2 ABSTRACT The motives of PSM are to open opportunity for students apply all knowledge on developing project and resolve the current system's problem. This project document is produce for Politeknik Kota Kuala Terengganu (PKKT). This report clarified the process of Web Based Academic System Management for Polytechnic Information Technology Student (WebeJTMK) management from beginning of the project tracking until at the end of the problems closed. The WebeJTMK was developed to enhance the academic management at polytechnic. Some features are integrated in the system, in order to enhance the current process to become systematic and efficient. The main users of this system focus on Administrator, Lecturer and Student who are the client of the system which provides the Download/Upload Notes, Web Forums, Web Based , MyReminder, and Bulletin Board. Object Oriented Analysis Design (OOAD) was used as the project methodology includes requirement definition, analysis, system and software design, Implementation and Unit Testing, Integration and System Testing and Operation and Maintenance. Problem analysis consist the background of the current system and problem statement. Requirement Analysis includes functional requirement, scope, business flow, use case view, actors, use case description, interaction diagram, software requirement (Macromedia Dreamweaver MX 2004), hardware requirement (Personal Computer and Modem) and network requirement (Web Server - Appserv). As a conclusion, the WebeJTMK system provides the best practice of management process to manage the entire incident resolution process and the restore service as quickly as possible.

3 PSM ini bermatlamat untuk memberi peluang kepada pelajar untuk mengaplikasikan pengetahuan yang diperolehi dengan membangunkan projek secara kendiri dan didedahkan dengan permasalahan dan penyelesaian yang berkaitan dengan industri. Projek dokumen ini dihasilkan untuk Politeknik Kota Kuala Terengganu (PKKT). Dokumen laporan ini telah menjelaskan proses pengurusan Web Based Academic System Management for Polytechnic Information Technology Student (WebeJTMK) daripada mula projek ini dikenalpasti sehinggalah ke akhir masalah ini diselesaikan. WebeJTMK ini dibangunkan untuk meningkatkan pengurusan akademik di politeknik. Sesetengah fungsi diintegrasikan di dalam sistem sebagai meningkatkan proses semasa supaya sistematik dan efisyen. Pengguna utarna didalarn sistem ini difokuskan kepada Administrator, Pensyarah dan Pelajar sebagai pengguna sistem dimana sistem menyediakan fbngsi Web Forum, Web Based , Bulletin Board, MyReminder, dan DownloadAJpload Notes. Object Oriented Analysis Design (OOAD), teknik yang diaplikasikan sebagai metadologi projek dimana mempunyai 5 fasa iaitu definisi keperluan dan analysis, rekabentuk sistem, perlaksanaan dan pengujian unit, Pengujian Integrasi dan Sistem dan operasi penyelenggaraan. Analisa Masalah terdiri daripada latarbelakang sistern semasa dan pernyataan masalah manakala bagi Analisa Keperluan pula mengandungi keperluan kefungsian, aliran sistem, skop, paparan 'use case ', keterangan 'use case ', 'sequence diagrum', keperluan perisian (Macromedia Dreamweaver MX 2004), keperluan peralatan (komputer persendirian dan modem) dan keperluan rangkaian (Web Server - Appserv). Kesimpulannya, WebeJTMK menyediakan pengumsan akademik dan beberapa proses penyelesaian terhadap masalah dan menjalankan pengumsan dengan pantas dan cepat.

4 CHAPTER I INTRODUCTION 1.1 Overview The title project is Web Based Academic System Management for Polytechnic Information Technology Student (WebeJTMK). The WebeJTMK system, which is mentioned above, will be developed based on the academic system. It consists of three major subsystems, which were student registration, student I staffs, forums, my reminder, web based , download and upload notes. It also has additional functions such as a bulletin board where all the announcement and student activities will be published online. Before the development of the WebeJTMK system is started, several criteria will be determined according to the polytechnic academic system, mostly on the student registrations and the evaluation of the forums. Therefore a development will be undertaken to meet the criteria After all the criteria have been analysed, suitable design for the interface and database will be implemented and verified. Afterwards, the prototype of the system will be tested and debugged to find if there are any errors arise. If there are any errors it will be fixed and new additional changes will be made. Lastly, the working system will be submitted for the final evaluation.

