Team Werneth is committed to providing all staff with the opportunity to access dedicated Knowledge, Education, Training and Development Services within a first class learning environment. We aim to support everyone to deliver high quality services for all patients, helping Tameside General become the local hospital of choice. January 2009

4 INTRODUCTION Werneth House Multidisciplinary Education Centre (The Centre) is a purpose built selfcontained unit situated within the grounds of Tameside General Hospital. The Centre s prime function is as an Education, Training and Development Facility for all employees. Where spare capacity is identified, the facilities will be marketed externally, with the surplus being re-invested in the educational, training and development needs of the Tameside General Hospital workforce. The Centre offers a wide range of facilities to its users including a 100 seat state of the art Lecture Theatre, purpose built classrooms and clinical skills facilities. In addition, there is an extensive library and IT suite available to users of the Centre. The range of facilities available provides the opportunity to hold and/or attend events ranging from small groups to extensive conferences. PURPOSE & SCOPE OF THE GUIDELIINES These guidelines have been written to aid and inform users of the facilities, the process for booking rooms and to establish the standards and expectations of the providers and users. The Guidelines apply to all users of the Centre, be they Trust employees, learners, students on placements, or external users. GUIDANCE STATEMENT The Trust aims to support education and training for all staff by providing appropriate facilities which are conducive to learning. WHAT CENTRE USERS CAN EXPECT FROM THE WERNETH HOUSE TEAM: Opening Times: Monday Friday 8.00 am 5.00 pm Outside these times by prior arrangement Weekends and Bank Holidays: By prior arrangement Support Facilities: Reception Area Catering facilities Toilets on all floors

5 Domestic support during normal working hours Staff shower Disabled toilets and disabled access to all floor Lifts to all floors Library and internet facilities Meeting Point for light refreshments seating 15 people Rooms: Lecture Theatre seating 100 people 9 Seminar rooms ranging in size from 10 to 24 seats Video Conferencing Room Clinical Skills Lab Resuscitation Training Room Manual Handling Training Room Details of room plans and seating can be found in Appendix 1 Equipment: Users should request any equipment that is required for their session. Equipment that is available to book in advance: Lap tops Flip Charts/pens TV/Video/DVD player Overhead Projectors Centre staff will reserve the equipment on receipt of your booking form. The equipment will be made available in the room as requested. Please ensure you arrive prior to your session to check your equipment and room layout. It is not the responsibility of the Centre staff to arrange and set out the room other than in its original intended format. However if you have a special request please speak to the Centre Manager who may be able to facilitate your needs if notified in advance.

6 IT Support: Most training rooms are equipped with either a lap top or PC; projector and white or plasma screen. The training rooms which do not have a lap top or PC are F01 (manual handling room); F33 (clinical skills lab); LG02 (Resuscitation training room). These rooms which are specially designed and laid out for a specific purpose are generally not available for booking unless pertinent to their specific use in liaison with the appropriate trainer. Please refrain from changing the settings on the equipment. During normal working hours IT support is available to assist with the use of the electronic equipment. Users should contact Central Reception for support. Requests for support should, where foreseeable, be made at the time of booking. Meetings The large rooms in Werneth will not be made available for meetings on a regular basis due to training requirements and room availability. Please note the Centre Manager will regularly review the room usage and reserves the right to relocate any bookings that may reduce training room capacity. The Reception staff will be pleased to offer you information on other meeting rooms which may be available around the Trust. Catering/Hospitality: Catering provision should be made via the Hospital Catering Department who are able to provide all levels of catering from hot beverages to a more formal arrangement of hot food and/or hot/cold buffet. There are hot and cold drinks machines available in the Meeting Point where users may purchase a drink. It should be noted that alcohol is not permitted on any hospital premises either for sale or provided as part of any catering provision. To order hospital catering the user should complete the hospitality booking form Appendix 2 and return it directly to the catering dept. If users wish to discuss any aspect of their catering requirements they should contact the catering department who will be happy to advise. Please be aware that food and drink are not permitted in the Lecture Theatre.

