1 Letter to New Members Welcome to the Boise Y Swim Team and Treasure Valley Family YMCA! We are looking forward to a fun and successful fall season. This letter will give you a better understanding of the Boise Y Swim Team and help you get started as a member. The purpose of the Boise Y Swim Team is to develop strong kids who live by the YMCA core values of caring, honesty, respect and responsibility. We do this through a competitive swim program that offers development opportunities for swimmers at all levels from those who desire to compete at a local level to those who desire to compete at a national level. The best way to become familiar with the Boise Y Swim Team is to check out our website at Here you will find links which will allow you to learn everything there is to know about our team. You will also be able to download all of the information and forms necessary to complete your registration with our team. The team is divided into various workout groups based on age and ability. There is a monthly swim team program fee for each group outside of the fee you pay for your YMCA membership. Coaches at each YMCA will make the final determination as to what group a child will swim in. The Registration Packet includes a description of the practice groups, the workout schedules, and the fee structure. We try to communicate with our membership on a regular basis. Your monthly bill and newsletter will be ed to you the bill coming on the 21 st of the month and the newsletter towards the end of the month. The newsletter will also be posted on the team website. Once you are on the team, we also send out weekly updates. Therefore, it is important you give us a valid address. Once you have completed all the forms in your New Member Packet, have made a copy of your swimmer s birth certificate and have made out a check for the USA Swimming Registration Fee, mail your packet directly to Patty Stratton, Boise Y Registration Chair. DO NOT give forms to the YMCA front desk or to a coach on deck. Patty s address is in the packet. We have put together a packet which we hope will provide you with all the information you need to begin swimming with our great team. Please read the material carefully. If you are registering more than one child, please download additional forms as needed. Only one Parent Pledge Form and one Volunteer Form are needed from each family. All forms requiring a signature must be returned as soon as possible. ALL ITEMS MUST BE RETURNED IN ORDER FOR YOUR REGISTRATION WITH THE TEAM TO BE CONSIDERED COMPLETE! 1. Fill out and return the 2010 USA Swimming Registration form. Your registration will be valid from now until December 31, Membership in USA Swimming provides your swimmer(s) with secondary accident insurance. You must also include a check made out to The Boise YMCA Swim Team for $53. This annual fee must be paid in order for your swimmer to practice and compete with the team. Monthly dues and other charges will be billed you will receive your first bill via between the 21 st and 25 th of the month. Do not make your check out to Snake River! 2. Important: You must provide a photocopy of your child s birth certificate with your Registration form if your child was not registered in The photocopy will be mailed to Snake River Swimming s Registration Chairman. You may mark out any information (other than legal name and birth date) which you would prefer not be known. 3. Fill out and return the Team Registration form. 4. Fill out and return the Health History form. It is very important we have up-to-date information and a doctor s name on file. 5. Sign and return the YMCA Code of Conduct & Parent Pledge Forms. 6. Read the Parent Service Responsibility Policies and, fill out, and return the Parent Service Responsibility Form. We have listed several opportunities for parental involvement with the swim team. All parents are expected to help with our team meets or other team functions so indicate now what job you would like to do. 7. Complete and return the Swimmer Photo Release form. We have included a number of other important items in your packet. 6 Boise Family YMCA / Boise YMCA Swim Team Authorization to Provide Emergency Treatment to a Minor This form must be read and signed before the participant is permitted to take part in any travel, training, competition and/or meeting sessions. By signing this agreement, the parent/legal guardian of the said participant affirms having read it. 7 YMCA Code of Conduct For Boise Y Swim Team Participants The purpose of the Boise Y Swim Team is to provide meaningful experience and opportunity for recreational and competitive swimmers. The YMCA Character Values of Caring, Honesty, Respect and Responsibility guide the swim team to ensure an atmosphere of safety and belonging for all participants. Caring I will be supportive of my teammates. I will do my best to be a role model to younger swimmers. I will take pleasure in and celebrate others success. Honesty I will tell the truth. I will own up to and apologize for my mistakes. Respect I will demonstrate good sportsmanship at all times. All cheering will be positive. I will be respectful of teammates, competitors from other teams, officials, coaches and parents. I will treat facilities and equipment we are privileged to use with respect. I will use respectful language and refrain from abusive or profane language. I will show respect by winning with class and losing with class with dignity and humility. Responsibility I will take responsibility for my own actions. I will help with set up, clean up and putting equipment back where it belongs. I will volunteer as much as my schedule permits. I take responsibility for my swimming performance recognizing that my efforts in practice lead to my results in meets. I will base my success on my own performance, not by comparing it to others. 