5 1.2 Problem Statements As stated in the academic process above, there are so many problems had occurred involved the two main process of the company that are management and academic process. Below are the lists of the main problems that occurred: i. Hard for student to take out the note about process of studying that consumed much time a) Student normally has to come to lecturer to purchase any note or assignment. It deals with time consuming in the academic process between the student and lecturer. b) Most of the process involved in note division is not systematic and inconsistent. All the notes and assignments are not stored systematically and cause lack of data, loss of data that approach to inefficient management. ii. Ineffective data management of the company a) Record is hard to find because using the basic filing system. b) The current academic management system is not systematic and inefficient. c) Using simple database, filling system computer cause lost of important data. All the document information and other important data are not stored systematically and cause lack of data, loss of data that approach to inefficient management.

6 1.3 Objective prove that: From the study done, the objective of the WebeJTMK is to ensure and to i. To make the management of the student for download notes or assignments becomes more efficient and faster. Students also can download notes and assignment to the website. The system will check and confirm password. Students can download notes hm the list. Student may see the academic information merely in one window owing to tab interface usage. ii. To have a user-fkiendly system. Administrator, lecturer and student's usage and also enables user to view latest of bulletin board and advertisement through the forum segment and all information academic. iii. To have security control to ensure data integrity. The login hyperlink is linking to student site. Afterward, the records were displayed after the student selects the particular download notes, forums and student information. iv. To help user know any latest information on academic system. v. This system can make user keep their important activities more systematic and save. vi. Make sure that user can be alert with important things that had been set when the date and time arrive.

7 The formation of Polytechnic Ministry of Higher Education (MoHE) was aimed at providing skilled semi-professionals in engineering, commercial and hospitality at Diploma and Certificate levels to meet the nation's demand both in the public and private sectors. To date there are 20 Polytechnics MoHE operating nationwide. All programmed offered in Polytechnic have own Head of Programme. Inside each programme, there have many courses. Each lecturer will lecture at least one course. But some lecturers also lecture more than one course. A lecturer only has one programme but at the time a programme have at least one or more lecturer. Beside that, at WebeJT"MK a student can download note and get any information form bulletin board. The students can download the note every time they needed. A lecturer also can upload the note to students. Administrator will inform one or many lecturer about student information. Administrator also can upload bulletin board and update student result. This system contains 6 modules that are upload 1 downloads, forums, bulletin board, web based , chatting mom and my reminder. i. Module of Student a. Searching - Normal users as a shortcut to search for specific notes by code subject. b. Download Notes I Tutorials - Students also can download notes and assignments to the website. The system will checking and confm password. Students can download notes fiom the list. c. Upload Assignments - Students also can upload assignments to the website. The system can be detected for same of record.

8 d. Web Forums - Web forums are sometimes also called discussion board or threaded discussion groups. The idea of a forum is that user can post articles or questions to them; others can read and reply to their questions. e. Web Based - Build an client that will enable users to connect to their accounts, read mail, send mail, reply to mail message, forward mail message and delete mail from their accounts. ii. Module of Lecturer a. Searching -Normal users as a shortcut to search for specific notes by, code subject. b. Insert Record - Lecturers is allowed to insert any records. c. Delete Record -Lecturer is allowed to delete existing records fkom database. d. Upload Notes 1 Assignments - Lecturers can upload notes and assignments to the website. The system will checking and confirm password. e. Web Forums - Web forums are sometimes also called discussion board or threaded discussion groups. The idea of a fonun is that user can post articles or questions to them; others can read and reply to their questions. f Web Based - Build an client that will enable users to connect to their accounts, read mail, send mail, reply to mail message, forward mail message and delete mail h m their accounts. g. My Reminder - The system can make individual keep their everyday activities easily, systematic and save for lecturer only. System can view the pop up message when the date and time arrive.

