1 ALUMNI SOCIETY Club Self-Analysis Have Club goals been established? Are we accomplishing these goals? Do we review goals periodically (yearly?) to gauge accomplishments, change priorities if needed, or change direction? Are we building a stronger, more cohesive alumni base while maintaining our existing constituency? Are committees and task forces operating? Are we motivating people into committee work and future leadership posts? Are we asking people to take on jobs? Do we make written reports, keep records and use these for guidance in future activities or is that wheel constantly being re-invented? Do we try to get good distribution in our committees? by age by gender by ethnic and racial background by geographic representation Do we know our alumni constituency? by names graduating year home addresses; phone numbers; addresses their field of endeavor firm and place of employment name of spouse professional and community accomplishments PAGE 1 OF 8
2 Do we know the interests and needs of the alumni in various age brackets? brand new grads recent (1-5 yr.) grads new Dad/Mom grads alums with kids in primary and secondary schools alums with kids in or entering college mature alumni Golden Grads Do we recognize accomplishments by alumni? Alumni/University activities professional community Are we expressing: felicitations for joyous events (weddings, births, etc.)? condolences at death? well wishes to the ill and injured? Are we apprising the Alumni Office on the above item? Do we seek out and maintain files on meeting places for events? members homes not for profit public facilities profit making public facilities Are we planning social events: with sufficient lead time? that will be sufficiently popular to rate a satisfactory turnout? in facilities that are pleasant and in good taste (but not necessarily pretentious)? with an admission price regularly palatable to most alumni? with a proper cost/returns balance to be comfortably in the black financially? to be of the type that will be conducive to development of camaraderie, networking and greater involvement in alumni and University matters? 3 Are we communicating and networking? Are we using the Scranton Online Alumni Community? Do we all possess the latest Alumni directory? Do we encourage our constituency to purchase the Directory? Do we get up-to-date address lists/phone number printouts from the Alumni office? Do we do a lot of phone contacting? Using letters, postcards, faxes? Do we publicize and promote the new SCRANTON number, the alumni@scranton.edu address or Web site? Do we put out a newsletter even if it is at infrequent intervals? Are we taking photos and/or videotaping? Are we inviting potentially interested alumni as guests to officer meetings? Do we have a Club Constitution and By-Laws? Are we aware that the National Alumni Society has developed a model constitution/bylaws? Do we refer to these documents frequently and keep them current with appropriate amendments? Do we have a Club treasury? Is it being built up? Do we have Club type bank/checking account? Does the Treasurer keep good records and keep them current, and make regular reports? Does he/she give proper guidance and direction when expenditures are contemplated? Is there a provision for audit? Does the Club Secretary really function? Are appropriate minutes/notes taken? Are the minutes interesting and informative, and do they serve as an agenda base for alumni efforts and projects? Does this person participate strongly in the Club s communications, networking and PR efforts? In our record keeping do we collect and maintain materials pertinent to University history? And collect materials pertinent to our Club s history? PAGE 3 OF 8
4 Have we fostered University visibility? Do we have Club signs and banners? Scranton banners The University of Scranton auto license plates or frames Scranton and/or alumni auto decals and bumper stickers Scranton memorabilia at office and at home Are we getting favorable media coverage for The University of Scranton and our Club? Press TV and Radio Internet/Web Articles and letters to the editor Are we getting academic information to prospective students and their parents and educators? Do we help promote the cultural and economic well being of the Greater Scranton area because we know a good and economically healthy community makes for a better setting for our University? Chamber of Commerce leads and support Support and promotion of Scranton area cultural events, museums, libraries, tourist attractions, and good government. Are we going back to campus for meetings, reunions and other events? Do we foster good relations with parents whose child(ren) attend the University? Are we the University s eyes and ears in our Club s region for Alumni Relations? Development Office? Career Services? Admissions Office? Administration? Faculty? Do we provide knowledgeable alumni staffers for information tables at high school college fairs if so requested by the Alumni or Admissions Offices by participating in the Royal Recruiters Program? Have we a core group that serves as mentors in career networking assistance for alumni, especially recent grads and Young Alumni? Have we a core group of upstanding alumni who function as Scranton Alumni Ambassadors at ceremonial functions at educational institutions and other places in our Club s region? PAGE 4 OF 8
5 Do we imbue in alumni feelings of: pride in their University? pride in their own diplomas? having a special mark or brand by virtue of being Scranton alumni? Do we encourage that pride to be expressed to the University via gifts and donations to enhance the mission of the University? Do we develop connections with corporations, governments, foundations, etc., for grants and awards to the University, its faculty, its students, its research and its programs? Do we do other fund promotion work and solicitation? Have we motivated any philanthropists lately? Do we keep ourselves and our constituents current on happenings and advances at the University? Do we do the same on its advantages? Do we get that Scranton Spirit and do we share it? Do we give our ideas and innovative concepts to the University s Administration? Faculty? Do we also give them constructive criticism relative to: Molding a better University? Seeking loftier goals in excellence, efficiency, and state-of-the-art? Are we keeping alma mater current on its peer colleges in our Club s region? Are we referring prominent and knowledgeable individuals to the University for lectures and speeches? Do we have people involved in hospitality who Phone, write or have personal contact with alumni new to our Club? Have similar contact with parents of children accepted/enrolled at Scranton? Make it a point to see that at our social functions there are no lonely alumni and guests? Do we maintain a modest supply (at least) of Admissions literature, viewbooks, University catalogs, etc.? Do we recommend to the Alumni Board of Governors, candidates for awards? Can we provide connections to our alumni for employment? And to students for summer jobs? PAGE 5 OF 8
6 Do we know the distribution of alumni in our area by? Geography? Age/Class Year? Do we remember that geographic distribution when we select sites for our events? central locations on or near major spine roads Are we promoting the acquisition of the Alumni Society Credit Card (Visa and Mastercard) by our alumni? Do we stress that the Alumni Society realizes a moderate revenue from each membership, which helps fund Club and University activities? Does our Club President lead by example and by getting consensus and does he/she motivate? Also, is he/she results-oriented? Have we purchased printed Club stationary and envelopes? Made them available to Club officers, and as needed, to various chair people? Do we provide good directions, maps, route markers to sites of our events and meetings? Do we utilize easy to read (printed) University nametags for attendees, including guests, at our affairs and meetings? Do we record names of attendees at all our gatherings and make use of this information for future planning and for enlisting the services of these individuals? Do we carry out reviews, constructive critiques, or poll attendees shortly after our major events? Do we seek out ideas by polling our entire constituency? Are all of our events and meetings conducted with proper decorum and in good taste, so that they reflect favorable on the alumni and our University? Do we include reservation deadline dates on our invitations to minimize having to make last minute follow-ups and to realize better pre-event efficiencies? In our alumni efforts, do we find them: Interesting and enriching? Enjoyable? A source of contacts? A satisfying experience? Do we feel that in doing University and alumni service, we have actually served our God, our nation, and our fellow man? PAGE 6 OF 8