8 YMCA and Positive Coaching Alliance Parent Pledge Parents please read, initial each item, sign and return to the coaching staff. 1. I pledge to get my swimmer to practice and swim meets on time. I understand that it can be embarrassing for my child to be late and that I may be putting him/her at risk by not providing adequate time for warm up. This shows respect for the coach, and it tells my swimmer that he/she is my top priority. (initial) 2. I pledge to use positive encouragement to fill my child s Emotional Tank because athletes do their best when their Emotional Tank is full. I understand than fewer than 1% of youth sports participants receive college scholarships and that the top three reasons kids play sports are: a) to have fun, b) to make new friends, and c) to learn new skills. 9 BOISE YMCA SWIM TEAM PARENT SERVICE RESPONSIBILITY POLICIES The YMCA is an organization dedicated to building strong kids, strong families and strong communities. Youth participating in YMCA programs are more resistant and resilient to the negative social pressures, which they are exposed to every day at school, in your neighborhood, or through the media. By having positive role models, engaging in physical activity, volunteering, learning about YMCA core values, kids on the swim team are more likely to have a higher number of internal and external developmental assets, which ultimately can help them live healthier lives. Because of reasons like these, combined with an integral need for cooperative support at events and functions, the Boise YMCA Swim Team has implemented a new Parent Service Responsibility Policy. Team Membership Parent Service Responsibility As members of the Boise YMCA Swim Team, parents are needed to serve on the Swim Team Advisory Committee, coordinate special events, support the Aquathon fundraiser and, most importantly, to help with swim meets. However, whichever areas you participate in, you can take great satisfaction in knowing that you are key in making the Boise YMCA Swim Team experience something that all swimmers will remember for the rest of their lives, and that they will be healthier in spirit, mind and body because of your support and cooperative help. Home Swim Meet Parent Service Responsibility Parents of all Boise YMCA swimmers who have been entered to swim in any given meet are required to work at that meet, and they will be assigned jobs and shifts to coincide with their swimmer s events, unless otherwise requested. The required minimum number of shifts (which are usually 2 hours in length) per family per meet is one shift per day of competition. The maximum number of shifts assigned per family per meet will vary it will depend on the size of the meet and the number of Boise YMCA swimmers entered in that meet. Either the Meet Director or the Parent Service Coordinator will assign jobs and shifts. However, parents are able to request specific jobs and shifts up until the meet entry deadline. Pre meet and non timing assignments, such as Meet Set Up/Take Down, Warm Up Marshal, Heat Sheet Sales, Awards, Hospitality Helpers, and Raffle Ticket Sales, will be first assigned to parents of 8&Under swimmers. All meet workers must ensure they sign in at the Meet Director s table upon arrival for their shift. If a parent is unable to work an assigned shift, any other family member, relative, friend, or even a high school student who needs community service hours, may be substituted (they must be over 12 years of age). It is the parent s responsibility to find a substitute should one be needed. Parents must inform the Parent Service Coordinator prior to the first day of the meet, and have their substitute signin at the Meet Director s table upon their arrival for the shift. Once a meet job and shift schedule is finalized (usually by the Tuesday before each meet), it will be posted on the Team s website, ed in the weekly update and either mailed or phoned through to each assigned family. At the meet, the schedule will be posted around the pool on brightly colored boards and at the Meet Director s table. Parents may opt out of working a meet provided they give the Parent Service Coordinator at least two weeks notice (by or in writing) and pay a $25 meet opt out fee (this fee only covers one meet and will be billed directly to their account). The Meet Director may waive this fee if there are extenuating circumstances (which should also be communicated by e mail or in writing as soon as the situation arises). However, it is requested that parents either work their shift/s or do their best to find a substitute swim meets need workers, not money! Families who do not turn up for their assigned shift/s at a meet will be charged a $25 per shift no show fee. The Meet Director may waive this fee if there are extenuating circumstances. Failure to show due to parent negligence in reading s, checking mail or otherwise neglecting to find out if they had a shift assigned, does not constitute waiving of this fee. At the conclusion of a meet, the Meet Director will give the Team Administrator the names of those families who should be charged a fee and the amount. Away Swim Meet Parent Service Responsibility If a Boise YMCA Swim Team parent accompanies a swimmer to an away meet, they are required to work at least one timing shift per day of competition. Officials working at away meets are exempt from this requirement. It is extremely important to note that no child will be discriminated against, kept out of the water, or turned away from the team, due to lack of parental service participation. In addition, good communication goes a long way to preventing misunderstandings and ill will. We ultimately rely on the honesty, responsibility, respect and the caring attitude of all parents.

