General Administration Action by 1.1 Internal Affairs (PIC ) - ST has prepared the flow chart of family class - would send out a membership renewal reminder to members. would check with AY on the renewal progress. - Chairman has reminded all PICs to prepare the required flow charts by 26 June // 1.2 Finance (PIC DL) - The association has around $361K in the bank account at the end of May. - would need to claim his required coach fee of year 2007, by 24 Jun, The coach fee would be written off if there is no claim. - would consolidate and provide the minimum regular expense per activity and financial reports of major events to DL and Chairman for review. - Chairman has suggested ST and N to take up the sponsorship issue for summer camp and Chinwoo competition. ST and N would report the progress in the next executive committee meeting. ST/N - would set the target groups of sponsors and inform ST and N. - DL would pass the identified list of sponsors to ST and N for action. DL 1.3 Stock (PIC ) notes17jun2007.doc Page 1

2 - would order new summer uniforms by referring to the existing stock and the past selling record. would check with the manufacturer for the cause of the following problems: Summer uniform may not be made by 100% cotton Winter uniform shrinks heavily after laundry - ST would review the stock of promotion banner and the information shown on the banners 1.4 Maintenance of Association Website (PIC ) ST - The following changes have been applied: The font size has been revised Bad hyper links corrected Left frame of the pages has linked to the appropriate section Class photos have been added on the pages of internal styles. 1.5 Changing the Association to limited company - Chairman has passed the draft of memorandum and articles of association to David Hui for review. The association would supply further document if required. The change would be completed by end of July hopefully. 2. Competitions (PIC ) - The Chinwoo Fundamental Routines Competition would be held on 19 August, Due to the maintenance of the hall of Kiansu-Chekiang College, the Chinwoo Fundamental Routines Competition should take place in other venue. - N would try to book Flora Ho/Lindsay Ride Sports Centres for competition. However, N would need to check if outsiders could obtain permission to enter the centres. - would try to book venue in the Hong Kong Polytechnic University or the Hong Kong Institute of Education. - have received all the competition forms and start the processing work. - would remind coaches on the difference of 潭腿 and 串潭腿 - would base on the competition workflow to guide Chan Man Leung and N in competition preparation. (post meeting note : change to 26 August, venue still at Kiansu-Chekiang College) 3. Chigou (PIC SM/) YFF N - Coaches are reminded to stick the name labels on Chigou before distribution. All coaches 4. Seminar (PIC SYF) - and would continue to study the possibility of holding Tai Chi seminar in Hong Kong Eastern district. - would past the details of seminar to ST for posting advertisement on Community Newspaper ( 地區星報 ) / /ST 5. 3 Sai Wan Ho Indoor Activity Room is too small Coaches are generally okay in teaching - The next family class would be held in October 2008 in order not to crash with school holiday/examination that hamper the intention of joining the regular class. 6. Primary School Vacation Course (PIC ) - SM would confirm with our identified primary schools whether they would conduct the vacation course. This would be done by 24 June SM - St. Charles School ( 聖嘉祿學校 ) would start the vacation course on 20 July. Pui Kiu College ( 培僑書院 ) has started the promotion of vacation course to the students. 7. Examination (PIC ) - would arrange the necessary booking of venues for TCMA and TCFR autumn examinations - would co-ordinate and work with member Wan Ka Yi and Leon Wong on TCFR examinations. - would review the TCMA handbook and examination oral questions. 8. Training - Chairman and GI have designed a student assessment record form for coaches to assess/monitor the progress of the students in order to gauge the teaching direction for individual students. Coaches should fill in the assessment record for their students by end of July. All Coaches - An assessment system would be made to attain the following purposes: Students could have a 3-month learning target Coaches performance assessment - The salary of the coaches would be associated with the ability of coaches in helping the students to achieve their targets and number of students under his/her coaching. Salary would be reviewed half yearly. - Under the new scheme, students will be divided by level and coaches would also be on rotation scheme. Coach teaching beginners class would be balanced off with other coaches in salary calculation. - DL suggested to recruit new student quarterly for better class administration and teaching efficiency. - For Shaolin class students, the coaches should meet the parents of students at least once a year. The assessment record of the students should be discussed in the meeting. SM and would be senior coaches helping FFY in monitoring the performance of Shaolin coaches. 9. 4 10. Centre of the Association - The rent of the association would be HK$6000/month - DL has sought three quotations from different parties but only one quotation has been back. DL would follow-up on the two contractors. The tentative estimated cost would be about $150, DL would follow-up on the documents that are required for applying Sir David Trench Fund DL DL - The renovation work would be in two phases. The first phase would cover the basic requirement and the second phase would cover on the all-weathered storage room and office room. - PVC banner with the name of the Association and website address would be shown at the roadside. 11. Summer Camp (PIC SM) - 50 applications have been received - Master Ho Kuen would join the summer camp on Saturday. He will participate in seminar and performance. - SM would work with Fanny and Chan Kuen Fung to prepare the rundown schedule of the activities. SM 12. Summer Promotion Course (PIC AY/SM) - No new updates. 13. Annual Lunch (PIC Law Wing Yee) & AGM (PIC ) - Member Law Wing Yee has booked the venue at Yau Ma Tei YMCA for annual lunch on 9 Sep The reservation has been made for 80 persons. - Lucky draw would be held in the annual lunch. The coaches would contribute a total of $1800 ($300 per coach) - Chairman would pass the annual lunch tickets to coaches for distribution. The fee should be $150 per adult and $120 per child (age <=12). For non-member, $30 on top. - Law Wing Yee would check with YCMA if special discount could be offered for child. - Chairman suggested that AGM should be held separately from company formation. would kick off the AGM process and propose the tentative date. - would send out an to invite full members to join the executive committee. 14. 5 - ST would follow-up with SM on the promotion arrangement of the morning classes on Haking Wong Podium. - and SM would study on the arrangement of holding short courses in the ST /SM new association centre - No regular classes would be held on the following days: July 19 August (post meeting note : change to 26 August) December - Short courses on eight-brocade would be held in Sep 2007 only.
