In this issue, we re focusing on the bread and butter of what we do at CaRMS the R-1 Main Residency Match (R-1 match). Out of a total of 3,259 graduating students and physicians that matched, 2,833 were Canadian medical graduates (CMGs), 408 were international medical graduates (IMGs) and 18 were United States medical graduates (USMGs). Over 36 per cent of CMGs chose a career in Family Medicine. Behind the scenes, the hardworking CaRMS team managed more than 122,000 applications generated by over 5,000 applicants. These applications, along with their supporting documentation, were distributed to more than 800 program sites across the country. If you want to dig a little deeper into the match, you ll find infographics highlighting key match stats on pages 4 and 5, as well as a link to the full R-1 match reports on page 4. Moving beyond the numbers, an interesting Q&A session with the first-place winners of the 2016 Match Moments Video Challenge on page 7 will give you some additional insight into the application and match process as experienced by the group of 10 friends whose video received the highest number of online votes. We were pleased to share information about the R-1 match at the 2016 CaRMS Forum at this year s Canadian Conference on Medical Education (CCME) in Montreal. Read more about the CaRMS Forum, as well as the thought provoking dialogue inspired by the data, on page 3. Above and beyond the opportunity to present the CaRMS Forum, CCME was an incredible chance to connect (and reconnect) with members of the Canadian medical education community faculty, learners and members of our partner organizations. The experience reinforced how much I enjoy my role working with such a dedicated, passionate and innovative group of people. continued on page 2

2 Update from the CaRMS Board of Directors meeting. The Governance Committee has recommended Brendan Carr for nomination as Treasurer to succeed Ken Harris, effective following the May 16 Board meeting. Willa Henry s term as CaRMS Board Chair will be expiring in October 2016, and she will not be standing for re-election. Janice Willett, currently CaRMS Vice-Chair, has approved her name to go forward for nomination as Board Chair on the October 28 Board meeting nomination slate. Preston Smith has approved his name to go forward for nomination as Vice-Chair on the same slate. Proposed budget for fiscal year 2017 The proposed budget for fiscal year 2017 was approved by the Board. A highlight of the proposed budget was a fee freeze in for applicant and institutional clients. Learn more about our fee freeze on page 8. Dr. Willa Henry Chair, CaRMS Board of Directors The CaRMS Board of Directors held its latest meeting on May 16, 2016 in Toronto. The Board moved forward on a number of fronts, including the approval of next year s budget and new Board appointments. The Board also approved several proposed amendments to CaRMS by laws, which will be presented to member organizations for ratification later this year. Proposed by-laws amendments A highlight of the proposed CaRMS by-law amendments being presented to the members for ratification at the November 2016 members meeting is the addition of two organizations, the Fédération médicale étudiante du Québec (FMEQ) and the Fédération des médecins résidents du Québec (FMRQ), as CaRMS organizational members. CaRMS Officer and Board Director appointments Sylvain Coderre has been nominated by the AFMC to succeed Robert Primavesi as an Elected Director to the CaRMS Board. Ken Harris stepped down as CaRMS Treasurer following the May 16 Board The match and more continued from page 1 In this issue we re also sharing some information about our internal focus on building a continuous quality improvement (CQI) culture at CaRMS, all with the aim of improving our services to our clients in ways that matter. The match fee freeze highlighted on page 8 is one of the ways we re ensuring value for our clients, as are our ongoing enhancements to CaRMS Online outlined on page 5 and our updated documents policy explained on page 4. You ll also find a link to important details about our new browser support model on page 5. Of course, one of the most important drivers in our ongoing quest to improve the quality and value of our products and services is you our clients and stakeholders. We re reaching out to collect feedback on every area of our business in a variety of ways, and I have been privileged to visit a number of medical schools in the last few months to do just that. In my visits to the Northern Ontario School of Medicine, the University of Saskatchewan and Western University, I ve met with both faculty and students to share information about CaRMS and learn how we can provide additional value throughout the application and match process. I look forward to continuing these visits in the fall. Our client services team has also been busy visiting schools to share important information about the match with students you can find their school visit calendar on page 9. 