3 Task 1 Presentation Task Description Produce a presentation for a training event Prior Learning ECDL4 Module 6.2 Skills Required Create a blank presentation Add slides to the presentation Enter text into the placeholders Select different slide layouts Change background colour of a slide Task You have been asked to produce an agenda for DAX Limited s induction training session, which is run by James Powell, the Human Resources Manager. The two-day course is divided into morning and afternoon sessions. On day one the sessions are: 09:30 Company introduction 11:00 Site overview 13:00 Lunch 14:00 Meet the buyers 15:30 Health and safety On day two the sessions are: 09:30 IT induction 11:30 Payroll and pensions 12:30 Lunch 13:30 Customer services 16:00 Marketing Apply a background colour to the Title Slide. 4 Task 1 Presentation Guidelines Task Description Produce a presentation for a training event Guidelines Start a blank presentation and select the Title Slide layout. Insert a second and third slide, choosing the Bulleted List layout. In the example shown, all the text is typed into the placeholders. The slide background colour is selected from Format, Background Ctrl+Enter can be used to move from one placeholder to another. Good Practice It is recommended that each slide is limited to six lines of text and that slides are consistent. Page 94

6 Task 2 Presentation Task Description Edit a presentation Prior Learning ECDL4 Module 6.3 Skills Required Create a blank presentation Copy slides Copy text Re-arrange the order of slides Number slides Insert footer Apply a design template Task Use the information given below to create a presentation outlining the role of the receptionist. Summarise on a single slide the main duties of the role. These are Reception, Administration and Finance duties. Then create a slide for each of these duties. Reception work involves switchboard answering, welcoming visitors and sending/receiving faxes. Finance duties involve petty cash, banking and expense claims. Administration duties include travel arrangements, opening post and typing letters. Ensure that all slides display automatic numbering and that your name and the current date are displayed on all slides except the title slide. Position the Administration Duties slide after the Finance Duties slide. On the Reception, Finance and Administration slides, insert an additional duty, Ad-hoc tasks. On the final slide of the presentation, re-display the summary of the duties of a receptionist. Apply a design template to the entire presentation. Page 96

7 Task 2 Presentation Guidelines Task Description Edit a presentation Guidelines Produce all the slides for the presentation. The text, Ad-hoc tasks, is copied and pasted onto the relevant slides. The Job Description slide is copied in Slide Sorter View. The Finance slide is moved in Slide Sorter View. Your name, the slide numbers and date are inserted using View, Header and Footer. Good Practice Keep slides simple. It is useful to display a blank slide during question and answer sessions at the end of presentations. Microsoft PowerPoint 2000, 2002 and 2003 inserts a black slide automatically as the final slide. The slide master is used to make changes that affect every slide in the presentation. PowerPoint has a number of built-in Design Templates. Organisations may have templates incorporating their company logo. Different versions of Microsoft Office have different design templates. Depending on the version of Microsoft Office in use, the template shown in the example may not be available. Page 97
