1 MICHIGAN VIRTUAL CHARTER ACADEMY REQUEST FOR PROPOSALS September 13, Michigan Virtual Charter Academy (MVCA) desires to receive proposals for the purchase of office technology. Proposals are to be submitted in a large envelope clearly marked (TECHNOLOGY PROPOSALS) and must be submitted to the Office no later than 9:00 a.m. on Wednesday, October 14, Any proposals received after that time will be returned unopened. Although cost will be an important factor in awarding the contract, MVCA is not obligated to any statute or regulation to award the purchase of technology solely on the basis of cost. MVCA reserves the right to use the other subjective criteria, and will award the contract to the company that will service the best interests of MVCA. MVCA also reserves the right to waive all informalities or irregularities in any proposal and to reject any or all proposals. Michigan and Michigan minority owned businesses are encouraged to submit a proposal. 3. REQUIRED - A mandatory bidder s conference to discuss expectations and answer questions will be held on Monday October 10, at 9:00 a.m. The conference line phone number is Please use conference code #. 4. The bidder is required to provide (3) three references with phone numbers of current or previous clients. We will check references. 5. The successful bidder(s) shall be furnished a purchase order with MVCA s billing instructions and a purchase order number. If multiple purchase orders are requested, the total of all purchase orders shall equal the bid total. 6. Bids are requested on this inquiry in accordance with brands, specifications, and/or testing and are understood to include or equal. Manufacturers names and model 1 P a g e

2 numbers, when named are for the purpose of establishing the standard of quality, design and utility of the article desired. (See Attachment 1 for list of minimum system requirements). All quotes should include line item listings of product specifications. 7. Bidder must be available to install and provide a service contract for a minimum of three (3) years. The service contract must allow for national vendors who can provide local contractors for installation. Also, they must include a Punch List so the installation team can sign off item by item. 8. Installation shall include placing all equipment in specified locations, installation of equipment and removal of all cartons and wrapping materials off site. All of this is to be done to the complete satisfaction of MVCA. 9. All prices or notations must be typed, written in ink and submitted on company letterhead. Any corrections that are made must be initialed by both parties. Verify all bids before submission, as they may not be corrected after the proposals are opened. All oral or telegraphic modifications must be followed up with a written change order. 10. Prices should not include sales tax, but should include shipping. 11. No additional charges will be allowed for shipping, delivery, containers, packing, drayage or any other purpose over and above the prices bid. 12. Bid prices shall include delivery to the school site. 13. The bidder is responsible for RESOLVING all Freight Damage related claims. MVCA has up to ten (10) days after delivery of awarded products by the freight carrier and acceptance by the School district in which to notify the vendor of said damage. All freight damage is the sole responsibility of the vendor, and the School District is exempt from any replacement costs and/or paperwork due to said freight damage. 2 P a g e
