5 What is NVivo NVivo is a relational database that is used for organising and visualising qualitative data. The newest Service Pack (SP5) includes support for Evernote, an integrated transcription service, as well as general performance improvements. Creating a new NVivo file To create a new NVivo file open NVivo and click on the FILE tab. Then select NEW. CLICK HERE! You will be prompted to enter a title for you file. You may enter a description if you like. Be sure to save your NVivo file to a location on your H: drive. If multiple users will be using your NVivo file you may wish to ask NVivo to keep a log of what has been done with the file and by whom. To keep a Project Event Log tick WRITE USER ACTIONS TO PROJECT EVENT LOG. Project event log To access the Project Event Log: 1. Click on the FILE tab. 2. Select INFO. 3. Click on OPEN PROJECT EVENT LOG. Page 1 McGowan 2014

7 Sources Any material that you may wish to import into NVivo is called a source. This can refer to text, audio or video files. To see the sources folders you will first need to click on SOURCES in the navigation pane. By default NVivo will create four source folders: INTERNALS, EXTERNALS, MEMOS, and FRAMEWORK MATRICES. Internals Internals are primary research materials that you import into NVivo. You can also create internals in NVivo. You may import: text documents, PDFs, datasets, audio files, video files and images. The types of files you may import are listed in the table in Appendix 1. To create a subfolder within the default internals folder, simply right click on the internals folder and select NEW FOLDER. You may also create folders within your subfolders. Importing Sources There are several ways to import a source. 1. You can click on the folder in which you wish to place your sources and then drag-and-drop them from your hard drive. 2. You can also import sources by first clicking on the folder you wish to import them to and then right-clicking in the white space underneath your list of sources. Select IMPORT and then choose the type of source you wish to import. 3. The import options also appear on the EXTERNAL DATA tab. Again, you will need to select the type of source you wish to import. 8 Creating blank sources There are two ways to create a blank source: 1. Click on the folder in which you wish to create a blank source, then right-click in the white space underneath your list of sources. Select NEW INTERNAL and choose the type of source you wish to create. 2. The options to create blank sources also appear on the CREATE tab. Again you will need to specify which type of source you wish to create. NCapture NCapture is a web browser extension that allows you to quickly import material from the web into NVivo. NCapture works with Internet Explorer and Google Chrome. You can instantly capture web pages, PDFs and social media content from Facebook, Twitter, and YouTube. In Internet Explorer the NCapture button appears in the top right of the command bar. In Google Chrome you will have to do the following in order to install the NCapture extension: 1. Click on the customise button in the top left of the Chrome browser. 2. Select TOOLS. 3. Select EXTENSIONS. 4. When the extensions tab appears click on GET MORE EXTENSIONS. 5. Search for NCAPTURE. 6. When the NCapture icon appears click ADD TO CHROME. 7. Click ADD when prompted. 8. You should now see the NCapture icon in the top right of your browser. Page 4 McGowan 2014

9 Capturing PDFs To capture and import a PDF into NVivo simply open the PDF in your web browser and then do the following: 1. Click on the NCapture icon in the top right of your browser. 2. When the NCapture window appears fill in a Description for the PDF. 3. Choose a save location and click CAPTURE. 4. In NVivo click on the source folder into which you wish to import your PDF. 5. Right-click in the white space underneath your list of sources and select IMPORT and then IMPORT FROM NCAPTURE. 6. Browse to the folder into which you saved your PDF. 7. Make sure the NCapture file is ticked and then click IMPORT. 8. Double click on the PDF in the list view to open it. Capturing Facebook and Twitter feeds To capture feeds from Facebook do the following: 1. Sign in to Facebook/Twitter. 2. Go to a Facebook/Twitter page and click on the NCapture icon in the top right of your browser. 3. Choose a save location and click CAPTURE. 4. In NVivo click on the source folder into which you wish to import your dataset. 5. Right-click in the white space underneath your list of sources and select IMPORT and then IMPORT FROM NCAPTURE. 6. Browse to the folder into which you saved your dataset. 7. Make sure the NCapture file is ticked and then click IMPORT. 8. Double click on the dataset in the list view to open it. 9. The tabs on the right of the screen allow you to explore your dataset in various formats. Page 5 McGowan 2014

