4 SETTING UP YOUR VOIC BOX From a Cisco phone Press Messages Button Enter the Default Password 12345# Follow the prompts to: Record first and last name (press # to end recording) Record a greeting, (press # to end recording) Enter your New Password (minimum of 4 digits) Set up is complete when voic announces: Your Voice Mail Box is now set-up ACCESSING VOIC From Your Own Extension Press Messages Button Enter password, then # From another Cisco phone Press Messages Button Press when voic answers Enter 7 Digit Extension, then # Enter password, then # From Off-Site Dial Press when Unity Connection answers Enter 7 Digit Extension, then # Enter password, then # TRANSFER CALL DIRECTLY TO VOIC With call in progress, press Transfer, Dial followed by the 7 Digit Extension Press Transfer again to complete transfer CREATE AN ALTERNATE GREETING Once you have accessed voic Press 4 for Setup Options Press 1 for Greetings Press 3 to edit other greetings Press 3 to select Alternate Greeting Press 1 to record, and # to end your recording. (you will have the option to review and rerecord) Press 3 to turn on your alternate greeting or press to return to the previous menu or just hang up if you are finished. TURN ON YOUR ALTERNATE GREETING Once you have accessed voic Press 4 for Setup Options Press 1 for Greetings Press 2 to set Alternate Greeting Press 1 to set end date (follow prompts to set an end date) or select 2 for no end date Your alternate greeting is now turned on. Press to return to the previous menu or just hang up if you are finished. TURN OFF YOUR ALTERNATE GREETING Once you have accessed voic Press 4 for Setup Options Press 1 for Greetings Press 2 to turn off Alternate Greeting Your alternate greeting is now turned off. 6 DISPLAY FEATURES LCD SCREEN - The LCD Screen displays the current date & time, extension number, line appearances & Soft Keys PLACING CALLS - For internal calls - enter the 4 digit extension number For site to site calls - enter 7+ 2 digit site code + 4 digit extension For site to site calls from a Non-Cisco phone - Enter 4 digit extension. For external calls - dial 9 + the number RECEIVING CALLS - Incoming calls will ring on the first available extension To answer a call lift the Handset, press the Speaker Key or press Headset Key 2 nd incoming calls will ring on same extension appearance Use soft keys to answer and administer dual calls. SOFT KEY FEATURES REDIAL [Automatic Dial Tone] Press Redial for last number dialed from extension NEW CALL [Activates Speaker] Press New Call to obtain dial tone END CALL - Press End Call to end a call in progress MORE Press More to display more soft key options ANSWER Press Answer to answer incoming call HOLD Press Hold to place current call on hold RESUME Press Resume to return to call on hold SELECT - Select a menu item or call. CALLING FEATURES TRANSFER - To transfer a call in progress, press the Transfer Soft Key Caller is placed on hold and new dial tone is obtained Enter 7 digit extension If called party is unanswered or declined press Resume to return to caller Press Transfer Soft Key again to complete the transfer CONFERENCE [Maximum of 4 People] With call in progress, press the Conference Soft Key Enter extension number or dial number to conference Wait for party to answer, if unanswered, press Resume to return to caller. Press the Conference Soft Key to connect all parties Repeat steps to add additional parties CONFERENCE LIST Use ConfLi to view and remove parties from a conference call Press ConfLi, use the Scroll Key to select the party you want to remove from the conference call and press Remove ANSWER 2 ND LINE When you have a second call, it will ring and appear on the screen. Press the Answer key and call 1 will be automatically put on hold. To go back to call 1, use your navigation key to highlight line 1 and press the Resume soft key. JOIN- To join your incoming calls together, highlight the call on hold and press the Join soft key hold. Selected calls will be created into a conference. STANDARD KEYS MESSAGES Speed dial to Voic Box. DIRECTORIES KEY Displays Missed, Received & Placed Calls, Personal Directory and Corporate Directory Press Directories Key Use blue scroll key to select desired directory. Press Select Soft Key Follow prompts on LCD Personal Directory: Input User Name and PIN (12345) to log on Follow prompts on back page to configure Personal Address Book and Fast Dials Corporate Directory. SERVICES Displays available Services Extension Mobility: Enter user ID and password to log on Log off when complete. SETTINGS Allows access to set ring tones and change LCD Contrast Press Settings Key Press Select soft key for User Preferences Use blue scroll key to select desired setting Follow prompts on LCD You must Press Save to store the changed settings KEY (Help Key) Press? Key followed by any other key to display text about that key or function. VOLUME - Controls the ring volume when phone is idle - Controls the handset, headset and speakerphone when in use MUTE - Press Mute to mute calls while using the handset, headset or speakerphone Mute Button lights red when activated Press Mute again to deactivate SPEAKER Press Speaker to make or receive calls handsfree HEADSET - Plug your headset into the Headset Jack located at the bottom of the phone. Press Headset to place, answer or disconnect a call. Press Headset again to disconnect. Green LED will light when headset is active. Personal Directory Option Logon with AD name Password/PIN Personal Address Book (Stores names and numbers) To Add: Press Submit Soft key, then New Soft key. Enter data in text field using key pad, then press Phones. Enter telephone numbers using key pad, then press Submit. Press Exit Soft key when complete. Repeat until completed. To Access: Press Directories button, select Personal Directory and Select Personal Address Book. Enter data in text field using key pad (you can just type the first few letters), then press Submit. Scroll through entries, then press Select Soft key. Press Dial to call desired entry. Fast Dials (Stores numbers only; no names). To Add: Choose unassigned location and press Select Soft key then the Assign Soft key. Enter number on key pad then press Update Soft key. Press the Exit Soft key when complete. To Access: Scroll to desired number and press the Select Soft key then press the Dial Soft key. Corporate Directory Look up subscribers by first name, last name or extension number. Enter info on key pad, then press Search Soft key. Use the Scroll Key to choose the party to be called, and then press the Dial Soft key.