9 iii. Module of Administrator a. Insert Record - Administrator is allowed to insert any records b. Delete Record -Administrator is allowed to delete existing records from database. c. Update Record - Administrator is allowed to make any changes on the existing information from database. d. Web Forums - Web forums are sometimes also called discussion board or threaded discussion groups. The idea of a forum is that user can post articles or questions to them; others can read and reply to their questions. e. Bulletin Board - Administrator also can upload bulletin board. iv. Security Elements a. Password The scopes that included in the development of the WebeJTMK system are: Analysis about the user requirement (Student, Administrator and Lecturer). Build a complete design. Write documentation. Build user manual. All the process can be performing in most efficient and systematic way to avoid any repetition or redundant problem and lost data also changing of data by unauthorized user.

10 1.5 Project Significance Web Based Academic System Management for Polytechnic Information Technology Student (WebeJTMK) is developed for all polytechnic management. The task that has been assigned was a web system called Web Based Academic System Management for Information Technology students. The WebeJTMK system, which is mentioned above, will be developed based on the academic system. It consists of three major subsystems, which were student registration, forum and downloads and uploads notes will be published online. Before the development of the WebeJTMK system is started, several criteria will be determined according to the Polytechnic academic system, mostly on the student registrations. Therefore a development will be undertaken to meet the criteria After all the criteria have been analysed, suitable design for the interface and database will be implemented and verified. Afterwards, the prototype of the system will be testing and debugged to find if there errors arise. Compare with current system, in this system, the result not only appears only the result but it will support with explanations why they get that result. It support with a level, memo they should take an examination again or not. Current system only appears the result. For the administrator, they can update all information about students and always update anything information. In addition, this application is secured with password. This make sure that only the authorize users can access their own data and result because it may contains sensitive information. This system will be displayed in a very fjriendly graphical user interface to ease the users even for the novice.

11 1.6 Expected Output In WebeJTMK system provides user (students and lecturers) can interact with other users via chatting online (virtual communication), check and view the academic, add and display bulletin board. WebeJTMK also provides functions for the lecturer such as checking assignments, online chatting room, forums, lecturer reminder, new information or latest news about information. Students can register, check result, download notes and check news from forum through the Internet. For administrator, they can manage all information about students and lecturers, arrange the online form, and always update anything information. In making the system work smoothly, administrator must update news in bulletin board, arranging register students and also update results for each student. 1.7 Conclusion As a conclusion, intention of establishing the WebeJTMK is to expose polytechnic members to the WebeJTMK that bring up success~l system that able to student and lecturer. That makes the differentiation between. WebeJTMK and current system also finally describe the advantage and disadvantages. From the research more information and knowledge can be gathered and give out the idea in applying the best approach to develop and accomplish the intensive and objectives. Idea came from imagination and analysis on several web pages in the Internet. These ideas have been used to develop the system. For some of us developing web-based application such as this system is a new experience and is really enjoying. Finally, the experience fiom this project could be used in developing more sophisticated system in real environment.

12 CHAPTER I1 LITERATURE REVIEW AND PROJECT METHODOLOGY This chapter consist Literature Review and Project Methodology of Web Based Academic System Management for Polytechnic Information Technology Student (WebeJTMK). It is important as research and gathers information of polytechnic portal. Fact and finding, it will discuss and review the approach and related or passed research, references, case study and other findings about this system. The Fact and Finding were referred as result for research and the examples as basic platform in order to study the flow of this portal and discussion on related polytechnic portal and describe it into case study, advantage and disadvantage polytechnic portal, comparison between the current system and polytechnic portal. 2.1 Introduction Literature review is a research to the pass system to fmd and know the theory or concept that the developers used in their system. A literature review is a summary of previous research on a topic. Literature reviews can be either a part of a large report of a research project, or it can be a bibliographic essay that is published separately in a scholarly journal. Either way, the purpose is the same, to review the scholarly literature relevant to the topic that is being studied. The review will help in designing methodology and help others too interpret the research being done. In this chapter, the fact and finding based on development of Web Based Academic System Management for Polytechnic Information Technology Student

