1 UNVRSTY OF LNCOLN JOB DSCRPTON JOB TTL DPARTMNT LOCATON Marketing and vents Officer Lincolnshire Leadership & Management Centre (LLMC) Brayford Campus JOB NUMBR BM3139 GRAD 5 DAT March 2016 RPORTS TO Manager, LLMC CONTXT This post will assume responsibility for the development and organisation of the marketing, promotion and sales campaigns and event management for the Lincolnshire Leadership & Management Centre (LLMC) in the David Chiddick Building at the University of Lincoln. The LLMC is a major strategic investment, funded by ast Midlands Development Agency acting through Lincolnshire County Council. t was launched in early 2011 with the aim of becoming a provider of leadership and management short courses and events for businesses, organisations and individuals in Lincolnshire and beyond. The post holder will be expected to contribute to the growth of the centre s portfolio of activities by engaging with wider business, professional organisations and public sector networks whilst also providing administrative support for the delivery of courses and events JOB PURPOS The main purpose is to provide a full support to the marketing, promotion and event management processes for the LLMC and its clients. This will involve: contributing to marketing, promotional and client networking communications; initiating and following up client contacts; agreeing and confirming client requirements; liaison with programme providers and participants; co-ordinating and overseeing events; maintaining project records and databases; support for programme delivery; monitoring and processing purchase orders and invoices; representing the LLMC at promotional events. You will be expected to be able to work outside of normal office hours in order to exploit marketing and promotion opportunities and manage LLMC events. The post holder will line manage the LLMC Centre Administrator and will be based in the LLMC alongside the Manager of the LLMC and the LLMC Administrator Page 1 of 6

2 KY RSPONSBLTS Promoting and marketing LLMC services: Contributing to the development and implementation of a promotional plan for the LLMC, in liaison with the School Marketing Manager and the LLMC Manager, to meet planned commercial and occupancy targets Arranging and regularly updating internal and external communications media, including print material, web content and social media (e.g. Linkedn, Facebook, Twitter) nitiating and following up with client contacts and enquiries externally and within the University Promoting and coordinating a programme of events to promote the LLMC, College expertise and to build relationships with local businesses. Representing the LLMC and Lincoln Business School at exhibitions and events (many of which will be outside of normal working hours) Developing systems and processes to meet client and supplier requirements Supervising and developing the LLMC room booking processes and service provision Providing financial and service quotations to potential clients nsuring customer satisfaction and quality on the day and by follow-up Overseeing the preparation of event and short course logistics (e.g. preparing course material, updating course websites, ordering catering, setting up rooms, providing reception cover, tutor support and additional client services) nsuring and monitoring consistent standards of venue presentation, safety, comfort, cleaning and maintenance Liaising with and adhering to awarding body requirements e.g. CM Attending national and regional awarding body meetings as required Supporting the LLMC Manager in adhering to the quality assurance procedures for short courses. Liaison with centre users Front-of-house customer service for programme providers and participants Delivery support for programme providers Co-ordination of meetings, workshops and conference events Close liaison with programme teams in the Lincoln Business School and beyond Participant and event registration Administration: Maintaining an effective Customer Relationship Management system Creating and maintaining electronic and manual programme records and databases Working with the Administrator to ensure that LLMC records and general filing are maintained to meet audit requirements (internal and external) n liaison with the LLMC Manager o Monitor and report on the quality of the service provided by the LLMC o Prepare reports on operational and promotional activities and issues o nsure activity records are maintained for audit and reporting purposes n liaison and with support from the College Financial Administrator: o Monitor financial income & expenditure o nsure records are maintained for audit purposes Page 2 of 6

3 Other Duties Maintain confidentiality in respect of all areas of the job responsibilities and be aware of current University policy on the Data Protection Act 1998 and awarding body regulations. Comply with the University s health and safety policy and its equality and diversity policy in the undertaking of the job responsibilities, and observe other University requirements relevant to the duties of the post. Undertake any staff development deemed necessary for the effective performance of duties assigned to the post. Undertake any other duties as directed by the relevant line manager, commensurate with the level of the post. n addition to the above, undertake such duties as may reasonably be requested and that are commensurate with the nature and grade of the post. 4 ADDTONAL NFORMATON Scope and dimensions of the role An experienced events or course administrator with marketing experience, the post holder will be expected to organise their own day-to-day work The post holder will determine priorities in order to achieve the required outputs and will line manage one member of staff. The post holder will be required to travel around Lincolnshire and other areas to fulfil their duties.
