1 GLOSSARY OF TRADE SHOW TERMS EXHIBITING ACCESS PANEL Removable panel or section of exhibit to permit access to lamps, projectors, mechanism, etc. ADVANCE ORDER An order for goods or services sent to the contractor before show move in. ADVANCE REGISTRATION Registration for an exhibition by a deadline date prior to the event. Usually carries a discounted fee. ADVANCE WAREHOUSE The warehouse available to receive your exhibit shipment prior to set up for a show; check your exhibitor show manual for the location and dates they will receive shipments for your show AGENT Any bonafide representative of an exhibitor; must have proper credentials from the exhibitor. AIR-RIDE SUSPENSION Air-assisted suspension on the carrier s vehicle that helps cushion and reduce vibration AIR WALL Moveable, soundproof wall that separates sections of function space. Typically found in hotel ballrooms. AISLE A walkway intended for audience movement through an exposition or exhibit hall AISLE CARPET Carpeting installed in the aisles. Color is determined by show management. AISLE SIGNS Signs, usually suspended, indicating aisle numbers or letters. ATTENDEE One who attends a show or exhibition. BACK-TO-BACK BOOTH The standard exhibit configuration where booths are placed in rows, back to back. BACKDROP Drapes, curtain, or fabric panels at the back of a stage, speakers, table or exhibit booth/stand. BACKLIGHT, BACKLIT A light source that illuminates translucent material/graphics from behind BACKWALL Back panel or drape of an exhibit booth. BADGE Identifying badge worn by meeting participants. Also called Name Badge or Name Tag. BAFFLE Partition to control light, air sound or traffic flow.
2 BILL OF LADING A document that establishes the terms between a shipper and a transportation company for the transport of goods between specified points for a specified charge. This is where you will find your tracking or pro number. BLANKET WRAP Non-crated freight covered with protective blankets or padding and shipped by van line. BONE YARD Equipment storage area at show site. Also called Dump. BOOTH - One or more standard units (10 x 10 ) of exhibit space assigned by show management to exhibitor under contractual agreement. BOOTH AREA Amount of floor space occupied by exhibitor. BOOTH NUMBER Number designated by show management to identify each exhibitor space. BOOTH PERSONNEL Staff assigned to represent exhibitor in assigned space. May include exhibitor s own staff and temporary staff brought in specifically for the show. BOOTH SIGN Sign stating name, city, state and booth number of exhibitor. BOOTH SIZE The dimensions of the floor space contracted by an exhibitor; this is usually rented in 10 x 10 increments. BREAKPOINT Level at which discounts are allowed for volumes of freight. CABLE PICK Rigging point or working line used to lift overhead equipment above an exhibit space or exhibit. CAGE Lockable container for secure storage. CALL 1) Method of securing union employees. 2) Time specified for labor to report. See also LABOR CALL. CALL-OUT Notations on drawings of exhibits of special significance, i.e. finish, edge, color, detail or features. CARTON WEIGHT Also known as Carat Weight. A unit of 100 pounds used to calculate drayage charges. CARRIER A transportation line moving freight; usually a van line, common carrier, rail line or air carrier CHERRY PICKER Equipment capable of lifting a person or persons to a given height. Also called a Genie Lift. COLUMN Structural support pillar in an exposition facility. Usually denoted on Floor Plan as a solid square.
3 COMMON CARRIER A carrier who usually accepts only crated material and consolidates the properties of several customers into one shipment bound for the same destination CRATING MANIFEST Names the contents of what is enclosed inside a crate. CROSS AISLE An aisle at a right angle to the main aisle. CROSS BAR Rod used in draping or as a support brace. CUSTOMS BROKER Person or company that provides customs-clearing services to shippers of goods to and from another country. See FREIGHT FORWARDER. CUSTOM EXHIBIT An exhibit that is a unique solution to the specific requirements of the user. CUT & LAY Installation of carpet other than normal booth or aisle size. DISCONNECT Device to permit easy and rapid separation of electrical components. Also known as a Quick-Connect. DISMANTLE Take down and removal of exhibits; also known as tear down. DISPLAY BUILDER Company or person that fabricates displays. DISPLAY MATERIAL The material exhibited by the various exhibitors. Such material is usually insured or has its value stated in writing for insurance purposes. DISPLAY RULES & REGULATIONS Specifications for exhibit construction and rules for exhibit use set forth by exhibition management. DISTRIBUTOR SHOW - An exhibition produced by a distributor at which exhibitors are the manufacturers of products sold by the distributor and attendees are the distributor s customers. DOUBLE DECKER Two-storied exhibit DOUBLE-FACED PANEL Finished on both sides. DRAPING Decorating with drapes. DRAYAGE CHARGE The cost of moving exhibit materials within the confines of the exhibit hall, based on weight. This service includes delivery of materials to an exhibit space, removal of empty crates, storage of crates during the show, return of crates at the end of the show, and delivery of materials to the carrier loading area. Also see MATERIAL HANDLING. DRAYAGE CONTRACTOR Company responsible for handling exhibit materials. DRAYAGE FORM Form for exhibitor requesting handling of materials.
