1 Lecture recording in 2015 FAQs The following information provides answers to commonly asked questions about the university-wide pilot of lecture recordings in all university owned lecture theatres in How do I know if the room I am teaching in is set up for automatic recording? The list of venues enabled for automatic recording is here What is actually recorded? There are two parts to the recording: audio from both microphones as well as from the PC or auxiliary input, and display of any material which is projected onto the presenter s left-hand side screen as you face the students. This display will record powerpoint slides, document camera, demonstration camera and projections from external laptops. Sound that occurs in the room away from the podium will not be audible on the recording and anything projected onto the right-hand screen is not captured unless a dual screen based recording has been specifically requested. What if I want only want to record audio, or I want students to be able to download recordings? The default settings are audio and display, streaming, but changes can be made to these settings from the bookings form. Details of this are shown here: under Delivery Settings. I m a UoS coordinator and would like to delegate this work to someone else. How can I do this? The details of management and delegation are listed and explained here My classes are completely interactive. I only speak for about 20 minutes, and then review material students have been working on in groups. Recordings of these classes will not make sense to those who haven t attended. How do I opt out of being recorded? You will need to get permission from your Dean or Head of School if you have a good reason for not recording your lectures. I give the same lecture three times a week. Does it have to be recorded every time? No. You can select which version of the lecture you want to record. Instructions are available at: I m concerned that if my lectures are recorded, none of my students will bother coming to class. 90% of lectures are already being recorded, and surveys done in some schools show that students still want to attend class, and that the main use of the recordings is for revision. The biggest downloads are in the weeks at the end of semester before exams. If you wish, you can choose a set date to release the recording to your students later in semester by the use of adaptive release in your Blackboard site. I m worried that I may be breaching copyright by recording my lecture. There are several things you can do to make sure the material recorded does not breech the university s responsibilities under the Copyright Act. Please check on this page for more information. It is worth noting that copyright requirements for materials recorded in lectures are the same as the copyright requirements for materials displayed in class. I am concerned that a recording might contain private information about a student, due to a question they have asked that has been recorded. Recording will not capture a question from the floor of the lecture theatre; it will only capture sounds near the microphones. If students approach you after class it would be wise to move away from the podium to discuss what might be private information with them. However, if a recording is inadvertently made of private student information, the recording can be edited (see the following question).

2 If I make a mistake when I m speaking, I don t want the recording to contain errors that might mislead students. Can I edit the recording after it s been made? You can do that here writing test as the reason for opting out in the text box at the bottom. You can do that here writing guest lecturer as the reason for in the text box at the bottom. There is a guide to filling out the form here How are these recordings delivered to students? The recordings are delivered through Blackboard sites. If no site exists for this Unit of Study one will be created and the Unit Coordinator will be advised by how to access and manage this site. Any questions about the site should be addressed to the elearning Helpdesk on , or sydney.elearning@sydney.edu.au Where do I go if I have a problem with the recording or with filling out the form? All enquiries about booking and issues with venues and recording are being handled by elearning Helpdesk on between 8am and 6pm Monday to Friday, or sydney.elearning@sydney.edu.au If there is a problem with the recording after the lecture, such as poor quality, please contact the ICT Helpdesk on or the self-service portal My lecture takes place in a venue that is not enabled for automatic recording, but I still want it to be automatically recorded. You can manually create additional requests via the booking application. The list of all lecture recording enabled venues available at: yndi1ndg2mi9zawqvqmz5quvpzm0%3d What happens if my timetable booking changes to a different venue, time or day? The automatic booking system synchronizes with timetable data overnight, so any timetable changes will be updated in the lecture recording system by the following day. However, please note that if you have opted out of lecture recording, the system will treat the moved booking as a completely new entry and you will need to opt-out once again. How can I provide feedback about the pilot? For the implementation of the opt-out system, semester 1, 2015 is considered a university-wide pilot. At the end of semester 1, 2015 all of the feedback and data will be reviewed to better understand the impact of the opt-out system and to inform further consultation with the University. During the pilot, the Professor Pip Pattison, DVC (Education) would be grateful for any feedback about all aspects of the opt-out process. Feedback can be ed to dvc.education@sydney.edu.au

