3 Introduction This guide is intended as an overview for all students as to the computer services offered at Bellville Park Campus. By no means are all topics and problems covered in here, but you will have the general know-how for everyday computer use at Bellville Park Campus. If you feel that there is a something that should be in this document, but isn t, please send us an at studit@belpark.sun.ac.za and we will add it to the FAQ section. If you run into any problems, please feel free to contact either Nico or Vincent (See IT Personnel). They are there to help you with problems with the PCs and software errors such as improperly set up software; not with problems concerning, for example, how to format your Word document so that all your headings look the same. Please note that we provide anonymous network access, i.e. the computer is logged in to the network as CUAxx (where xx is the number of the computer), in the computer labs. When logged in anonymously, you will not be able to print or make use of your server-side storage. 1

4 Network Registration First time students must seek out either Vincent or Nico (See IT Personnel) so that they can create your various accounts for you. Please remember that we can not create any accounts without a student number. If you were already registered last year, you can go here. Enter your student number and your network password when prompted and click on OK to proceed. Read the instructions on the page and then put tick marks in the boxes at the bottom of the page and click on Reregister. For assistance please see Vincent or Nico (See IT Personnel). 2

5 Local User Services While on campus, we provide students with file and print services, an account and access to the Internet. We also have a comprehensive list of software that is available for use. File and Print Services Your Novell NetWare account is the key to accessing printing and file storage services. To log in to your NetWare account, double click the icon named Student Login. The Novell Login dialog box opens up, displaying the name of the anonymous account (i.e. CUAxx) that is currently logged in. Erase the anonymous account name and enter your own Novell username in the Username box. Enter your username as.student_number.year.stud.su where student_number is your student number and year is the year you registered for computer use at the Bellville Park Campus. Then enter your password in the Password box. Click on OK and wait for your details to load. You now have access to your network storage and to printing services. For example, if a student, who registered in 1999 and who s student number is , would want to log in to his Novell account, his Novell Login dialog box would look like the one below after he entered all his details: Logging in grants you access to 25 MB of personal storage space on the server. Should you run out of space and burning existing files onto CD is not an option, extra space can be purchased at R 50,00 per 25 MB per year. Application forms for extra network space is available from Nico or Vincent (See IT Personnel). Always save your files on the server. Server-side files are accessible from any networked computer on campus, you must just log in. Locally saved files are only available on the computer were it was saved (unless you want to lug around some disks). Files on the server are also backed up on a nightly basis. The University of Stellenbosch and Bellville Park Campus can not be held liable for any of files not saved on the server. During login, your server space is mapped to a drive letter (H:). In My Computer or Explorer you will see several drives listed. One will be named student_number on Sun_belpark\User\Students\year (H:), e.g on Sun_belpark\User\Students\ 1999 (H:). The My Documents icon on your desktop is also mapped to this space. You will also see a drive mapping called Students on Sun_belpark\Database (K:). This is a repository for class notes and other information and is always available, even if you re not logged in. 3

6 Printing is currently billed at R 1,00 for 3 pages and must be paid in advance. Printing fees is payable at the cashier or at USBI s front desk. The USBI staff can load your credits for you or you can take your receipt to Nico or Vincent (See IT Personnel). When you register for network access, you will also receive 50 credits. Printing is only possible when you are logged in to your Novell NetWare account. Using the WBalance tray icon (in the bottom, right hand corner of the screen), you can check the remaining print credits on your account. Hover the mouse cursor over the icon and a hint box with your account balance will pop up, or double click the WBalance icon. This will open up the Account Balance dialog box, stating the amount of credits left. After each print job, the system will also notify you of the amount of credits left on your account. The system will not let your printing credits go below zero. If you send a print job of ten pages and you only have five credits left, that job will be discarded. It will NOT print the first five pages and then stop. Always log out after you finished working. If you do not, the next person might print using your print credits, or access your network storage space. Just click on Student Login again. The Novell Login dialog box opens up displaying the anonymous user name (e.g. CUA34) in the Username box. Enter student (all in lowercase) in the Password box and click OK. Your NetWare account is now logged out. Access We use Outlook Web Access for , so you can get your anytime, anywhere. You get a 25 MB mailbox. Not enough?! Extra space can be purchased at R 50,00 per 25 MB per year. Contact Vincent or Nico (See IT Personnel) for application forms. For information on retrieving from a remote location, see Remote User Services. On the desktop of all open access PCs, is a shortcut to Outlook Web Access. Double click the icon and a browser windows as well as an Enter Network Password dialog box opens up. Enter your username (only your student number) in the User name box and your password in the Password box. Your password IS case sensitive. Click on OK and wait for the page to load. Do not check the Save this password in your password list option, as this will give other users access to your account. 4