11 SWIMMER PHOTO RELEASE FORM The Boise Y Swim Team would like to publish pictures taken at swim meets, practices, etc. during the year either on the website (in the password protected area) or in printed material (i.e. Swim Team Calendar). In order to do this, we feel we need permission from the parents of swimmers under 18 years of age. I give my permission to the swim team to publish pictures of my child. 12 BOISE YMCA SWIM TEAM FEES, FUND RAISING, & OTHER CHARGES FOR 2010 Becoming a member of the Boise YMCA Swim Team means fun, fitness, and teamwork. It also means a financial obligation to pay your monthly dues and other charges in a timely manner. The following outlines what you can expect to pay as a member of the Boise YMCA Swim Team. At first glance, it may seem as if the swim team is expensive. However, when taking into account the hours of coaching your swimmer receives for his monthly dues, the swim team offers a reasonable team experience designed to promote self esteem, selfdiscipline, and good sportsmanship. YMCA MEMBERSHIP: USA SWIMMING: MONTHLY DUES: REGISTRATION FEE: FINANCIAL ASSISTANCE: Because the swim team is a Boise YMCA program, each Swim Team member must also be a member of the Boise YMCA. The membership fee varies depending upon whether you have a youth or family membership. Arrangements for becoming a YMCA member should be made at the front desk. Your membership allows you full use of both the Downtown and West Boise facilities. Currently, the youth membership is $20.90, plus tax, per month if paid by monthly bank draft. If you choose not to do the bank draft, monthly dues are $31.35, plus tax, payable in advance. There is no joining fee required for a youth membership. As the Boise YMCA Swim Team is a member of USA Swimming, all members are required to pay a yearly membership fee. The annual fee for 2010 is $53. The USA Swimming membership provides secondary health and accident insurance in case of injury during swim team practice and during swim meets. Unlike most Boise YMCA programs, the Boise YMCA Swim Team is responsible for paying all program costs including coaches salaries, team travel, financial assistance, and operating expenses. Therefore, the Boise YMCA Swim Team must charge each swimmer monthly dues. The dues are dependent upon the group which your swimmer is placed in and will change as your swimmer moves from group to group. Our current monthly dues are as follows: Yellow - $43.00; White - $43.00; Red - $48.00; Blue - $52.00; Pre-Senior - $65.00; and Senior - $ A discount will be given at the rate of 90% for a second swimmer, 50% for a third swimmer, and no charge for additional swimmers after three. (The swimmer in the most advanced practice group will be charged 100%, the second highest group 90%, etc.) The discount applies to dues only. Families will receive a bill each month, along with the team newsletter. Each January, team members will be charged $24 to cover all relays, credit card and bank draft fees, printing of registration forms, etc. This fee is pro-rated throughout the year (i.e. swimmers joining the team for the first time in September will be charged $8.) Financial Assistance (FA) for Boise YMCA Swim Team monthly dues is available. If you are in need of Financial Assistance, the swim team asks that you apply through the Boise YMCA for assistance with their membership fee. Applications for Financial Assistance are available at the front desk. Once you have been approved for assistance by the Boise YMCA, notify the Administrative Assistant of the swim team. The Swim Team will then grant Financial Assistance at the same percentage and in the same method as the Boise YMCA. Financial Assistance provided by the swim team is not available for anything except monthly dues. In addition, families on Financial Assistance are expected to regularly volunteer and participate in Aquathon. Please direct all financial questions to our Team Admin, Patty Stratton ( ). -OVER-

13 LEAVE OF ABSENCE: FUNDRAISING: TEAM UNIFORM: SWIM MEETS: Because of the size of our team (230 families), it has become more and more difficult to keep track of swimmers who take a leave of absence for a short period of time. In addition, it is extremely hard to prepare an annual budget which takes into consideration the income lost by swimmers who decide to take a leave of absence of any length. Therefore, we have developed a Leave of Absence policy. This policy is as follows: A reinstatement fee of ½ of your current monthly dues will be assessed upon the swimmer s return to the team after the leave. This reinstatement fee will be waived if the following two criteria are met: 1) Prior to the LOA, the swimmer had been an active member of the swim team for 9 continuous months and 2) the LOA is less than or equal to 3 months. LOA requests must be received no later than the 15 th of the month preceding the leave. Because of the expense of staffing two pools