3 2015 Guidelines for managing the Opt-Out process for Lecture recordings in University-managed lecture theatres. Context In 2014, SEG requested that the current opt-in process for lecture recordings be changed to an opt-out process for all lectures delivered in University owned lecture theatre. By using the opt-out method, lectures delivered in the rooms listed in appendix 2 will be set for automated recording for units of study taught in those rooms in The following points are provided as guidelines for the management of the Opt-Out process for lecture recordings in university-managed lecture theatres in Authority for granting opt-out Authority to grant approval for opting-out of lecture recordings in University-managed lecture theatres is held by the Dean or, if the Dean has delegated, to the Head of School. Roles and Responsibilities The following set out the roles and responsibilities of the unit of study coordinators in managing the opt-out process 1. UoS Coordinator Responsibilities 1.1 Unit of study coordinators decide whether to seek approval to opt-out or not from automated lecture recordings in rooms identified in appendix If a unit of study coordinator seeks approval to opt-out, they are required to receive approval in writing from either their Dean or, where approval has been delegated to the Head of School, from the Head. Where approval has been granted 1.3 The unit of study coordinator goes to the ICT URL and pastes a copy of the approval to the appropriate field and unchecks the tick boxes from the automated recordings list. (see appendix 1) Where the unit of study (UoS) coordinator does not seek to opt-out and a unit of study website exists 1.4 The UoS coordinator manages the UoS website through the normal process of application to 1

4 activate through Sydney elearning and; provide access to lecture recordings to the teaching team by enrolling the team members as a teaching assistant or at a higher level of access in the University LMS. Reports any problems with lecture recordings to the Sydney elearning helpdesk Where the unit of study (UoS) coordinator does not seek to opt-out and a unit of study website does not exist 1.5 Sydney elearning will create a unit of study website and advise both the unit of study coordinator and the Associate Dean (Teaching and Learning) or equivalent of the creation of the UoS website and where to retrieve it 1.6 The UoS coordinator becomes responsible for the website and includes a unit of study outline as a minimum requirement and manages the website through the normal process of application to activate through Sydney elearning. 1.7 The UoS coordinator manages the website in the same way as described in 1.4. 5 APPENDIX 1 - Viewing Lecture Recording Bookings Any unit of study coordinator can log into the lecture recording booking system and a list of their units of study will be displayed if they are scheduled for automatic recording, manually created recording bookings will also be listed. Only the unit of study coordinator or delegated staff can change any settings for a recording, other staff associated with the unit may only view the settings. Opting out of one or more recordings Click on the unit of study title you want to opt out of. The following screen is presented, selecting No at the top of the Record column will opt out of recording all lectures in the list, alternatively it is possible to opt out of individual lectures by selecting no for that lecture. To complete the process the SUBMIT button is clicked, at this stage it is necessary to copy and paste the authority to opt out which should be an from the dean or head of department. 3

6 Delegation The unit of study coordinator can delegate management to opt out of recordings After selecting the unit of study details screen select the Delegation menu option. A list of staff that have access to the site in the LMS will be displayed Select the appropriate button to give the staff member that role. o Editor s can view and opt out of recordings, with dean or HoD approval. o Viewer s can only view the recording schedule. Staff not in the list can be added by searching for their unikey. The SUBMIT button must be clicked to complete the process. 4

7 Delivery Settings Coordinators can change the delivery settings for the recordings, these settings control whether students have the ability to download the lecture, stream it and if the content is to be audio only. The LMS publishing method controls how the lectures are published to the LMS. The default method will be individual links published to a lecture recordings folder in the LMS. Coordinators can decide if they also wish to use the EchoCenter instead or as well. EchoCenter publishers all recordings to a single location in the LMS, individual recording links cannot be moved elsewhere in the site. Archiving of unit of study websites with automatically recorded lectures 1. At the end of the teaching period, unit of study websites with automatically recorded lectures are archived for record keeping processes (e.g. student appeals, legislative reasons, etc.) 2. A copy of the website without the recordings is made available to the Unit of study coordinator who can then use it as a basis for the design and delivery of the unit of study in the next semester. 5
