3 A Growing Movement In many organizations, business intelligence is firmly established as the methodology of choice for delivering comprehensive views of business states and directions. Deployed to complement the business processes of an organization, BI tools work with a database management system (DBMS) to improve both responsiveness and competitiveness. Benchmark research by Ventana Research found nearly universal agreement among participants (96 percent) that making BI technology accessible to all relevant functions in operations is important. However, organizations today still struggle to expand BI. Even in organizations with more than 10,000 employees the largest portion of participants in our research (31 percent) said that their current operational BI systems serve 100 or fewer users; just 18 percent of the participants from organizations of that size reported that the systems serve 101 to 200 users. It is clear that to gain the business benefits anticipated from BI, greater involvement and more effective utilization are needed. As an alternative to configuring BI systems themselves, many organizations are choosing to deploy software appliances, which are preconfigured packages of integrated components installed as one system and usually maintained by one vendor. A software appliance configured and tested to be deployed as a single integrated unit can be more reliable than traditionally layered or bundled systems. An appliance can also be easier to support, meaning that if something fails or otherwise goes wrong, it is simpler to restore it to a working state and determine the cause of the problem. Software appliances that implement open source software potentially enable organizations to lower the total cost of ownership (TCO) of BI and reduce the complexity of installation, configuration and maintenance. Ventana Research believes that deploying BI systems that integrate open source end-user tools, DBMSs and operating systems will enable organizations to extend BI effectively. Many open source product development projects are under way, each in a dynamic environment in which developers collaborate to improve software rapidly so they can attract users and vendors that are selecting software to include in their applications and systems. Mature open source developer teams use industry-standard practices for version control, quality assurance, code review and beta releases that resemble those used by proprietary vendors. Many organizations decide to deploy open source BI after having positive experiences with open source operating systems, application servers, Web servers and DBMSs. Moreover, open source DBMSs have matured to the Ventana Research 2010 Page 3

4 point where they can support enterprise BI requirements. That said, the potential for lowering the TCO is unquestionably an important driver for adoption of open source software. Instead of making a large upfront investment in software long before business benefits can be realized, the open source alternative allows companies to deploy systems rapidly and then increase their investment as usage grows. In our benchmark research on open source BI, close to half of the participants (48 percent) said they expect the cost of the software to be about half that of equivalent proprietary BI products offered by commercial vendors. However, Ventana Research cautions organizations not to assume that they can achieve lower TCO and other business benefits merely by installing open source tools. BI systems are complex; typically, successful deployment requires the work of a technically proficient IT organization to assemble and integrate the different software components. Flexibility of Open Source Appliances One of the most challenging phases of BI system development comes early on, when developers and data analysts gather user requirements. Restrictions built into proprietary software licenses often make it difficult to do more during this process than try to match options from the vendors standard feature lists with the user requirements. This process often results in organizations being locked in to paying for and maintaining features and functions that are not relevant to their BI needs or to the underlying data store. Industry consolidation such as we have recently experienced only increases the potential for inflexibility and lock-in. In contrast, many open source software products use a subscription model that makes it easier to pay only for needed features and functions. As use of the system changes, organizations can adjust their subscription costs accordingly. This flexibility is important; it not only makes it less complex and costly to switch vendors if necessary but also means an organization can avoid being locked into a set of tools that may not support evolving needs for reports, analytics or other features. The subscription model and the ability to add or subtract features as needed allow organizations to build their BI systems incrementally. Users can test tools and approve subsets of larger projects instead of incurring large upfront costs to license and deploy the entire software package, waiting for entire systems to be finished and then paying additionally for significant reworking. Software appliances thus can play an important role in supporting user requirements and getting systems deployed more quickly by offering Ventana Research 2010 Page 4