and providing a quality program for up to 250 children, monthly dues are simply not enough to cover the costs involved in running our swim team. Therefore, the Boise Y Swim Team offers two ways for swimmers to meet their fundraising obligation. Each year in January, swimmers can opt to participate in Aquathon. The Boise YMCA Swim Team feels Aquathon is a fair and equitable way to have everyone participate in fundraising. Swimmers obtain pledges from neighbors, friends, and family for swimming a certain number of laps (max of 200 in 2 hours). Families also have the option of making a cash contribution to the team in lieu of participating in Aquathon. We have also begun a SCRIP program which will run year round. Details on SCRIP are available for our members on the Fundraising Tab of the website. For 2010, the fundraising obligation for Boise Y swimmers is $200 for 11 & Under swimmers and $300 for 12 & Over swimmers. There is no requirement to purchase the Boise YMCA Swim Team swim suit, sweats, shorts, or t-shirts. Coaches do ask all members to purchase the team swim cap ($4.00 each for latex, $13.00 for silicone) if they are participating in swim meets. The team swim cap is not required to be used during practice. Team sweats are ordered a couple of times a year. For questions about team clothing items, please call Terry Bowns ( ). The Boise YMCA Swim Team hosts 2-3 swim meets each year. In order to run these meets, we need many volunteers. We ask each swim team family to volunteer 3-4 hours of their time during these weekends. Volunteering is a great way to meet new people and get involved in your child's activity. Swim meets are also major fund-raisers for the team. Through the sale of t-shirts and heat sheets we generate needed funds to help with our fund raising goals. Because swim meets are fundraisers, whether or not a swimmer participates in a meet, families are asked to pay an $8/meet hospitality fee. The hospitality room provides food for our coaches and volunteer officials. Fees are charged to enter any swim meet. These charges include a per event entry fee and a swimmer surcharge. The average meet will cost a swimmer approximately $18-22 in entry and relay fees depending upon the number of events entered. Swimmers are billed for entry and relay fees. The team must pay the host club for all entry fees in advance. A swimmer who enters a meet and does not cancel the entry with Patty Stratton before the check is sent to the host club must pay for his/her entry whether or not he/she ultimately attends the meet. 14 Boise Y Swim Team Group Placement Standards Starting January 2010 A Note to our Members: In our desire to have group placement more visible to our members, we are in the process of making some adjustments in the group placement procedures. For this next trimester (January 1 to May 1) our procedure for group placement will be an on going process. Before May 1 we will have a final version to lead us through the summer and, with likely a few revisions, be in place for next fall. What you will read below is different than we have done in the past. Though some current swimmers may not qualify by the following standards for the group they are presently in, all current swimmers are grandfathered into their group. The standards set forth below will apply to new swimmers and future placements. Team Groups The Boise Y Swim Team is divided into several training groups, done with the consideration of the swimmers development of technical skills, training abilities, commitment level, maturity, competitive levels, meet participation and group availability. The progressive structure of these groups provides a setting in which swimmers are continually challenged yet are able to experience individual and team successes. All group placement decisions are made by the entire coaching staff and done so in the best interest of the swimmers and their long term development. Yellow Group The Yellow Group provides younger swimmers with the opportunities to develop the fundamental skills of the four competitive strokes, turns and starts, plus to learn basic racing skills. Generally, swimmers will be placed in training groups based upon their age and ability. Although participation in other sports and activities is normal, swimmers are encouraged to attend 2 3 practices a week because good attendance is one of the considerations for promotion. Placement into Yellow 6 11 years of age Can swim in deep water Can swim 50 yards freestyle demonstrating breathing to the side and good body position Can swim 50 yards backstroke demonstrating good body position Can swim 25 yards breaststroke or butterfly is a plus Can demonstrate a forward dive from the edge of the pool White Group The White Group focuses on continued development in stroke technique and efficiency plus the introduction of aerobic training. Swimmers are encouraged to attend at least three practices a week. Although attendance