3 Access Hoover s Functionality Follow this step-by-step user s guide on how to maximize Hoover s for Oracle CRM On Demand (CRM OD). Hoover s offers the following functionality to Oracle CRM OD users: Task 1. Hoover s Search for People: Search for a specific person in the Hoover s database and add this person to your Oracle CRM OD Lead records or as a Contact record related to an Account. Task 2. Hoover s Search for Companies: Search and add companies as Lead or Account records. Search for a particular company and add one or all people associated with this company as Lead records or as Contact records related to an Account. Task 3. Hoover s Functionality on the Account Record: Update or add details to an Account record from the Hoover s database. a) Update Account: update record with desired Hoover s company information b) Add Contacts: add one or all people associated with a Hoover s company record as Contact records related to an Account c) More Hoover s Information and Tools*: view comprehensive Hoover s coverage and utilize tools available only on Hoover s Online, such as the Company Fact Sheet and Financial Data. d) View Competitors*: view a list of all competitors related to the company; import selected competitors as Lead or Account records e) Family Tree**: view the corporate family tree for a selected Account and import family tree members as Lead or Account records; create relationship to the Parent Account Task 4. 4 Access Hoover s Functionality (continued) Access Hoover s includes the following custom web tabs and Hoover s Tools for Account, Contact and Lead records: Hoover s Search Tab This gives you the following options: Search for Companies, Search for People Hoover s Build a List Tab This gives you the following options: Build a List of People, Build a List of Companies Hoover s Tools section on an Account record This gives you the following options: Update Account, Add Contacts, More Hoover s Information and Tools, View Competitors, Family Tree Hoover s Tools section on a Contact record This gives you the following options: Update Contact Hoover s Tools section on a Lead record This gives you the following options: Update Lead, More Hoover s Information and Tools, View Competitors, Family Tree Access Hoover s duplicate detection works per the following rules: Accounts Potential Account duplicates are detected by an exact match of: o D-U-N-S Number OR o Company Name Leads Potential Lead duplicates are detected by an exact match of: For Leads added as a Person (record contains both First & Last Name): o o D-U-N-S Number AND First Name AND Last Name OR Company Name AND First Name AND Last Name For Leads added as a Company (record doesn t contain First Name): o o D-U-N-S Number OR Company Name Contacts Potential Contact duplicates are detected by an exact match of: o D-U-N-S number AND First Name AND Last Name OR o Company Name AND First Name AND Last Name HOOVER S, INC AIRPORT BLVD. 5 Task 1 Hoover s Search for People Search for a specific person in the Hoover s database and add this person to your Oracle CRM OD as a Lead record or as a Contact record related to an Account. Scenario: You receive business cards from trade shows, conferences or referrals that could be potential sales leads. You want to determine if a person or their associated company already exists in your CRM. You also want to see what additional information is available on that person from Hoover s. 1. Select the Hoover s Search tab. r5 2. Type in the name of the contact and select People from the drop down menu next to the Search button. Click the Search button. HOOVER S, INC AIRPORT BLVD. 6 3. The people search results page will display a listing of all matches within the Hoover s database for this name search. You can click on a column header to sort in alpha order by that specific column. The dropdown menu in the upper right corner provides additional sort options. Potential duplicate records that may already exist in Oracle CRM OD are identified by a green icon (Accounts), a blue icon (Contacts) or a red icon (Leads). Note: The potential duplicates shown are per the individual user s permissions within Oracle CRM OD. 4. Find the name of the person you are searching for and click on their name. 5. The person result page will show you information about the individual as well as the Company that this individual is associated with. This page will allow you to import details into Oracle CRM OD as a Lead or Contact record. If you do not want to add this person as a Lead or Contact, you can click on the Cancel button to select another person or perform a different search. 6. 7 7. To go to the Lead record you just imported, click on the Leads tab and then the My Recently Created Leads link. The Lead you just added will be at the top of the list. 8. To add this person as a Contact, click on the Add to Contacts button. 9. To go to the Contact record you just imported, click on the Contacts tab and then the My Recently Created Contacts link. 8 Task 2 Hoover s Search for Companies Search and add companies as Lead or Account records. Search for a particular company and add one or all people associated with this company as Lead records or as Contact records related to an Account. 1. Select the Hoover s Search tab. 2. Enter in the name of the company, D-U-N-S Number or stock ticker symbol and select Companies from the drop down menu. Click the Search button. r5 3. The results are ranked by the most likely match. You can filter the results by a variety of criteria on the left like location, sales, employees, company type, and location type. You can click on a column header to sort in alpha order by that specific column. The dropdown menu in the upper right corner provides additional sort options. Potential duplicate records that may already exist in Oracle CRM OD are identified by a green icon (Accounts) or a red icon (Leads). 