5 preconfigured open source database, operating system and infrastructure elements set up specifically for BI and analysis. If the appliance has extensibility features, organizations then can deploy proprietary or open source BI tools without developers having to write custom code. Meeting Enterprise Requirements for BI Our research indicates that use of open source BI is increasing and that organizations are open to considering its use for future projects. When they evaluate it for use in meeting challenging enterprise BI requirements, the criteria should be no different than those the organization uses to evaluate proprietary software. For both proprietary and open source BI, the data management infrastructure should be an important part of the evaluation because it is the foundation for expanding BI to more users and providing them with access to more data. Implementing enterprise BI involves satisfying several important requirements, which we consider below. Reliability and Availability Before organizations began to extend BI systems into operational decisionmaking, they did not require them to meet the high reliability and availability standards set for transaction systems. Now they are discovering that to support daily customer interactions and other time-sensitive aspects of business, BI systems must be reliable and refresh data frequently. Our benchmark research on operational BI found that nearly 80 percent of participants view one or more updates to data per day as essential. To handle this level of activity, the information infrastructure must experience little or no downtime. Organizations evaluating open source DBMSs for BI should consider products that have a track record of delivering in missioncritical environments that demand high availability and scalability. Some organizations are deploying appliances to improve the reliability and availability of data for specific users or types of queries or during periods of peak demand. An appliance built using enterprise-level open source software can lower the cost of this option. Yet regardless of whether an appliance employs open source or proprietary software, organizations should evaluate the database, the operating system and other included technology to determine whether these can scale up to serve more users and handle queries against increasing amounts of data while continuing to deliver both availability and reliability. 6 Support BI systems require coordination between many software components, which can make it difficult to track down the causes of problems in performance, availability, data integrity and other issues. Performing updates, repairs or other changes typically requires the attention of multiple IT experts who are knowledgeable in each of the individual components of the layered or bundled stack of software. In contrast, an appliance that tightly integrates the components specifically for BI systems can make tuning, support, upgrading and troubleshooting more straightforward. The higher level of integration can make it easier to return the system to full use rapidly when problems occur. Organizations should look for open source software from development teams that have strong participation and leadership and respond rapidly to enterprise-level problems. Service and support are the main points of competitive differentiation among commercial vendors that base their products on open source technology; Using a software appliance can simplify support issues by putting the vendor of the preconfigured BI system in charge of addressing problems for all its components. organizations should select vendors that have experience in supporting around-theclock enterprise BI and data warehousing. However, such systems often employ products from multiple vendors, which can complicate support. Functionality Once BI systems are deployed, users gain experience and frequently want to go beyond canned reporting to drill down into the data and do ad-hoc queries. Even within one vendor s system, users frequently have to switch tools, applications and interfaces to build and share different kinds of reports, deepen data analysis and access information from multiple sources. Open source BI systems can provide advantages by offering tools that employ widely adopted standards not only for data access and analysis but also for application and Web services development, such as the Eclipse framework and the JSR-168 standard for developing portlets, or pluggable components for enterprise portals. However, critical to functionality in both proprietary and open source systems is the underlying information delivery and management platform. Appliances can speed the development of BI by providing standard database interfaces such as ODBC and JDBC as well as native interfaces to data sources. Implementing systems that support such standards is an important step for organizations planning to develop a service-oriented architecture (SOA) and provide data services or other Webbased information delivery to internal and external users. 7 Data Timeliness Delivering timely data is critical to gaining many of the business benefits of BI. Our operational BI research indicates that intraday updating is essential, and that some users need greater frequency than that. One-fourth of all participants in the research indicated that they need one or more updates per hour. Thus, as BI systems mature and extend outward to more operations, they must be able to deliver very timely data to a growing and often diverse user population. An appliance that exploits the capabilities of the DBMS and offers tightly configured interfaces between software components can support high-frequency updating and simplify tuning of the entire system to support the requirements of different sets of users. Usability and Implementation Our research finds that for organizations of all sizes, ease of use and implementation are essential to extending BI. BI systems often require considerable IT involvement, which can cause delays that prevent the organization from gaining timely value from information. Improved ease of use gives users greater options in composing reports and choosing methods of analysis. A significant share (42 percent) of participants in our operational BI research called such self-service BI features very important. Therefore, organizations should evaluate open source BI tools that advance ease of use. Debunking Myths about Open Source BI Systems New ways of acquiring and implementing information systems run into both people s natural resistance to change and efforts by established vendors to spread fear, uncertainty and doubt (FUD) about them. FUD can confuse organizations that are looking for better approaches but want to proceed with caution. Proprietary vendors of all sorts work especially hard to create FUD around competition from open source systems. Here are the prominent arguments they raise against open source BI systems and responses to them. Myth #1: Not enterprise-ready Critics of open source BI systems say that, having been developed informally for small systems, such systems cannot serve the needs of large and complex organizations. In fact, our operational BI research suggests that the opposite may be true: Proprietary software may be by its nature more limited. The research finds that because their underlying information infrastructure has to support multiple enterprise purposes, most organizations can t extend their proprietary BI software to support hundreds or thousands of employees. An open source BI system preconfigured as an appliance, on the other hand, can focus features and functions as needed on Ventana Research 2010 Page 7