4 EXHIBIT DESIGNER/PRODUCER Person or company responsible for designing and constructing an exhibit booth/stand. EXHIBIT DIRECTORY Program book for attendees listing exhibitors and exhibit booth locations. EXHIBIT HALL The area within an exposition center where exhibitions are held; also known as Hall EXHIBIT HOUSE Company that fabricates displays. Also see DISPLAY BUILDER. EXHIBIT MANAGER 1) Person in charge of exhibit booth. 2) Show management staff person in charge of entire exhibit. EXHIBITOR 1) Person or firm that displays its products or services at an event. 2) Event attendee whose primary purpose for attending the event is to staff a booth/stand. EXHIBITOR MANUAL Packet or book for exhibitors containing information and forms relating to the exhibition. Also called Service Pack or Show Notebook. EXHIBITION CONTRACTOR The organizer or promoter of an exhibition; responsible for the letting of space, financial control and management of the exhibition; sometimes an agent acting in this capacity. EXHIBITION MANAGER Preferred term for the specific person responsible for all aspects of planning, promoting, and producing an exhibition. Also called Show Manager. F&B Food and beverage FACILITY MANAGER The manager of a convention center, exhibition hall or other venue. FIELD SERVICES Handling installation and dismantling, including freight, drayage, carpentry, electrical, plumbing, iron workers, riggers and maintenance. FLAT CABLE Cable and extension cords that are used to lie on the floor under carpet. FLOATER - Worker(s) with no fixed assignment who are used to help out where needed. FLOOR LOAD Maximum amount of weight per square foot a floor can support. FLOOR MANAGER Person representing show management who is responsible for the exhibition area. FLOOR MARKING Method of marking booth spaces. FLOOR ORDER Order for services placed after exhibit setup begins; usually more expensive than an Advance Order.
5 FLOOR PLAN 1) Schematic drawing of an exhibit hall including dimensions, design, shape, entrances, aisles, numbered exhibit booth/stands, etc. 2) Scale plan of the floor area of a hotel s event space. 3) Schematic drawing of a function room with specific requirements drawn to scale. FLUSH MOUNTED Mounting of one material to another with no space between them. FOAM CORE Corrugated lightweight material with a Styrofoam/E center sandwiched in the center; used for signs, decorating and exhibit construction. FORCE MAJEURE Standard clause in contracts exempting the parties for nonfulfillment of their obligations as a result of conditions beyond their control such as earthquakes, floods or war. FOREMAN Supervisor of a group of workers whose duties will vary based upon the region of the country and the union affiliation. Also see Working Foreman. FREIGHT CONTRACTOR The event designated company responsible for handling exhibit properties from the dock to the exhibit space. FREIGHT FORWARDER A business that handles import and export shipments. FRONTAGE, FRONT SPACE Dimension across the front of an exhibit. FULL BOOTH COVERAGE Carpet covering entire area of booth. See CUT & LAY. GENERAL STRIKE A simultaneous strike by the unionized workers in all trades and industries in a geographic area, also, a strike by all the unionized workers in one industry. GENIE LIFT - Equipment capable of lifting a person or persons to a given height. GM General Manager GRAPHICS Communicative elements such as color, copy, art, photographs, translites, etc. used to illustrate a booth/stand theme or enhance décor. GRATUITY Gift or tip for services rendered; usually added automatically for large parties. GRID SYSTEM A system of structural supports, electrical conduit, pipes, etc. on a pattern of centers. HALL Generic term for an exposition facility. Also may refer to an individual area within a facility. HAND CARRY Items that an exhibitor is allowed to carry unaided into an event facility without being charged. HARDWALL DISPLAY Booth constructed with plywood or other solid material as opposed to booth formed by drapery only.