13 (WebeJTMK) will be presented. This chapter will be define more about the fact and finding, project methodology that Object Oriented Analysis and Design (OOAD) methodology and project requirement that will cover software and hardware requirement. In addition, project schedules and milestones are planned in order to ensure a smooth development. The project scheduled is planned using Gantt Chart as it is easier to view compared to typical schedules. 2.2 Fact and Finding Research and Development (R & D) is another mainstay in higher education, which qualitatively differentiates a world-class institution of higher education from another. Research stimulates students to discover new knowledge. It challengers, stimulates and encourages them in the pursuit of knowledge and in understanding humanity. The information resulting from this examination may facilitate adoption and diffusion of asynchronous distance learning programs. Based upon identified characteristics, the ancillary product of this case study was a compiled list and discussion of lessons learned, composed hm the review of literature and case study examination. 1. Case Study: Polytechnic Staff Training Centre The Polytechnic Staff Training Centre experience has shed some lights on how a co-operation between two government bodies should be carried out. First there should be a joint management committee hm both sides so that there is feeling of common ownership and responsibilities and the synergy drove the program toward its success. There were positive efforts hm both sides to make the centre a success. The combined understanding of two technical groups, the academic engineers on one side and the more practical technical lecturers on the other side have made the centre a unique

14 institution. It has the capability to train engineers who are equipped with theoretical knowledge and then enhance them with practical skill. The diploma in engineering with education and skill is the flagship of the centre and is the only one in the country. The graduates of this course are exposed to engineering theory, pedagogical skill and also practical skill. The centre also has equipment that is suited for skill and academic. The centre has managed to blend the engineers and technologist together. The contribution of foreign lecturers through MUCIA has also benefited the student of the centre greatly. They have brought in different approach and method of conducting technical education and training. The centre has managed to include foreign experience and knowledge in the program in a local setting Introduction of WebeJTMK The WebeJTMK case study is referred from many resources such as Internet, books, journal and article. All the resources reviewed are considered closely related to the project. There are numerous WebeJTMK. The WebeJTMK are referred as the examples and basic platform in order to study the flow of this portal. WebeJTMK system is a portal that serves attractive features and a userfiendly web-based application. Basically WebeJTMK system for polytechnic management portal managed the polytechnic activity and as platform among polytechnic members to get along through special features such as Bulletin Board, Web Forum, Web Based , Chatting Room, My Reminder, Download Notes and Upload Notes.

15 2.2.2 Comparison portals features The comparison is between Anglia Polytechnic University and Virginia Polytechnic Institute. The comparison is divides up to 3 features, Portal Pages Features, News and Event and Academic Review. The Anglia Polytechnic University is interesting page navigation. It offers useful features such as News and Events, Review and Reports, Academic Review and Analytical Account. Colour choosing for the portal suitable with the concept of the WebeJTMK. The Virginia Polytechnic Institute is too formal page navigation that only provides features such as Pavement Managment, Condition Survey, Recommendations and Library. Colour choosing for the portal is too simple compared to the Anglia Polytechnic University. Researchers have stated that both technology and teaching-by-example (also known as "learning-byexample") are beneficial elements in determining the success of learners in higher education. Markwood and Johnstone (1994), for example, support the use of examples as a new pathway towards educational development, and have also called for the integration of technology. Further, the use of examples through the push for increasing technology in the college setting has also determined a shift in the way educational development is pursued. Clearly, the changing focus of the educational environment promotes the use of technology and variety of learning approaches in order to determine the greatest gains. 23 Project Methodology WebeJTMK System was developed using Rapid Application Design (RAD), and Object Oriented Analysis and Design (OOAD). This approach is used because it

16 has connection fiom begin to the end of the development of the system. In developing this system, which consists the phase of planning, analysis, design, development, implementation and testing and also support 1 maintenance phases Planning Phase The first step need to be done is planning before developing the system. In the planning phase. From the calendar, plan what kind of action must we do in developing the system. 233 Analysis Phase Analyzed the problem that occurs in the manual system that use at the office center of external studies. The recent system that was used was not efficient and systematic. So, many of the data was duplicated and the collection of the data is not centralized. It has given a lot of problem to the administration or the lecturer. Approach to analyze the entire thing that involved in the system to overcome the problem that occurs. In analyzed the problem, a few methods that used is interview and discussing. In this method, we were interviewed the polytechnic lecturers involved and make the discussion about the problem that occurs in the manual system. The solution of the problem we have made to the many diagrams. The diagrams involved are use case, class diagram, sequence diagram, collaboration diagram, state diagram, activity diagram, and entity relationship diagram (ERD).