10 Capturing YouTube videos When you capture YouTube content you cannot actually copy the video to your NVivo file. You are linking to the video only; however, you may download comments posted in response to videos. These comments will be saved to your NVivo file. You cannot capture videos that have embedding disabled or which are set to private. To use NCapture with YouTube: 1. Go to YouTube and find a video you wish to capture. 2. Click on the NCapture icon in the top right of your browser. 3. Select the content you wish to download (i.e. video only, or video and comments). You can also download the YouTube page as a PDF. 4. Choose a save location and click CAPTURE. 5. In NVivo click on the source folder into which you wish to import your video/comments. 6. Right-click in the white space underneath your list of sources and select IMPORT and then IMPORT FROM NCAPTURE. 7. Browse to the folder into which you saved your video/comments. 8. Make sure the NCapture file is ticked and then click IMPORT. 9. Double click on the video/comments in the list view to open it. Capturing webpages You can capture any webpage in PDF format. To capture a webpage: 1. Go to a webpage you wish to capture. 2. Click on the NCapture icon in the top right of your browser. 3. Choose a location and click CAPTURE. 4. In NVivo click on the source folder into which you wish to import the PDF. 5. Right-click in the white space underneath your list of sources and select IMPORT and then IMPORT FROM NCAPTURE. 6. Browse to the folder into which you saved your PDF. 7. Make sure the NCapture file is ticked and then click IMPORT. 8. Double click on the PDF to open it. NOTE: you will not be able to download video or interactive content. Page 6 McGowan 2014

11 Externals Externals are intended to act as proxies for material that cannot be imported into NVivo (e.g. books, file types that cannot be launched in NVivo). You can use the externals folder to summarise or describe this material even though the material cannot be imported. Though material in the externals folder will not be imported, you can link to it. You can link to files, or web content. To add a new external in your externals folder: 1. Click on your EXTERNALS folder. 2. Right click in the white space underneath your list of externals and select NEW EXTERNAL. 3. In the GENERAL tab you will need to enter a name for your external. You may enter a description if you like. 4. Click on the EXTERNAL tab. 5. Select the type of external you would like to link to (i.e. a file on your hard drive, or a web link) 6. If you choose FILE LINK then you will need to browse to the location of the file on your hard drive. 7. If you choose WEB LINK you will need to enter a URL. 8. If you wish to open a blank external that does not link to a file or web content select OTHER as the file type. 9. Click OK. Memos Memos are documents that can be attached to elements of your NVivo file (e.g. sources, nodes) and which are intended to include supplementary information (e.g. field notes, notes about iteration, follow-up questions). It is not necessary to attach memos to your sources, nodes etc. they can simply be stand-alone memos. To add a new blank memo in your memos folder: 1. Click on your MEMOS folder. 2. Right-click in the white space underneath your list of memos and select NEW MEMO. 3. You may now type your memo into the blank memo. Page 7 McGowan 2014

12 To import a memo: 1. Click on your MEMOS folder. 2. Right-click in the white space underneath your list of memos and select IMPORT MEMOS. 3. Browse to the location of your memo and click OK. To attach a memo to a source (e.g. to a transcript that has been imported as a source): 1. Click once on the source to which you wish to attach your memo. 2. Right-click and select MEMO LINK. 3. If you wish to attach a new blank memo choose LINK TO NEW MEMO. 4. If you wish to attach a memo you have already created select LINK TO EXISTING MEMO. 5. If you choose to LINK TO EXISITING MEMO you will need to choose a memo from the list and click OK. NOTE: You may only attach one memo to a source, and each memo can only be attached to one source. Synching transcripts with audio/video sources You may wish to synchronise your transcripts with your audio/video. The best way to do this is to ensure that you or your transcriptionist time-stamps your transcripts. An example of a timestamped transcript can be found in Appendix 2. To synch a time-stamped transcript with your audio/video source: 1. Open the audio or video source to which you wish to synchronise your transcript. 2. Click on CLICK TO EDIT. 3. In the MEDIA toolbar select TRANSCRIPT ROWS. 4. Browse to your transcript. 5. Change CREATE ONE TRANSCRIPT ROW FOR EACH to TIMESTAMP. 6. Check the data preview window to ensure that the transcript rows look as they should. 7. Click OK. Page 8 McGowan 2014

13 Nodes Nodes represent a concept or characteristic to which you wish to code research material. You may also create nodes for people or places. Once you have created a node you can assign attributes (e.g. age, gender, date of diagnosis) to it. You cannot assign attributes to a source the source must first be coded into a node. NVivo allows you to create nodes either as part of a tree structure or as stand-alone free nodes. Free nodes may be incorporated into a tree structure or they may remain free nodes. To see the nodes folders you will first need to click on NODES in the navigation pane. By default NVivo will create folders for NODES, RELATIONSHIPS and NODE MATRICES. Case nodes Assigning sources to a case node will allow you to aggregate several sources into a single node (e.g. if you interviewed the same participant twice and wish to amalgamate both interviews into a single entity). Coding cases to a node also allows you to assign attributes to these case nodes. You can create case nodes by doing the following: 1. Select the source(s) you wish to create as a case node. 2. Right-click and select CREATE AS and then select CREATE AS NODE. 3. Choose where you would like to save your case node and select OK. 4. You will be prompted to choose a name for your case node. 5. You may assign a description or a colour to the node if you like. NOTE: In the above screen capture you can see that both the March and the June interviews with Freedom will be assigned into a single case node. Page 9 McGowan 2014

