1 Notes for Guidance - Female Animals SCOTTISH EXECUTIVE Rural Affairs Department Herd Register for Female Bovine Animals Separate record books are provided for male and female cattle. Unless you can produce an accurate up-to-date herd register for inspection by authorised officials on request you may lose subsidy payments and/or face prosecution. A computer register is acceptable so long as it produces a register in this format. Please keep your records in a safe place. As soon as you receive this booklet, you should enter details of all the female cattle on your holding in the Individual Animal Record and complete the first entry in the Continuous Herd Record. If you have claimed SCPS we recommend that you back-date the register to the date you submitted your claim. Entries should be clearly printed in ink and the register must be retained for at least 0 years from the end of the calendar year in which the last entry was made. Individual Animal/Movement Record (Pages -) All additions to your herd, all s on and off your BCMS registered holding, and all deaths on farm, must be recorded. Details of all cattle, not just those for which a subsidy has been claimed, must be recorded. Movements of the same animal on and off the holding, including temporary s which need to be notified to BCMS, must appear on the same line. A new entry must be started when an animal returns to the holding. At the top of page you will find several illustrative examples of an individual animal/ record. Columns - must be completed: column : the old and new official s of retagged animals () should be included; column : the exact date of birth must be entered. If not known (for example, if the animal has no passport) enter the month and year. The date of retagging should also be recorded; Name Address Holding number Herd Mark Postcode column : the recognised breed code should be entered, referring to the current guidance and breed code list issued by BCMS; column : must be completed for calves born on your holding. The dam s and where relevant the surrogate dam s must be entered. The sire s ear tag number is optional but you may find it useful to record this detail; columns and must be completed for all cattle moved onto your holding; columns and must be completed for all cattle which move off your holding (for example, to another holding or to a knackers yard) or which die on farm. In the latter case you should also show the method of disposal and, if relevant, the date of of the carcase and the name of the haulier.; column is for your own notes. For example, you may find it useful to note animals for which premium has been claimed in a particular year, or add management tag cross references. Continuous Herd Record For Female Cattle: Running Totals (Pages -) To assist with record checks and stocking density calculations the Continuous Herd Record needs to be completed and kept up to date. This summarises the information detailed in the individual animal/ record and indicates the herd structure throughout the years. Keeping this section accurately will reduce inspection times considerably. The Events/Comments box should show reasons for entry, for example, the birth or sale of one or more animals, and may include other details for your own information which will also aid inspections. These details may include a management eartag number and/or official eartag number or the corresponding line number from the Individual Animal/Movement record. On page you will find an illustrative example of a continuous herd record covering a month period.
