1 Public Health Association Annual Conference Abstract submission guidelines Otepoti /Dunedin 7-9 September 2015 Healthy people, healthy nation: Public health is everybody s business Hosted by the Otago Southland Branch of PHA "The hope is that the six stars which make up Te Pae Māhutonga will serve not only as a navigational aid to the South, or as an icon of New Zealand, but as a reminder about the potential for a healthy people and a healthy nation." Sir Mason Durie Welcome Join us in the South, in Otepoti/Dunedin, for the PHA Conference 2015 (7-9 September), where we will consider how to make public health everybody's business. We want to explore how to embed effective public health approaches across all of New Zealand society. How can we build a healthier Aotearoa New Zealand together? Nau mai, Tauti mai. Introduction The conference organising committee thanks you for your willingness to submit an abstract and share your important knowledge and experience with others interested in considering the contributions of all parts of society to public health: central and local government; communities; charities; business and commerce; groups; and individuals.. These guidelines will help you understand why we have requested some information and will help you give us the right information the first time. A sample abstract is included at the end for you to refer to. 2 Themes The Conference Committee seeks contributions on each of the conference themes listed below. Preference will be given to presentations that address one or more of the priorities identified in the Declaration for collective action from the inaugural New Zealand Population Health Congress in October These were: Giving all children of Aotearoa New Zealand, and the Pacific nations with which we are closely linked, the best start in life. Improving health and reducing health inequities. Urgently addressing climate change and planetary health. When you make a submission, you must indicate which of the themes it falls under and (if relevant) which priority from. If your abstract does not easily fit one of these themes but you would still like it to be considered, please write other. 1. Commerce and public health This theme incorporates various aspects of the relationship between business and commerce on the one hand, and social responsibility and public health on the other. 2. Economics of wellbeing This theme may include exploring economics and health at a societal level; and consider a wellbeing economics framework and how we achieve a progressive wellbeing state in New Zealand. 3. Civic action for a civil society This theme will take a critical look at what local Government can do to promote a healthy population including challenges in rural communities, urban settings that support healthy living, and environmental action that protects population health. 4. The future of public health This theme will look at the contribution we can individually and collectively make to improve the health of the population: looking forward to the challenges and opportunities that lie ahead and considering how we can broaden understanding of what public health is and who has a contribution to make. Presentation format More than one abstract may be submitted. A variety of presentation styles will be included in the programme as listed below. Please indicate in your abstract what facilities you require (e.g. audio-visual, IT, space). Standard presentation: A 10-minute presentation with up to 5 minutes for questions. A standard presentation is ideal for presenting the findings or achievements from a completed and evaluated programme in your community or a research project. There will be places for approximately standard papers in each theme. Workshop/ Symposium: A 90-minute interactive session on one topic usually involving several speakers. A workshop or symposium is ideal for a broad topic where you are seeking input from a diverse group with different perspectives. There will be a maximum of one workshop/ symposium for each theme. Ignite: A 5-minute presentation of 20 slides x 15 seconds each with no time for questions. An ignite presentation is ideal for raising awareness of a public health topic you are passionate about or floating ideas for future work. Some tips for preparing an Ignite presentation can be found here There will be places for up to 15 Ignite presentations in each theme. Poster: A hard copy large format Poster presentations are ideal for a wide range of work (completed community projects or research, new ideas, raising awareness) particularly if your work can be presented visually. Poster size is limited to 841mm X 1189mm (A0).

3 Review/acceptance process All abstracts submitted will be reviewed by the Organising Committee. The Organising Committee may want to contact authors to discuss the way their presentation can best work in the context of the conference programme or for clarification before deciding whether to accept abstracts. All authors will be advised if their papers have been accepted or declined by Monday 1 June If your abstract is accepted, you will be allocated a time slot in the programme. Checking you are a real person To protect from automated spamming programs, this website uses the Captcha verification system. This means you will be asked to complete a simple maths sum before you click the Login or Submit buttons. This proves you are a real person and not an automated spam program. Registering to submit an abstract To submit an abstract you must first register. To do this, click Register to submit in the menu at the top of the page. We will collect some basic information about you so we can contact you, and you will be able to choose your username and password. The information you give us will be sent to you in a confirmation . Please use your name (first name family name) as your username when registering as a submitter. This will make sorting abstracts easier tor the Organising Committee. Please note: usernames cannot contain macrons or punctuation except for spaces, full-stops, hyphens and underscores. This is a limitation of the verification system, but will not be seen by the public. If you forget your password: 1. Go back to the Register to submit page, and click the Request new password button. 2. Enter your username or the address you submitted, answer the Captcha verification question and click the new password button. 3. Check your for a message from us containing a verification link. Click this link to verify your address and return to the Log in section. 4. Once back in the Log in section, click the Log in button to reset your password. Submitting/editing an abstract or personal details We have tried to make the abstract submission process as easy as possible. You can submit your abstracts online at When you have registered you will be able to log in to the Registered area of the website at any time using your chosen username and password (until abstracts close on 30 April 2015). There you will be able to create, modify or delete your abstract(s). Once logged in, the menu for adding or editing personal information and abstracts is found on the left-hand side of the page. Please be assured all the information you provide will be stored securely and treated with confidentiality.

