3 Who we are Our School has a vibrant postgraduate student community that engages in cutting edge research in a wide range of topics and benefits from our excellent facilities and dedicated and experienced staff. We are routinely acknowledged as one of the leading Schools of Psychology in New Zealand to pursue research reflecting a diverse range of topics in personality and social, developmental, perception and cognition, behavioural neuroscience, cross-cultural, language and gender, forensic, and clinical psychology. We hope you take advantage of the exciting opportunities available from the postgraduate programme we offer. - Professor Garth Fletcher Staff The administrative staff will often be your main points of contact. Their contacts and offices are detailed below. Any questions regarding your MSc or PhD programme of study should be addressed to Alana Hamill; study space and Honours questions, Wendy Ward; tutoring contracts and lists, Jebi Jayapalan; the Clinical Programme, Helen Lloyd; and technical difficulties (there will be a few), Al Abenoja. Any queries regarding specifically course work or thesis writing please see your supervisor. While the school has a number of different committees, the one that will affect you the most as postgraduate students is the School of Psychology Postgraduate Committee (SoPPGC). The SoPPGC functions as the link between the School of Psychology's prospective and current graduate research students and their supervisors, and the Faculty of Graduate Research, and the Faculty of Science. The committee is responsible for decisions about the admission of prospective Masters and PhD research students into the School of Psychology. It monitors students' progress, and provides relevant informal advice to staff and students. The committee oversees new PhD students' orientation to the School, and contributes to the development of the School's graduate research culture. The committee meets at least once every 2 to 3 months (and the post-graduate Student Representative may be in attendance Dane Aronsen) and minutes are recorded. Dr Matt Crawford monitors Masters students research proposals and progress. Dr Jason Low monitors PhD students research proposals and progress. Associate Professor Karen Salmon monitors Victoria Doctoral Scholarship recipients contribution of 150 hours per annum to the academic life of the School and University. 5 Being a Postgraduate student Welcome to our school! To help you get to know our wonderful staff and other postgrad students you are invited to our monthly school morning tea which is held in EA 527. Tea, coffee, and snacks are provided. Please come meet everyone and show your lovely faces. You will receive an invite to let you know the dates. Also we invite you to participate in various activities throughout the year. Staff Accounts Every graduate and postgraduate student in the School is provided with a staff account, this is in addition to the student account each student receives on enrolment to Victoria. There are standard rules that you must abide by in order to use the facilities offered by a staff account. You can find the detailed rules at: Communication Systems Policy. This will also be placed on Blackboard. In essence you must not use your staff account inappropriately to access, store, view, publish, or distribute pornographic material or any material that is defamatory, offensive, fraudulent or harassing. Copying, loading or downloading any materials that may breach copyright such as games, music, movies etc. is not permitted. You will be asked to sign a User Access Form acknowledging that you agree to abide by the university statutes. Once you have signed, you will be able to access the following facilities courtesy of the school: Internet access Staff account Computer Access After-hours access to Easterfield building Printing facilities NB. Before your account is due to expire, you will receive an advising you of the impending expiry date, you must then contact Alana Hamill to extend your account. Workspace You will be allocated a workspace either in a shared office or lab in which to work throughout your study. Please make sure to arrange a suitable time with Wendy to pick up keys. You will be charged a $30 bond before you can pick up your keys. School of Psychology Te Kura Matai Hinengaro 3