3 Connecting with the community: CaRMS Forum at CCME 2016 We were pleased to hold our annual CaRMS Forum at CCME in Montreal during the 2016 Canadian Conference on Medical Education (CCME). The CaRMS Forum is one of the high points of our year at CaRMS, as it is a great opportunity to share the results from the R-1 Main Residency Match (R-1 match) and more importantly discuss them with our clients and stakeholders. This year we broadened the focus of the Forum to enable more open discussion of topics we all care about, including the influences on applicant interest in various disciplines and the critical issue of unmatched Canadian graduates. Participants brought perspectives from various jurisdictions and areas of expertise, all of which added valuable meaning to the data presented. We were pleased to hear a positive response on the usefulness of both the data and discussion portions of the CaRMS Forum, and we are grateful for the valuable suggestions we received about how we can enhance the presentation for the future. Quality and continuous improvement at CaRMS At CaRMS we are focused on ensuring that operations are effective and reliable within the context of a continuous quality improvement (CQI) culture. For us, CQI is more than just a way of improving our services and providing value to our clients. It is about improving and providing value in ways that matter. Moving forward, CaRMS will be drawing more and more on our clients to measure our effectiveness and improve on how we do things. For us, quality is defined by meeting and exceeding our clients expectations. What matters to our clients, matters to us. We are focused on CQI as a core organizational capability because we are dedicated to building internal capability and leveraging the expertise and knowledge of our people and clients to focus on improving our services. 4 Changes to CaRMS documents policies In an effort to further reduce our environmental footprint, CaRMS will no longer accept mailed documents from applicants. The CaRMS Online application platform allows applicants to upload almost all documents directly into their online application, eliminating the need to send hardcopy documents to CaRMS. Not only does this reduce our resource needs and storage requirements, it also saves applicants time and stress by giving them more control over their documents. BY THE NUMBERS Highlights from the 2016 R-1 Main Residency Match 18 USMGs 2,833 CMGs 408 IMGs 3,259 Out of a total of 3,259 graduating students and physicians that matched, 2,833 were Canadian medical graduates (CMGs), 408 were international medical graduates (IMGs) and 18 were United States medical graduates (USMGs). This change will come into effect in July 2016 for the 2017 Medicine Subspecialty Match. CaRMS will still accept mailed documents sent directly from third-party sources, such as medical school performance records (MSPRs) and transcripts. We encourage referees to upload letters of reference directly via the referee portal; however, we will still accept hardcopy letters of reference from referees. Family Medicine had the largest quota of all disciplines with 1,521 positions available; followed by Internal Medicine (504) and all surgical disciplines (315). 1,521 Family Medicine 315 Surgical disciplines 504 Internal Medicine In addition the CaRMS Document Centre will be moving to join the rest of the CaRMS team at our downtown Ottawa headquarters R-1 match reports now available Every year CaRMS publishes a set of full reports of statistics from the R-1 Main Residency Match (R-1 match) online. The reports provide information to faculties of medicine and applicants on match trends and results, as well as results from previous years matches. The 2016 R-1 match reports are now posted online. Visit CaRMS.ca/en/data-and-reports/r-1/ reports-2016/ to access the reports. Help desk summer hours The CaRMS help desk hours of service have changed. As of May 19, the help desk is open Monday to Friday, 8:00 ET until 16:00 ET. Contact the help desk at or help@carms.ca. The help desk will return to regular hours of service at the end of August. IMGs participating in the 2016 R-1 match: 1,815 IMGs matched: 408 A total of1,233 documents were translated for bilingual applications using our translation service. Family Medicine was the most preferred choice of discipline followed by Internal Medicine and all surgical disciplines. Family Medicine 36.2% first All CMGs of all CMGs selected a career in Family Medicine as their choice. 33,719 letters of reference were submitted. We received 13,071 calls to the help desk. CMGs who chose a surgical discipline as their first choice were the most unmatched in first iteration (29.9 per cent), followed by Family Medicine (13.2 per cent) and Anesthesiology (13.2 per cent). 