2 Welcome to IT Services Getting Started 2 As a student at Surrey you will find that IT will play a big part in your time with us. Whether you are using the computers for research, working from home using our off campus access, or improving your skills with one of our induction courses, we can provide you with endless academic opportunities and benefits. Based in the Austin Pearce (AP) building, our team provides IT and telephone services for students and staff throughout the University of Surrey. We have teaching and learning facilities across the campus, plus many more services that are accessible from anywhere. IT User Support Desk Opening hours (By or telephone) Monday Friday 09:00 20:00 Saturday 12:00 17:00 Opening hours (Personal Callers) Monday Friday 11:00 20:00 Saturday 12:00 17:00 IT Account Username and Password To get started you will need an IT Services username and a valid password before you can access any of the facilities. Before you arrived on campus you should have received details on how to obtain your IT Account details. If you have not received this information or have forgotten it, you will need to go to one of the IT Account Self-Service PCs which can be located in the Library, AP or online at: This will enable you to find your account details, log in and set a new password. Once you have your IT Account username and password, you are ready to get going. 3 If you cannot find what you are looking for within this booklet, check out our website or log in to our self-service portal where you will find quick answers to your questions. Our online self-service portal contains links to solutions to common problems and troubleshooting guides. It also allows you to submit requests and to review the status of all your support requests submitted to IT Services. What services are available? 24/7 access to PC rooms with wide range of specialist software and Internet services A range of printing facilities High-speed Ethernet connection from your accommodation on campus (ResNet) Wired and wireless network areas Assistive learning software Site licence software Discount scheme available for laptop purchase
3 Where to Go Need-to-know Information 4 Facilities Open Access PC Rooms, all accessible by wheelchair users, are available as follows: AP building Ground floor Open 24 hours, seven days a week Library Level 1 and 4 Open during Library opening hours Students Union Ground floor 09:00 17:00 ResNet Surrey ResNet is the broadband facility providing Internet access from the University residences, and the wired zones on campus. If you live in campus accommodation details on how to connect to ResNet will be in your room when you arrive; if the instructions are not there, you will find they are available from your court reception. What equipment do I need? To use ResNet: Windows 2000 or above Network card with a RJ45 connection To use the wireless zone: Windows 2000 or above Wireless card, standard b or g 5 Bookings AP Open Access PC Rooms 2 5 and Library IT Room 2 can be booked for teaching, but please consult the timetables outside these rooms for details or check the IT Services web pages. and Internet access and Internet access are both freely available but please read the note on non-academic work in the Security and Regulations section on page 9. It is important that you use your University account since University staff will use this address and not any personal one that you may have. To use the wired zone: Windows 2000 or above Network card with a RJ45 connection RJ45-to-RJ45 UTP network cable Personal storage Once you have set up your account you will be given a central filestore. This is your personal area of storage for all of your University work, and is commonly called your home (or H:) drive. Your own H: drive area is accessible from any PC and from off site via a Remote Access service. Monitor its use carefully so that you do not go over your limit (1 GB) as doing so will prevent you from working.
