2 Mission Statement: Camp Wieuca is a ministry branch of Wieuca Road Baptist Church. Our purpose is to provide children with an engaging and nurturing Christian environment. We strive to show our campers a Christ-like example through growing relationships and fun, meaningful experiences. Hours of operation: Monday-Friday, 2:30-6:15pm. Dates of operation: August 10, 2015-May 26, We are operational according to the schedules of Atlanta Public Schools and Dekalb County Schools. Please refer to the last page of this handbook for our closed dates. Enrollment capacity: 150 children divided into five age groups of roughly 30 children. Age range: Campers are in grades Kindergarten Fifth. Schools served: Sarah Smith Primary Campus, Sarah Smith Intermediate Campus, Montgomery Elementary School, and Ashford Park Elementary School. Facilities: We have full use of the camp facilities at Wieuca Road Baptist Church, including an outdoor playfield, classrooms, basketball court, rock climbing area, roller skates and a mezzanine with tables, chairs and board games. We also have a game room with an air hockey table, foosball, ping pong table, and pool table. Daily routine: Upon arrival, campers have a short free time followed by a snack provided at camp. We also provide a short Bible lesson that serves to the settle the children and introduce a biblical theme. Homework time is followed by rotational periods of organized activities and games. On Fridays, we do not have a homework time so campers will participate in extended activities. What makes us different from other after school programs? It is our staff and style of supervision that separate us from other programs. Our counselors are college or grad school students who help with homework and conduct organized activities and games for their group. Getting to know children personally is a top priority your child will never be just another face at Camp Wieuca. We offer traditional team sports like basketball, soccer, baseball, kickball, etc., but among our more unique features are rock climbing and roller skating. All these, combined with a firm Christian foundation, are the elements that account for the success of Camp Wieuca After School.

3 Policies and Procedures Registration process: Registration for After School will be online at, Registration is first come first serve. Returning families will have two weeks of early registration before we open registration to new families. Families will choose a tuition plan (two, three, four or five days) and pay the $50 registration fee per child. Please fax or a copy of your child s most current immunization record before school begins. If our After School groups meet capacity, your child will be placed on a waiting list. Families will be notified if space becomes available. Payment policies: Payments are made online by credit card. You will be charged at the beginning of every week for the tuition plan chosen during the registration process. See the tuition chart in the back of this handbook for weekly attendance fees. We will not prorate for sick days or any other missed days but we will prorate the cost of weeks that are limited by school holidays and closures, according to the regular tuition plan. Please inform head staff if your schedule needs to be changed so that we may update your tuition plan. Camp needs to be given a one week notice if you wish to change your tuition plan. Supervision plan and ratios: Two or three counselors are present at all times with each group. Each group has around 30 campers. The legally mandated ratio for a program of our type is 1:25. Our policy is 1:10 for our younger groups and 1:15 for our older groups. Check-in/Check-out procedures: We will check your child in as they load the bus and once they arrive at camp. If it is necessary for your child to arrive at camp late, please be sure that he or she is walked inside by an adult and checked in at the front desk. If your child will not be attending on any given day for which he or she is expected, it is imperative that you us at camp@wieuca.org or call us at and inform us of this by 1:00 p.m. We also ask that you inform the school of any schedule changes to avoid confusion. Check out time is any time before 6:15pm. Only people listed on the child s pick-up authorization form will be allowed to sign them out. All persons besides the child s parents/guardians should be prepared to show ID upon request. Late pick-up: Pick up is considered late after 6:15pm. A charge of $5 per child for each five minutes, or fraction thereof, after 6:15pm, will be charged to your account. We reserve the right to increase this fee for anyone who is consistently late. We greatly appreciate punctuality on your part. Snack: Camp Wieuca AfterSchool provides an afternoon snack for the children everyday. Our snacks meet USDA guidelines in accordance with state law. A weekly menu will be posted. Outdoor activities: Weather permitting; we will spend at least one activity period each day outside. If your child needs to be excused from these activities, he/she must have a note from you to that effect. Bible study content: Camp Wieuca AfterSchool is a ministry first and foremost. All campers will participate in lessons and discussions focusing on Christian behavior and values. All lessons are child and family friendly. Parents are welcome to look at our curriculum ask head staff for more information.