17 2.33 Design Phase In WebeJTMK System design, many approaches for used to solve the problem that occurs. So, it is able to the Web Based Academic System Management for Student Polytechnic to run in more systematic and more efficient. The method that use in system design is the database design and interface design. All the information that involved in the system was saved in the database. Firstly, before design the database, study the issues that involved in the database. In the database design, it must be developed carefully to make the system systematic and efficient. Beside that, the information that was saved is having the relation with the others. It also can be editing by the authorized user. ii. Interface Design Interface design was needed to ensure that the system developed is a userfriendly system. Interfhce design must be consistent with the system requirements and the users that involved. In designing the system's interface, this is to fulfil the user requirement especially the procedures in handling the system operation. a) Input Design This system was developing using a lot of input forms such as registration, reservation, system's user personal details, and many more. Of coww this input form was developing to input the data and store them in the system database.

18 b) Output design There were also a lot of output forms in this system. The output forms were shown as a report forms. The using of report forms are very important especially in making reference of previous records, checking the business performance, making statistics form the business performance records and also printing the reports Development Phase In developing this system, we were used Macromedia Dream weaver MX sohare for the coding and MySQL for the database. The system development process will complete when no errors are occurs in the system testing. In addition, the coding problem is the important and the serious part because it will be effect to the system Implementation and Testing Phase This section is used to test and assess the ability of the system. Testing also used to Asses the efficiency of the system and recognized the error that occurs. The errors in the system will be overhaul and the system will be examined again. The testing will complete when no errors occurs in the system Support/Mtlintenance Phase This section is the last section in developing the system. This section involved all the section in the development process. In this section, the user is received the system, used the system, and take care the system. Any change and

19 upgrade will be made based on the system requirements as a step to maintain the security of data and information. 2.4 High - Level Project Requirements Project Requirement basically defines the required tools that needed to support the functionality of the system. The list would underline the compulsory hardware and software. It is a critical aspect to be focused on, either by developer or client in order to bear the application. For this paper, the project requirement would concentrate on client's condition Software Requirements i. Tools Used a MySQL (Back-end). b. Macromedia Dream weaver MX (Front-end). c. Rational Rose 2000 Enterprise Edition (Diagram). d. Adobe Photoshop 7.0 (Graphic). e. Swish 2.0 & Microsoft Captivate (Animations). f. Microsoft Office 2000 (Documentation). g. Windows XP (Operating System). h. Mimsoft Project (Gantt Chart). i. Microsoft Visio (ERD). j. Apache (Server). k. PHP 4.0 Application (Coding Tools)

20 2.4.2 Hardware Requirements i. Personal Computer (PC) - Processor Intel Pentiurn 4 - Screen resolution of 800 x Hard disk of 120 MI3 - RAM of 512 MB - Floppy disk of 1.44 MI3 - Mouse - Standard keyboard. ii. Printer 2.5 Project Schedule and Milestones Managing times aims to ensure that a project is completed on time. Managing time includes both processes to define the time fiame of the project and to control the time fiame. Therefore the schedules and milestone have to be made in order to keep the project on track. The complete the project, all the activity needs to be put into the Gantt Chart. This will help the developer to follow the milestone and try to finish the task according to the date. Activities that listed below will show the stage for this project. i. The fht activity is the complete proposal must be submited. ii. Second, the problem analyses that needs to analyze the problems or the current system and decide the appropriate methodology. iii. Next the requirement analysis to identify the sohare requirements and the hardware requirements for the project.

