3 Championship Main Hotel ACCOMMODATION The Fattoria La Principina Hotel will be the Championship Main Hotel for all NPC delegations. The hotel offers a wellness centre, a fitness room, two swimming pools (outdoor and indoor), a bar, meeting rooms and excellent catering service. The Fattoria La Principina Hotel will also be headquarters for the main Grosseto 2016 Organising Committee functional areas. All rooms and public areas are provided with Wi-Fi connection. A shuttle bus will operate in order to facilitate guests transfers within the different areas of the resort. Breakfast, lunch and dinner will be served at the hotel for all NPC members. The Grosseto 2016 Organising Committee will assist each NPC to find their most suitable accommodation solution depending on their needs. CATERING All meals (breakfast, lunch and dinner) will be served at the Fattoria La Principina Hotel, the Main Championship Hotel, for all NPC members. 4 Accommodation options The Fattoria La Principina Hotel offers two types of accommodation for NPC delegations: hotel (four-star category) and bungalow (three-star category). Accommodation bookings will be accepted upon availability on a first come first served basis. 1. Hotel There are different types of rooms available in the hotel. Delegations can choose between single, double or triple four-star category rooms. All rooms have a balcony and their ensuite bathroom either with a bath tub or shower. Rates for hotel accommodation from 6 to 17 June in bed & breakfast are: Double room / Triple room - 92 Single room -115 All rates are per person/per night including VAT and all tourism taxes. Rates for hotel accommodation for extra periods (before 6 June and/or after 17 June) in bed & breakfast are: Double room / Triple room Single room All rates are per person/per night including VAT and all tourism taxes.

5 2. Bungalows Delegations can book their accommodation in bungalows that are situated within walking distance from the Fattoria La Principina hotel. Bungalows are provided with a living room, a shared bathroom and one, two or three three-star category rooms located on the same level or on two different levels. Bungalows will be the ideal option for those delegations willing to enjoy a full team spirit experience during the European Championships. Prices for bungalows from 6 to 17 June in bed & breakfast are: Double room - Triple room - 83 Single room All rates are per person/per night including VAT and all tourism taxes. 6 Booking procedures Accommodation bookings should be officially sent to the Grosseto 2016 Accommodation team ( following the official timeline and procedures listed below. 7 Payment for all extra requests will be added to the total amount of the final payment. 1. Preliminary Bookings NPC delegations will be requested to make provisional bookings based on estimated team numbers and length of stay no later than 15 April This will ensure that accommodation is reserved for your team. NPCs will be invited to fill in the following form (Form No. 1 - PRELIMINARY BOOKING) and send it to the Grosseto 2016 accommodation team. This form requires the following information: Approximate number of participants Length of stay Selection of hotel or bungalow accommodation options Approximate number of single rooms needed Approximate number of athletes in wheelchair Approximate number athletes belonging to T/F sport classes A Preliminary Booking is key for the LOC to ensure teams will be co-located within the same accommodation wherever possible. Any requests will be taken into consideration upon availability on a first come first served basis and group criteria. First come first served: priority will be given to the date of the booking request. The earlier an NPC submits the preliminary booking, the better the chance that their request will be fulfilled. Group Criteria: rooms that are located in close proximity in the same hotel/bungalow sector will be allocated to teams. NPC delegations are invited to send their booking requests as soon as possible in order to apply the above-mentioned criteria. All booking requests will be managed following the first come first served criteria. NPCs are strongly recommended to submit their requests in large advance. Bookings will be confirmed once payment has been received by the LOC.

8 2. Booking Proposal NPC delegations will receive an official booking proposal by the Grosseto 2016 Accommodation team with details on their preferred accommodation option (hotel or bungalow). Once the booking proposal is signed off, NPCs will be responsible for making a 50% of total payment of their preliminary booking to the LOC by 25 April In the event payments have not been transferred by the 25 April 2016 deadline, bookings will be automatically cancelled and pre-booked rooms will become available to be reallocated. 3. Final Booking and Rooming List Confirmation The accommodation team will send each delegation a rooming list form (Form No. 2 ROOMING LIST) to be returned by 13 May Final payment must be transferred by 20 May In the event NPCs need to amend their preliminary booking or need to add extra rooms to their booking, they should send their request via to accommodation@grosseto.it. The LOC will manage the additional requests upon availability. Cancelations of any rooms will be subject to the accommodation cancelation policy presented in the table below. Accommodation Cancellation Policy In the event of hotel booking cancellations or participants withdrawals from the competition, the NPC may be liable for a cancellation fee according to the following guidelines. The LOC will return all remaining funds after the cancellation fee and final accommodation invoice has been paid in full. Teams will be liable for all bank charges associated with any reimbursement payment. 10 TRANSPORT Main ports of entry Main Championship Airport Main Championship Railway Rome Fiumicino Grosseto Centrale Transfers from/to the main ports of entry Transfers from/to the Championship main ports of entry will be offered free of charge for all NPC delegation members. Transfers between Rome Fiumicino and Grosseto and return will be made by coaches or minivans. The Grosseto 2016 transport service from/to the Championship main ports of entry can be booked as follows: By 10 May all NPC delegations must send their arrival and departure information filling in the Transport Form (Form No. 3 TRANSPORT BOOKING FORM) and send it to the Transport Team ( transport@grosseto2016.it). The Grosseto 2016 Organising Committee will check all the forms to make sure all relevant information are entered correctly and will then confirm the transport booking to the delegations. Heavy equipment transfer from/to Rome Fiumicino All racing wheelchairs, throwing frames, personal implements, physiotherapy plinths and materials, race wheels and any other extra-size luggage will be identified and loaded into specific vans exclusively used for this purpose. Before loading, equipment will be labelled with the owner s personal data and delegation details. Once in Grosseto they will be unloaded in the Storage Area of the competition venue. Heavy equipment vans will leave Rome Fiumicino after they are completely loaded. The LOC will adopt the same procedures to transfer heavy equipment from Grosseto to Rome Fiumicino on the day of delegations departures. At the Storage Area of the competition venue equipment will be labelled and loaded into the vans heading to Rome Fiumicino. For small delegations or those leaving in different days or at night, the LOC transport manager will offer the best suitable solution for any equipment transfers informing the relevant NPC team leader on transport procedures.

11 Transfers from/to secondary ports of entry Secondary ports of entry Airport 1 Airport 2 Pisa Rome Ciampino Pisa Airport and Rome Ciampino Airports will be considered a secondary port of entry for the Championships and will be provided with a shuttle coach service to Grosseto only upon previous agreement with the Organising Committee. Once agreed, the Organising Committee will charge an additional fee of 35 Euros per person per journey (70 Euros for return service per person). Requests must be submitted within 10 May to the Transport team at transport@grosseto2016.it Heavy equipment transfers from/to the secondary ports of entry will be ensured only upon previous agreement with the Organising Committee in order to effectively plan in advance the required service. Transfers in Grosseto during the Championships During the Championships the following transport options will be available exclusively for accredited NPC delegation members. 1. Shuttle Bus: Main Hotel - Competition Venue - Main Hotel (MHT) - available for NPC delegations and accredited guests accommodated at the Main Hotel; 2. Classification Shuttle Bus: Main Hotel - Hospital - Main Hotel - available for IPC Athletics classifiers and athletes/npc team members for classification purposes only Transfers will be free of charge.