7 The page behaves like Microsoft Outlook. Click on Folders in the top, left and you get a listing of your folders on the server. When you click on Shortcuts, you get a list of useful icons for frequently accessed sections of Outlook Web Access (e.g. the Inbox). When you click on the Options shortcut, you will get a page where you can set how Outlook Web Access behaves. The Change Password feature at the bottom of the page has been disabled. To change your password, please get in touch with Nico or Vincent (See IT Personnel). To log out of Outlook Web Access, go to the shortcuts and click on Log Off at the bottom (See screenshot above). On the page that loads, click the Close button and in the next dialog box, click Yes. Remember that you have to close all open browser windows in order to completely log out of Outlook Web Access Not just the window in which Outlook Web Access was running. Internet Access The University has a blazingly fast direct connection to the Internet. There is a shortcut on all open access PCs, named Internet Firewall. This is your gateway to the Information Highway. Internet usage is billed at R 1,00 per megabyte during peak hours (7:00 to 22:00, Monday to Friday) and R 0,50 per megabyte during off-peak hours. You will receive an once a week, stating usage. Please visit for further information regarding Internet billing. Contrary to belief, you don t just get charged when you download a file by right clicking a link and selecting Save Target As but for ALL traffic that you cause over the firewall; incoming as well as outgoing. Also remember that you will get charged when accessing an external facility such as Hotmail or Yahoo mail. 5

8 You don t pay for browsing sites on the University s intranet or sites from other universities or organisations to which the University has open access. A quick and easy way to determine whether or not you are paying, is to take a glance at the status bar in the bottom, right corner of your browser window. If it displays the Local intranet icon and text, you are on the intranet and you don t pay. If the Internet Icon is displayed, then you pay. To get on the Internet, double click the Internet Firewall icon, enter your student number in the Username box and your password in the Password textbox, and then Click on I Agree at the bottom. This will automatically minimize the utility to the taskbar. Fire up your favourite Internet browser and you re ready to surf to your heart s content. When you re done surfing, just click the inetkey box at the bottom off your screen. The Internet Firewall utility pops up again and then you just click Close. 6

9 Remote User Services When users are off campus (i.e. modular students) we provide them with ways to access their remotely. Outlook Web Access This option will allow you to access your quickly and easily from any computer in the world that has a connection to the internet. Just open up any browser and go to webmail.belpark.sun.ac.za/exchange. You will be greeted with the same familiar interface as that which you use while on campus. If, for some reason, you would require a secure connection to the server, use the https prefix instead of the normal http. Outlook Express 6.0 If you are regularly accessing your from home, you might prefer setting up Outlook Express as your client. This will grant you the ability to use some of the more advanced features which is not available with Outlook Web Access, like stationary and signatures. To set it up, open Outlook Express. If you open Outlook Express for the first time, the Internet Connection Wizard will open automatically. If not, click on Tools on the menu bar and then on Accounts In the Internet Accounts dialog box, click Add and then click Mail and the Internet Connection Wizard opens. On the Your Name page, enter your name in the Display name box and click Next >. 7