is not required, it is necessary to build a foundation for moving to Red. Placement in White 9 12 years of age Has demonstrated legal technique in all four strokes Has achieved at least one or more 10 year old B National Age Group Motivational Times Has a strong attendance record (2 3 days a week) Has demonstrated on a daily basis the desire and ability to perform at a higher level Demonstrates YMCA core values and good sportsmanship at practices and meets Has coaches recommendations 8 & Under swimmers can be promoted to White if they have achieved three or more 10 year old B National Age Group Motivational Times, have a strong attendance record (2 3 days a week), have demonstrated on a daily basis the desire and ability to perform at a higher level and have shown the maturity to work with older swimmers

15 Red Group Red Group continues to refine stroke technique and efficiency, plus sets a strong foundation for aerobic training with longer freestyle sets and IM sets as the staples for the workouts. Strong workout habits are taught and swimmers are expected to attend four workouts a week. Placement into Red years of age. Has achieved at least one, preferably more, 11 year old B National Age Group Motivational Times Has a strong attendance record (3 days a week) Has demonstrated on a daily basis the desire and ability to perform at a higher level Has coaches recommendations 10 year olds can move if they have achieved three or more 11 year old B National Age Group Motivational Times, have strong attendance (3 days a week), have demonstrated on a daily basis the desire and ability to perform at a higher level and have shown the maturity to work with older swimmers Demonstrates YMCA core values and good sportsmanship at practices and meets Blue Group The Blue Group is for those swimmers who dedicated to improving their skills in swimming with an eye to either becoming more competitive in the sport, or to continue their competitive swimming career in a less regimented manner or to use swimming as cross training for their primary sport. Stroke technique and aerobic training are emphasized at every workout. Swimmers are expected to come to workouts on a regular basis. Participation in other activities is normal and encouraged; however, good attendance and a good attitude are major considerations to advance to Pre Senior. Placement into Blue 13+ years of age Can demonstrate legally the following strokes and distances: 200 yard Freestyle, 100 yard Backstroke, 100 yard Breaststroke and 50 yard Butterfly. Can demonstrate a forward dive from the edge of the pool Has coaches recommendations Demonstrates YMCA core values and good sportsmanship at practices and meets Pre Senior The Pre Senior Group provides a rigorous training regimen plus continued efficient stroke technique for swimmers who have made a strong commitment to the sport of swimming. Members in this group are looking at the regional competition with strong qualifying standards, such as Age Group Sections. Six workouts per week are offered and swimmers are expected to attend an average of five. Placement in Pre Senior 13+ years of age. Achieved at least one, preferably three or more, 13 year old BB National Age Group Motivational Times. Attended 90% or more of the offered workouts for Blue or Red. Demonstrated on a daily basis the desire and ability to perform at a higher level. Coaches recommendations year olds must achieve three or more 13 year old BB National Age Group Motivational Times plus have attended 90% or more of the offered workouts, have demonstrated on a daily basis the desire and ability to perform at a higher level, and have shown the maturity to work with older swimmers. 16 Senior Group The Senior Group is a high performance training group committed to qualifying for and competing at regional senior meets, Senior Sections, YMCA Nationals and USA National competitions. The emphasis will be on increased aerobic conditioning, as well as the physical, mental and emotional preparation required to be successful at the senior level. This group will focus on advanced stroke mechanics, training specific energy system, perfecting race strategies, proper nutrition, goal setting and mental preparation for high performance. Placement in Senior 13+ years of age. Achieved at least one, preferably three or more, 13 year old AA National Age Group Motivational Times. Attended 90% or more of the offered workouts for Pre Senior. Demonstrated on a daily basis the desire and ability to perform at a high level. Coaches recommendations 12 year olds must achieve three or more 13 year old AA National Age Group Motivational Times, plus have attended 90% or more of the offered workouts for Pre Senior, have demonstrated on a daily basis the desire and ability to perform at a higher level, and have shown the maturity to work with older swimmers Demonstrates YMCA core values and good sportsmanship at practices and meets

