2 Head of Information Services Head of Information Services The Head of Information Services is responsible for leading, integrating and developing the use of information in all of the University s activities. In this position, he or she will shape the strategic policy directions relating to information and information technology, aligning them with the University s strategic directions. Directing the integrated delivery of information services to the University and coordinating the effective use and management of information throughout the University. Providing leadership and strategic direction to the Information Services Division in supporting the teaching, learning, research and administrative functions of the University. Developing and executing strategic plans for Information Services. Working with senior university stakeholders to determine the strategic direction of information and information technology in the University. Preparing strategic plans and associated budget proposals Representing the University and Information Services in academic and professional activities within and external to the University. Developing and maintaining enterprise systems architecture, defining standards and protocols for data management, communications, software and integration of network information systems. Developing, implementing and managing effective models for the support and funding of University systems and services. Developing and maintaining a University wide disaster recovery plan to ensure timely and effective restoration of IT services in the event of a disaster. Human resources activities such as mentoring and leading, recruitment and selection, succession and talent management, workforce planning, performance management, coaching, career and general staff motivation and development also account for a significant portion of this position. Ability to lead and manage at a senior level. Extensive experience in academic libraries and the use of information technology and networking initiatives. High-level skills in the strategic development of: Human resources; Planning and policy; Budget and finances. Experience and a strong track record of effectively managing resources. page 2 / 9

3 Tertiary qualification in information management and postgraduate qualification in a relevant discipline. Working in several areas within the IT and information aspects of Information Services in senior management positions. Significant experience in managing one or more Information Services function / team. Leadership/people management training. Problem solving and decision making training (eg. Kepner Tregoe). Project management & business analysis training (eg. Kepner Tregoe, Thomsett International). Director Management Director, Management The position is responsible for managing vendor relationships. Setting up and managing high dollar vendor contracts / strategic alliances (authoring contract documents, including service levels, statements of work, governance, etc.). Designing and implementing a framework to assist Information Services managers in managing vendor performance, contract and compliance issues. Conducting financial and quantitative analysis (build vs. buy analysis and decisions based on extrapolating internal and vendor costs to develop this, measuring quality and timeliness of delivery, Information Services cost savings in outsourcing). Managing relationships (adopting a partnering approach in co-development of functionality and operations). Clearly defining the University / Information Services needs prior to engaging vendors. Managing quality of the vendor output (including capability of staff who provide the outsourced service). Driving ongoing process improvement to deliver increasing efficiency in vendor related processes. Working with senior University stakeholders to determine the strategic direction of the University and derive a suitable set of transition plans to meet their business needs. This may include providing governance over projects. Human resources activities such as mentoring and leading, recruitment and selection, succession and talent management, workforce planning, performance management, coaching, career and general staff motivation and development also account for a significant portion of this position. The position is highly autonomous with no direct supervision. Extensive experience in the management of Business (Client) and Management Teams. Deep technical understanding in business processes. 4 Experience in the management of vendors in the provision of IT and information management services. Sound knowledge of the IT and information management environment. Demonstrated ability to think strategically, creatively and laterally and to turn these ideas into effective solutions. Understanding of relevant factors in the external environment and how they can potentially impact the University. Ability to understand organisational priorities and political sensitivities. Ability to demonstrate business benefits for proposed initiatives. Extensive experience in project management. Tertiary and post-graduate qualifications in Information Technology or the equivalent industry experience. Leadership/people management training. Vendor management experience. Business (client) relationship experience. Gaining broad experience in the IT and information management fields. Manager Management Manager, Management The position is responsible for managing a small Management Team. It involves assisting the Director, Management to operationalise the vendor relationship strategy to ensure the business needs of the University s clients are met. Assisting in setting up and managing small to medium dollar vendor contracts / strategic alliances (assisting in authoring contract documents, including service levels, statements of work, governance, etc.). Assisting in the design and implementation of a framework to assist Information Services managers in managing vendor performance, contract and compliance issues. Assisting in financial and quantitative analysis (build vs. buy analysis and decisions based on extrapolating internal and vendor costs to develop this, measuring quality and timeliness of delivery, page 4 / 9

Providing general administrative support. Preparing vendor contracts, service level agreements, statements of work, governance structure documents. Preparing and assisting in the implementation of a framework to assist Information Services managers in managing vendor performance, contract and compliance issues. Assisting in preparing financial and quantitative analysis documentation. Coordinating Information Services vendor and client events. Designing and preparing monthly vendor reporting documentation. Liaising with and coordinate Information Services teams to deal with vendor related queries or issues from clients (and provide follow up to ensure these have been addressed closing the loop). Organising key stakeholder meetings (including Information Services, vendors and clients). An example of the vendor relationship Software Licensing Assisting in negotiating new and renewed license agreements for a variety of systems, including in-house software asset management databases, software contract register and shopping cart.