4 Printing and Scanning Helping You Develop 6 Printing is available throughout the campus in black and white, and colour printing is available in buildings AP and the Library. To get you started when you arrive, you will find that your printing account is credited with 1 of free credit. To add credit to your printing account you will need to use the cash kiosk located in the Library, or the online payment system for card payment: Once you have printed your work from one of the PCs, you will need to go to one of the printing workstations to release your queued job to the printer. Charges A4 black and white single and double sided A4 colour A3 black and white (Level 1 and 4) A3 colour 4p 10p 6p 20p Scanning facilities are available in the Open Access labs 1, 2 and 3, and instructions are next to the machines. For more information, see our handy help sheets which give full details about printing. Our IT facilities are here to offer you much more than just a space to study and type up your work. We want you to make the most of these services, allowing you to develop your skills and broaden your learning. Courses Many Departments within the University will arrange IT induction courses. Ask your Department about what is available. Online training courses can be found at: Online training courses include: Office 2003 (Word, Excel, PowerPoint, Access and Outlook) ECDL (File Management, Databases, Spreadsheets, IT Concepts) Office 2007 (Word, Excel, PowerPoint, Access and Outlook) ULearn The University has a virtual and interactive learning environment called ULearn. Your tutor will set up any courses you need to use in this system and will provide you with the information you need to get started. ULearn is accessed with your IT Account username and password. Assistive learning software Open Access Rooms across campus contain assistive learning software on all PCs for students with specific learning difficulties and disabilities. A height-adjustable desk is also available. Services for you To assist you with your IT experience and make it as rewarding as possible, we have provided a number of useful services to all students, that you can access at any point during your time with us. 7
5 Security and Regulations 8 Wireless network During your studies you may want to access the Internet, away from one of our computer labs via your own laptop or computer. There are various points around the campus that allow you to have this flexibility and our handy information sheets will give you details on how you can do this. Online journals and databases At Surrey we have a huge selection of journals and databases to assist you with your studies and your research. You can find them via the Athens system, which you can access using your IT Services username and password. See the Library web pages for more details: Software We understand that as important as software is, it can also be expensive. When you become a student at Surrey, some software is available to you under a site licence scheme. This allows you to have free loan for use on your own PC during your stay at the University. Please visit the IT website or contact the IT Services User Support Desk for more information. PC shop On campus we have a PC shop which stocks a wide range of computer consumables, as well as performing diagnostic checks and rebuilds. The PC shop is located next to the Students Union. To complement the shop we have a computer consumables vending machine located in the AP foyer. Discount Schemes For online discounts, you can log on to Student Store using your IT Account username and password. The University also runs a purchase scheme under a National HE Agreement, allowing you to save money on a range of Toshiba laptops. Alternatively, Apple and Dell offer educational discounts to University of Surrey Students on a range of products. Viruses and Malware At Surrey, we make sure that all our machines are protected against viruses. You are encouraged to install a similar virus protection package on your own machine and, if accessing from the Courts of Residence, this is essential. Anti-virus software is available under the University site licence scheme and we strongly recommend all users to install anti-spyware and anti-malware software. Non-academic work Within the University, many of the IT facilities are provided for academic work only. When the PC rooms are busy you should not use the facilities for non-academic work. Non-academic work includes , web browsing or any other activity not directly connected with your coursework. If you wish to use the computer facilities for your own personal use, there are facilities available within the Library and the Students Union building. Noise levels As a student you will have your own way of studying; whether it is in a group with your friends or on your own, everyone has a different environment they like to study in. Therefore we kindly remind all students not to talk loudly or use mobile phones in the Open Access PC Rooms as this can disturb other students. Open Access PC Room AP5 is specifically reserved for silent working. If you want to discuss your work with your friends, please use the other AP rooms, book a room within the Library or visit SPLASH, located on the third floor of the Library. 9
6 Ten Top Tips for Stress-free IT Access Useful Websites Do remember to save your work regularly. There is nothing more annoying than working for hours then having a computer crash and losing your work! 2. Do remember your password Help sheets A wide range of help sheets can be found at: Off campus access Securely access your account from anywhere in the world. Make sure you set the realm to Active Directory before logging in Do regularly check the timetables outside the Open Access PC Rooms, so that you can plan your work 4. Do make yourself aware of the rules and regulations of IT Services. Not knowing the rules can cause problems as misuse of the facilities frequently leads to a ban 5. Don t tell anyone your password or let anyone else use your account 6. Don t attempt to install any unauthorised software on the PCs 7. Don t attempt to access or use anyone else s account 8. Don t attempt to run any type of games, interactive chat or talk sessions 9. Don t misuse the or mailing list facility (by sending personal adverts or spam mails, for example) 10. Don t bring any food or drink, or use mobile phones, within the Open Access PC Rooms
