1 The Hotel Galvez & The Tremont House offer you the following for your special day: linens, dance floor, guest book table, gift table & cake table, complimentary centerpieces of mirrored tiles, & votives. We offer special room blocks for your guests overnight accommodations with a minimum of 10 rooms. (Two night minimum will apply on weekend dates) Complimentary accommodations will be provided for the bride and groom with a contracted food and beverage minimum of $12, at The Tremont House & $15, at the Hotel Galvez. Our hotels set a food & beverage minimum on the ballroom that you choose and a one time set up fee will apply. A set-up fee of $ will be charged for the Ceremony & Wedding Reception. If you wish to hold a Wedding Reception only, the set-up fee will be $ We require a 25% of the Food & Beverage minimum as a deposit at the time of the booking. All deposits received will be credited to the final balance of the function. Final payment and guest count guarantees are due 10 days prior to function. Payment can be made by credit card, cashier's check or cash. A 20% service charge and 8.25% state sales tax will be applied to all Food & Beverage functions. 1

2 CATERING DEPARTMENT GENERAL INFORMATION MENU SELECTION Menu selection, room arrangements and other details pertinent to your function should be submitted to the Catering Department at least 30 days prior to your function date. The banquet menu is designed to be used as a guide to assist you in your menu selections. We welcome the opportunity to create special menus to suit your needs. To personalize your event, please ask for additional suggestions from your Catering Representative. In the event that your wedding requires a split menu, entrée selections are limited to a maximum of 2 selections. There may be an additional charge for this service. BEVERAGE SERVICE We offer a complete selection of beverages to compliment your function. Please note that the Texas Alcoholic Beverage Commission regulates alcoholic beverage sales and service. The hotel, as a licensee, is responsible for the administration of these regulations; therefore, it is our policy that no alcoholic beverages may be brought into the hotel. GUARANTEE The Catering Office should be notified of your expected attendance ten days prior to your wedding. This will be considered your minimum guarantee and not subject to reduction. If a final guarantee is not received, we will consider the number indicated on the original arrangements to be your guarantee. PRICING There will be an applicable service charge of 20% and state sales tax of 8.25% on all food, beverage, audio visual, service fees and rental services. Alcohol sales are not taxable but there is a 20% service charge. Prices are subject to change with guaranteed pricing 90 days prior to the date of the event. 2

3 FOOD SERVICE Hotel Galvez & Tremont House are responsible for the quality and freshness of the food served to our guests. Due to current health regulations, all food served at Hotel Galvez & Tremont House must be prepared by our culinary staff. Food may not be taken off the premises after it has been prepared and served. LABOR /RESET FEES For items requiring a Chef, Attendant, Bar Cashier or Bartender, an $85.00 fee will apply. An additional Re-Set Fee will be charged if the room set up changes within 48 hours of the event and will be quoted and charged based on the change. AUDIO/VISUAL We will be pleased to arrange any audio/visual equipment required for your function, using stateof-the-art equipment from our in house audio/visual company, SWANK Audio Visual. Please consult your Catering Representative for additional information. SECURITY AND LIABILITY The hotel shall not assume responsibility for damages or loss of any merchandise or articles brought into the hotel or any items left unattended. With advance notice we will be delighted to arrange for additional security for equipment or merchandise. You will be responsible for any damages done to the facility during your event. The Hotel Galvez reserves the right to inspect and control all functions. The hotel reserves the right to control the volume level of all music. 3

4 BILLING Hotel Galvez requires that proper credit be established prior to any function. The hotel reserves the right to request a full or partial payment prior to your event. All payments are due within 10 business days prior to the event. If final payment is made by check, the payment must be received 14 days prior to the event. CANCELLATION Please refer to your Catering Contract for details regarding cancellation fees. All cancellations must be submitted in writing. SET UP TIMES Additional set up time can be confirmed 3 days prior to the wedding. All doors must be kept close during set up. PORTRAITS/REHEARSALS Please schedule all bridal portraits with your Catering Representative. Rehearsal times and location can be confirmed 3 days prior to the wedding VENDORS All vendors must load and unload at the loading dock located on Avenue P/Bernardo de Galvez on the north side of the Hotel Galvez. PARKING For guests coming to the event only, valet parking is available for $7.00 per car. For guests staying overnight, overnight parking is $17.00 plus tax and is charged to the guests room. There is a charge for street parking at The Tremont House. Complimentary self-parking is available at the Hotel Galvez. 4

16 FREQUENTLY ASKED QUESTIONS ARE THE CATERING MANAGERS WEDDING COORDINATORS? Your Catering Representatives specialize in food and beverage. If you need assistance in coordinating and detailing your wedding ceremony and/or reception, we highly recommend hiring a wedding coordinator. WHAT TIME IS THE BALLROOM AVAILABLE TO ME? Due to the high demand at our hotels we offer two different time frames. All afternoon weddings should end by 3:30 PM. 9:00 AM-11:00 AM is the setup time and 11:00 AM-3:30 PM is reserved for your event. For the evening time frame setup is from 4-6pm with the event taking place during the hours of 6:00 PM-11:00 PM. CAN I STORE MY FLOWERS AND CAKES AT THE HOTEL PRIOR TO THE EVENT? Unfortunately, we cannot be responsible for storing these items. MAY I VISIT THE HOTEL TO LOOK AT THE BALLROOM ANYTIME PRIOR TO THE WEDDING TO GET IDEAS OF WHAT IT WILL LOOK LIKE? Absolutely, your Catering Representative will provide you with appropriate times when you can visit the site. DOES THE HOTEL PROVIDED CENTERPIECES? Yes we do. We provide 12x12 mirror tiles, glass vases and votive candles. WHAT SIZE TABLES DO YOU HAVE AND HOW MANY PEOPLE CAN BE SEATED? Hotel Galvez offers 60 inch rounds for seating of 6, 8 or 10, and 72 inch rounds for seating of 10 and 12. The Tremont House offers 66 inch rounds. WHAT IS YOUR STANDARD SET UP? We provide all of your tables, white or ivory napkins & floor length linens and a green banquet chair with gold piping. We also offer an upgraded chiavari chair at $5.00 per chair. DO YOU OFFER A CHILDREN S MENU? For children ages 12 years old and under we will offer 50% off of the buffet price. For plated dinners, we offer a children s chicken strip dinner. 16