5 The CaRMS Online experience We re committed to staying tapped into the user experience, using the feedback we receive from our clients to guide the development of system functionality, processes and new features for the CaRMS Online application platform. The requests and recommendations we get from individual programs and applicants are as varied as the clients themselves, so we focus on making the improvements and adjustments that provide the most real value to the widest range of our clients and make a difference to the quality of their CaRMS Online experience. Here is a look at some of the recent enhancements we ve made to CaRMS Online, as well as a sneak peek at some other improvements we have in the works. Reports During the file review period, programs sort through hundreds of applications during their evaluation of applicants. We ve improved how reports are displayed and organized within CaRMS Online, facilitating the use of these reports during the critical file review period. As we continue planning and developing for the next phase of CaRMS Online enhancements, we remain committed to reporting back with regular progress updates on changes you can expect to see within CaRMS Online. Stay tuned for our next announcement of CaRMS Online enhancements. CaRMS browser support model CaRMS Online is moving to a new browser support model to better serve our clients and uphold the security of the information in our system. Visit CaRMS.ca/en/browser-support to learn more and make sure you re set up for the best possible CaRMS Online user experience. File review view We ve adjusted the file review view to enhance how programs view information. Programs can now easily distinguish between broad-based internships and postgraduate training. Filters Each year, Canadian residency programs rank hundreds of applicants. We are continuing to improve the filter function in CaRMS Online to help programs better manage their applicant pools and rank order lists. New functionality allows programs to isolate applicants previously selected for ranking, and to sort ranked and unranked applicants for easy identification. Master program descriptions We ve developed a new master program description function. The new master program description allows postgraduate officer users and match coordinators to push out changes to their return of service, citizenship documents and language proficiency requirements to all their programs at once, eliminating the need to enter the information in each individual description. While the functionality to update these sections on an individual program basis remains, we are confident that our users will enjoy the added functionality of the master program description. 6 The Sandra Banner Student Award for Leadership: Encouraging tomorrow s medical leaders The Sandra Banner Student Award for Leadership (SBSAL) was established in 2013 by the CaRMS Board of Directors in honour of the leadership that Sandra Banner demonstrated as the organization s Executive Director and CEO from Designed to encourage the development of future leaders in medicine, the award provides funding to support applicant-proposed leadership activities. The SBSAL awards winners in two categories undergraduate medical learners and postgraduate medical learners enabling an entrant in each category to be awarded up to $3,000 toward identified leadership activities. Throughout my training, I have always strived to be a voice for marginalized populations, advocating for social justice and health equity. In receiving this award I will be able to continue this work, now with the backing of CaRMS and the broader medical community. I am thankful to my nominators and to all of those people who have supported me over the last few years. 7 2016 Match Moments Video Challenge winners announced The winners of the 2016 Match Moments Video Challenge were announced on Tuesday, April 19, The contest, which invited applicants in the first iteration of the 2016 R-1 Main Residency Match to record and share their match moment, allowed people all around the world to vote online for their favourite videos. We sat down with the first-place winners to discuss what it was like to go through the application process and get their match results. And the winner is Ottawa Meds: The Polar Bear Dip submitted by Samir Ksara The winning video in the 2016 Match Moments Video Challenge, Ottawa Meds: The Polar Bear Dip, was submitted by Samir Ksara. Samir matched to the Urology program at the University of Manitoba. His match moment was filmed with nine of his best friends all graduating from the University of Ottawa: Simon (Emergency Medicine, University of Ottawa), Patrick (Family Medicine, University of Toronto), Sophie (Family Medicine, University of Ottawa), Luke (Family Medicine, University of Alberta), Omar (Internal Medicine, University of British Columbia), Vince (Radiology, University of Calgary), Josh (Family Medicine, McMaster University) and Richie (Family Medicine, University of Toronto). After watching the top video from last year s Match Moments Video Challenge, they knew they had to come up with something unique and entertaining. After quite a bit of brainstorming the idea of the polar bear dip was born. We asked the group to