21 iv. After that the designs phase including design the prototype, design system architecture, design entity relationship design (ERD) and the structure chart. v. Next, the implementation phase to implement the system module. vi. Lastly the testing phase to test the prototype before it can be produce. System Study The sub activities for system study are discussing system with supervisor and submit firstdraft of the proposal to be approved. Once the project title is approved, the proposed title will be given to the PSM commitfee for the second approval. 2. Requirement Analysis Before starting to the system, understand the user requirement was very important. Then as the guideline for the flow of the system, time line need to be ready first. On the end of requirement analysis, the students need to submit introduction, literature review, project methodology and project requirement. 3. System Analysis System analysis is a term that collectively describes the early phases of systems development. Information system analysis is those development

23 phases in a project that primarily focus on the business problem, independent of any technology that can or will be used to implement a solution to that problem. 4. System Design The system design for project, need to be completed up to high-level design and detailed design. High-level design was a prototype design and database design for Web Based Academic System Management For Student Polytechnic (We-). 5. Implementation The first step in implementation is system construction, during which the system is built and tested to ensure it performs as designed. 6. Testing Supervisor will evaluate the performance and the development of the project. 2.6 Conclusion In conclusion, it is imported to understand the research or case study, because with it can find some ideas or f'act about the related system. It shall help to solve problems. Methodology is as important as it shall help in developers a good hctions and great interfbce. Software and hardware requirement are also important in developing a system. To get a smooth developing, all actions should be plan. It also called time line of the project. During develop WebeJTMK, all items that have state above, have done. In the next chapter will discuss about analysis system.

24 ANALYSIS The purpose of this chapter 3-analysis phase is to understand every details of the WebeJTMK system and establish its requirements. For this phase Object Oriented Analysis and Design (OOAD) using Waterfall modelling Object Oriented Analysis and Design Methodology was chosen to gain the knowledge and requirement 1 problems about one system. There are two parts of analysis, problem analysis and requirement analysis. 3.1 Introduction System analysis is a problem-solving technique that decomposes a system into its component pieces for the purpose of studying how well those component parts works and interacts to accomplish their purpose. System analysis is a term that collectively describes the early phases of systems development. Information system analysis is those development phases in a project that primarily focus on the business problem, independent of any technology that can or will be used to implement a solution to that problem. Most system analyst use some variation of a problem-solving approach, which usually incorporates the following general steps; firstly identify the problem, secondly analyze and understand the problem, thirdly identify solution requirements

25 or expectations, identify alternative solutions and decide a course of action, design and implement the best solution, last but not least evaluate the results. Fundamentally, system analysis is about problem solving. There are many approaches to system analysis to solve problem like structured analysis, information engineering, discovery prototyping and object-oriented analysis are examples of model-driven approaches, which use for development this project. It emphasizes the study and requirement analysis of data requirements before those of the process and interface requirements. This based on the belief that data is a corporate resource that should be planned and managed. System analyst draw entity relationship diagram (ERD) to model the system raw data before draw the data flow diagram that illustrate how that data will be captured, stored, used and maintained. Both information engineering and structured analysis attempt to synchronize data and process model. 3.2 Problem Analysis Problem analysis will talk about background and problem statements of current system and problem statement. 26 Interview The conducted interviews for capturing the information of how the task is perform. Then, we also met Mr Nizam bin Shamsuddin, the Information Technology lecturer for Polytechnic Kota Kuala Terengganu (PKKT), to have the clearest briefing of the in Ministry of Education management. The program is also very important to make the management of the academic system management for Polytechnic student more systematic. These are because staffs can updates and manipulate the information easier than keeping the document manually Observation From the observation that we had already done, we found that the library still using the manual system. The manual system is not systematic and caused many problems. The main problem that we found was how they handle and manage the recording process for the accepted books. The staffs have to capture and record all the books details. Manually, it take a lot of times, therefore a new system is required in order to have a better task performance Background of Current System There were some references referred in implementing this academic system management for Polytechnic student. The analysis of the sources can be applied in this to be system project and evaluate the ideas. From the research, the real objective and actual scope can be decided and made. Besides that, the new and latest technology also can be identified to be used in developing the system. The current system is manually conducted and managed.