7 Fire Safety: A comprehensive fire safety plan has been developed within the Centre. Signage is situated throughout the building as an aid memoire to users. Fire alarm panels are located on the ground floor opposite Central Reception and opposite the staff room to assist the Fire Brigade in locating any such fire. The fire alarm is tested every Tuesday morning and is recognised by a short burst of alarm bells ringing. In the event of a fire the alarm bell will sound with a continuous ring. In the event that this occurs all staff and users should leave the building via the nearest fire exit and congregate in the car park beside Darnton Building which is at the bottom of the hill behind the Centre. Telephones: As a courtesy to staff working in offices in the Centre we request users not to enter offices to make or receive telephone calls, answer bleeps etc. Telephones are available on each floor to make and receive internal calls. We also request that users do not use their mobile phones in the corridors as this may also cause disruption to office staff. Staff Room: There is a staff room which is for the use of colleagues based in Werneth House. Use of Blue Tac and Marker Pens: Users should refrain from using blue tac to put posters on walls; flip charts and notice boards are provided for this purpose. Marker pens for use with the flip charts are available on request from Central Reception and should be returned to Central Reception at the end of the session. Photocopying: The centre does not offer a regular photocopying service therefore users are responsible for their own photocopying prior to arriving in Werneth. Data protection: It is the responsibility of the senior clinician/manager present at a session to provide adequate protection of data including removal of patient case notes at the end of the session. Information loaded on to laptops for teaching purposes should be removed at the end of the session. Users must follow the Information Governance and IT policy

8 Medical Emergencies/First Aid In the event of an injury occurring there are first aid boxes located on each floor. The incident must be reported to Central Reception and the appropriate documentation completed as necessary. In the event of a medical emergency the crash team should be called on Emergency equipment is available in room F21 (Resuscitation Office) and the key is available from reception. In the event of a resuscitation officer not being immediately available, the Centre has several First Responders to provide immediate life support and deploy a defibrillator if required. WHAT THE WERNETH HOUSE TEAM EXPECT FROM USERS: How to Book: Room bookings should be made via Central Reception which can be contacted on extension 4203 (external number ). External Users: External bookings will be charged as per the hire charges Appendix 3. All bookings will only be confirmed on receipt of a booking form. Invoices will be raised on a monthly basis. The Centre staff will be able to advise you of room availability and recommend which facilities will best meet your requirements. All bookings will be subject to the completion of a booking from in order to confirm your reservation, see Appendix 4. Acceptance of a booking means users have read understood and commit to following the booking standards and expectations. Cancellations: Users should advise Central Reception if they need to cancel their room booking. This will support other users and ensure the centre operates with optimum efficiency. Advance Notice of Requirements: The Centre is unable to provide a portering service, therefore any user who needs heavy equipment moved or who requires additional furniture should contact ISS via switchboard to pre-book porter time for assistance. Please remember to also book porter time to replace the furniture accordingly to the room plan provided.

9 ID Badges/Sign in/sign Out: All Tameside Hospital staff should wear their ID badges whilst in Werneth House. All non-tameside Hospital staff will be asked to sign in on arrival and sign out on departure from Werneth House. Security: The Centre operates an electrical door locking system to access certain parts of the Centre. The main door opens at 8.00 am and prior to this time arrangements must be made via the Centre Manager to gain access. Access to the upper and ground floors is controlled via the reception staff. Access to the lower ground floor is available after 8.00 am. Individual keys must be collected for rooms and signed for by the user on arrival. Users of the Centre out of office hours will be provided with a visitors pass to gain access through the electronically locked doors. These passes must be signed for and handed back at the end of the session. All rooms must be locked at the end of the session and all windows must be closed. It is the user s responsibility to ensure this occurs. All equipment should be switched off including lights. The key for the room must be handed back to the Centre staff by the user at the end of the session. All rooms should be locked during breaks if they are to be left unattended. Out of Hours: The Security Department will be responsible for ensuring the building is made secure. Users occupying the Centre out of hours must inform the Security Department of their arrival and departure to the Centre. A telephone is available in the entrance foyer to make internal telephone calls. Room Facilities and layout: Each room will be set in its own particular layout to ensure it is used to its best potential. Each room will have a display notice indicating how it should be set up. It is the responsibility of the user to ensure that the room is left as indicated in the picture on the classroom wall, also found on the reverse of the housekeeping guidance sheet. Appendix 5

