1 JOB DESCRIPTION Job Title: Department/Division: Reports to: Staff reports: Job Purpose: Dimensions: Head of Digital Asset Management Digital Director of Digital Images Manager; Images Cataloguer; Additional positions to be agreed To lead, manage and develop the RHS digital asset management (DAM) strategy incorporating acquisition, processing, cataloguing, storage, and use of digital images across the Society. The Head of Digital Asset Management drives the development, oversight and management of the RHS digital asset management strategy. They make a major contribution to building RHS credibility and authority as the UK's leading gardening charity by ensuring solutions, processes and support systems are in place for the acquisition of digital images (by RHS staff and through commissioned photography), their processing, cataloguing and storage with accurate metadata, and their exploitation by both internal and external customers mindful of copyright and intellectual property constraints. In doing so, they improve business efficiency by ensuring users have ready access to the Society s extensive digital image collections, and protects the Society s reputation by ensuring accurate naming and lawful use. This role involves management of two staff, extensive liaison with colleagues from across all parts of the organisation, and interaction with external customers and licensees.

2 Accountabilities 1. Work with the Digital Director, Head of Libraries & Head of Horticultural Information to establish a DAM strategy that ensures effective delivery of charitable outcomes from our digital images collection as well as creating efficient business practises. 2. Communicate the strategy to appropriate stakeholders, successfully implementing it and monitoring its progress across all divisions in the Society 3. Establish a centralised RHS digital asset life cycle ; mapping & identifying key digital asset stages as a key component of efficient DAM workflows and applications use 4. To lead and motivate the team to ensure high levels of performance and cross functional working. To take full line management responsibility for their development, succession planning and team structure. 5. Work with the RHS Brand team to define the visual language of our photography 6. Identify and implement both digital asset management efficiencies within divisions and opportunities for shared services across divisions, which optimise workflows and applications in an effort to maximise cost savings 7. Work with your team to develop regular monitoring of DAM system statistics and ROI for regular reporting, measurement, and analysis 8. Successfully foster the migration to, adoption of and use of DAM across key RHS divisions 9. Work with your team to create an RHS digital asset cataloguing and metadata standards strategy; ensure it is communicated and validated to appropriate stakeholders, successfully implementing this strategy and monitoring its progress across the Society 10. Work with key stakeholders across the Society to establish digital asset management acquisition, storage and retention programs that acquire and store the appropriate digital assets at the appropriate times, not only supporting the needs of the Society today, but also anticipating the future needs of the Society by enabling future programming and future sales by enabling efficient search, use, reuse, and repurposing as needed 11. Work with the Digital Director and Licensing Manager to review existing and identify new lines of businesses for digital asset management programs that enable the effective monetisation of content 12. Review the policy for commissioning of digital images across the organisation and the granting of licences to photographers working in our gardens and at our shows ensuring efficient business practices and protection of the Society s intellectual property 13. Work with the RHS Funding team to create and assist the bids for funding of the planned Digitisation project

3 14. Work with the RHS IT department to develop a project schedule for roll-out of new or enhanced digital asset platforms. Estimate, negotiate, and obtain resources to meet project requirements; maintain, adjust, and update program and project plans and identify and communicate project risks as needed 15. Identify resource requirements necessary to successfully provide user application support that ensures a large user community is able to use digital asset management tools efficiently, minimising any potential loss of productivity from working with digital assets in the Society 16. Manage the DAM budget to ensure effective deployment of our charitable income 17. Adhere to current Health & Safety legislation and best practice in accordance with the Society s Health and Safety Policy Statement. 18. Ensure, so far as is reasonably practicable, the health, safety and welfare of your staff; and that the activities for which they are responsible do not expose anyone to risks to their health or safety 19. Undertake any other duties as may reasonably be required of you in the post

4 KNOWLEDGE PERSON SPECIFICATION Head of Digital Asset Management 1. Knowledge of the issues surrounding copyright, rights of image, and rights relating to the creation and distribution of information, imagery, and other licensed materials 2. Solid technical background, experience managing technical projects, and/or handson technical experience 3. Understands software development requirement gathering, methodologies, implementations, and timelines 4. Knowledge of the principles and practices associated with digital image acquisition, processing, cataloguing, storage & use 5. Understands the market and licencing arrangements for digital images and the principles of copyright and intellectual property law DESIRABLE: 6. Knowledge of how to use and style plant names, both scientific and common 7. Knowledge of digital photography techniques EXPERIENCE 1. Demonstrated success implementing digital asset management solutions and workflows in a complex environment 2. Proven success as a key member of a matrixed, cross-functional team. 3. Experience communicating and directing equally well with people in business, creative, and technical positions both verbally and in written English 4. Experience of digital image collection curation, including file-sharing and use 5. Experience of establishing processes and workflows for people of all abilities 6. Experience of managing a team and budgets DESIRABLE: 7. Experience of negotiating licensing agreements for digital images SKILLS - JOB COMPETENCES 1. Ability to travel as required, possibly up to 1 day per week