6 First Log on When you first log on using your staff account, your initial password will be Vuw followed by your employee number (capital V, small uw ). When you first log on, you will be asked to change your initial password. If you have any issues, ask Alana, Wendy, Jebi, or call ITS on extension Outlook is installed on all the university computers for . Your account should be already configured so that outlook connects to your mailbox. Your mailbox is also accessible via a web page which you can log on to at: You have a 1GB quota on your mailbox space. This includes ALL mailboxes (in, out, drafts AND deleted until you empty the deleted items folder). You will receive an automated when you start getting close to exceeding your limit. If you want you can also set up a rule to send all of your s to your personal , or vice versa to your university . Drives With your staff account you will have access to an H drive which is located on ITS servers. This is the space for storing your documents to ensure they are backed up and archived on the ITS systems. Should you accidentally delete files from your H drive, phone ITS on 5050 to arrange for files to be restored from backup. The contents of this drive are also accessible to you through the MyVictoria portal so you can access them from home (log in and select MyWorkspace or just go to: Most of the computers have a D drive that you can use for working on files locally (rather than on a network drive like the H drive) but should you choose to do this you should always ensure files are backed up, preferably to the H drive. If your work generates large amounts of data (in excess of a few GB), space can be arranged on an alternative server. Please log a call on the tech support portal stating who your supervisor is and this can be set up for you. Please also log a call if you are part of a research group wishing to have a common space for sharing data. If you require computing facilities (software, hardware, or research group storage space) which are not currently provided, speak to your supervisor who will contact our in house IT team to make any appropriate arrangements. 7 Printers The one thing you will need to set up is a printer connection. Click the start button and select run. In the run dialog box, type \\stawincoprn0001 (without the speech marks), and press enter. This will bring up a list of all the printers available on the university network. Just double click with the left mouse button on the printer you want and it will be added to your printer list. The printers you will want depend on what floor you are printing from. The relevant ones are: 3 rd Floor EA MFD (at the southern end of the floor) EA MFD (at northern end of the floor.) 4 th floor EA MFD (located in EA415) 5 th floor EA-503B-01-MFD (located outside EA501B) 6 th floor EA MFD (located in the hallway outside room EA603) Now choose a default printer. Click on start and select printers and faxes. Right click on the printer you want and then left click on Set as default printer in the contextual menu that pops up. You can also select Follow me as a printer. Printing sent to this printer will sit in the print queue until you swipe your card at one of the MFD printers, at which point it will print at that MFD. The first time you use the Follow me system you need to add your account to the system. Instructions for this are on the walls beside each MFD. Masters and PhD students are allocated a maximum $100 per year for printing and photocopying for your research only, not for personal use. Do note however, that this is a maximum limit, and any excess use without need will result in reimbursement being sought. School of Psychology Te Kura Matai Hinengaro 5
8 Ethics Approval It may be necessary during your research to apply for ethics approval your first step should always be to consult with your supervisor, they will be able to guide you through the process. Once you have applied for ethics approval a committee will review your proposal. The School of Psychology Human Ethics Committee (SOPHEC) was created to protect the rights of individuals and groups who are the subject of research, experiments set up for teaching purposes, and other similar activities under the auspices of the University. The committee also reviews and, where the Committee considers it proper to do so, to approve any proposals, protocols, pilot projects, including contracts, submitted to it relating to research under the auspices of the University involving particular individuals or groups as the subject of experimentation or study, or human tissue, or otherwise affecting the confidentiality, rights and freedoms of persons. Your supervisor will be able to help you determine whether the application is necessary but if you have any other questions about ethics during your study you should contact Todd Jones, todd.jones@vuw.ac.nz, as the Chair of the SOPHEC. TA/RA Office Hours If you have office hours for meeting undergraduate students please arrange with Wendy Ward to use the TA office on the 4 th floor (EA 417 or 419). These rooms have been made available specifically for students and TAs to use. Allowing students to pick up assignments etc. from your office encourages students to contact you outside of the set office hours and may intrude upon others you may be sharing the office with. Be considerate and use the TA offices. Note: assignment drop boxes are located on the 4 th floor, assignments should not be dropped off at reception. Booking Rooms All rooms in the School operate on a booking system so when not in use as a teaching space, rooms can be booked for meetings, study sessions or to practise presentations etc. All you need to do is check availability with Wendy Ward, Wendy.Ward@vuw.ac.nz, or go to EA 630. Rooms available are: EA 527, Level 5 Staffroom EA 407 and 411, Level 4, 400 level courses teaching rooms EA 419 and 417, Level 4, small rooms used for tutor office hours EA 301, Level 3 Frank Walkey room 4 th floor lab rooms Wendy s office hours are from 8.30am to 4pm, Monday to Friday. 