10 Lost Property: Users should refrain from bringing valuable personal belongings into the building and should be mindful that their belongings are their responsibility. The Trust and Centre holds no responsibility for personal property. Any property found in Werneth House rooms should be handed to staff in Central Reception. Out of Hours Use of the Centre: Using the Centre out of normal working hours may be arranged between the user and the Centre Manager. This will include weekends and after 5.00 pm. The Centre Manager will liaise with the user regarding security arrangements, access to the Centre and support by Centre staff. Please be aware if support by Centre staff is required it is likely that a charge will be made to facilitate this request. IT Training: The Centre staff do not take bookings for the IT suite. Enquiries and bookings should be made to the IT Trainer on extension LIBRARY & INFORMATION SERVICES: The Trust Library offers information and learning resources, in print as well as electronic format (databases and journals) plus training in the use of these e-resources, in order to support staff. The Library is open to all members of staff, placement students, trainees, members of other NHS organisations and members of the public. Borrowing facilities and use of computers is limited to registered members. Non-members may use the Library s print resources for reference purposes only. Staff members are available to assist during the opening hours. Current staffed opening hours are: Monday to Thursday: Friday: 9.00 am pm 9.00 am pm Access to the Library after hours is available. Please contact Security. CLINICAL SKILLS EQUIPMENT: To use anatomy models and manikins you must liaise with the reception staff and/or the Resuscitation Team or Clinical Skills Facilitator. Please note setting up of equipment is not the sole responsibility of the Skills Facilitator and must be discussed at the time of booking. The user must complete and sign an equipment loan form Appendix 6 which

11 ensures that responsibility and care of the item is placed in the users hands. Any damage or loss of such items will be charged to the user or their department. Kit should be returned in its original packing (where applicable) in the same state as provided to the user. It is the user s responsibility to ensure that they check any kit and provide any additional items needed for use, for example, catheters, fluids, cannulas etc. Any used disposables must be discarded appropriately as per the Trust Waste Policy and must not be left in the Centre. Special Items: SIMMAN Only those staff trained specifically in the use of SIMMAN may book this equipment. This must be done strictly in liaison with the Clinical Skills Facilitator or a Resuscitation officer. Any items required for use in conjunction with SIMMAN must be provided by the user. All clinical waste must be disposed of in an appropriate manner as per the Trust Waste Policy. All sharps must be disposed of in an appropriate sharps box and removed from The Centre by the user for safe disposal in the usual manner. Resuscitation Equipment: Defibrillators and Resuscitation Manikins Resuscitation equipment will not be available for loan or use to any user unless by specific prior arrangement with a Resuscitation Officer. Defibrillators may not be used by any user without the presence of a Resuscitation Officer or person authorised by a Resuscitation Officer. In special circumstances resuscitation equipment may be loaned to appropriate personnel who have relevant knowledge, skills and expertise in their use as agreed by a Resuscitation officer. Moving and Handling Equipment: Moving and handling equipment may not be used by any personnel without the specific authorisation of the Moving and Handling Trainer. CHARGES: There is no charge for Tameside Hospital employees. Charges for use by those not employed by the Trust have been established and can be found in Appendix 3