4 Movies: While movies are not often part of the schedule at Camp Wieuca AfterSchool, we do occasionally use them as part of special events or rainy days. All movies shown here are child-appropriate. Proper attire: Head staff reserves the right to determine the appropriateness of slogans and pictures appearing on clothing. We have confidence that parents will exercise good taste in this regard. Please send your children to camp in athletic shoes; sandals are not functional for activities. Additionally, there are some activities that require socks, such as roller skating and rock climbing. It is recommended that campers wear play clothing campers will be playing outside. Please pay attention to the weather campers will be required to wear jackets on chilly days. We ask that younger children bring a change of clothes in case of accidents. Outside equipment/personal items: Campers may bring their own sports equipment (baseball glove, football, etc), but the staff assumes no responsibility for keeping up with these items. Camp staff reserves the right to determine the appropriateness of any such items for the camp setting. If your child brings toys, stuffed animals, or any other personal items to camp, camp staff is not responsible for keeping up with these items. We ask that you keep these items at home so they do not get lost or cause distractions. Electronics, trading cards or weapons of any kind are not allowed at camp. Proper channels to staff: Parents are encouraged to get to know the counselors who will be working with your child on a daily basis. It is our goal to establish a strong bond between your family and our staff. If the need should arise for you to address a concern that involves a counselor, please be sure to go through our director or assistant director to do so. Please do not directly confront a counselor in the unlikely event that a grievance arises. Proper channels to campers/other parents: It is necessary to go through the director or assistant director to address any concern you have about a camper who is not your child, or if you have a dispute with another camp parent. Please do not confront campers or camp parents with a grievance. Doing so is considered grounds for immediate, nonrefundable nullification of your registration. This policy exists for your own protection, so that we may ensure that disputes are witnessed and properly documented. Parental access: Parents have access, upon request, to a copy of the state (DHR) rules for day care services. Parents have access to the entire Camp Wieuca AfterSchool facility at any time during operating hours, as long as you check in as a visitor first at the front desk. Counselor qualifications: Counselors must be college age (18 or older), be motivated to teach Bible lessons and possess the ability to plan fun activities for children. Employment records must show an exceptionally strong sense of responsibility and self-direction. All counselors must pass a background check, and participate in ongoing training throughout the year. Child welfare: You may request a copy of the regulations to which we abide regarding child welfare. We define child abuse as any word or action that is deemed detrimental to a child. This includes, but is not limited to, physical blows; excessively rough handling, physical restraint that is not used to avert emergencies or accidents, berating or demeaning language, and exposure to undue risk.