share their perspective on the match and application process. How did you feel when you saw your match result? Samir: I felt a mix of emotions, but mostly huge relief. I did not have a backup and it was a competitive year for Urology so I knew the stakes were extremely high and I was going all in. All the stress that has accumulated in the last year or so disappeared in a matter of seconds. What did you find to be the most challenging aspect of the application and match process? Luke: Looking back, I would have to say it s the uncertainty associated with the match process. Not knowing where you will be spending the next few years of your life. 8 What did you find to be the easiest aspect of the application and match process? Samir: The initial application itself was quite easy. The CaRMS website is great very well organized and easy to navigate. It s the second part of the process that I found most challenging the part that you don t have control over. What are your most memorable moments from the application and match process? Richie: Definitely Match Day! Having the opportunity to celebrate mutual success with your best friends who have been there by your side through all the hardships. I am very glad we were able to capture this career defining moment on tape. Do you have any advice for people heading into next year s match? Josh: Go into every situation with a positive attitude and get as much exposure as you can to different situations. Try not to stress too much about the match if you put in the hard work you will get rewarded. What are you most excited about heading into the future? Patrick: Waking up every morning knowing that I can make a positive difference in someone s life. I am also looking forward to showing this silly video to my medical students 40 years from now! Surveying the post-match landscape For more than 20 years, CaRMS has invited current-year applicants to complete a survey after each R-1 Main Residency Match (R-1 match) cycle. The survey, which consists of a comprehensive profiling and feedback questionnaire, is sent to thousands of Canadian medical graduates (CMGs), United States medical graduates (USMGs) and international medical graduates (IMGs) from around the world. It provides CaRMS with important information on the match process information that we can then use to improve our services for future applicants. This year s overall response rate was 44 per cent. CaRMS awards classes with a response rate of 80 per cent or above. Congratulations to the graduating class of Memorial University of Newfoundland for their 100 per cent response rate and $2000 cash prize towards a graduation party! The graduating classes of Queen s University and the Northern Ontario School of Medicine each walk away with $500 for their 91 per cent response rates! But we re also committed to providing value in other ways that matter. One of the ways we re doing this is by freezing match and application fees for all 2017 matches. Fees associated with the 2017 R-1 Main Residency Match, 2017 Medicine Subspecialty Match and 2017 Family Medicine/Emergency Match will remain fixed at 2016 levels. 9 The people at CaRMS Simona Rutulis, Senior Quality Assurance Analyst Simona Rutulis is a Senior Quality Assurance Analyst at CaRMS. Simona has her American Society for Quality (ASQ) certification in Quality Management as a Certified Manager of Qual- ity / Organizational Excellence. She works closely with the Executive Office to establish a Continuous Quality Improvement framework for CaRMS and leads quality assurance (QA) efforts for the organization. Simona plays a very important role in guiding the continuous improvement of CaRMS products and services. How long have you worked at CaRMS? I celebrated my two-year anniversary at CaRMS on April 29. What is a typical day like for you at CaRMS? A typical day for me at CaRMS means spending equal time between my three main responsibilities: managing the quality assurance (QA) team, working with the leadership team on the continuous quality improvement initiative, and project management for CaRMS Online. In your opinion, what is the best part about working for this organization? The people! Everyone is very knowledgeable, with very positive and can do attitudes we have a great team! What do you think the biggest misconception is about CaRMS or the work you do? I think the biggest misconception about CaRMS is that we control the actual matching process, which is not true. In your opinion, what are the biggest challenges for the organization in the coming year? This coming year will be a great year with a lot of initiatives in the pipeline! What do you do to unwind after a really long day in the office? I love cooking, listening to music, reading books and yoga. CaRMS on campus We visit each of Canada s 17 medical schools on an annual basis to share information and answer questions about the application and match process. Our CaRMS on campus presentations provide an overview of the R-1 match for potential 2017 applicants.
