The following vacancy is available from June 2016 or as soon as is practicable: ADMINISTRATIVE ASSISTANT (SCALE 3) WORK EXPERIENCE REF: Hours of work: 36 1/4 hours a week, term time plus 10 days Monday to Friday, 8.30 a.m p.m. (with a 45 minute lunch break) (Salary: Point 18, 16,638 (Actual: 15,026 per annum) (Rising to Point 21, 17,768 (Actual: 16,046 per annum) Salary and terms and conditions in accordance with Sixth Form Colleges Support Staff pay and conditions. 2 winstanley college ROLE SPECIFICATION JOB TITLE: RESPONSIBLE TO: Administrative Assistant (Scale 3) Work Experience Ref Support Services Manager Context Winstanley College employs approximately 200 staff and has approximately students, primarily studying A-Level courses. Key Responsibilities/Main Duties The position of Administrative Assistant (scale 3) will work within a busy administration team fulfilling a variety of tasks commensurate with the role. Key Responsibilities Specific Tasks Ownership and development of a particular administrative function or functions. Dealing with enquires both internal and external, conveying self-generated information. Expert use and training others in the use of specific College equipment used in the day to day execution of set tasks. Initially the role will involve working within the Work Experience team. (See task sheet.) The exact nature of the role will vary within the levels of responsibility detailed above. The specific tasks associated with the role will vary annually and be set in conjunction with the Support Services Manager. Skills, Knowledge and Experience Performance The role requires considerable previous experience in an administrative role. In depth knowledge of administrative processes and systems. The role requires a level 2 qualification in English. Completion of specific tasks and efficient delivery of agreed admin functions to required deadlines and to agreed standards.

3 General Terms and Conditions To be responsible, while at work, for ensuring that reasonable care is taken for one s own health and safety and also for the health and safety of others. To be responsible and take ownership for one s continuous personal development, undertaking relevant training as and when appropriate, including appropriate Health and Safety training. Hours of work: hours per week, Monday to Friday, between the hours of 8.30 a.m. to 4.30 p.m. (with a 45 minute lunch break) term time plus 10 days. There is a contributory Occupational Pension Scheme and other Sixth Form Colleges terms and conditions accompany this position. Salary points 18, starting at 16,638 per annum (actual 15,026 per annum) rising to 17,768 per annum (actual: 16,046 per annum). 6 winstanley college Task Specification JOB TITLE: Administrative Assistant (Scale 3) Work Experience Ref: REPORTING TO: Support Services Manager The purpose of the Position To take ownership and develop the College s Work Experience Program, sourcing new work placements and conducting risk assessments to ensure their safety. Main duties 1. To take ownership and develop the College s Work Experience Program, working towards the completion of work experience by all upper sixth students initially and moving towards universal work experience/voluntary work for all students. 2. To source new work experience placements for our students by liaising with external companies/agencies. 3. To travel to potential work experience placement locations (car owner/driver essential) to carry out risk assessments on work placements for students and have or be willing to work towards IOSH qualification in order to do so. 4. To advertise and promote work experience within the student body and the staff. 5. To arrange a cross college work experience/volunteer fair. 6. Dealing with enquiries both internal and external, conveying self-generated information. 7. Ensure the completion of all paperwork in accordance with the work experience policy. 8. Become expert in the operation of the Work Experience Program and train others in its operation. 9. To maintain accurate records and report to the relevant manager on the numbers of students successfully achieving a work experience placement. 10. To respond effectively to all enquires. 11. Maintain accurate records and produce relevant reports on the numbers of students successfully achieving a work experience placement. 12. To provide clerical, typing, word processing services, as required. 13. To undertake general office administration, as appropriate. Other duties 14. Assisting with large scale college operations such as consultation evening, enrolment, open evening and at examination times. 15. Photocopying. 16. Faxing. 17. Filing.