5 We take these policies very seriously, because we believe in the right of children to have learning and play as their primary life concerns. To ensure this environment, we create accountability among our staff by taking reasonable measures to avoid one on one camper/staff scenarios. All staff members are carefully screened through the hiring process including reference checks and a criminal background check. Transportation: We provide transportation from your child s elementary school by way of a school bus or 15- passenger bus owned by Wieuca Road Baptist Church. The 15-passenger bus (not the same as the 15-passenger vans that have proven to be dangerous) is operated by drivers over the age of 21, with specific training and clean driving records. The school bus is operated by drivers over the age of 21 with a current Commercial Drivers License. The buses will occasionally be operated by church volunteers who are qualified in the same way. Discipline: Our approach to camper discipline is to employ non-corporal punishment methods that include, but are not limited to: counseling, time out, essay writing, and chores. Parents are kept informed of all but the most trivial infractions. We rely heavily upon parents to follow up by disciplining the child at home when necessary. We consider the process of camper discipline to be a partnership between the parents and our staff, and we appreciate parents who communicate to their children that the camp staffers are the authority figures in their absence. Making this point in advance is often very helpful in preventing discipline issues before they happen. Habitual infractions that present a hazard to other campers or have the potential to create a breakdown in camp operation present a more serious concern. We reserve the right to determine the suitability of such a child for our camp environment. In such cases, this is not an act of judgment, but a determination that Camp Wieuca is not the appropriate program for that child. The criteria, in the rare event that we must consider disallowing further admittance to Camp Wieuca AfterSchool, are as follows: 1. If a child habitually refuses to acknowledge the authority of camp staff; 2. If the actions of the camper present a hazard to other campers or significantly disrupt camp operations; 3. If the parents of the child refuse to acknowledge a pattern of documented serious problems, or refuse to partner with camp staff in administering discipline. In a case where the camper in question has subjected the camp to hazard through his or her actions, camp staff may disallow the camper from the premises after the first infraction. In all other cases, three such infractions are necessary before expulsion is considered. Camp staff reserves the right to make determinations regarding the seriousness of any infraction and the level of threat it presents to the camp as a whole. Camp Wieuca AfterSchool staff accepts the responsibility to sufficiently document such infractions. Please know that we make every conceivable effort to work with all campers entrusted to us. Explanation of unacceptable behavior: All campers, parents, and staff at Camp Wieuca AfterSchool are expected to refrain from foul language, physical violence, or force or any threat thereof, smoking, consumption of alcohol, use of illegal drugs, inappropriate displays of affection, carrying firearms or other weapons, wearing clothing or slogans on clothing that are considered lewd or distasteful.

6 Medication: Camp Wieuca staff does not administer medication of any kind to campers. Campers who require inhalers or Epi Pens must keep inhalers or Epi Pens at the front desk. Inhalers and Epi Pens must be in the original packaging with doctor s instructions. Exclusion of sick children: Camp Wieuca AfterSchool complies with state law that requires children who have a temperature of one hundred and one (101) degrees or higher, along with any other possibly contagious symptom (rash, sore throat, vomiting, etc) to be sent home. If your child has these symptoms, please do not send him or her to Camp Wieuca AfterSchool. Incidents involving campers: Our first priority is to avoid incidents and accidents through supervision and organized activity. In the event that a camper is involved in a serious incident or accident outside the realm of what could happen in normal activity, the counselor in charge is required to document what he or she witnessed and turns this in to camp head staff. Parents will be notified immediately if this is warranted by the seriousness of the situation, otherwise a copy of the report will be given to you when you arrive to pick up your child. If a child is injured or becomes ill, we will treat him/her with appropriate first aid. If necessary, the child will be transported to the nearest hospital (Children s Healthcare of Atlanta at Scottish Rite). We will notify parents immediately if this occurs. Keeping records current: We ask for your assistance in keeping your child s record up to date by informing us of any major changes, such as address, phone numbers, addresses, people authorized for pick-up, or medical records. Special Activities: Throughout the year, Camp Wieuca will host special events for both campers and their families. These events include Parent s Night Out, family dinners, movie nights and holiday festivals. It is our hope that you will take advantage of these events and become an active part of our ministry. Our facilities are also available for rental for birthday parties or special events. If your child is involved in a school play, sporting event or other activity, please let us know. Our leadership will make every effort to support your children and attend when possible. Wednesday Night Supper & Children s Choir: Each Wednesday the church provides children s programs and choir. The supper begins at 5:30 p.m., is $8 for adults and $3 for kids, and is held in the Peachtree Room in the Fellowship Hall. Children s programing begins at 6:00 p.m. Youth & Men s Basketball: Registration for our youth basketball leagues begins in October of each year. Games are on Saturdays, beginning the first week of January through the first week of March. Practices are held once a week beginning in November. Our Adult Men s leagues begin in January and September. All games are held at Wieuca on weekday evenings.
