1 This howto describes the setup of backup, bare metal recovery, and restore functionality. Collax Backup Howto Requirements Collax Business Server Collax Platform Server Collax Security Gateway Collax V-Cube Optional Collax Net Backup module for backing up clients DNS must be up and running. Both the Collax server and the clients to be backed up must be able to resolve the FQDN of the Collax server correctly. Objectives Creation of a daily incremental backup and a weekly full backup. A Windows share is to be used as backup target. The backup is to comprise all data of the Collax server. A Windows workstation is to be backed up with the add-on module Collax Net Backup. Setting up the Backup Schedule with the Wizard This dialog is located under "Wizards Backup". Using this wizard, you can set up backup schedules. These schedules are equally valid and important for backing up your Collax server and client hosts. Under normal circumstances, the generated schedules are adequate even for advanced application scenarios. Detailed manual modification of these schedules is possible. Procedure In the first step, you can determine the intervals between full backups. Choose between monthly, weekly, or daily full backups. Additional incremental backups can be configured later on. 2 In the third step, the wizard asks for the backup strategy. Here, you can choose between "Linear backup", "Simple rotation", and, depending on the selected intervals, between "Towers of Hanoi" and "Grandfather, father, son". If you select "Linear backup", the backup will take place continuously to the respective target; as soon as the last medium is full, new mediums will be created or requested. The "Simple rotation" concept provides for cyclic use of the media; the cycle depends on the interval for full backups. The purpose of the "Towers of Hanoi" scheme is to be able to access old backup data for as long as possible without consuming too much space. However, this scheme occupies more space than the others. The "Grandfather, father, son" scheme provides three generations of backups. Monthly backups are written to separate media, weekly backups to a second set, and daily backups to the standard media. Many administrators run the father and son backups in the form of differential or incremental backups. This change can easily be implemented in the generated schedule. In the fourth step, determine how long the backup data are to be retained. Based on this value and the amount of data, you can calculate the required number of tapes and the total amount of space required for the backup. Moreover, the new schedule is associated with the local default target and the local system. This will only be done if the default target exists and the checkbox "Use this schedule for local backup" was activated in the preceding screen. In the last step, a summary of the settings made in the wizard is displayed. To create the backup schedule, click "Finish". Collax Backup Howto 2/11

3 General Configure the basic backup settings under "System Backup General". Operator address Backup status messages will be sent to the address entered here. Permit remote backup server access If another Collax server takes care of the backup of local data, the access must be permitted here. Behavior if more space is needed Here you can determine whether the media may be added automatically if a backup process needs more space or whether this is to be done manually. Quota of the backup system (GB) Size limit for local backups; indicates the maximum amount of space that may be occupied on the disk. Detailed file list after restore After a restore, an with status information is sent to the backup administrator. If this option is set, a list of all restored files will be sent additionally. This list may be very long. File list comparison for backups (accurate mode) By default, the decision whether a file needs to be backed up within the scope of an incremental backup depends on the time of the last change of the file. Thus, it is not possible to ascertain which files have been deleted since the last backup or which ones have been added with an older last-change-on date. If this option is set, these files will also be backed up by comparing a list of all files of the last backup. Please note that this increases the use of resources (CPU and RAM). Target for recovery information If an allocation also backs up the administrative data of the backup processes that are necessary for the recovery of tape drives, this option enables the specification of an additional, separate backup target. The information on catalogs etc. will be backed up to this target, enabling backups to be restored from a tape drive even after a complete failure. For this option, only file-based backup targets are available for selection. Collax Backup Howto 3/11