6 HEADER Sign or other structure across top of booth. ICC Interstate Commerce Commission. INCLUSIVE Quoted rate that includes all charges such as taxes and gratuities. INFRINGEMENT Use of floor space outside exclusive booth area. INSIDE BOOTH exhibit space with booths on both sides and behind; also known as Inline INSTALLATION & DISMANTLE (I & D) Special service for installation and dismantling of an exhibit (setup/tear down). INSTALLATION The process of setting up an exhibit according to specifications; also known as assembly, set up INSTALLATION CONTRACTOR A company responsible for supervising and coordinating workers who install and dismantle exhibits INTERACTIVE EXHIBIT Exhibit in which the visitor is involved with the exhibit in a proactive way. ISLAND BOOTH exhibit space with aisles on all four sides JIGGING Special dividers, sectioning and protective padding inside exhibit crates. KNOCKDOWN Unassembled exhibit material requiring on-site assembly. LABOR Contracted workers who perform services LABOR DESK On-site area where labor and service personnel are ordered. LABOR FORM Form used by exhibitors to request labor at exhibition. LAMINATION The process of bonding two or more substances together LEAD RETRIEVAL A system for follow up of leads generated at an exposition. LESS-THAN-TRUCKLOAD (LTL) SHIPPING shipping rates that apply when the quantity of freight is less than the volume of truckload minimum weight LINEAR DISPLAY An exhibit that is constructed in a continuous line along an aisle; also called an in-line exhibit LIT RACK Device used to hold literature or brochures. LOADING DOCK An area within an exposition facility where freight is received and shipped MASKING DRAPES Drapes used to cover storage and other unsightly areas.
7 MODULAR EXHBIIT Exhibit constructed with interchangeable components for maximum flexibility in arrangement and size. MOVE-IN Date set for installation of exhibits. MOVE-OUT Date set for dismantling exhibits. NATIONAL UNION Union having membership only within the United States. NET SQUARE FEET Amount of space in a facility actually occupied by exhibits, excluding aisles, columns, registration areas, etc. NO FREIGHT AISLE Areas on the exhibit floor used as a thoroughfare, so crates are prohibited. Designated with red tape. An aisle that must be kept clear at all times during installation and dismantling. OFF-SITE EVENT Activity scheduled away from facility. ONE SHOT Exhibit or display fabricated for one use only. ON-SITE ORDER Order for services placed at show site. ON-SITE REGISTRATION Registering for an event at the site. OPEN UNION Union which maintains no prohibitive restrictions for membership. It may be a union which agrees to accept any qualified employee of the employer as a member of the union. OT LABOR Work performed on overtime. OUTSIDE EXHIBIT Booth located outdoors. OVERLAY A panel mounted to another surface. PACKAGE PLAN Furniture and/or services provided to exhibitors for a single fee. PALLET Wooded platform used to carry goods. Also called a Skid. PANEL SYSTEM A prefabricated exhibit composed of connected panels of various sizes and shapes. PENINSULA BOOTH an exhibit with aisles on three sides PERIMETER BOOTH exhibit space located on an outside wall PERMANENT EXHIBIT A product display held on a long-term basis, i.e., museum exhibit. PIPE & DRAPE Pipe material with fabric draped from it to make up sidewalls and backwalls of exhibit booths.