17 BOISE YMCA SWIM TEAM POLICY FOR CONTROLLING DELINQUENT ACCOUNTS REASON FOR THE POLICY. As a volunteer, not-for-profit organization, the Boise YMCA Swim Team depends on the cooperation of its members, especially in the matter of finances. Some members are chronically late, erratic, and even delinquent in meeting their obligations. In the past, we have had no established policy in this area and unpaid balances have become alarmingly large without having any way to control them. Financial aid and special arrangements for hardship are supported by the Swim Team and the YMCA, so seriously past-due accounts are unfair to everyone--those who owe them and those who subsidize them. This policy is not intended to punish anyone. It is a necessary consequence of being a large team requiring business-like administration. Few members will be affected by it, but we all need to be reminded our responsibilities are real and not meeting them will have direct, tangible consequences the whole swim team supports. The policy defines the club's expectation for payment of dues and fees and allows for exceptions in special cases. It then defines membership in good standing, how one can lose that status, and what the consequences of that loss are. It also provides for tracking and reinstatement. 1. PAYMENT EXPECTATIONS. Members are billed monthly for swimmer's fees, meet entry fees, and other items which members have agreed to charge to their accounts. Payment is due upon receipt, and will be considered past due fifteen days after the bill's mailing date. Bills are mailed to members on the 1 st of each month; therefore, an account becomes past due if balances owing are not received by the Team Administrative Assistant by the 15 th of that month. 2. EXCEPTIONS. Members with special financial situations will be accommodated if they make arrangements with the Team Admin. Such arrangements must include a written payment schedule, signed by the member, which brings the balance current within a reasonable time period. It is the responsibility of the member to bring the issue to the attention of the Team Admin, Treasurer, and the Head Coach. 3. MEMBER IN GOOD STANDING. A member in good standing is any member whose account is: a. Current or b. Less than 60 days past due and who has made special payment arrangements with the Team Admin as described in Exceptions. 4. LOSS OF STATUS AS MEMBER IN GOOD STANDING. A member who ceases to be a member in good standing loses membership privileges for themselves and their swimmers, including elective or appointive positions on the management council, appointive positions for team events, subsidy or reimbursements for meets, and eligibility for participation in workouts and meets. 5. PROCEDURE. a. This policy will be included in the registration packet for all new swimmers and will be posted on the team website. b. If a member's account becomes 30 days past due, the Team Admin will enclose a copy of this policy with the following month's billing, providing no other arrangements have been made. -- over --

If a member's account becomes 60 days past due, and no satisfactory arrangement has been made with the Team Admin to cure the past due balance, the member will be considered to have lost good standing status. At this point, the member s name will be turned over to the Treasure Valley YMCA and their membership account with the YMCA will be flagged and will remain so until a satisfactory arrangement has been made as described in Exceptions. Flagging an account may result in the swimmer not being allowed to proceed past the front desk of the YMCA. Leaves of Absence/Resignation Policies: Members wishing to either resign from the team or temporarily take time off from the team to pursue other activities and interests, must complete the Leave of Absence form in a timely manner and submit this to the Team Admin for processing, in order to avoid being billed and held liable for fees and charges during the period of absence. 19 Recommended Consequences for Misbehavior Boise Y Swim Team recommended consequences for not abiding by the YMCA Code of Conduct and/or the Travel Code of Conduct are: First Offense: Second Offense: Third Offense: Continued or: Severe Offenses Vandalism Theft Substance Abuse Warning by attending coach. Parents contacted. Conference with participant(s), parents, attending coach and Y personnel. Punishment agreed upon for next offense. Punishment performed. Handled by YMCA personnel. Any participant who commits a substance abuse offense is immediately suspended from any team activities. The length of the suspension will be determined by YMCA personnel. For offenses that occur during travel activities, parents will be contacted. Depending upon the severity of the offense, a swimmer could be scratched from events or from the remainder of the meet. Parents are responsible for transportation and any expenses and liabilities if a swimmer needs to be sent home.