14 Both of Freedom s interviews have been coded to this case node and the memo containing the field notes about his interviews has been attached. To add content to a case node after you have created it: 1. Click once on the additional source. 2. Right-click and select CODE SOURCES and then CODE SOURCES AT EXISTING NODES 3. Click on the node folder which contains the case node to which you wish to add your source. 4. Tick the box next to the case node you wish to add to and select OK. Page 10 McGowan 2014

15 Creating a node To create a free node do the following: 1. Click on NODES in the navigation pane. 2. You will now see the nodes folders at the top of the screen. You may create subfolders in the NODES folder (e.g. you may create a subfolder for case nodes, for free nodes, and tree nodes). 3. Once you have created a folder into which to put your nodes you simply click once on the folder. 4. Right click in the white space underneath your list of nodes and select NEW NODE. 5. Name your new node. 6. You may assign a description or a colour to your new node if you like. Page 11 McGowan 2014

16 Adding or merging nodes To create a tree structure for your nodes simply right click on the node under which you wish to create a child node and select NEW NODE. You may move nodes around by dragging-anddropping them. Alternately, you may: 1. Right-click on a node you wish to move and select COPY or CUT. 2. Click once on the node into which you wish to past the node. 3. Right-click and select PASTE (which will paste the node as a child node) or MERGE INTO SELECTED NODE (to merge the content of the cut node into the node you have selected). Deleting nodes To delete a node: 1. Click once on node you wish to delete. 2. Right-click and select DELETE. Coding documentary sources to nodes To code your material (either directly from your sources or from case nodes) to a node, do the following: 1. Open your source or your case node by double clicking on it. 2. Click on NODES in the navigation pane. You should now see your nodes at the top of the screen and your text at the bottom. 3. Select the text you wish to code and then simply drag it into the appropriate node. Viewing nodes To view all of the material you have coded to a node simply double click on the node. 17 Changing the view If you prefer the nodes to be situated at the side of the screen simply click on the VIEW tab and select DETAIL VIEW. The default view will be set to BOTTOM. Change the view to RIGHT. Coding audio/video to nodes NVivo allows you to code directly from audio/video to nodes - you need not have a transcribed version of the material. To code directly from audio/video: 1. Double click on your audio/video source or, if you have coded your audio/video source to a case node, open the case node by double clicking on it and then click on the AUDIO tab to the right of your case node. 2. Click on NODES in the navigation pane. You should now see your nodes at the top of the screen and your audio/video at the bottom. Page 13 McGowan 2014

18 3. You may now play your audio/video file by clicking the appropriate buttons on the MEDIA tab. To code a section of audio/video you will first need to select it. There are three ways to select the section of audio/video. Click here and Drag to here and a. Once you have done this the section you have selected will appear as blue outline. c. Click inside the blue section and then drag and drop into a node. Alternately you can use the START SELECTION/FINISH SELECTION buttons. This will allow you to select the section you wish to code while you are listening to/watching the audio/video. a. While listening to/watching your audio/video file click the START SELECTION button on the MEDIA tab. b. When you have reached the end of the section you wish to code click the FINISH SELECTION button. c. Once you have done this the section you have selected will appear as blue outline. d. Click inside the blue section and then drag and drop into a node. There are shortcut keys which allow you to use the function keys instead of clicking on the buttons in the MEDIA tab. a. While listening to/watching your audio/video file press F11 to start the selection and F12 to stop the selection. b. Once you have done this the section you have selected will appear as blue outline. c. Click inside the blue section and then drag and drop into a node. The other shortcut keys which may assist with selecting sections of audio/video include: F7 (play/pause), F8 (stop), F9 (skip back 15 seconds), and F10 (skip forward 15 seconds). 19 Coding stripes NVivo displays the nodes to which text, audio, or video has been coded with coding stripes. Coding stripes appear next to the coded material. To turn on coding stripes: 1. Click on the VIEW tab. 2. Click on CODING STRIPES. 3. Select the coding stripe option you prefer. NVivo can display the all of the nodes you have coded the material to, the nodes you have coded most recently, the nodes you have coded the most or least, or you may select the nodes that you wish to be displayed as coding stripes. NOTE: If you assigned colours to your nodes and you wish the coding stripes to use those colours you must click on the VIEW tab and select COLOUR SCHEME and choose ITEM COLOURS. Highlighting If you wish to see which sections of your text, audio, or video have been coded you can turn on highlighting. To turn on highlighting: 1. Click on the VIEW tab. 2. Click on HIGHLIGHT. 3. NVivo can highlight everything that has been coded (to any node) or you can select which nodes you would like to appear highlighted. Uncoding You can uncode material by: 1. Selecting the text (or section of audio/video) which you have coded. 2. Right-click and select: a) UNCODE SELECTION and then UNCODE SELECTION AT EXISTING NODES (material may be coded to more than one node, this option will allow you to select which node you wish to uncode the material to). 20 b) UNCODE SELECTION and then UNCODE SELECTION AT CURRENT NODES (this will uncode the material to the node currently being coded it is displayed at the bottom of the screen) The current node is listed at the bottom of the screen. c) If you are looking at material from within a node (i.e. you have opened your node and are reading through the material coded to it) you can select content and then choose UNCODE SELECTION AT THIS NODE. This will uncode to the node you are in the text will not be uncoded to other nodes to which it may be coded). d) You may also select which node you wish to uncode from in the list of recent nodes which appears underneath your UNCODE SELECTION options. e) Finally, you can uncode using the coding stripes. Simply right click on the coding stripe representing the node to which you wish to UNCODE the material and select UNCODE. Page 16 McGowan 2014

