2 Welcome to v2.10 of RM Unify RM Unify v2.10 is packed full of additional features and usability improvements which will benefit schools across the UK. This Release Note outlines all the new features to help you understand how they can be adopted and how they will improve the way in which you use RM Unify. In this month, we ve focused on improving the Account Management tools within the RM Unify Management Console. We ve introduced a set of self-service Account Management tools under the new My Profile area, and we ve made it much easier to perform basic account management tasks without the need to manage multiple CSV data uploads. Schools using RM Unify AD Sync will make less use of these features, though they may still be useful when managing users which do not appear in the Active Directory (AD). Finally, if you are a Local Authority or an Academy Trust responsible for supporting multiple RM Unify Establishments, then you are now able to access those Establishments via one login. This Release Note breaks down the new features included in RM Unify v2.10 into Headlines, detailed below. Release Headlines 1. Additional Account Management tools available in the RM Unify Management Console Page 1 to 6 Positively impacts all non-ad Sync schools who would like to manage their RM Unify users more easily. Additional capability includes: The ability to create users using a web form, the ability to delete users, and the ability to change users passwords and usernames from within the RM Unify Management Console. 2. Local Authorities and Academy Trusts can manage multiple RM Unify Establishments with one login Page7 to 8 Allows RM Unify Administrators within a Local Authority or Academy Trust Establishment to manage RM Unify users, install apps and Edit Launch Pads for the establishments that they support, without the need to login to each establishment independently. 3. Introduction of self-service Account Management My Profile Positively impacts all users who would like to be able to reset their own password (where the user is not AD Synced) Page 9 to 14 RM Education 2014 Page 2 of 14
3 1. Additional Account Management tools available in the RM Unify Management Console The RM Unify Management Console is a facility available to RM Unify Administrator users. It houses a range of useful tools to facilitate management of users within an RM Unify Establishment. This month, we ve added four new tools to make you aware of, each coming from feedback from schools on ways to improve the usability of the RM Unify Management Console. They are: a. The ability to create new users via a simple web form (removing the need to upload CSV data for individual users) b. The ability to delete a user c. A tool to change the username of a user d. The ability for non-admin school staff to change a student s password easily a. Creating New Users This feature is useful for schools who would like to create non-ad synced records in RM Unify without the need to use CSV upload as a means to do so. If you are a school using AD-Sync who wishes to create an RM Unify account for a guest user (who isn t on the AD), then this feature is useful for you. If you are a school in Scotland who wishes to create an account for an individual who does not appear in your school s MIS, then this feature is useful for you too. To enable this feature we have added a Create user form to the existing Users page in the RM Unify Management Console. 4 The Create User page will display a number of empty fields for you to complete. Information marked with a * is mandatory. Note: RM Unify will not allow you to create a user with the same username of an existing user. If you have a user in your AD which is not yet synced, and a new user is created with the same username, then the AD user will not be synced. Fig 1.2: The Create User page contains a set of minimum information required in order to create a new (non-ad) user in RM Unify. Fill in the empty field and click Ok to create the user. b. Deleting Users If you are an establishment which is not using AD Sync for RM Unify user provisioning, then you may now delete a user without the need to download a CSV of your users then re-upload new CSV data once you ve made changes. The release of RM Unify 2.8 included a new Disable user feature, which restricted access for a particular user. The Delete user tool instead completely removes the user and their details from RM Unify. To delete a user, find them in the Users Grid within the Management Console; click the Actions button on the right hand side, then select Delete User (see below). RM Education 2014 Page 4 of 14

