2 NHS Mail User Guide Information Link: NHS mail is an Encrypted system used by the NHS. This secure system allows you to send confidential data from one nhs.net account to another without any risks. The system looks very similar to Microsoft Outlook. How to register for NHS Mail Your accounts have been part registered for you. You should have been given a Username/ address and Password to use for your first login. In order to fully register your account you must be at an NHS Site. E.g. Hospital, Surgery, Health Centre. Go to Type in your username and password and click on Log in You will be presented with an Acceptable Use Policy tick I agree ~ outlined above and click on the Next button 1

3 The following page will ask you to setup your own security questions. Create your own questions and answers then click in the Next button. You must remember your answers should you ever need to reset your password. Page 3 will ask you to reset your password, make sure your new password has a Capital letter and a number. Then click on the Next button. Finally click on the Finish button to activate your account. 2

4 If successful you will be presented with this message, click on Close Window. You have now successfully registered your NHSmail account. How to login to NHSmail from an NHS site As above go to Type in your username/ address and password Click on Log in How to login to NHSmail from outside an NHS site: e.g. Home Computer 1) Go to 2) Complete the following fields: Username: Your address Password: the final password that you chose at the initial login stage when completing your registration. 3

5 3) The Password Screen You will be presented with two boxes adjacent to each other. When you click on the first small box you will presented with an on screen keyboard which you need to use to complete the first three characters of your password. (This is a security measure). The rest of your password needs to be typed (using the normal keyboard) into the other adjacent larger box. Click on the Log in button. You can now access your personal NHSmail account. 4

6 How to reset your password Important Password Information: You will be reminded when your password is due to expire up to 19 days in advance. Should this time elapse, you will be locked out of the system. You will need to call the Contact Centre in order to get your password reset: The Contact Centre will ask for your security questions to authenticate your account, and then they will reset your password. If the Contact Centre does reset your password you will be given a default password, you will then need to use an NHS computer at an NHS Site to reset your password. If you cannot answer your security Questions you will need to speak to your manager, who will the contact centre on your behalf and reset your password, they will then give you your new password. Again, you will need to attend an NHS site to reset your password. It is good practice to reset your password once a month. Resetting your password online (from a non NHS site) You can reset your NHSmail password at any point without having to attend an NHS site. Do to this, log into your NHSmail account and click on the Tools button. Select User Tools on the bottom left of the page and then select Change Password. Follow the on-screen instructions then click on the OK button to reset your password. 5

7 Troubleshooting I cannot log in to NHSmail but I know my password is correct. Make sure you are typing your full address in the login box I do not have access to/cannot open a generic account Speak to the Mailbox Owner, they can check if you have been given access I cannot open another colleagues mailbox Speak to the person and get them to check the access they have given you I cannot remember my security questions You can update/review your security questions at any time in the Tools section 6