21 See also links See also links allow you to link material in your project. For example, you could use them to link transcript material when one research participant is talking about the same concept/event as another. You can link to project items (including sources, nodes, or memos), to content in another source or node, or content that appears in the same source or node). To insert a see also link: 1. Select the content in your source or node. 2. Right-click and select LINKS, then SEE ALSO LINK, then NEW SEE ALSO LINK. 3. Click SELECT to browse to the content in your project. To link to an external source (e.g. a website) change the TO OPTION to NEW EXTERNAL and click OK. You will then be asked to name the new external and to provide a link to it. NOTE: the see also link will appear pink in the text. Page 17 McGowan 2014

22 Viewing or opening your see also links To view your see also links at the bottom of your source or node you will need to tick the SEE ALSO LINKS box on the VIEW tab. This will display your links at the bottom of the screen. You may double click on the link to open it. To open your see also link you will need to: 1. Click in the material that you have linked (it will appear as pink highlighted text). 2. Select LINKS, then SEE ALSO LINK, then OPEN TO ITEM. Page 18 McGowan 2014

23 Annotations Annotations allow you to select material and attach a note to it. The section of text to which an annotation has been attached will appear light blue and the annotations will appear at the bottom of the screen. To add an annotation: 1. Select the text (or section of audio, video) to which you wish to add an annotation. 2. Right-click and select LINKS, then ANNOTATION, then NEW ANNOTATION. 3. A blank annotation will appear at the bottom of the screen. You may write whatever you like in the annotation window. 4. To make your annotations appear/disappear click on the VIEW tab and tick the box next to ANNOTATIONS (to make the annotations appear at the bottom of the screen); untick the box to make the annotations disappear. Classifications You may wish to associate descriptive information with your nodes. For instance, you may have collected demographic information (or attributes ) about your research participants which you may wish to associate with your participants case nodes. NVivo allows you to define your own attributes (e.g. age, gender) and to collect them in a classification. You can set up several different classifications and apply them to your nodes. 24 Creating node classifications To create classifications which you can apply to node: 1. Click on CLASSIFICATIONS in the navigation view. 2. Click on NODE CLASSIFICATIONS at the top of the screen. 3. Right click in the white space underneath your list of node classifications and select NEW CLASSIFICATION. 4. Name your classification. Adding attributes To add attributions to your classification: 1. Right click on the classification to which you wish to add attributes. 2. Select NEW ATTRIBUTE. 3. Name the attribute (e.g. age, gender, years since diagnosis, occupation) and define what form your input will take (e.g. text, integer, decimal). 4. Click on the VALUES tab. 5. Click ADD to add a new value and then type in your value. 6. Add as many values as you would like to include in your attribute. 7. You may change the default value by clicking in the box next to the default value. You may also add colours to your attributes if you like. 8. Go back to step 1. to add more attributes. 25 Assigning a classification to a node To assign a classification to a node: 1. Click once on your node. 2. Right-click and select CLASSIFICATION and then choose which classification you wish to apply to that node. NOTE: You may only apply one classification to a node. NOTE: If you wish to apply a classification to several nodes at the same time, simply select all of the nodes, right-click, and apply the classification. To add attribute values to a node You will now need to fill in the values for each node. To do this: 1. Click once on the node for which you wish to enter attribute values. 2. Right-click and select NODE PROPERTIES. 3. Click on the ATTRIBUTE VALUES tab. 4. Click on the dropdown arrow next to your attribute and choose one of the values. 5. When you have finished filling in your values click OK. Viewing your classification sheet To view the classification sheet: 1. Click on the EXPLORE tab. 2. Click on NODE CLASSIFICATION SHEETS and select the classification you wish to view. NOTE: You may add or change your classification values in the classification sheet. Page 21 McGowan 2014

