1 E-zine Module Instructions The E-zines module allows the user to send out s and alerts to individuals or groups that have either signed up or have been added to a specific group. This allows the City to communicate with a large body of people, through a Group system that the user can employ and manage. The following instructions are designed to outline this modules capability and to offer instructions on how to assign and communicate using the E-zines module.

3 E-ZINES Getting Started Log in to the Administration System using your assigned password. Roll over the Modules tab in the top left corner, select and click ezines. 7 9 Create and Manage E-Zines The E-Zine module has four dropdown lists: Manage Outgoing E-zines: This is where you modify, send, and delete ezines. Add New Outgoing E-zines: This is where you add a new ezine. Manage User Lists: This allows someone to manage the lists. Add New User List: This allows the you to add a new list to an E-zine. Subject: This is the text what will go in the subject line of the that is sent out. Edit Date: This date is generated when the E-zine is either created or updated. Sent On: This date is generated when the E-zine is last sent. If 7 Send: Click this button to send out a particular E-zine. the E-zine has not been sent, it will say Unsent. Send E-zine: Once you click the Send button a pop-up window will appear (see example above). Modify: Click this button to modify an existing E-zine. Select the appropriate list/s you wish to send out a particular E-zine to and click Send. 9 Delete: Click this button to delete a specific E-zine.
4 E-ZINES Add New Outgoing E-zine Contact the site administrator to setup add new users, setup user lists, or blacklists. In addition, your site administrator can setup an E-zine to auto send s when Press Releases are created, a file is added to the FileBank, or a new job is added to the Jobs Database. Add New Outgoing E-zines: Roll over the ezines link and select the Add New Outgoing ezine option. Subject: Enter the Subject of the e-zine entry. Text Enter the Text you wish to appear in the . Submit: Click the Submit button to send the ezine to the system. When the system asks you whether you want to send the entry to the site click Ok. The new ezine will be automatically available on the in the E-zine Admin page, and can be sent to any E-zine list.
5 E-ZINES Add New User List Add New User List: Roll over the ezines Button and select the Add New list option. Title: Enter the Title of the e-notify list. Description: Enter the Description of the entry. Categories: Select the category for the E-zine. Contact your system administrator to create additional categories. Categories are used to separate E-zines into different sections online. List is Public: Click the List is Public button, if you want the list be be made available online to the public. Active: Check the Active box, if approved, to make the re- 7 lease live online. 7 Submit: Click the Submit button to send the list to the system. When the system asks you whether you want to send the entry to the site click Ok. If the active box is checked, the E-Zine will be automatically available on the site. Cancel: To cancel creating a new list, click the Cancel button.
6 E-ZINES Manage User Lists: Roll over the ezines Button and select the Manage lists option. Select the entry you wish to modify and click on the Modify button. Follow same procedures as if you were making a new list. Click the Submit button to send the revised list to the system. When the system asks you whether you want to send the entry to the site click Ok. 7 9 Add New Entry: See the Add New User List instructions on the previous page for more information. Title: This is the title of the E-zine list. Description: This is the Description of the entry. Public: If the box is checked, then the List is made available online to the public. Active: If the box is check, then the List is active. 7 Modify: See Add New User List instructions on the previous page for more information on how to modify a List. Users: Click this button to view the users signed up to the List. You can remove users from the list by selecting the name and clicking the Remove button. 9 Delete: Click this button if you want to delete a List.