Change a User s Username If you are an establishment which is not using AD Sync for RM Unify user provisioning, then you may now change a user s username without the need to use manual CSV downloads and uploads. To change a user s username, find them in the Users Grid within the Management Console, click the blue Actions button on the right hand side, then select Change username. The following page will then be displayed. Fig. 1.4: Enter the new username into the Username field. Note: RM Unify will not allow you to create a user with the same username of an existing username. If you have a user in your AD which is not yet synced, and a new user is created with the same username, then the AD user will not be synced. Enter a new username for the user and click Save. Non-admin staff to Change Student Passwords If you are an establishment which is not using AD Sync for RM Unify user provisioning, then it is now possible for non-rm Unify Administrator staff in your school to change a student s password. This is particularly useful if you are a teacher who needs to change a student s password during a lesson, and you do not have the support of an RM Unify Administrator to-hand. To implement this feature, we have enabled restricted access to the RM Unify Management Console for all User Groups except students. Staff members wishing to change a student s password, should click on the Management Console link at the top of their RM Unify Launch Pad. Access to the Management Console is limited to a restricted-view of the Users page. They may only search for a user and change their password. Other tools and views are not enabled. 7 2. Local Authorities and Trusts can manage multiple RM Unify Establishments with one login To-date, if you were a support engineer working for a Local Authority or Trust, and you had responsibility for managing user accounts on behalf of a school or number of schools, then you would needed to have had a separate login for each of those schools. We understand that this is not practical given the amount of logins that are required in order to work in this way. In v2.10 of RM Unify we are pleased to be able provide the ability for Local Authorities and Trusts to manage multiple RM Unify establishments underneath them, with just one login. This means you can login to your Local Authority or Trust s RM Unify account we call this the Parent Establishment, and select the school you wish to access We call this the Child Establishment, without the need to login each time. In order to make use of this feature, the RM Unify Establishment that you belong to must be recognised as a Parent Establishment. Local Authorities in Scotland will be automatically assigned Parent Establishment status through the Glow platform. If you are a Local Authority or a Trust in England and Wales, and you would like to make use of this feature for your academies, then please rmunify@rm.com with the name of your RM Unify Establishment, and a list of the academies you would like to support. A new Dashboard option has been added: Manage Child Establishments, for Establishments who are recognised as Parent Establishments. Fig 1.6: The Manage Child Establishments page will only be visible if your Establishment has been recognised as a Parent Establishment. RM Education 2014 Page 7 of 14
8 This new page displays the Child Establishments which you as an admin user in the Parent Establishment are able to manage. Child establishments are displayed in alphabetical order. You may search for an Establishment using their School Code or Establishment Name. To access a school, click Manage. Fig 1.7: Your Child Establishments will be displayed in Alphabetical order. You can search through them by School Code or Establishment Name. Once you click Manage on a Child Establishment, you will enter that Establishment s RM Unify account as an Administrator User. To Return back to your Parent Establishment, click on the Back to my establishment button which will appear at the left hand side of the RM Unify footer (see image below). You are able to navigate in and out of your Child Establishments seamlessly, without the need to login to each one. RM Education 2014 Page 8 of 14
9 3. Introduction of self-service Account Management My Profile It is now possible for users to manage certain elements of their own user accounts independently. Specifically, users are now able to view their RM Unify My Profile, and can reset their password without the support of an administrator user or teacher. Note: AD Synced users are not able to reset their password in RM Unify What is My Profile? My Profile is a new feature in RM Unify which allows each user to view a set of information specific to their account. For now, this area includes details of their username, role (e.g. student, teaching staff etc.) and RM Unify address. Furthermore, through the My Profile area, users are able to set a Home Address which will be used for RM Unify to send password reset details to when the user decides to reset their password. My Profile can be found by clicking on the Display Name button at the top right hand side of any RM Unify page, and selecting My Profile from the dropdown buttons displayed. Fig 1.9 My Profile can be found by clicking on the Display Name at the top right hand side of any RM Unify page, and selecting My Profile from the options. The My Profile page shows a user s home address. This is an address which the user is prompted to enter in order for RM Unify to send password details to when a re-set password request is submitted. This address must not be the same address which is stored within RM Unify, i.e. users should not enter their Office 365 or Google Apps address which they access via logging into RM Unify. The My Profile Page also displays a set of non-editable information. This is to show the user their username, RM Unify address and RM Unify role. RM Education 2014 Page 9 of 14
10 Fig 2.0: The only editable information in a user s My Profile is Home Address Self-service password reset For schools that do not use AD Sync to provision users into RM Unify, a new self-service feature is available for user password resets. This benefits Glow schools across Scotland where users are automatically provisioned from the MIS source. Students and staff who may have forgotten their password may now set a new one independently. The same is true for schools across England and Wales who use CSV upload as the method of user provisioning. Note: If you are a school that uses RM Unify AD Sync to provision and manage users in RM Unify, you should continue to edit user details (including passwords) on your Local Network. How can users reset their password? After the automatic release of RM Unify 2.10, each non-student user will be prompted to enter a Home Address the next time they login to RM Unify. Users can ignore this prompt if they do not wish to enter a Home Address. If they do chose to enter one, it will be stored within their My Profile page, and will be used next time the user requests to reset their own password in RM Unify. A Home Address must be stored in RM Unify in order for a user to reset their RM Unify password. Home Addresses are not used for any other purpose. RM Education 2014 Page 10 of 14
11 Fig 2.1: After the Release of RM Unify 2.10, each time a non-student user logs in to RM Unify, a prompt to enter a Home Address will appear. Users may also reset their password directly from the RM Unify login page (if RM Unify has a Home Address stored for them). Users should follow these five steps in order to change their password from the login page. 1. Click the Forgotten your password link in the Sign in box. You will now be taken straight to a password reset page. 2. Enter your Home Address in the box provided on the page (see below). RM Education 2014 Page 11 of 14

Once you have set your Home Address a confirmation (below) will be displayed to let you know that an has been generated and sent to your Home Address. s could take up to 10 minutes to be received. Go to your Home Address inbox and click on the link within the from RM Unify to validate the request. RM Education 2014 Page 12 of 14

A password meter tool will be displayed indicate the strength of new your password. Fig 2.5 Enter a new password and confirm it before clicking Change Password. RM Education 2014 Page 13 of 14
14 5. You will now receive a confirmation to let you know that your password has changed. Your new password is now ready to use. Fig 2.6: The confirmation will include the IP address of the device that your password was changed from.