12 POSTERS AND DISPLAYS: When necessary, and to support educational activity, poster displays etc can be arranged in the Meeting Point with agreement from the ET&D and Medical Education Managers. REPRESENTATIVES: Where appropriate, representatives from Medical and Healthcare related companies may be invited to support educational activities. Catering should normally be provided by TGH Catering Services and representatives should liaise directly with them. COMMENTS, COMPLIMENTS AND COMPLAINTS: The Werneth House Team welcomes constructive feedback from users about their experience when using the Centre. The Team will investigate all complaints and will endeavour to ensure, to the best of their ability, that mistakes, errors and omissions are rectified. 17 WERNETH HOUSE Venue hire information Thank-you for your enquiry about the use of Werneth House as a venue for your event. Tameside Hospital NHS Foundation Trust completed a major refurbishment of the old Nurses Home during 2007, including the building of a new extension at the rear of the building. Situated next to the new multi-storey car park, Werneth House now accommodates Post Graduate Medical Education, Corporate Training Services, the Knowledge and Library Services and the IT Training suites. The building has a range of rooms, from small, discreet meeting rooms up to a Lecture Theatre seating up to 120 and equipped with the latest Audio- Visual presentation equipment. The Meeting Point provides an informal area to take refreshments, with the Dining Room available for more formal catering arrangements. Lift access is available to all floors and induction loop facilities are available if requested at the time of booking. The building is normally open between the hours of 08:00 and 17:00, Monday to Friday, excluding public holidays. Use of the facilities outside these hours, including weekend use, is available at additional cost by negotiation. We are now pleased to offer these facilities to external users and attach a more detailed description of the facilities, their capacity and the costs involved. 19 Room Booking Further guidance for hire of WERNETH HOUSE Enquiries and bookings should be made through Central Reception in Werneth House, tel or Enquiries can be made in person, by telephone or . Bookings will only be confirmed on receipt of a room booking request form which can be sent via or post by the Administration team. On receipt of a completed booking form you will be sent confirmation, summarising the provision. Charges for Room Bookings Room charges have been determined by the capacity of each room and its facilities and are reviewed from time to time. Weekends and evenings (after 17:00), where reception facilities and/or technical support is required must be booked in advance and will be charged at cost please ask for further details. Room layout. All rooms booked will be set out based on the agreed specification if requested at time of booking. There is no additional charge for standard Audio-Visual equipment within rooms booked however where additional equipment is requested, any associated cost must be met by the event organizer. Guests bringing their own IT equipment should note that this cannot be connected to the network/internet. If such connection is required, please advise at the time of booking. There is no charge for ad hoc Technical Support/Reception, Administration Service provided during usual operational hours, however where dedicated support is required (e.g. IT or Clinical Skills facilities) or where this is required out of operational hours, this will be charged to the course organizer. This facility is only available if booked in advance. Catering and refreshments Hot and Cold drinks machines are available in the Meeting Point, on a pay as you go basis. The Trust Catering Services would be pleased to quote for a wide range of food and refreshment provision, from hot and cold drinks to full hot buffets prepared to the customers specification. Please ask for further details. Kitchen accommodation / facilities are available free of charge (for use of caterers only) on the condition that these are booked in advance and left in a satisfactory condition. Liaison with external caterers remains the responsibility of the event organizer. Please note the kitchen has a commercial microwave oven only for re-heating of food. Parking Limited reserved parking is available in the adjacent multi-storey car park and pre-payed car park exit passes can be issued to the event facilitator or from reception, if booked in advance. Cancellation fees WILL be applied under the following conditions: o o o o 4-6 weeks notice = 25% of agreed fee 2-4 weeks notice = 50% of agreed fee Less than 2 weeks notice = 100% of agreed fee No cancellation but no staff attend event = 100% of agreed fee VAT will be charged as appropriate.

Due to the high demand for rooms we would be grateful if you could adhere to the times required for your meeting or training event. If you will be using handouts for your meeting can you please ensure that you bring sufficient copies with you as the Education Centre cannot support photocopying for all users of the Centre. 21 Housekeeping Rules Welcome to the Education, Training and Development Centre. To facilitate the smooth running of your session please read the following check list and endeavour to adhere to our terms of use. FIRE SAFETY: The fire alarm is tested every Tuesday morning; a short burst of the alarm bell ringing signifies the test. In the event of the fire alarm ringing please vacate the building via the nearest fire exit. You should gather on the car park in front of Darnton building situated down the slope behind Werneth House. Facilitators should ensure a register check is made for their group and MUST NOT reenter the building until advised it is safe to do so. ROOMS: If the presented layout is not to your choice the Facilitator is responsible for setting the room out. Rooms MUST be left in their original layout as seen on the reverse of this card Equipment should be returned to reception (if applicable) and the loan form completed. Room keys MUST be returned to reception at the end of the session. The room should be locked on leaving. All windows MUST be closed on leaving and all lights and electrical equipment should be turned off. All waste should be placed in the bin. CLINICAL WASTE must be removed from the building. The Trust cannot accept responsibility for personal property Courtesy to All Users: Internal Telephones are situated on each floor to answer bleeps etc., please do not disturb office staff with requests to use office phones. We aim to provide all users with the optimum facilities possible and will endeavour to facilitate your requests efficiently and promptly.