7 6941 Phone Layout and Key Descriptions Screen displays time and date, extension, line details and other phone information as well as soft keys for available features or actions 6941 Cisco IP Phone Quick Reference Guide Line Button Status Green, steady - Active call on this line (off-hook) Green, blinking - Call on hold on this line Amber, blinking - Incoming call ringing on this line Red, steady - Shared line, currently in use Red, blinking - Remote line on hold No color - No call activity on this line (on hook) 1 Handset light strip Flashes red with incoming call. Solid red for new vm messages. 2 Phone screen Shows information like phone numbers, softkey options, speed dials and phone menu listings. 3 Programmable feature buttons Programmable feature buttons provide access to: phones lines and speed dials. 4 Softkey buttons Enables displayed options on your phone screen 5 Transfer button Transfers a call. 10 Speakerphone Button 11 Keypad Mute Button Volume Button Toggles speakerphone on or off. When speakerphone is on, the button is lit. Allows you to dial phone numbers, enter letters, and select menu items (by entering the item number). Toggles the microphone on or off. When the microphone is muted, the button is lit. Controls the handset, headset, and speakerphone volume (off-hook) and the ringer volume (on-hook). 6 Conference button Creates a conference call. 14 Messages Button Auto-dials your voic system. 7 Hold button Places an active call on hold. 15 Applications Button Opens/closes the Applications menu. Access to call history, user preferences, settings, and model information. 8 Navigation bar and Select button The Navigation bar allows you to scroll through menus and highlight items. The Select button (in the middle of the Navigation bar) allows you to select a highlighted item. 16 Contacts Button Opens/closes the Directories menu. Use it to access personal and corporate directories. Presented by: 9 Headset button Toggles the headset on or off. When the headset is on, the button is lit. 17 Handset Phone handset.

8 DIALING AND ANSWERING PLACING CALLS - For internal calls - enter the 4 digit extension For site to site calls - enter 7+ 2digit site code + 4 digit extension For site to site calls from a Non-Cisco phone - Enter 4 digit extension. For external calls - dial 9 + the number To answer a call on your primary line: Lift handset If you are using a headset, press Headset button If you are using the speakerphone, press Speaker button. To end a call: Hang up handset Press Headset button or EndCall soft key if you were using a headset Press Speaker button or EndCall soft key if you were using speakerphone HOLD AND RESUME To place a call on hold Press the Hold button To resume a call Press the Resume soft key of the flashing green line button DIVERT To immediately send a call to voic Press Divert soft key calls straight to voic DND (DO NOT DISTURB) When you do want your phone to ring Press DND soft key to enable Your phone will not ring, but the call will still flash on the screen, and is available to pick up. Press DND soft key again to disable FORWARD To forward calls: At idle phone, press Fwd All soft key Dial the destination number To cancel forwarding: Press Fwd OFF soft key TRANSFER To transfer a call to another extension: Press Transfer button At dial tone, dial the 7 digit extension Press Transfer button again To retrieve the call if no one answers: Press Cancel softkey CONFERENCE (AD-HOC) To conference in participants: During a connected call, press Conference button to open a new line and put first party on hold. Place a call to another number When call connects, press Conference again to add new party to existing call with first party. To Toggle between calls before connect Press the Swap soft key To end a conference call Hang up handset Press Cancel soft key To view conference participants Press Details soft key MEET ME CONFERENCE CALL To establish a MeetMe conference Press MeetMe soft key and dial the MeetMe conference number. (See your administrator for a list of valid numbers.) To participate in a MeetMe conference: Dial the MeetMe conference number (provided by the conference initiator). To end a MeetMe conference: Hang up or press Cancel soft key. CALL PARK To park a call in the system: Press Park soft key Note call park number in display To retrieve a parked call Lift handset of any IP phone Enter number of parked call CORPORATE DIRECTORY Look up subscribers by first name, last name or extension number. Press the Contacts Button. Scroll to and select Corporate Directory Fill in search criteria and press Submit softkey Highlight desired contact and press Dial softkey USER PREFERENCES To adjust user preferences Press Applications button Scroll to and select Preferences option To change the ring tone, select Ringtone Scroll through ring type options Press Play softkey to sample ring Press Set softkey to make choice Press Apply softkey To change contrast, select Contrast Use navigation key to adjust contrast Press Save softkey VOLUME To adjust the handset, speaker, or headset volume: During a call, press Volume button Press Save softkey To adjust the ringer volume: At an idle phone, press Volume button CALL HISTORY To view Call History: Press Applications button Scroll to and select Call History option Select All Lines or the line that you want to view Select a call record and press Details softkey Press the softkey to return to Call History List To dial a number in a call log Scroll to a listing in the call log, edit the number if necessary, and press Dial To edit a number in a call log Highlight desired number Press EditDial softkey ICONS >> << Line is on-hook Line is off-hook Incoming call Connected Call Backspace Move thru entered characters Call on hold Missed call Received call Placed Call Back