9 Kitchens On level 3 there are two kitchenettes available for you to use with a fridge, jug, dishwasher, toaster, toasted sandwich maker. There is also a kitchen on level 6 with hot water, a microwave, and a fridge. The facilities are available for all postgraduate students so please be considerate and make sure the kitchen is left clean and tidy with dishes washed and put away. Anything abandoned on the benches will be disposed of. Cleaning the kitchen and the fridge is your responsibility. After Hours Access As a postgraduate student you have after-hours access to the School. You will need to swipe into the building using your student ID card. Swipe access into the building and the elevator will be required after 7pm and before 7am. Campus Care checks and locks the building every night. If you require access past the double doors on the 6 th floor, you will need to Susan Cayless to get this loaded separately. If for any reason you cannot get access into the building you will need to contact Campus Care located at: 4 Wai-te-ata Road ph Research Seminars The School of Psychology hosts a research seminar every Friday at 12pm in the staff room, EA 527. Come along and listen to the research being conducted by your peers, the academic staff, and visiting academics. You are encouraged to participate in these seminars. Psycobabble Psycobabble is the School of Psychology s monthly newsletter. It details events throughout the year, new staff members, and research opportunities. Psycobabble is released every third Thursday of the month, so if you would like to contribute, please have your submissions ready and ed to psychology@vuw.ac.nz before the third Thursday of every month. 10 Postgraduate Student Association Get involved at Victoria University with the Postgraduate Student Association. The PGSA can help with study, events, writing, and most importantly of all, academic relations. Or you can talk to our in-house Postgrad representative on the Psychology Postgraduate Committee, Dane Aronsen: Find out more at the below link. PSYC Society Victoria Students Psychology Society (PSYC Society) was originally established in The PSYC Society is run by a combined group of 1st, 2nd, 3rd year and postgraduate students studying psychology. PSYC Society aims to provide a forum for students of psychology at Victoria to get to know their classmates, students of all levels and staff within the School of Psychology. PSYC Society will host social events that students and staff of the School alike, can attend. PSYC Society membership will provide you with the opportunity to meet other like-minded students of all levels taking psychology. Becoming a member entitles you to attend all PSYC Society events at a special, cheaper price. PSYC Society will offer a number of events like the annual Quiz Night, talks by guest lecturers, movie nights and other social events to bring students and staff together. 11 Masters Students If you are a Masters by thesis student, the following information will be extremely helpful. The main contacts that you will have throughout your study, is the PG Admin in the School of Psychology and the Faculty of Science. More information can be found at: Once you have completed your initial enrolment, you are required to submit a proposal approximately 30 days later. You should work on this through discussion with your supervisor. You will also need to submit two more reports before you complete your thesis. 13 PhD Candidates As a PhD student you will be walking these halls for some years. The process of enrolment and admission can often be confusing. You will primarily be in contact with the PG Admin and the Faculty of Graduate Research: pg-research@vuw.ac.nz. If you have any questions, please get in touch with the PG Admin. Once you are enrolled, you are considered as a Provisional Candidate. Approximately 7-9 months into your study you should have prepared a detailed proposal which will be assessed in a PAM (Proposal Assessment Meeting). Keep in mind that the PAM does not exist just to stress you out, in fact it is through this process that your proposal will grow and address any glitches at a very early stage. You will also be required to submit 6 monthly reports in order to show your progress. 17 Emergency Procedure In the event of a FIRE, you must: Sound the alarm Leave the building immediately Take the nearest stairwell Walk calmly Leave behind any personal belongings that may obstruct stairwell flow Meet at Kelburn parade In the event of an EARTHQUAKE, you must: Drop under cover, and hold until the shaking has stopped If there is no cover crouch on your knees away from windows, and cover your head and neck with your arms. Afterwards, stay inside and gather people together. If your building is unsafe evacuate. Check stairwells and beware falling debris when leaving the building.