8 requirements to support enterprise BI needs, including implementation of parallel systems and partitioning for faster query performance and data access as well as online backup to increase availability. As mentioned earlier, organizations should evaluate whether vendors can provide enterprise-level support services. Myth #2: Less functional Opponents argue that open source BI systems have been developed for narrowly focused purposes and even then include only a few functions targeted at each. This is somewhat true, but where it is, it may not be a drawback. A majority (54 percent) of participants in our open source BI research said that their systems do not need to have more features, and early customers of open source BI have been interested in low-cost systems that serve specific needs. As the market has grown, however, so has the functional richness of the software. However, developing and deploying database and data warehouse systems to support enterprise BI remain challenging endeavors that require IT attention. Organizations can reduce the need for IT resources and establish enterprise BI functionality more rapidly by acquiring a software appliance that is specifically configured for BI and data warehousing. Myth #3: All or nothing Opponents of open source software say that open source BI is all-or-nothing that adopters have to implement it in all instances. But today, few organizations have standardized on one enterprise BI platform; most have a number of departmental BI, reporting and data analysis tools, as well as spreadsheets. All participants in our open source BI research use proprietary products from commercial vendors, and many as well have used open source BI. Organizations should evaluate open source BI, database and data warehouse software for how well they support industry and open source standards. By employing standards-based software, organizations can reduce vendor lock-in and have the flexibility to support both proprietary and open source tools as most appropriate. Myth #4: Ultimately more expensive Opponents of open source software assert that its low initial implementation cost nonetheless does not reduce the long-term overall cost of implementing enterprise BI, and that choosing open source may in fact add new expenses for managing software licenses. It is true that all successful BI deployments involve mastering ongoing issues regarding people, processes, information Ventana Research 2010 Page 8

9 and technology; however, as noted earlier, the flexibility of open source software can help organizations respond cost-effectively to changing user needs. Employing a software appliance can simplify the information management aspects of BI deployment that often prove to be expensive and time-consuming. Using an appliance from a single vendor can lower the cost of managing open source software licenses, as the vendor can be responsible for the licenses of each component inside the appliance and offer the customer a single license. Choosing an Appliance for Open Source BI Strong interest in deploying BI more widely is coinciding with the maturation of open source products as viable alternatives to proprietary software. Open source gives large organizations a less costly, potentially more innovative way to extend BI into operations. Ventana Research advises organizations to avoid being misled by fear, uncertainty and doubt, which discourage innovation, and to evaluate open source BI systems for meeting their growing information requirements. A preconfigured appliance can provide a flexible and reliable infrastructure for extending BI to operational users and managing larger quantities of data. As noted above, a prepackaged, open source BI appliance can simplify many of the issues in deploying BI more widely through an organization. The data management components of an appliance can make it easier to expand BI to support monitoring of customer, supply chain and other operational processes and to support decision-making. Evaluators should note, however, that not all appliances are the same. Some vendors package hardware, software and storage, while others focus on integrating software components for BI activity and leave purchasers to choose hardware and storage strategies and perhaps save money through virtualization. To lesser or greater extents, then, organizations can avoid direct involvement in the technical complexity of preparing and managing large data sets for BI reporting and analysis. Setting up configurations and processes for BI and data warehousing normally takes weeks or months; by deploying an appliance, an organization can move more rapidly from the concept stage through deployment to delivery of business value. Software appliances are an important new option that can enable organizations to satisfy IT concerns and overturn the previously described myths about open source BI systems. An appliance that offers preconfigured integration of DBMS, operating system and other data management tools can provide a flexible and reliable infrastructure for extending BI to operational users and managing larger quantities of data. By enabling organizations to simplify deployment and reduce the complexity and cost of software licensing and maintenance, the choice of an appliance can help organizations gain the business benefits sought from BI systems much more rapidly.