26 Relationship types You may wish to code material which relates to the relationship between nodes (including case nodes). You can do this using regular nodes; however, you can also set up relationship nodes for this purpose. Before you can code material to a relationship node you will need to set up your relationship types. To create a relationship type: 1. Click on CLASSIFICATIONS in the navigation pane. 2. Click on RELATIONSHIP TYPES. 3. Right click in the white space underneath your list of relationship types and select NEW RELATIONSHIP TYPE. 4. Name your new relationship and define the direction of that relationship (you can choose associated, one way, or symmetrical ). 5. Click OK. Creating relationship nodes To create a relationship node: 1. Click on NODES in the navigation pane. 2. Click on RELATIONSHIPS at the top of the screen. 3. Right click in the white space underneath your list of relationships and select NEW RELATIONSHIP. 4. You must now identify the components of the relationship by clicking SELECT next to FROM and TO. 5. Click on SELECT next to the name of the relationship type and choose one of the relationship types you have created. 6. Click OK. Page 22 McGowan 2014

27 Coding to a relationship node To code to a relationship node: 1. Double click on your source or, if you have coded your source to a case node, open the case node by double clicking on it. 2. Click on NODES in the navigation pane. 3. Click on the RELATIONSHIPS folder. 4. You should now see your relationship nodes at the top of the screen and your source or case node at the bottom. 5. Select the material you wish to code to the relationship node. 6. Drag-and-drop into the appropriate relationship node. Viewing relationship nodes To view all of the material you have coded to a relationship node simply double click on the node. Queries Queries allow you to quickly retrieve information from your NVivo file. To see the nodes folders you will first need to click on QUERIES in the navigation pane. By default NVivo will create folders for QUERIES and RESULTS. All of the queries that you decide to save will appear in the QUERIES folder. If you decide to save your query results as a node, it will be saved to the RESULTS folder. Page 23 McGowan 2014

28 The Query Wizard NVivo 10 SP5 includes a Query Wizard which may assist in building queries, particularly when you are not entirely sure which type of query to run. You may also run specific queries (e.g. a Text Search query, Word Frequency query) if you know exactly which query you wish to run. To run the Query Wizard click on the QUERY WIZARD icon in the Query tab. The Query Wizard will allow you to define the terms of a Text Search query allowing you to see where particular terms occur in content. (e.g. find every instance of the word police, or find every instance of the word police and synonyms for police like cop ). You can also run a Word Frequency query in order to identify frequently occurring terms in your sources. Page 24 McGowan 2014

29 You can run a Coding Query to search for content based on how it is coded. e.g.: if you are interested in material coded at a node but only for certain research subjects, or individuals who have certain attributes (e.g. only women). If you wish to see material that has been coded to two or more nodes (e.g. the portions of interview transcripts that have been coded to both STIGMA and SHAME. You can run a Matrix Coding Query to cross tabulate how content is coded. Once you have chosen the type of query you wish to run click NEXT and follow the instructions in the Query Wizard. The final screen will ask you if you wish to simply view the results of a query or to run the query and add it to your project. If, after you have run a query, you wish to keep the results you can click on STORE QUERY RESULTS in the QUERY tab to save the results. Page 25 McGowan 2014

