EVENT DETAILS EVENT NAME This prospectus applies to the 2016 BMX National Championships - Bathurst Thunder Down Under 1.2 DATE Event Start Date: Tuesday, 1 March 2016 Event Finish Date: Sunday, 6 March VENUE Bathurst BMX Club 378 College Road, Mount Panorama Bathurst NSW EXPECTED NUMBERS Over 10,000 people are expected over the duration of the event. 1.5 CATERING Various food and beverage vendors will be operating within the Pro Shop vacinity and throughout event opening hours

EXHIBITOR STAND SPECIFICATIONS 4 We are aiming to ensure that the exhibitor area for the 2016 BMX National Championships will be of a standard that ensures our competitors and spectators will experience a great level of professionalism and satisfaction. There will be three different levels of Pro Shops available for exhibitors. Specifications of each level include: BRONZE PRO SHOPS - Permitted to sell items and place advertisment materials within the perimeter of their pro shop marquee - The trade marquees available include 6m x 3m & 6m x 6m - No advertisement allowed outside of perimeter of their pro shop marquee - Provided with bronze coloured signage with exhibitor name SILVER PRO SHOPS - Permitted to sell items only within perimeter of their pro shop marquee - Permitted to have up to 2 signages, pending approval by BMXA, placed immediately outside of perimeter of their pro shop marquee - The trade marquees available include 6m x 3m, 6m x 6m & 6m x 9m - Provided with silver coloured signage with exhibitor name GOLD PRO SHOPS - Permitted to sell items only within perimeter of their pro shop marquee - Permitted to have up to 2 x 2m mesh banners or 2 tear drops (cannot exceed 307cm by 100cm) within the track and receive full exposure through the live broadcasting - Permitted to have up to 2 teardrop flags (cannot exceed 185cm by 75cm) or 2 pull up banners (cannot exceed 217cm by 85cm), in any combination, placed immediately outside of perimeter of their pro shop marquee - The trade marquees available include 6m x 6m, 6m x 9m & 6m x 12m - Provided with gold coloured signage with exhibitor name

EXHIBITOR STAND SPECIFICATIONS 5 Geneal specifications of exhibitor site include: - The trade marquees will be made up of 6m deep marquees - Power will be available to each site - Fire extinguishers to be positioned accordingly throughout the area oncemarquees have been erected - Signage featuring the exhibitor name will be provided for each exhibitor - Lighting will be provided for each exhibitor - There will be walls separating each site and covers to close the front of the marquees at the end of trading each day - Roaming security will be at the event outside of hours - All electrical equipment brought in must be tagged and tested prior to event commencement - No exhibitor will be permitted to bring their own marquee, structure, vehicle etc. into the exhibitor area for any retails purposes or be allowed to fly or hang advertising materials outside of their designated space. - Excessive load music coming from a pro shop based on a complaint will investigated by BMXA and appropriate action taken which is undisputable - Once all products have been unloaded, all vehicles and trailers will be required to be moved to the car park for the duration of the event (as per 4.4), according to the Bump in schedules - Any exhibitor found displaying items outside of their specified space or selling/ displaying any products/items that has not been approved by BMXA will be asked to remove these items by BMXA. Failure to do so wil result in an invoice being sent following the event for $1, GST.

A deposit will be required to secure your site with an invoice for the remaining amount to be issued closer to the event. All payments are to be finalised by 5 February 2016 or you will not be permitted to trade at the event. Any exhibitor found displaying items outside of their specified space or selling/displaying any products/items that has not been approved by BMXA will be asked to remove these items by BMXA. Failure to do so wil result in an invoice being sent following the event for $1, GST.

8 4. OPERATIONAL DETAILS BUMP IN Bump in time allocation and instructions on how to access the venue to be provided closer to the event. If you need to arrange an alternative time, please advise the Organisers. 4.2 BUMP OUT Bump out will commence on Sunday 6 March or as otherwise directed by the Organisers. No exhibitor will be permitted to bump out until all racing and presentations are completed. 4.3 INSURANCE A copy of your certificate of currency outlining Public Liability cover up to $20,000,000 must be sent to BMXA prior to the event with the attached indemnity form signed and dated. 4.4 EXHIBITOR PARKING Each exhibitor will be permitted to park 1 vehicle per day in the VIP/BMXA car park at the venue. If you have any additional vehicles, you will need to park them in the public car parking space, which is within walking distance of the event. 4.5 EXHIBITOR ACCREDITATION Two (2) exhibitor lanyards will be provided per site (dependant on size) to wear as identification. These will be distributed during bump in. 4.6 SIGNAGE Exhibitor signage will be produced for your site as per your application form. 4.7 UNMANNED EXHIBITS For any reason, should you not be able to man your exhibit at any time, please ensure that a sign is produced and displayed to indicate when the next time the exhibit will be manned and all items are secured. Your equipment is your responsibility and if you have anything valuable BMXA advise that you lock it away somewhere safe while you are away from your site. BMXA take no responsibility for lost, stolen or damaged goods or equipment. 4.8 SECURITY Roaming Security has been arranged for the event after hours. Please be aware that roaming security means that security will be at the venue but not specifically at the exhibitor precinct. Your equipment is your responsibility and if you have anything valuable BMXA advise that you lock it away somewhere safe after hours. The exhibitor marquees DO NOT lock. BMXA take no responsibility for lost, stolen or damaged goods or equipment. 4.9 WASTE MATERIAL Recycle and waste bins will be located near the trade area and you are responsible for the cleaning of your own site.