8 POP-UP A type of portable display normally shipped in molded plastic cases made up of an expandable frame, magnetic support bars, and rollable fabric or graphic panels. PORTABLE DISPLAY A lightweight structure that can be shipped via FedEx or UPS, or transported in most vehicles; they are easy to assemble (usually by one person with no tools), and use fabric or graphic panels PREFAB Pre-built exhibit ready for installation. PRE-REGISTRATION See ADVANCE REGISTRATION. PRE-REGISTRATION LIST Computer-generated list of people pre-registered for an exhibition. PRE-SHOW Anything that is done or happens prior to the start of a show PRESS ROOM Space reserved for media representatives; usually equipped with typewriters, telephone and written materials supplied by speakers. PRIORITY RATING STYSTEM System of assigning booth space. PROGRAM BOOK Printed schedule of meeting events, locations of function rooms, location of exhibitors, and other pertinent information. See EXHIBIT DIRECTORY. PROSPECTUS A document that details a specific tradeshow for potential exhibitors. It commonly provides potential visitors with attendee profiles, a list of past exhibitors, media and PR opportunities and past show audits. PUBLIC SHOW Exhibition open to the general public; an admission fee usually is charged. RAIL Low drape divider between exhibit booths. RELEASE FORM Form provided by management to permit removal of goods from exhibition. RENTAL BOOTH - Complete booth package offered to exhibitors on a rental basis. RETURN Panel joined to backwall at right angles. RIGGING Pre-show hanging of signs and other structures from the ceiling of the exhibit hall over your booth space RULES & REGULATIONS The requirements and procedures prepared by event management for attendees, contractors and exhibitors for a given event. SECURITY CAGE Cage offered to exhibitors to lock up materials. SEG Silicon edged graphic SELF-CONTAINED EXHIBIT Exhibit in which the crate becomes part of the display when it is opened.
9 SEMI-SKILLED LABOR Persons whose work is limited to a well defined work routine; or work in which lapses of performance would not cause excessive damage to product or equipment. SERVICE DESK On-site location to order or reconfirm all available services. SET-UP DRAWING Plan showing display installation procedure. SHELL SCHEME Booth setup, usually with raised floor, standard throughout the world except in U.S. SHIPPING AGENT Third party hired to handle the shipping of goods to and from an event. SHIPPING CASE Container for exhibit materials suitable for reuse; generally made of plastic. SHIPPING CRATE Container for exhibit materials; generally made of wood. SHOP STEWARD Person designated by the union within a shop or unit to represent employees. SHOW BREAKING Time of show closing when dismantling begins. SHOW CARRIER The carrier that show management has contracted for shipping SHOW MANAGER The organizer and operator of an exposition SHOW OFFICE Management office at exposition. SHOW PHOTOGRAPHER - Official photographer for exhibition appointed by show management. SIDE RAIL Low divider wall in exhibit area. SKID See PALLET. SKIRTING - Decorative covering around tables and risers. SPACE ASSIGNMENT Numbered booth space assigned to exhibitor. SPACE RATE Cost per square foot for exhibit space. ST LABOR Work performed on straight time. STAGING AREA On-site temporary holding area. STANCHION Upright posts to support signage, or ropes to control or prevent entry. STANDARD INDUSTRIAL CLASSIFICATION (SIC) Standard numerical code system developed by United Nations to classify commodities used in international trade.
10 SURVEY Solicitation of exhibitors and/or attendees opinions about the exposition. SUSPENDED ELEMENTS An attachment of devices to the frame work of an exhibition hall. SYSTEM A stock set of components that can be put together to make an exhibit. TABLE-TOP DISPLAY Portable display that can be set up on top of a table. TARE WEIGHT Weight of a container and/or packing materials without the weight of the goods it contains. TEARDOWN The dismantling of an exhibit; also known as take down or dismantle TIME & MATERIALS Method of charging for services on a cost-plus basis. TRADE FAIR International term for an exposition. TRADE SHOW Exposition held for members of a common or related industry; not open to the general public. TRAFFIC FLOW Supposed or directed path the audience will take through an exposition or exhibit. TURNKEY EXHBIIT A system whereby the exhibit manager turns responsibility of the display over to an exhibit house. UNION CALL 1) The number of union members hired to work for an event. 2) The minimum number of hours for which a union laborer must be paid. UNION CONTRACT Written agreement between an employer and a union specifying the terms and conditions of employment for workers. UNION HOUSE Facility in which workers are governed and regulated by an organized union. UNION JURISDICTION The limits or territory within which control may be exercised by a union. UNION OFFICIAL Representative of a union either selected or elected by the membership to conduct the affairs of the union. UNION SHOP A business in which all employees that fall within union contract categories must join the union. VENUE Location of meeting site or destination. WORKING FOREMAN Employee who functions both as an employee and a supervisor at the same time.