30 Text search A text search query allows you to find all occurrences of a word or phrase. You can request that your search results be created as a new node. To run a text search query: 1. Click on QUERIES in the navigation view. 2. Click on QUERIES at the top of the screen. 3. Right click in the white space underneath your list of queries and select NEW QUERY, and TEXT SEARCH. 4. If you wish your search to be added to your project tick ADD TO PROJECT in the top left of the Text Search Query window. a) If you tick ADD TO PROJECT you will need to name your Query. b) Your query will now be saved to the QUERIES folder. 5. Click on the TEXT SEARCH CRITERIA tab. 6. Enter the word or phrase you wish to search for in the search window. 7. Decide if you wish to search in ALL SOURCES or in SELECTED ITEMS (if you choose SELECTED ITEMS you will be prompted to choose the items you wish to search). 8. Click on the QUERY OPTIONS tab. 9. You may select from the OPTIONS dropdown menu if you would like to PREVIEW your search, or CREATE RESULTS AS NEW NODE. a) If you choose to CREATE RESULTS AS NEW NODE you will need to select the folder into which you wish to save it. b) Give your new node a name. c) Set your coding context (e.g. narrow or broad ). d) Tick OPEN RESULTS to see the results of your query. 10. 31 Word Frequency To run a word frequency query: 1. Click on QUERIES in the navigation view. 2. Click on QUERIES at the top of the screen. 3. Right click in the white space underneath your list of queries and select NEW QUERY, and WORD FREQUENCY. 4. Searching the intersection of two nodes 8. In the CODING CRITERIA tab select the ADVANCED tab. 9. In the dropdown box next to CODED AT, select ANY SELECTED NODE. 10. Click SELECT and tick the node(s) you wish to run your query on. 11. Click ADD TO LIST. 12. Before choosing the other node(s) you wish to include in your query choose a Boolean operator from the dropdown menu (the default is AND, but you may also choose OR, NEAR, PRECEEDING, or SURROUNDING) 13. Searching a node by attribute You may use a coding query to search a node (or group of nodes) by attribute: (e.g. how do injection drug users with HIV describe their experiences with health care personnel)? ATTRIBUTE (HIV+, HIV-) NODE (experiences with health care personnel) To search a node by attribute: 8. Follow steps 1-7 above. 9. In the CODING CRITERIA tab select the ADVANCED tab. 10. In the dropdown box next to CODED AT, select ANY SELECTED NODE. 11. Click SELECT and tick the node(s) you wish to run your query on. 12. Click ADD TO LIST. 13. Before choosing the attribute you wish to include in your query choose a Boolean operator from the dropdown menu (the default is AND, but you may also choose OR, NEAR, PRECEEDING, or SURROUNDING) 14. 34 Matrix coding Matrix queries allow you to display your query results as a matrix. Your query results can be saved in your query results folder or can be saved in the NODE MATRICES folder which NVivo creates in its NODES folder. To create a matrix coding query: 1. Click on QUERIES in the navigation view. 2. Click on QUERIES at the top of the screen. 3. Right click in the white space underneath your list of queries and select NEW QUERY, and MATRIX CODING. 4. If you wish your query to be added to your project tick ADD TO PROJECT in the top left of the Word Frequency Query window. a) If you tick ADD TO PROJECT you will need to name your Query. b) Your query will now be saved to the QUERIES folder. 5. Click on the QUERY OPTIONS tab. 6. You may decide if you wish to simply preview the results or save them as a new node matrix (these will be saved in the NODES section of your project in the NODE MATRICES folder). 7. Click on the MATRIX CODING CRITERIA tab. 8. Click SELECT next to the SELECTED ITEMS dropdown box to select items that you wish to appear as rows (on the vertical axis). 9. When you have selected the project items you wish to appear in your rows click ADD TO LIST. 10. Click on the COLUMNS tab and do the same for the items you wish to appear in your columns (on the horizontal axis). Do not forget to click ADD TO LIST. 11. Click RUN. Page 30 McGowan 2014

