3 -PowerPoint s Custom Animation pane provides you with the ability to animate multiple objects on a slide. Custom Animation -Use the Re-order arrows to change the sequencing of animation events by clicking on the name of the object in the pane and then clicking on either the up or down arrows -Click on the name of the first object in the Custom Animation pane. -Click on the down arrow to display the submenu shown here -Click on Effect Options -The Effects Options window will appear -Click the down arrow next to the Sound field to associate a sound with the selected slide object -Click the OK button to apply the sound 1

4 Inserting Photos -To place a photo on a slide go to the Insert pull-down menu and choose Picture -If you have images saved somewhere on your computer, choose the From File option and navigate to the file location and click on its name -If you would like to insert a photo from PowerPoint clip art gallery, choose Clip Art -To find photos in the Clip Art pane, type a search word in the Search for: field -In the Results should be: field choose Photographs -To begin your searching for photographs within the gallery click the Go button 2

5 Inserting Photos -Once you find a photograph that you would like to place on the active slide, place your mouse pointer over the image -Click on the down arrow next to the image -Choose Insert from the menu that appears -The photo will be placed in the middle of the active slide -Notice the selection dots around the image -When the dots are visible you can move the object on-screen, rotate it, or resize it with the selection dots 3

6 Editing a Photo -To edit a photo placed on a slide, first click on the photo to make sure its selected -From the View menu choose Toolbars and make sure that Picture has a check mark next to it -The Picture Toolbar should appear whenever a photo is selected on a slide -Some basic photo editing can be accomplished from within PowerPoint -The Picture Toolbar s editing functions are identified below Color Less More Contrast Contrast Compress Picture Recolor Picture Format Picture Insert Picture Reset Picture More Brightness Less Crop Rotate Brightness Line Style Set Transparent Color 4

7 Adding Video -Video segments can be added to PowerPoint slides -Video files are linked to a PowerPoint presentation and are not embedded within the presentation. -PowerPoint can import a few different video file formats such as Windows Media Player, AVI and Mpeg files. To play Quicktime movies within PowerPoint, Quicktime for Windows must be installed on your PC -To insert a video clip onto a slide, go to the Insert menu and choose Movies and Sounds and then Movie from File as shown below -Navigate to the directory that contains your video file and click on the name of the video -Click the OK button to place the video on the active slide 5

8 Adding Video -PowerPoint will ask you How do you want the movie to start in the slide show? -For this workshop, choose When Clicked -A black window will now appear on the center of the active slide representing the movie -You can move it to another position on the slide because it s surrounded by the selection dots -To play the movie, click on the Slide Show button in the lower left corner of the screen -The active slide will be displayed in the slide show -To play the video, click once on the box representing the video 6

9 Inserting Narration -You can add narrations to your presentation by using a microphone or headset -From the Insert menu choose Movies and Sounds and then Record Sound from the submenu -The Record Sound window shown below will appear Play Stop Record -Type a name for your sound in the Name Field -To record a narration, click on the Record button and speak into the microphone -When you re finished, click the Stop button -To playback your recording, press the Play button -To save the recording, press the OK button -A speaker icon will appear on the active slide, representing your narration -To have the narration play automatically on the slide, click once on the speaker icon to select it -From the Slide Show menu choose Custom Animation -Click on the Add Effect button and choose Sound Actions/ Play -The animation order list will determine the timing of the sound 7

10 Adding Music from an Audio CD -PowerPoint can play music from an audio CD while you re presentation is displayed. However, you must have the audio CD with you every time you display your presentation -To playback an audio CD during a presentation, insert the CD into the computer -Go to the slide where you d like the music to start to make it the active slide -From the Insert menu choose Movies and Sounds/ Play CD Audio Track -The Insert CD Audio window will appear -In the Start at track: field, enter the track you d like to play -In the End at track: field, enter the track number and how many seconds of the track should play until the audio ends -Click the OK button when finished -Choose Automatically in the window below 8 -A CD icon will appear on the slide You can drag the icon off of the slide area to hide it if you d like -The music will play automatically when the active slide is displayed in the slide show

