1 New Attendee Website Customization Guide The Attendee Website Customization Guide is designed to help users easily identify the areas that need to be updated in order to quickly utilize the new GroupMAX Attendee Website. This guide will review the following items: Image sizes, quantities, types and placement Font types and placement Messaging options Branding opportunities

2 Enterprise Templates Each company or brand will be able to create a number of templates that can be provided to all hotels. If there are multiple brands for a given company, multiple worksheets will need to be provided. Also keep in mind that we can create separate templates for international and domestic properties if different verbiage or settings are required. We recommend that you create at least two templates for each brand, a corporate template and a social template. Page 2

3 Text & Fonts Key messages like the welcome message and splash message are fully customizable with regards to font size, style and color. These can be defaulted at the template level and further customized at the event level. Options like bold, italicize and underline can be applied to any of these messages. Font options: Andale Mono Arial Arial Black Book Antiqua Comic Sans MS Courier New Georgia Helvetica Impact Symbol (not pictured) Tahoma (not pictured) Terminal (not pictured) Times New Roman Trebuchet MS Verdana Webdings (not pictured) Wingdings (not pictured) Page 3

4 Splash Page The splash page is the default landing page for an event website. If multiple Attendee Types are being used, a dropdown will be shown for the guest to select the appropriate attendee type. If only one Attendee Type is available, the drop down will be replaced by a Make a Reservation button. Item Details Restrictions Optimal Dimensions Hotel Logo Hotel or event logo. Located at the top of the page. Max of 1 Image 135px x 100px Header Text Can define font size, can define the color, italics, bold, underlined, can use HTML. Up to 100 characters N/A Splash Text Can define font size can define the color, italics, bold, underlined. Up to 100 characters N/A Splash Page Image Image can cover the entire page if needed. 5 Landing Page Once a guest selects an attendee type, they will arrive on the landing page of the event where they can begin to search hotel availability. Item Details Optimal Dimensions Restrictions Main Page Images Images will automatically scroll through x 300 Up to 4 images Slider Message By default it is Event Name N/A Up to 100 Characters Event Images Corresponds to existing scrolling images on current AWS 500 x 375 Up to 10 images Event Description & Welcome Message Font size, font color can be changed (one time for whole area), supports HTML N/A Up to 5,000 characters Page 5

6 Room Selection Page Next, the guest will Review availability and select a room from the room selection page. By using the display options in the website section, this page can be configured to show only available rooms or all rooms. Item Details Optimal Dimensions Restrictions Room Images Images can be added to the Room Type Library of each room type 500 x 375 Up to 10 Images per room type Page 6

7 Room Upsell Page In order to maximize revenues and offer the guest the most options, the guest will be presented with any potential upgrades after the guest chooses their initial room type. This page can be configured to be sorted in a number of ways, including by price or room type name. In order to drive incremental revenue, hotels should make sure to always offer upsell opportunities if they are available. Page 7

8 Add-Ons *New Feature* Add-ons is a new feature that gives hotels the option to sell items, or services, in addition to guest rooms. Add-ons can be added at the Library, Bundle and Event levels. In order to accommodate as many options as possible, Add-Ons can be sold per night, per stay or per item and can be offered by room and attendee type. Examples of Add-ons: Food and Beverage For example, a bottle of wine, champagne, fruit Platter, chocolates, etc. Services For example, spa treatments, lessons, tours, etc. Daily Amenities For example, wi-fi, parking, breakfast, etc. And many other options Page 8

9 Extend Your Stay Promo Cubes enhances the current Other Services functionality, allowing hotels to highlight amenities, area attractions or events that might entice attendees to extend their stay or explore a particular amenity. Promo Cubes can be set up at the Library, Bundle and Event levels and configured to be shown on any or all pages of the new Attendee Website. For corporate customers, Promo Cubes could be used to promote a rewards or frequent stay program. Page 9

10 Guest Information Pages The Person Information, Travel Information and Payment Information pages will collect the necessary guest information. Certain fields can now be configured to show custom names and be indicated as required based on the user s preference. It is important to note that any customized fields will still map to the same fields that they currently do within in the reservation system. This feature is strictly to change the display on the Attendee Website and does not affect how the data is reflected within the CRS or PMS. Page 10

11 The fields that can be customized on the Personal Information page include: Current Field Name Prefix Suffix Organization Additional Requests Last Name Position/Title Example of Use Mr., Mrs., Dr. Jr., Sr., III Company Name, Team, Group High Floor, Away from elevator Smith Director, Manager, CEO Mailing Address 2 Suite 221 The following fields and messages can also be customized: Current Text Disability Enhance Your Stay No hotel matched your search criteria No room matched your search criteria Description Displays for ADA rooms. Displays when presenting upsell or additional night options. Displays when searching for dates that are not available at any hotel within a Citywide event. Displays when searching for dates that are not available. Other Instructions: Personalize your stay with these options These hotels are participating in the event To view hotels and availability, please enter your dates View/change hotel View/change room Would you like to upgrade your room at a special rate Displays when Add-ons are available. Displays when showing the hotels offered in a citywide event. Displays on the Room Selection page when user selects stay dates. Displays when the guest has the option of changing hotels with an existing reservation within a Citywide event. Displays when the guest has the option of changing room type with an existing reservation. Displays when upsell room types are available after the initial room type has been selected. Page 11

12 Guest Deck Our enhanced guest deck shows guests a map of the area with points of interest and all hotels and venues affiliated to the event in GroupMAX. Room type and add-on upgrades will be marketed to users as well via the guest deck. Page 12

13 Colors Although some colors can be manipulated with the new Attendee Website, most of the website colors are driven by a four color palate: 1) Color 1 defines: a. The background color for the AWS b. The background color for tooltips c. The background color for collapsible sections 2) Color 2 defines: a. The color of the background bar on the splash page 3) Color 3 defines: a. Some text colors for key messages b. Header color for the rooms and hotels pages 4) Color 4 defines: a. Button color b.