35 NOTE: By default NVivo will display the number of coding references in each cell. To change what is represented by the value in the cells RIGHT CLICK in your matrix, select CELL CONTENT, and choose one of the options to have: the number of sources coded at each intersection (SOURCES CODED), the number of nodes (NODES CODED), etc. NOTE: If you wish to add shading to your matrix based on the values in each cell RIGHT CLICK in your matrix select CELL SHADING and choose a suitable colour scheme. Compound query Compound queries are text search queries for which you can set proximity parameters. For example, you would run a compound query if you wanted to find content in which the words HIV and STIGMA appear in close proximity to each other, or if you wanted to find content at which the word POLICE appears in close proximity to content coded at the node for FEELINGS OF VULNERABILITY. To run a compound query: 1. Click on QUERIES in the navigation view. 2. Click on QUERIES at the top of the screen. 3. Right click in the white space underneath your list of queries and select NEW QUERY, and COMPOUND. 4. If you wish your query to be added to your project tick ADD TO PROJECT in the top left of the Word Frequency Query window. c) If you tick ADD TO PROJECT you will need to name your Query. d) Your query will now be saved to the QUERIES folder. 5. 36 6. You may decide if you wish to simply preview the results or save them as a node. You may also choose the coding context. 7. Click on the COMPOUND QUERY tab. 8. Decide if you wish NVivo to run a proximity query between two items of text, between two nodes, or between text and a node by selecting CODING QUERY or TEXT SEARCH QUERY in the SUBQUERY 1 and SUBQUERY 2 drop down menus. 9. Choose the proximity (e.g. NEAR Content, PRECEDING Content, SURROUNDING Content). 10. Click on CRITERIA next to both your SUBCRITERIA 1 and SUBCRITERIA 2 to define which nodes and/or which text you wish to include in your query. 11. Click RUN. Coding comparison A coding comparison query allows you to compare coding that has been done by two users. To run a coding comparison query: 1. Click on QUERIES in the navigation view. 2. Click on QUERIES at the top of the screen. 3. Right click in the white space underneath your list of queries and select NEW QUERY, and CODING COMPARISON. 4. If you wish your query to be added to your project tick ADD TO PROJECT in the top left of the Word Frequency Query window. e) If you tick ADD TO PROJECT you will need to name your Query. f) Your query will now be saved to the QUERIES folder. 5. Click on the CODING COMPARISON tab. 6. Define the users whose coding you wish to compare by clicking SELECT next to USER GROUP A and USER GROUP B. 7. 37 Group Group queries allow you to group items based on some feature (e.g. a common attribute, similar coding). To run a group query: 1. Click on QUERIES in the navigation view. 2. Click on QUERIES at the top of the screen. 3. Right click in the white space underneath your list of queries and select NEW QUERY, and GROUP. 4. If you wish your query to be added to your project tick ADD TO PROJECT in the top left of the Word Frequency Query window. g) If you tick ADD TO PROJECT you will need to name your Query. h) Your query will now be saved to the QUERIES folder. 5. In the LOOK FOR drop-down menu select one of the following: a) ITEMS CODING (e.g. what nodes have been coded at the interviews with Elaine and Shamina). b) ITEMS CODED AT (e.g. which interviews have been coded at the nodes for Racism and Sexism). c) ITEMS BY ATTRIBUTE VALUE (e.g. find all of the participants who are >40 and have HIV and have been in Prison. d) RELATIONSHIPS (e.g. find any relationships which include Elaine). e) SEE ALSO LINKS (e.g. find any see also links that link to the Human Rights Act 1998). f) MODEL ITEMS (e.g. list project items included in a model). g) MODELS (e.g. list the models that include Elaine) NOTE: NVivo uses the SCOPE and RANGE to help define your search (e.g. I might want to know what has been coded in Elaine and Shamina s interviews about HIV and PRISON so I would run a query [ITEMS CODED AT] on the nodes for HIV and Prison [SCOPE] and for the case nodes for Elaine and Shamina [RANGE]. 38 Framework matrices You may create framework matrices in NVivo. Before you create a framework matrix you will need to decide which nodes you wish to appear as columns and which you wish to appear as rows. To create a framework matrix do the following: 1. Click on SOURCES in the navigation view. 2. Click on FRAMEWORK MATRICES at the top of the screen. 3. Right click in the white space underneath your list of framework matrices and select NEW FRAMEWORK MATRIX. 4. In the GENERAL tab of your new framework matrix type a name for your framework matrix and, if you like, a description. 5. Click on the ROWS tab and click SELECT to choose those nodes that you wish to make up your rows. NOTE: Select an attribute if you wish your rows to be sorted by attribute (e.g. those with HIV listed first, followed by those without); otherwise the rows will be listed in the order that they appear in your project. 6. Click on the COLUMNS tab and click SELECT to choose those nodes that you wish to make up your columns. 7. Click OK. NVivo will create a new framework based on your criteria. The cells will be empty by default. When you click on a cell NVivo will display the entire node for that row so that you may scroll through it and enter any notes (or copy-and-pasted quotes) into the empty cell. If you only wish to see material that is coded at BOTH the row node and the column node do the following: 1. Click on the VIEW tab. 2. Click on FRAMEWORK MATRIX. 3. Select CELL CODING. You may also ask NVivo to display coding stripes so that you can see the coding for that node. NOTE: You may change the font style and font size in the HOME tab. If you would like NVivo to automatically populate the cells with material that was coded at BOTH the row node and the column node do the following: a) Click on the ANALYZE tab. b) Select AUTOSUMMARIZE. 8. If you wish to link material you have typed into a cell with the contents of the node (displayed at the right): a) Select the material in your matrix. Page 34 McGowan 2014

39 b) Then select the material you wish to link it to in your node. c) Click on the ANALYZE tab. d) Select NEW SUMMARY LINK. e) If you wish to have the summary links appear for each cell click on the VIEW tab, select FRAMEWORK MATRIX, and select SUMMARY LINKS. Now when you click on a cell the material from the node that you have linked to the contents of your cell will appear to the right. Exporting a framework matrix You may export your framework matrix into an Excel format by doing to following: 1. Open your framework matrix by double clicking on it in the list view. 2. Right click in your framework matrix and select EXPORT FRAMEWORK MATRIX. Reports You can output the elements of your project in the form of a report. NVivo 10 includes a Report Wizard to guide you through the process. Alternately, you can create reports manually. To create a report in NVivo: 1. Click on REPORTS in the navigation view. 2. Click on REPORTS at the top of the screen. 3. Right click in the white space underneath your list of reports and select NEW REPORT VIA WIZARD. 4. The Report Wizard will guide you through the report generating process. NOTE: By default NVivo will create templates for some common types of reports in your project you will find them in your Reports folder. To see what is included in a report: 1. Right click on a report in the List View and select REPORT PROPERTIES. 2. The report properties will include a description which will indicate what the report will include. 3. To open the report double click on it in the list view. Page 35 McGowan 2014