11 Importing Music from an Audio CD Using Windows Media Player -PowerPoint can playback a variety of music file formats -Using the program Windows Media Player, you can copy a track from an audio CD into a file type that s recognizable by PowerPoint. By doing this it eliminates the need to bring the audio CD with you every time you access your presentation -Insert an audio CD into the computer -Windows Media Player should open automatically -From the View menu choose Go To/ Copy from CD -Click the checkbox next to Title to uncheck all of the songs -Now, check the box next to the song you would like to copy -Click the Copy Music button above the song list -You will see a progression bar while the song is being copied -By default, the song will be placed in My Documents/My Music and will be saves as a.wma Windows Media file. 9

12 Adding Music to a Slideshow -Now that you ve successfully copied a music track with Windows Media Player, you can now use that track as background music underneath some or all of your slides -From the Insert menu, choose Movies and Sounds/ Sound from File -A speaker icon will appear on the active slide -Choose to play the sound Automatically from the dialog window below -Drag the speaker icon off of the slide to hide it from your audience -Click on the down arrow next to the name of the sound and choose Effect Options the Play Sound window will open -Click on the Effect tab -In the Stop playing area click on the After button -Choose the number of slides that you would like your music to play underneath -Click the OK button 10

13 Creating Action Buttons -PowerPoint gives you the ability to create buttons on your slides that can link to other slides, websites, other presentations or other files -To create an action button, go to the Slide Show menu and choose Action Buttons -Click on any of the buttons shown in the submenu -Your pointer arrow will become a crosshair icon, prompting you to drag out the shape/size of your button -Drag out the button on the active slide and release the mouse -The button will appear on your slide and the Action Settings window will appear -Click the Hyperlink to: button and choose URL from the drop-down list -If you d like a sound to play when the button is clicked, put a check next to the Play Sound box and choose a sound -Click the OK button -The Hyperlink to URL window will appear, type a web site address that you would like the button to link to and press OK -Right-click on the button and choose Add Text from the menu -A cursor will blink in the center of the button -Type the name of the website you re linking to -Go to Slide Show view and try out your button 11

14 Custom Shows -A Custom Show allows you to pick and choose certain slides to be shown in a PowerPoint presentation. Maybe you have 50 slides and you d like to condense a lecture or presentation down to 20 slides without having to create a whole new presentation. -Go to the Slide Show menu and choose Custom Shows -The Custom Show window shown below will appear -Click the New button -In the Define Custom Show window type a name for the show -Choose the slides you d like to include in the show and click the Add button after choosing each slide -The Slides in the custom show will appear on the right side of the window 12 -Click the OK button -When the Custom Shows window appears, click the Show button to see the custom show you created

15 Save as a PowerPoint Show PowerPoint files are usually saved as presentations. This means that when the file is opened, all of PowerPoint s toolbars and menus are visible. One of the save options in PowerPoint is to save as a PowerPoint show. When you open a PowerPoint show, it takes you directly to the slideshow. You won t have access to any menus or toolbars. -From the File menu choose Save As -Under Save as type: in the Save As window, choose PowerPoint Show -Click the Save Button -You ll now have two icons in your folder A presentation icon and a show icon 13

16 Package for CD Feature When you ve finished putting together your multimedia presentation, PowerPoint provides you with a way to gather all of your multimedia elements and place them in the same folder as your presentation files. This allows you to easily create a CD of your presentation to take with you to your classroom, home or conference -From the File menu, choose Package for CD -The Package for CD window shown below will appear -Click the Copy to Folder button -The Copy to Folder window will appear -Type a name for the package folder in the name field -Click the OK button to begin the copying -When the process is complete, click the Close button in the Package for CD window -You should see a folder named Welcome to King s Presentation -Copy this folder to a CD or USB key -You can double-click the folder to verify its contents 14
