Distance or Horizontal Distance to reposition from the center

22 Adobe Acrobat Pro X & Online PDF Forms Add Signatures Steps Digital Signatures: What You See Digital Signature types used in Adobe Acrobat X 1. Draw a. Does not grant fidelity of document b. Easiest to do c. Will not always create the desired look when drawing with mouse 2. Digital Certification a. Grants security and locking capabilities of documentation after signing b. The look is adjustable c. Able to incorporate scanned in signature Drawn Signature Using Mouse Digital Certification: Note: The versions of digital signatures presented in this reference guide are already incorporated within Acrobat X. There is a service called Adobe Echo, which would be something that your organization or department would need to buy to use. Learn more here: electronic-signatures-e-signatures.html

23 Signatures tools are located within the Tools panel. Tools we will go over: 1.) Sign Document 2.) Place Signature 3.) Apply Ink Signature 4.) More Sign & Certify (options) Time Stamp: requires your computer system administrator to have a server up for this particular tool to function completely. Thus, we will not cover this tool. Steps Click: Apply Ink Signature Draw Signatures: What You See Mouse: To area you wish to draw on in your document (Note: Your cursor, when in the document, will appear now as a cross hair icon, signifying that you can draw) Click & Drag: The region you will draw in

24 Click: On your signature to have a re-size box appear Drag: Any of the corners to resize, or drag the box to any location you wish for it to be positioned Steps Electronic Certified Signatures: What You See Click: Place Signature Mouse: To area you wish to draw at (Note: Your cursor, when in the document, will appear now as a cross hair icon, signifying that you can draw a rectangular shape) Click & Drag: The region you will draw your shape to After doing so you will see a signature box appear where you drew in the shape.

25 A prompt will appear: Let s pretend that you have never created a digital signature on your computer before. Click: The radial button A new digital ID I want to create now Click: Next Note: This signature will not follow you wherever you go. Thus, you will need to either keep it stored on a jump drive or cloud program like Dropbox, Sharepoint, or Google Drive Select: New PKCS#12 digital ID file if you want to strictly use signatures in Acrobat, or Windows Certified Store if you wish to have access to this certificate in other applications. Note: The Windows Certificate Store option will not be seen on an operating system outside of Windows. In this demonstration we will use the first option. Click: Next Type: In the fields you would like to have on your signature Click: Next

26 Browse: Your computer for a location to save your information. Note: Saving on your jump drive or other external storage will help guarantee your signature is available for use on other computers. Type: In your password and confirm it Note: This is what you will need to use for future use and modification of this signature. Do not use something you will easily forget or loose. You cannot recover this password. Click: Finish Note done yet! You will now have access to how your digital signature list and how your selected signature looks. Sign As: This drop down menu allows you to setup and/or use the different signature options available to you. Appearance: This drop down menu is used to control how your signature is setup to look. To change the look of the digital signature Select: New Apperance. From the dropdown menu

27 Title: This is the name of your new signature appearance Preview: Provides you with what your selections made below will produce Configure Graphic: Use this section to either use no graphic, an image, or the name already assigned to the signature you created Configure Text: Select which options you want displayed in the preview window Text Properties: Choose what side your text should display Leave the digits as is ( ) Insert a graphic: Click Imported Graphic radial button Click: File A prompt will appear! Browse: For your image file Note: Your file type will automatically be set to PDF. Click the drop down menu to the file type you are looking for.

28 A preview of what you have chosen will appear in the sample section. Click: Ok After making all desired adjustments: Click: Ok Sign the document: Type: Your signature password Select: Lock only if you wish to keep others from changing field information on the form you are working on. Click: Sign

29 Locate place to save document: After you sign the document it will immediately prompt you to store this document somewhere on your desktop. Choose a place to save your work. Click: Save Congratulations!! You have created a signature that you have used and will be able to reutilize with the computer you are working on. Things to notice: A ribbon appears at the top with a Signature Panel button on the top right Click: Signature Panel The signature panel will open for those reviewing the document to see whether or not the document has valid signatures or not. Note: Signing does not prevent someone from clearing out the form data.