4 Data compression If this option is activated, all files will be compressed with GNU ZIP. This takes place on a per-file basis, i.e. if one of the files becomes unreadable, only this particular file will be affected, not all files of a backup. This setting should only be activated if the backup target does not support hardware compression. Compression level Various data compression levels are possible, with varying effects on the required storage space and computing power. The fastest compression (level 1) delivers larger files than slow compression (level 9). Generally, it is not advisable to select compression levels higher than 6, as the higher computing overhead is in no way compensated by the achieved storage space savings. Certificate for data encryption To encrypt all data during backup processes in order to prevent third parties from reading them, you can select a certificate that is to be used as key. When restoring the data, the file signatures will be checked, and the process will be interrupted if any irregularities are encountered. Meta data of a file, such as the path name and the permissions, will not be encrypted. Master certificate Please note that encrypted backups cannot be restored if the keys are lost. To minimize the risk of being unable to restore backups due to lost certificates, you can use a so-called master certificate for the encryption. In the case of master certificates, it is advisable not to store the private key on the server but to import it only if a certificate is actually lost and there is no other way to restore backups. Specification of the Runtime Limit In some cases, backup job may need to be canceled automatically before they finish. Parameters include the maximum start delay, which indicates how long a planned backup job may be delayed, e.g. because a preceding job is still running. The maximum runtime indicates for how long a job may be active. Within a job, the maximum waiting time indicates how long a job may be interrupted, e.g. to change a tape. The maximum total time indicates how long a job may take including start delay, runtime, and waiting time, e.g. to make sure that jobs do not run during working hours. All these parameters can be individually configured under "System Backup General". Creating the Backup Target The data are to be backed up to a remote target. This dialog is located under "System Backup Targets". In this case, the data are to be backed up to a Windows share on the host with the IP address The specified user needs write permissions for the share. Collax Backup Howto 4/11

5 After creating the target and activating the configuration, select "Check Target" from the context menu (right-click). The system will check whether write access to the target is possible. Associations In the next step, the schedule and the target must be linked. This is done by means of associations. In the association, the data to be backed up can also be selected. This dialog enables you to configure very flexible backup jobs. Previously defined hosts, targets, schedules, and data sets can be duly allocated to meet the requirements of such processes in the local network. Upon activation of any pending changes, the configuration of the backup system is finished, and the data will be backed up at the time set. Important: For a bare metal restore (restore data after a total failure), either "All" must be backed up, or "Back up state of the backup server" must be marked. Collax Backup Howto 5/11

6 Collax Net Backup Backing up Clients One great advantage of Collax Net Backup is the support of various client operating systems. Thus, remote backups can also be started on Apple, Windows, and Unix systems. The configuration of the backup and restore solution takes place centrally via the server, while on the clients, it is sufficient to install a package consisting of the software and the preconfigured client configuration file. Backing up a Windows Client To demonstrate the procedure, this section explains the backup of a Windows workstation. Content Lists To back up workstations, content lists must first be defined. These lists determine the files and directories that this server is to back up from the workstation. Please note that in paths, "/" must be used, not "\". Clients Under "Clients", the workstation to be defined can be selected. In this example, this is a Windows client with the IP address Collax Backup Howto 6/11

7 For easy configuration of the client, you can download a client configuration file. This file can be downloaded with a rightclick in the "Client Overview". Client Configuration The software for the Windows client can also be downloaded under the menu item "Clients". To do this, click "Installation Packages". If you open the file immediately, the client will be installed automatically. Note: For the backup to work, make sure that port 9102/tcp is open in the Windows Firewall. 9 Status and Operation Go to "System Backup Restore Status and Operation" for an overview of the jobs and their progress. The overview indicates whether all jobs have been successfully completed, whether errors have occurred, etc. Bare Metal Restore You can find this dialog under "Wizards Basic Configuration Bare Metal Restore". Use this wizard to recover your server after a full system crash (bare metal restore, disaster recovery). The first step is the selection of a recovery token file (recovery-token_host_date.rto) that the administrator received by e- mail. In the next step, the following actions are executed automatically: Validation of the recovery token Installation of the license Installation of the licensed add-on modules Setup of the backup target and of the backup system Recovery of the catalog of all backup data In the last step, information on the further procedure is displayed. All settings required for accessing and restoring all data that have been backed up are available. Please note that during a full data recovery, no manual interactions with the system or individual services should be performed on the running system. Note: The license does not need to be activated. 10 If a replacement machine is already running or the original server is still running, make sure that there are no IP address conflicts and disable services like DHCP, mail retrieval, etc. Restoring Data A bare metal restore is only necessary after a re-installation. Otherwise, it is sufficient to restore the data. To restore data from a backup, proceed as follows. Go to the menu item "System Backup Restore" and select the data to be restored.
