PowerPoint 2007 Tips, Tricks, and random things that may be good to know*! *Or put you to sleep
Disable Those Pesky Add-ins Add-ins can cause Office 2007 applications to run slow and do *weird* things ~ Known baddies: Adobe PDF Maker, Secured Media Plug-in, Org Plus Check Disable Office Button -> PowerPoint Options -> Add-ins Determine Type of Active Application Add-in Select the appropriate type of add-in that you wish to disable from the Manage drop-down menu and click the Go button Deselect add-ins that you wish to disable and click OK Repeat Done! Same process applies for other Office 2007 applications
Change Footer on the Ross Template This is the most common question I get about PowerPoint 2007 ~ View -> Slide Master -> Edit Footer on the **Top** Slide in the Master View ~ Modifying this slide will change the footer for each layout Always create new slides in your presentation using layouts! ~ It becomes a nightmare to modify a presentation created not using the layouts ~ If you use layouts its easy to modify all slides through the Slide Master View If you want to insert a text box into your presentation do: ~ Insert Tab -> Text Box ~ DO NOT: Home Tab -> Drawing -> Rectangle Personally I have a harder time drawing in 2007 than 2003 ~ Insert -> Smart Art
Create Custom Presentations Customize an existing presentation to serve multiple audiences ~ One giant PPT presentation, select subset of slides to show for different presentations To Setup Custom Slide Show ~ Slide Show Tab -> Custom Slide Show -> Custom Shows ~ New -> Enter a Slide Show Name -> Select Slides to Add -> OK To Use a Custom Slide Show ~ Slide Show Tab -> Set Up Slide Show -> Select Custom Show Radio Button ~ Select the name of the custom show from the drop down menu and click OK That s It!
Black/White and Draw A useful way to breakup a presentation mid-stream. ~ Grab back the attention of your audience To black the screen in presentation mode hit the B key. To white the screen in presentation mode hit the W key. To draw on the screen during presentation mode navigate your mouse to the bottom left corner and click on the pen icon. ~ Hold and move the left mouse button to draw ~ Upon exit of Presentation Mode you will be prompted to save your ink annotations
Customize the Quick Access Toolbar The Quick Access Toolbar is the only customizable toolbar ~ Office 2007 Tabs are perfect, why would anyone want to try to customize perfection? The ribbons cannot be easily customized Modify commands on the Quick Access Toolbar by clicking the little down arrow to the right. ~ Select the command you wish to add ~ For more choices click More Commands and select All Commands from the Choose Commands From drop down menu
Save Options: PDF, XPS, PPT 2003 Save options are located under the Office Button -> Save As Office 2007 can save directly to PDF without need Adobe Acrobat Professional ~ Previous versions of Office required Adobe Professional in order to create PDFs ~ PDF creation in Office 2007 seems far more consistent than it was previously My own experience contradicts what I have read on the interwebs XPS is the Microsoft answer to Adobe s PDF format ~ XPS is XML based, PDF is Postscript based Postscript is 20+ year old technology Argued that XPS is technically superior, but its in its infancy ~ XPS is **supposedly** allows for accurate reproduction and printing Other save options such as JPEG and GIF are still available ~ Easily inject slides into a Word document
Combine Multiple Presentations Bring old slides into new presentations Home Tab New Slide Reuse Slides Click Browse in the Wizard on the Right Select the PPT file you want to pull the slides from Click on the slides you want to add from the preview window, select keep source formatting if necessary
An Underutilized Tool You Should Use Format Painter will be one of your best friends given a chance! ~ Located under Home Tab Copy Formatting from one place and apply it to another ~ Can be used on text, pictures, autoshapes Bonus points for using in the Slide Master View Test Text Test Text
Turn A Cool Picture Into A Background Design Tab -> Background Styles -> Format Background Fill -> Picture or Texture Fill -> Click File -> Find your Image Now experiment with Transparency, Recolor options, Brightness and Contrast so that it looks good as a background. ~ Fill -> Transparency -> 50% as a starting point ~ Picture -> Recolor -> Color Modes -> Washout ~ Picture -> Brightness -> 50% as a starting point ~ Picture -> Contrast -> 25% as a starting point Click Close and your done!
General Presentation Tips Keep you slide count low! ~ Experts recommend 15 slides for an hour long presentation ~ What you are saying is more important than what they are seeing ~ Notes! Notes! Notes! Fashionista s say ~ White background and black text for bright rooms ~ Dark background and white text for dark rooms Keep slides simple and uncluttered so they are easy for the audience to follow ~ No more than 3 levels of indentation An occasional picture, animation, sound helps keep your audience interested