10 On the Internet Address page, type in your address in the E- mail address box and click Next >. On the Server Names page, select IMAP from the dropdown list, so that the sentence reads My incoming server is a IMAP server. In the Incoming mail (POP3, IMAP or HTTP) server box, as well as the Outgoing mail (SMTP) server box, enter webmail.belpark.sun.ac.za and click Next >. If you leave the dropdown list in the above page at POP3, instead of changing it to IMAP, you will then download your onto your local machine, instead of keeping them on the server. You will then not be able to access the downloaded s while you are on campus. On the Internet Mail Logon page, enter your student number ( username) into the Account name box and enter your password into the Password box. Put a checkmark next to Remember password and then click Next >. 8

11 On the Congratulations page, just click Finish and then click close on the Internet Accounts dialog box. When you first click on the new webmail.belpark.sun.ac.za account, an Outlook Express dialog box prompts you to download a list of folders available on the server. Click Yes. If the Logon box appears, just enter your password in the Password box and click on OK. In the Show/Hide IMAP Folders you can now select which folders available on the server, would be visible to you. Select each folder you want to see and then click Show or select each folder you don t want to see and click Hide. When you re done, click on OK. On the menu bar, again click Tools and then Accounts Click on the Mail tab, then select the webmail.belpark.sun.ac.za account and click on Properties. Click on the Servers tab and then at the bottom, click on the box next to My server requires authentication. There should now be a checkmark in the box. Click OK and then click Close. You are now ready to go. 9

12 Changing Passwords In order to keep your accounts secure you must change your passwords from time to time. Your Novell Netware account, account and your internet account are three separate accounts. The Netware and internet account however, are linked and share the same password. Your account on the other hand, has to be manually synchronized with the other accounts if you want to use the same password for all your accounts. Passwords have a length requirement of at least six characters. The system keeps a history of previously used passwords, so whenever you change your password(s), you will have to create a new, unused password. The system WILL lock your account after three failed attempts to log in. To unlock you account, get in touch with Vincent or Nico (See IT Personnel). NetWare & Internet Password From time to time, the Novell system will prompt you to change your password. Please do so immediately. The system awards you a limited amount of grace logins and if you do not change your password within the allotted amount, your account will be locked. When the Novell system prompts you to change your password, click on Yes. In the next dialog box, enter your new password in the first box, retype it in the second box and then click on OK. Because of the link between your NetWare and internet account, your internet password will also change when you change your NetWare password. Password To change your password, please contact Nico or Vincent (See IT Personnel). 10

Please feel free to enquire in USBI. There are no colour printing facilities for students. Please ask the librarians to assist you with the use of this innovative workgroup communication device that converts paper documents into digital information (PDF format) and sends them via . 12

16 FAQ Q: Do s count as part of the chargeable internet use and how are incoming and/or outgoing attachments treated? A: If you make use of the account that we provide you (i.e. and access it via Outlook Web Access) then no. Attachments (incoming or outgoing) to this account is not chargeable. If you access an external provider (Hotmail, Yahoo Mail, Webmail.co.za, etc.) in any way, then yes. Attachments (incoming or outgoing) to this type of e- mail account will be charged against your internet usage account. Q: If one were to use alternative ways of uploading information (e.g. setting up your own FTP site), would that constitute Internet use? A: Yes. Q: If a student has a laptop with a network card and he would like to use it on the network (e.g. in the cyber café) you need to register the network card on your system, but do you have to load software onto the student s laptop? A: Yes. We need to load Inetkey so that the student can open the firewall to browse outside websites and we need to configure his/her browser with the correct settings. Q: Would the student be able to access e.g. McGregor from his laptop when linked to the network? Does he need resident software for that? May it be installed? A: We do not install and/or support any campus software on a students laptop. Students will need to use the campus computers in order to access specialized software like McGregor, SPSS, Statistica and so forth. 14