9 5. All people associated with the selected company record within the Hoover s database will be displayed, along with information on the company. Potential duplicate records that may already exist in your Oracle CRM OD are identified by a blue icon (Contacts) or a red icon (Leads). Note: The potential duplicates shown are per the individual user s permissions within Oracle CRM OD. To perform a new search, click on the Cancel button. 6. Select the names of the people you want to add as Leads or Contacts. To select all records, mark the Select/Deselect All checkbox. 7. To add the people as Leads, click on the Add to Leads button. 8. To add the people as Contacts, click on the Add to Contacts button. 9. If the associated company does not already exist as an Account in your Oracle CRM OD, then along with the Contacts, the corresponding Account will be created. 10 Task 3 Hoover s Functionality on the Account Record Within an existing Account record, you have the following Access Hoover s tool options: Update Account Add Contacts More Hoover s Information and Tools View Competitors Family Tree Task 3a. Update Account Update Account record with desired Hoover s company information. Scenario: You want to update your bare-bones Dell Inc. account record with information from the Hoover s database. 1. On the account record, you will see the record and list of matching records, or company information. HOOVER S, INC AIRPORT BLVD. AUSTIN, TX
11 2. If this Account record is not already linked to Hoover s, then you will see a list of possible company matches (see screenshot). Select the correct company match. If this Account record IS already linked to Hoover s, then you will be taken directly to the Update Record Details page (next step). 3. From the Update Record Details screen, you are given control over which account fields you want to update from Hoover s into your existing Account record. You are provided with a summary of the differences between your current account data in Oracle CRM OD and the account data that exists within the Hoover s database for this company record. The differences are automatically selected. 4. Select the fields you want to update from Hoover s and those you want to keep as is by clicking the check box for that field. Click on the Update button to update the record. You will get a confirmation message upon success. Click the OK button. HOOVER S, INC AIRPORT BLVD. AUSTIN, TX

13 Task 3b. Add Contacts Add one or all people associated with a Hoover s company record as Contact records related to an Account. Scenario: You want to look for and add more contacts to the Dell Inc. account from the Hoover s database. 1. On the Dell Inc. account record, click on Add Contacts in the Hoover s Tools section. Note: An Account record must be linked to Hoover s database to successfully utilize the Add Contacts option. 14 2. You are shown a list of available people from Hoover s. Possible duplicates are indicated on the screen with either a blue icon (Contacts) or red icon (Leads). Note: The potential duplicates shown are per the individual user s permissions within Oracle CRM OD. 3. Select the people from Hoover s that you d like to add as contacts for and click on the Add To Contacts button. 4. You will receive a confirmation message that the contacts have been added successfully. Click on OK. 5. The new contacts from Hoover s will be present in the Contacts section on the Account record. 15 Task 3c. More Hoover s Information and Tools View comprehensive Hoover s coverage and utilize tools available only on Hoover s Online, such as the Company Fact Sheet and Financial Data. Note: The depth of information available on companies in the Hoover s database varies based on company size and other factors. Not all records will contain competitor information, historical financials, products and operations details, or a comprehensive overview. Note: You must have the appropriate subscription package that includes Hoover s Online to view this additional information from Hoover s. If you are not already logged into your Hoover's Online account ( when you click on one of the More Information and Tools links for the first time, you will be prompted to enter your Hoover's username and password. Scenario: You want to view more detailed information about Dell, Inc. before going to a meeting with the client. 1. On the account record, click on More Hoover s Information and Tools in the Hoover s Tools section. Note: An Account record must be linked to Hoover s database to successfully utilize the More Information option. 16 2. Click on the information you want to view. For this example, we will select Company FactSheet. However, you can select any of the links shown on the right and go to the specified Hoover s page. 3. After clicking on the Company FactSheet link, you will be taken to the fact sheet for the company within Hoover s Online. Task 3d. View Competitors View a list of all competitors related to an Account. Import selected competitors as Account or Lead records and associated people as Contacts or Leads Note: The depth of information available on companies in the Hoover s database varies based on company size and other factors. Not all Hoover s records will contain competitor information. Scenario: You want to view a list of Dell s competitors. HOOVER S, INC AIRPORT BLVD. AUSTIN, TX