11 7. INDEMNITY 10 PARTIES BMX Australia ( BMXA ); Bathurst Regional Council ( BRC ); The entity referred to in Item 1 of the Schedule ( Exhibitor ). AGREEMENT BMXA grants a licence to the Exhibitor to use that part of BRC premises specified in Item 2 of the Schedule on the date or dates specified in Item 3 of the Schedule (or such other date or dates as may be agreed between the parties) for the purpose specified in Item 4 of the Schedule. In consideration of BMXA allowing the Exhibitor to use BRC premises, the Exhibitor agrees to indemnify and keep indemnified BMXA and BRC their officers, employees, representatives, consultants and agents from and against any actions, suits, costs, claims, damages and expenses which it or they may incur or become liable for by reason of any act, omission, injury or loss, expenses, damages, matter or thing occurring on the BRC premises arising from any usage by the Exhibitor except to the extent that the injury or loss, expense, damages, matter or thing occurring is caused by BMXA, its employees or agents. The Exhibitor must make well at its expense any damage that may be caused to any building, appurtenance or equipment within the premises except where such damage is caused by an act or omission of BMXA, its employees or agents. The Exhibitor warrants that any material produced as a result of its use of the premises pursuant to this agreement, shall not be utilised in any other manner or for any other purpose than that referred to be in Item 4 of the Schedule. 12 8. CODE OF CONDUCT PURPOSE The purpose of the BMX Australia (BMXA) Code of Conduct (Code) is to describe the type of behavior. BMXA is seeking to promote and encourage its members and supporters to adopt. 2. GOVERNANCE The code shall be known as BMX Australia s Code of Conduct. The Code shall govern the conduct of all persons formally associated with BMX within Australia. In particular, it shall apply to: Persons acting for and on behalf of BMXA; Athletes, coaches, managers and support staff of BMXA; Persons participating in BMXA sanctioned events; Officials and support personnel assisting or conducting BMXA events; and BMXA appointed Delegates and employees of BMXA. 3. KEY PRINCIPLES BMXA wishes to operate in an environment where people show respect for others and their property. Respect is defined as consideration for another s physical and emotional wellbeing and possessions, to ensure no damage or deprivation is caused to either. BMXA wishes to operate in an environment that is free from harassment. Harassment is defined as any action directed at an individual or group that creates a hostile, intimidating or offensive environment. (Refer to ASC Guidelines for Harassment-Free Sport). BMXA wishes to operate in a non-discriminatory environment. Respect the right, dignity and worth of every human being - within the context of the activity, treat everyone equally regardless of gender, ethnic origin or religion. Persons to whom this Code applies acknowledge and agree to comply with the disciplinary and grievance procedures promulgated by BMXA. If any disciplinary action is taken, persons directly affected shall be given the opportunity to participate in those proceedings and the right to appeal against any decision against them. 4. KEY ELEMENTS All persons who are bound by this code shall: Act in a manner which is compatible with the interests of BMXA; Accord people involved in BMX with the appropriate courtesy, respect and regard for their rights and obligations; Treat people s property with respect and due consideration of EPIC values; Show a positive commitment and abide by BMXA s policies, rules, procedures, guidelines and agreements; Respect the law and customs of the places they visit; Respect the confidentiality of information which they receive in the course of fulfilling their duties; Uphold the standing and reputation of BMX within Australia and in no way bring the sport into disrepute; Not misuse provided funds or property belonging to another party; and Observe and comply with the Anti-Doping Rules set out in the BMXA s Doping Policy Not sell or display products/merchandise that does not adhere with BMXA values including, but not limited to, tabacco products, illicit drug related products, alcohol and pornographic or other objectionlable material

CODE OF CONDUCT UNACCEPTABLE BEHAVIOUR This list that follows provides examples of behaviour deemed to be unsuitable and not in the best interests of the sport of BMX: Sledging other athletes, officials or event organisers. Sledging is defined as a statement that is deemed to denigrate and/or intimidate another person, or behaviour likely to constitute emotional abuse. Excessive use of alcohol, acting in a way that becomes a public nuisance, or creating a public disturbance. Damaging another person s property or depriving them of that property. Sexual relations between an appointed official and a junior athlete (under the age of consent), irrespective of the wishes and desires of the athlete. In all other cases such relations are strongly discouraged. Any physical contact with athletes shall be appropriate to the situation and be necessary for the further development of the athlete s skill. The use or encouragement of the use banned substances. (The banned substance list is as outlined under BMXA s Anti-Doping Policy.) Statements that are deemed to denigrate the group that an individual is representing. Any type of gambling, betting or organisation of betting at any BMX event, while competing, officiating or undertaking a management role. Any form of harassment.
