2 Printing your dissertation UiB has provided some tools and services that will facilitate the printing process. Printing agreement The university has a framework agreement with a printshop to ensure a quick, reasonably priced professional handling of the printing process - from the manuscript to the finished product at a favourable price. This also applies to dissertations that are either entirely or partly composed of articles published previously. Uniform design A standard cover, title page and simple text template have been designed in order to ensure uniform presentation, good quality and a favourable price. Important booking procedure! After the necessary information has been sent to the printing company, an order confirmation will be sent to the applicant at the address that was given by the applicant on ordering. This must be forwarded to the department purchaser. Contact your supervisor if you are uncertain about who is responsible for placing orders in your department. The purchaser will send an e-commerce order based on this . The printers will only process orders that have been sent through the UiB e-commerce system. NB! Printing of dissertations can only be ordered by a Purchaser using the UiB e- commerce system! It is important that this procedure is followed to avoid any delays! Reference handling There are also reference handling tools like EndNote and Reference Manager freely available as part of the Campus Agreement. The University Library of the UiB will provide user support and technical support for these programmes. 2

3 The Production Process Go to and choose «dissertations». Requisitions: Fill in all areas. This information will be used to generate a file for the cover and title page. It is important that you proofread this information! Upload one or more files and place them in the correct order. Enter the number of prints and page dividers. Place your order in the basket and send. The invoice address is fixed. Ordering: When the order has been sent, confirmation will be sent to the address that was given on the order form. This must then be sent to the department/ faculty purchaser. Contact your supervisor if you are unsure who in your department is responsible for purchasing. The purchaser sends the order via the UiB e-commerce system. The printing company will start production on receipt of the order. Production: The printing company will check the files, insert page dividers, assign ISBN and prepare the files for printing. The printing company can help prepare the originals if necessary, (for an agreed extra charge). You can upload both Word and PDF files. Here PDF certainly is preferable. To prevent errors caused by automatic conversion, Word files will be converted manually to PDF by the printing company. Contact the printing company if you have other files, or paper originals. The printing company will produce and deliver the correct number of copies to the delivery address (remember to inform about the street address). The printing company sends 8 printed examples and an electronic file to the University of Bergen Library (UB). NB! Printing of dissertations can only be ordered by a «purchaser» using the UiB e-commerce system! It s important that this procedure is followed to avoid any delays! Delivery time: The delivery time will vary according to the type of file material that is sent to the printer. The production time for approved PDFs is 6 working days. There is an extra charge for shorter delivery time. 3

4 Templates Simple text templates have been made to ensure that the correct contents are included, and to have the text correctly formatted. Not all elements are mandatory. You may also use other headings when relevant. Page separators (for papers ) will be indicated with black banners. Tips: It is important not to change the character size or spacing. These have been adapted so that the text remains readable when the pages are reduced to book size. 5 Other templates Summary ( abstract ) A special text template for the summary ( abstract ) has been made. The summary ( abstract ) can be produced/printed independently of the dissertation and used as a handout at the public defence. The faculty or the candidate is usually responsible for printouts, but the printing company can deliver copies of the summary (abstract). Contact the company if this is desired. Errata A special text template has been made for dissertation corrections (errata). Errata can be prepared after submission and must in that case accompany the dissertation as an attachment. Contact administrative coordinator at your department or faculty if you have questions concerning errata. The faculty or the candidate will usually take care of printouts, but the printing company can deliver copies of errata. Contact the printing company if this is desired. Delivery of content Electronic uploading is the quickest and cheapest starting point for successful production! You can upload both Word- and PDF files. Here PDF certainly is preferable. To prevent errors caused by automatic conversion, Word files will be converted manually to PDF by the printing company. Contact the printing company if you have other files, or paper originals! The system verifies the files and gives notification of possible critical errors that must be rectified before production begins. It also gives a warning if the image files have low resolution. The starting point for all production is a quality controlled and approved PDF. Content that is provided by other means The content can be delivered to the printing company either entirely or partly on paper. On receipt of digital and analogue (paper, photos etc.) originals, the printing company will scan the originals and produce PDF files for printing. This is a more labour intensive form of production. Contact the printing company if necessary. The starting point for all production is a quality controlled and approved PDF. 5

6 Cover and title page The cover and title page are placed in templates developed by the UiB. The standard format is 170 x 240mm. Format 210 x 297mm (A4) can also be used.. If the degree is given by two equal institutions as a joint degree and cotutelle, the logos of both institutions shall be present on the cover. Contact the printing company if necessary. 7 The submission of dissertations Submission for evaluation Some faculties/departments deliver a stapled copy of the manuscript to the evaluation committee. It is also possible to ask the copy centre to print copies for the evaluation committee. Contact the printing company if necessary. Copies for the defence Printing of the necessary number of copies can begin immediately after the candidate has received a positive date for the defence. (See Production Process ) NB! Printing of the dissertation can only be ordered by an approved purchaser via the UiB e-commerce system! (See Production Process ) Remember! The dissertation should be available to the public two weeks before the public defence. Before the final printing, the candidate must apply to the publisher for permission to quote articles that have been previously published and are part of the dissertation. The printing company delivers printed dissertations to the faculty, UB and the candidate. UB receives 8 printed examples and one electronic version for the archive. The National Library automatically receives seven examples of dissertations from UiB. Bergen Open Research Archive (BORA) UiB recommends that candidates publish their dissertation i BORA The candidate can, if desired, deliver a signed agreement regarding electronic availability to the University Library at Bergen Open Research Archive. (BORA). The dissertation can, if desired, also be published in BORA before the defence BORA before the defence. UB checks that the author has given permission to make articles from article-based dissertations available. See: UB registers the bibliographic data (metadata) for the dissertation and uploads the original electronic archive version and errata list. It will be possible to change files, correct spelling errors, adapt the text or add to the errata at a later date. 7

8 Price The printing price is composed of several elements such as the number of copies, number of pages, number of coloured pages and tabs, as well as which file material is submitted. Contact the printing company if you would like to receive a cost estimate for your dissertation. Degree descriptions Below is a list of approved spelling styles for describing degrees.