17 1. On the account record, click on View Competitors in the Hoover s Tools section. Note: An Account record must be linked to Hoover s database to successfully utilize the View Competitors option. You can link your Account to Hoover s by using the Update Account option (see Task 3a above). 2. You will see a list of all companies that do competing business. You have options to: a. Select one or more companies and import them as Accounts b. Select one or more companies and import them as Leads c. Select a single company and import associated people as Contacts or Leads. Potential duplicate records that may already exist in Oracle CRM OD are identified by a green icon (Accounts) or a red icon (Leads). 18 3. To import companies as Accounts, select records and click on the Add to Accounts button. To import companies as Leads, select records and click on the Add to Leads button. Note: If a selected company is already in Oracle CRM OD, it will NOT be imported again as an Account. 4. You will receive a confirmation message that the records have been added successfully. 19 5. To import people associated with a particular competitor as Leads or Contacts, click on that competitor s name and follow Task 2, Steps 5-9. HOOVER S, INC AIRPORT BLVD. AUSTIN, TX
20 Task 3e. Family Tree View the corporate family tree for a selected Account and import family tree members as Lead or Account records. Create a relationship to the Parent Account. Note: Not all records will contain a Family Tree. You must have the appropriate subscription level to view Hoover s Family Tree. Scenario: You want to find companies that are related to your Dell Inc. account. 1. On the Dell Inc. account record, click on Family Tree in the Hoover s Tools section. Note: An Account record must be linked to Hoover s database to successfully utilize the Family Tree option. You can link your Account to Hoover s by using the Update Account option (see Task 3a above). 2. From the Family Tree page, you can see all companies with a relationship to the selected company. You have the option to collapse (or expand) all records, Show Branches or Select All Companies. Potential duplicate records that may already exist in Oracle CRM OD are identified by a green icon (Accounts) or a red icon (Leads). 21 CRM OD. 6. To import companies as Leads, select records and click on the Add to Leads button. To import companies as Accounts, select records and click on the Add to Accounts button. Note: If a selected company is already in Oracle CRM OD, it will NOT be imported again as an Account. 7. You will receive a confirmation message that the records have been added successfully. Click on OK. 8. NOTE: If the parent account already exists in the CRM (or if you re importing the parent along with the child account), Access Hoover s will automatically populate the Parent Account field for the imported child(ren). 22 9. To import people associated with a particular family tree member as Leads or Contacts, click on that company s name and follow Task 2, Steps 5-9. Task 4 Hoover s Functionality on the Contact and Lead Record Within an existing Contact or Lead record, you have the following Access Hoover s tool options: Update Contact or Lead More Hoover s Information and Tools (Leads only) View Competitors (Leads only) Family Tree (Leads only) Task 4a. Update Contact or Lead Update a Contact or Lead record with desired Hoover s information. Scenario: You want to update Michael Dell s lead record with the correct address and company description from the Hoover s database. 1. On Michael Dell s Lead record, search for the person in the Hoover s Tools search bar. This same functionality exists for Contact records. HOOVER S, INC AIRPORT BLVD. AUSTIN, TX

If a Contact or Lead record is NOT associated with a company that is linked to Hoover s, or if the name is not an exact match, then you will see a list of possible people matches in the Hoover s database (see screenshot). Select the correct person match from the list. If a Contact or Lead record IS already associated with a company linked to Hoover s, and the name is an exact match, then you will be taken directly to the Update Record Details page (next step). 3. From the Update Record Details screen, you are given control over which contact or lead fields you want to update from Hoover s into your existing record. You are provided with a summary of the differences between your current data in Oracle CRM OD and the data that exists within the Hoover s database for this record. View Competitors (Leads Only) View a list of all competitors related to the company the Lead is associated with. Import selected competitors as Lead or Account records. Note: The depth of information available on companies in the Hoover s database varies based on company size and other factors. Not all Hoover s records will contain competitor information. 1. On Michael Dell s Lead record, click on View Competitors. Then, follow same instructions listed under Task 3d. 27 Task 5 Build a List of Companies and Build a List of People Build a customized list of companies or people using Hoover s Build a List functionality, and add all returned results as Account or Lead records. 1. Select the Hoover s Build a List tab and then choose the type of list you want to build (Companies or People) 1. You can select your list criteria from multiple categories: Company Location Company Size Industry Company Type Financial Data Specialty Criteria For Build a List of People, you will have one extra category: People 2. 29 3. For Build a List of People, Access Hoover s will return a list of people based on your list criteria. Potential duplicate records that may already exist in Oracle CRM OD are identified by a green icon (Accounts), a blue icon (Contacts) or a red icon (Leads). Note: The potential duplicates shown are per the individual user s permissions within Oracle CRM OD. You can change your search criteria by clicking on the Edit Criteria button.
