1 Current Conference For basic overview of conference click on Current Conference Basic view of conference id, conference label ( aka conference name ), conference begin time, conference duration, participant count. From this page you will be able to control overall conference commands such as ( from left to right ) end conference, lock/unlock conference, start recording, turn conference music on/off, adjust conference volume, and mute/unmute entire conference

2 For a detail of each caller including phone number ( caller id ), caller name, time in conference, simply click on the conference id. There you also see action commands which is specified for each individual caller. You can label a line with the persons name by clicking on the city and a box will pop up to label it with the persons name.

3 Manage Conference You are now able to change call settings such as initial room mode ( presentation mode, Q&A mode, Interactive mode ( which is default if none of the other two options are checked). Additional call settings such as talking bubble, music hold, entry and exit tones, and automatic record options can all be changed here. Simply scroll down and choose the conference you want to change and hit edit, the chosen conference will appear in the middle of screen then make your changes and click save conference changes. In addition to being able to make changes to your call settings, you are also able to create as many new conference accounts/ rooms as you please. We suggest that you label each conference room so that it will be easier to locate a specific account faster and easier. Many clients make the following changes to their conference. 1. Click on Manage Conferences 2. Scroll down to Current Conferences 3. Click Edit 4. Check Moderator Pin allows conference entrance this will change the current greeting so that you as the moderator will not have to enter the conference number and then press 1 to enter the moderator pin. You just have to enter your moderator code to access the call. 5. If you want the participants to be muted from the beginning check Presentation mode (only moderators unmuted) 6. Enable Keypad Functions (must be checked) So telephone keypad is enabled. 7. Do not check Set the conference to be initially muted this mutes everyone that enters the call. 8. If you want entry and exit tones do not check Don't play enter or exit tones. Check it if you just want either entry or exit tones to play. 9. Check Extended *5 Mode which enables you to press *51 to mute the call and callers can not unmute themselves or press *52 to mute all callers and they can unmute themselves by pressing *1 and press*53 to unmute the call. Click Save Conference Changes

4 ANI (Automatic number identification) Block You may now be able to block any caller from dialing into your conference. Simply choose the conference account/room you want to block a caller from dialing into and input their phone number and click add ani. When done their number will appear below under Currently blocked ANI s

5 ANI Allow You can allow any caller back into your conference.. Simply choose the conference account/room you want a caller to be able to dial into and input their phone number and click add ani. When done their number will appear.

6 Conference Recordings This is where all your recorded conference call files will be located. Our files are recorded in wav format by default but you have an option to convert a chosen file into an MP3 before you download. Simply click on convert into MP3 and when conversion is complete a new file will be generated. If you are having trouble locating the converted MP3 file simply reference the Recording ID #.

7 Friendly name- you can label each recording file with your choice of name. Simply double click on friendly name and change the file name to your liking ie: John s meeting Schedule playback you can schedule a previously recorded file to play at any specific date and time. Remember that our system is set on Central Standard (Daylight Saving) Time so please schedule it accordingly to that time zone. Play to Conference an instant way of starting a previously recorded file onto a live call. You can click on this option and start any chosen file to play into a current active call. Start sharing- this option only works with your playback replay line/number. All files located inside of your conference recording folder are also automatically placed on a playback replay line. You should have gotten this number at sign up. If you don t know your playback replay line number please contact support at customercare@totallyfreeconferencecalls.com so what does start sharing allow you to do is for example if you have multiple files inside of your folder and you want listeners to be able to be directed to a specific call. All you have to do is hit start sharing next to the chosen file and it will generate a four digit recording file number. That number has to be given along with your playback replay number so that when the system ask for it they can enter it. This is simply a way of bypassing all those preloaded files on your account and take them directly to the call you want them to hear. When dialing into the playback line it will ask for the conference number followed by the # sign and then the file sharing number followed by the # sign.

9 Call Details This is where you will be able to view/download your call detail reports. Simply choose the date you want to view by clicking on view or if you like to download the report click on the actual date

10 Profile This is where you can change your account password. Simpy type in the new desire password and click on save changes

11 Help Here you find two sub menus Buttons all conference start commands are listed on here. Simply click on the button to find out what it does

12 Preferences here you can adjust the system refreshment rate. Changes to this can affect the refreshment rate for current conferences. Please keep on mind that your internet speed can be a factor in delays if changing this rate doesn t work for you. We suggest changing speeds to 4 at the lowest to get the best results. Default settings are automatically set to match your internet speed for the best performance out of our system.