40 Models NVivo allows you to create models to illustrate the elements of your project. You may create your own models or NVivo can generate them for you. The elements in your models can be unlinked or linked to project material. To create a model: 1. Click on MODELS in the navigation view. 2. Right click in the white space underneath your list of models and select NEW MODEL. 3. Give your model a name. NOTE: To undock your model so that it appears in a new screen click on the VIEW tab and un-tick the box next to DOCKED. 4. When you open a model you will see the MODEL TOOLS tab at the top of the screen. Click on the MODEL TOOLS tab. 5. Do add elements to your model either click on the shape you wish to add or click on ADD PROJECT ITEMS. 6. You may link project items using the connectors. HINT: You must click on all of the elements you wish to connect (by clicking in them while holding down the CONTROL key) before you are given the option to insert a connector. Exporting Exporting sources or nodes to ipad or other portable device To export a source so that it can be read on a device that does not have NVivo installed. To export a project item: 1. Simply right click on the project item and select EXPORT, and EXPORT NODE. 2. Choose which format you wish your file to be exported in, and which content you wish to be exported. 3. Click OK. 41 Integrating NVivo with Evernote Evernote is designed for storing and organising notes. Notes can be text, webpages, images, voice memos, or handwritten notes. You may attach attachments to memos as well. Evernote is free for storage up to 60MB. Larger storage capacity requires payment of a fee. Evernote can be downloaded from as a desktop application; there is also a webbased version, and an app version can be downloaded for portable devices from the App Store (for ipads, ipods, and iphones), from BlackBerry World (for BlackBerry devices), and from the Google Play Store (for Android). To import notes from EverNOTE: 1. Click on FROM OTHER SOURCES on the EXTERNAL DATA tab and select FROM EVERNOTE. 2. Leave the import option on AN EVERNOTE ACCOUNT. 3. When you see the Evernote pop-up window enter your Evernote sign in details and click SIGN IN. 4. Click AUTHORISE to allow NVivo to access your account. 5. Wait while Evernote connects to your account. You will then be presented with a list of your notebooks. Tick the notebook(s) you wish to import and then click IMPORT. 6. Your notes will now appear in your INTERNALS folder. Page 37 McGowan 2014

42 Transcribing in NVivo NVivo now offers a built-in transcription service that you may choose to use if doing so is permitted by your ethical agreement with your funder/organisation and if doing so does not violate the assurances you have given your research subjects. To submit an audio or video interview for transcription you must first import it into NVivo. Then you must select your interview(s) and then select PURCHASE TRANSCRIPT on the EXTERNAL DATA tab. This will bring up the TranscribeMe Window which will require you to set up an account. You can then submit your interviews (provided you are ethically permitted to do so) and, for a fee, TranscribeMe will provide a transcription service. NVivo is also an excellent tool to help you transcribe your own audio interviews. You can play your interviews in NVivo and type your transcripts at the same time. You can also slow down the speed of your interviews to make it easier to keep up with your recordings. 1. Import your recording as an internal by clicking on your internal folder, then right clicking in the list view section, and select IMPORT INTERNALS. Large Audio files will not be embedded into your project, rather it will be linked to it (i.e. do not move the original audio file if you do NVivo will not be able to find it) 2. Now double click on the audio source you wish to transcribe from. You will notice that a MEDIA tab has now appeared at the top of the screen. Click on the MEDIA tab. 3. In the media window you will need to click on CLICK TO EDIT. 4. Under PLAY MODE click on the TRANSCRIBE button. You can use the controls in the PLAYBACK section to adjust the playback speed and/or the volume. 5. Now select PLAY on the menu bar and begin typing. If you stop the recording (as opposed to pausing it) a stop time will be entered in the timespan field and a new entry will open in the timespan field the next time you press play. 44 Security Password Protect It is always good practice to password protect a file that contains data from research subjects. If you wish to password protect your NVivo file: 1. Open your NVivo file. 2. Click on the FILE tab. 3. Select INFO and then PROJECT PROPERTIES. 4. Click on the PASSWORD tab. 5. If you wish to set a password that will not allow access to the file without a password then enter a READ/WRITE PASSWORD. 6. If you wish the file to open without a password but you do not want any changes made to the file unless someone has entered a correct password then enter a READ ONLY PASSWORD. 7. Click APPLY when you have entered a password and have confirmed it. 8. Close your NVivo file by clicking FILE and CLOSE. 9. NVivo will ask you to save your file click YES. Sending NVivo Files NVivo files can become quite large, especially if they contain audio/video material. The limit for file transferring through School is generally 10MB. Files that contain data about human subjects cannot be sent to someone electronically unless the file transfer is secure. Most third party file transfer protocols (e.g. Dropbox, YouSendIt) do not guarantee the security of your files. However, the School hosts its own secure file exchange protocol called SFX. SFX can be accessed from within the School at: If someone who is not a member of the School needs to send you a file they will need to click on SEND A PACKAGE OF FILES TO SOMEONE AT THIS ORGANISATION. Members of the School will need to click on LOGIN TO SEND OR COLLECT PACKAGES. NOTE: Sources that are externals do not form part of the NVivo file. Page 40 McGowan 2014