4 Keeping things concise Abstracts must be 300 words or less, which will make it much easier for us to assess your abstract. If you go over the word limit it is likely extra words will be deleted. To help us assess your abstract we have also included the following questions. Please answer them within word limitations. Key messages addressed (25 words or less) Primary target audience of your presentation Main take-home learnings (what new understandings or skills do you hope your audience will take from your presentation? (60 words or less) Printing/ ing yourself a copy of your abstract When you have submitted your abstract, you will receive a thank you containing a link back to your abstract online. Also, when you submit your abstract, you will be presented with a screen confirming your abstract in full. At the bottom of that page are links for either printing a copy of your abstract, or ing it to yourself. Understanding your audience It is also important to understand that the backgrounds of audience members will vary considerably. We encourage you to take that into account when preparing your conference presentation. Please use plain language and think about explaining jargon and difficult concepts carefully when you present. Working with the media Encouraging debate on public health issues is very important for the Public Health Association, and the media are invited to the Conference. When submissions have closed the Conference media team will look through the abstracts submitted and choose those that are likely to be of interest to the media. In order to do that, the Conference media team may contact you asking to see a copy of your presentation (e.g. your PowerPoint). If your presentation is chosen, the media team will work with you in the weeks preceding the conference to prepare a media release about your presentation, which they will release to the media at the time you present. Please be assured that the Conference media team will respect the sensitivities around your research and findings. Nothing will be released to the media without your full knowledge, and you have to approve any media releases before we issue them. If you have concerns about the media covering your presentation, you will have the opportunity to indicate that during the abstract submission process. Online presentations post conference Once the conference is over, the PHA usually publishes conference presentations on its website for a month or two. This is for those who missed the conference or who would like to revisit something they found of benefit. However, we understand there may be reasons you would not like this to occur and we will respect those reasons. During the submission process you will have the opportunity to tell us not to publish your presentation.

5 Model abstract submissions Below is an example abstract from a previous conference. Presentation Title: "I suppose it depends on how you view it." People's perspectives on the food environment at sport venues. Author(s) and (affiliations ) with presenting author underlined: B. Healthy (University of All Knowledge); G. Choice (XYZ District Council); C. Livewell (PQR Public Health Unit) Theme: Commerce and public health Relevant priority from the declaration for collective action: Giving all children of Aotearoa New Zealand, and the Pacific nations with which we are closely linked, the best start in life. Presentation Type: Standard 10 minute Primary audience: Health promoters, nutrition professionals, policymakers Key issues addressed (25 words max) Obesogenic environments Supportive nutrition environments Public opinion Public health action Take away learnings (60 words max) The nutrition environment at sport venues is not health promoting. Sport venues are a potential setting for promoting healthful nutrition behaviours. Entrenched public attitudes may be difficult to overcome. Public health and nutrition professionals and policy makers have a key role to play in improving the nutrition environment at sport venues. Abstract (300 words max) Our current nutrition environment is considered obesogenic, due in part to the widespread availability and promotion of energy dense, nutrient poor foods and beverages. Settings play a critical role in health promotion and for many New Zealanders the sport setting may constitute an important part of the nutrition environment. Theoretically, the sport setting could be considered leptogenic and ideally health promoting not only promoting physical activity but also healthful nutrition behaviours. However, it is difficult to assess the association between the nutrition environment and sport settings as there is little evidence from New Zealand and internationally regarding the subject. The Food Environment and Sport Study (FEAST Study) aims to understand children s and parents perspectives on the availability and promotion of food and beverages associated with sport. Children involved in organised sport, and their parents, used cameras to photograph their nutrition environment associated with sport. The photographs were then used in focus group discussions to ascertain participants perspectives on the nutrition environment they recorded.

6 This presentation reports on a specific aspect of the FEAST Study. It examines the contradictions which exist between sport venues and healthful nutrition behaviours; and describes peoples attitudes to the association of food and beverages with sport venues and how these perspectives may present a barrier to change. Finally, the role health promoters, nutrition professionals and policy makers can play to ensure an ideal health promoting setting meets its potential will be highlighted.
