1 Student manual FSW Secure Access Portal Faculty of Social and Behavioural Sciences FSW Secure Access Portal The FSW Secure Access Portal (short: Portal) provides safe access from outside to the Faculty working environment. Several applications including webmail and access to your P-disk are made available in a safe way. While starting, the Portal checks your PC s or laptop s security, even before you enter your username and password. This prevents malware (like key loggers) to abuse these data. If your local virus scanner is not updates with the latest virus definitions you will get restricted access to the Portal. The most relevant function then available is Internet access, to allow you to update your antivirus definitions. This manual informs you about the use and possibilities of the Portal. This manual assumes that you use a Windows system with Internet Explorer. When using another web browser than Internet Explorer, functions and appearance may differ from the examples. Please apply to the DIOS Helpdesk (see Information and communication at the end of this document) for further assistance. Virus scanner To be able to work with the Portal your PC must be equipped with a virus scanner. The Portal is compatible with many different virus scanners. Please refer to the Helpdesk website for an up-todate list. Software installation The first time you work with the Portal some software will be installed on your PC. This is safe and will start after you have given your permission. Enter the Portal by entering the next address in Internet Explorer: portal.fsw.leidenuniv.nl 1

2 When you see the message below please click the Install button Several programs are now installed on your PC to check it s security. If your PC is considered secure you will enter the login screen: To log in please use your FSW staff account and password. Make sure the third field is set to the value Secured. If your login is accepted you can work using the secure Portal environment. 2

3 Portal main menu The color of the portal menu indicates the access status: Green Your PC is secure according to the Portal security criteria. All menu options are available. Red Your PC does not have an up-to-date virus scanner or the Portal is not able to confirm that. Access to the Portal will be restricted: some menu options will not be available and access time is limited to 1 hour. You can use this time to update your virus scanner to get full Portal functionality. As soon as your virus scanner has been updated you can sign out from the Portal and login again with status Green. In the upper right corner you can see the remaining session time that you can work from within the Portal. Signing out To sign out click the Sign out button in the upper right corner of the Portal main menu. Always use this button to sign out from the Portal. 3

4 Options within the Portal Safe website access In the upper right corner there is a text field and a Browse button. This gives you safe access to websites. Web Bookmarks Here you can start preselected web applications like Webmail or Leave Administration. You can add your own bookmarks, this is especially useful for websites that can normally only be accessed from within University campus, like Intranet pages. Files This makes it possible to download (copy) files from your network disk (P-disk) to your PC at home and upload them again. Check the field before the required files and click the Download button. Take care: you can click a file, open it and then edit it, but then you are editing a copy. The original file will remain unchanged. See below: choose Save and NOT Open 1. Save the file on your local PC and open and modify it from there. 1 Use Open if you want to read the file only. 4

5 Use the Upload Files button to copy files from your home PC to your P-disk. Terminal Sessions This will start the FSW Terminal Server which gives access to the FSW Remote Student Workplace. This Workplace contains all educational software specific for the faculty. Client Application Sessions Contains the program Network Connect. This program makes it possible to map the network disks to your home PC. You can work with the network disk as if the data was stored on your own PC. For example, you can start Word on your home PC, and then directly open, edit and save a file on the P-disk. Working with Network Connect goes as follows: Click the Start button on the Network Connect line in the Portal menu (this is not necessary if you are working from within the Pieter de la Court building and are using a laptop which is logged in to the Portal via the wireless network, then Network Connect is started automatically). Now you can create so-called drive mappings ; these are remote connections to your network disks: o Map the P-disk: right-click the My Computer icon on your desktop, and then select and leftclick Map Network Drive 5

6 o Select after Drive: drive letter P: o In the Folder field, enter: \\fswpfs11.fsw.leidenuniv.nl\users$\<accountname> o Check the box before Reconnect at logon o Click the Finish button o Next, enter your login data once; check the Remember my password box to automatically reconnect the P-disk the next time you login. And click the OK-button: 6

7 Common problems It takes a long time before I can work with the Portal, is this normal? The first time you use the Portal from a certain PC or laptop will take more time because software is installed. The next times starting up will go much faster. I cannot get the Portal to work, what can I do? If you have full access to the PC you are working on you can try the next recipe: Uninstall all Juniper software in START > Programs > Juniper (there may be up to 3 or 4 entries, uninstall each of them) Enter the Portal again, accept installation of the Juniper Activex Control and wait until all installation activities on your PC have stopped. If the Portal still complains about the security of your PC, restart Internet Explorer and try again. If this is not successful, try the next steps: Uninstall all Java software in START > Settings > Control Panel > Add Remove Programs Delete JuniperSetupSP1Control in Tools > Internet Options > Programs > Manage add-ons of your internet Explorer Reinstall Java from Go to and wait until the software has reinstalled itself. If you do not have administrative rights on the PC you are working on it may be possible that the Portal will not start because Java has not been installed. In that case please contact the administrator of that PC.
