2 Thank you for supporting Friends of the Earth Planning your fundraising We hope you re looking forward to the Big Green Bike Ride we certainly are. This booklet is full of ideas to help you reach or even beat your fundraising target. We ll be in contact throughout the build-up to the ride. If you have any questions or need advice call or The secret to successful fundraising is starting early. You ll be astonished by how quickly the ride comes around and with some of your donations due in early April there s no time to waste. Set yourself goals and monitor your progress against these it ll help you meet your sponsorship deadlines. Start early and pace your fundraising towards your deadline. Ask for sponsorship and hold additional activities to boost your fundraising. Estimate how much you can raise from each activity. Get ideas from friends and family, colleagues or the Big Green Bike Ride team. Be ambitious the more you can raise the better! Targets and deadlines We ve set a minimum fundraising target for the challenge, but the more money you raise the more you will be supporting our vital work. Minimum sponsorship 300 weekend riders 150 day riders Key fundraising deadlines Date Requirement Day riders Weekend riders 6 April 2013 Participants must submit 50 per cent of the required minimum sponsorship to Friends of the Earth three weeks before the challenge May 2013 The balance must be paid to Friends of the Earth within four weeks of the challenge Donation information Sponsorship forms We encourage you to use JustGiving but if you require a sponsorship form please contact us (see below). Paying in your donations Donations on your JustGiving page will come to Friends of the Earth automatically and be credited to your individual fundraising record. If you want to send a cheque you will need a paying-in form to ensure your donation is put towards your individual fundraising record. 2 If you require a sponsorship form and a paying-in form please contact us on or biggreenbikeride@foe.co.uk 3
3 Getting sponsorship Your first point of call should be asking everyone you know for sponsorship. You re undertaking a big challenge for a great cause so don t be afraid to ask. Shouting about your challenge is the best way to get support. Ask in person Tell everyone you meet and ask them to sponsor you. all your friends and contacts Don t expect a response immediately; it often takes several reminders before people donate. Begin sending s in the build-up to the event. Remember to include a link to your online fundraising page (see JustGiving instructions on page 5). Post on Facebook Use status updates and wall posts to let your friends know about your challenge. You can also set up a group and invite friends and family to follow your progress. Tweet Tweet about your challenge. Include your JustGiving page and ask others to re-tweet your message. Get your workplace involved Include your challenge on your work place s intranet, newsletter or notice board. Use your signature Include a sentence about your challenge and a link to your fundraising page in your signature. It s a great way to get support from work contacts. Make phone calls Picking up the telephone is the simplest way to get sponsorship. People will enjoy hearing more about your challenge. Get a good first donation Make sure your first donation is a high one it will set the precedent for other sponsors. Keep people informed Update friends and family on how your training and preparations are going. It ll encourage everyone to support your challenge. Make your sponsorship interesting There are a few different ways you can be sponsored use these to inspire different people to donate. Per-mile sponsorship Ask people to sponsor you per-mile of the challenge. Setting up an online fundraising page An online fundraising page is the best and easiest way to collect your sponsorship. It s simple and easy to set up, and will help you maximise your fundraising. It s quick and easy for people to donate It s secure Payments are made by credit or debit card You don t have to collect cash It s instant so you don t have to chase your sponsors Sweepstake Ask your colleagues to guess how many New Forest ponies you see, or how many flat tyres you get. Try to get a prize donated for the winner it ll encourage people to get involved. You ll see a running total of the amount you ve raised Your donations will go directly to Friends of the Earth You can share your fundraising page link (URL) on Facebook and Twitter Your friends can sponsor you on their smartphone You can set up a text to donate code You can add Gift Aid to your donations You can personalise your page How to set up your JustGiving page 1) Visit 2) Click the Make your page button 3) Follow the onscreen instructions 4) Select the Big Green Bike Ride as your event 5) Customise your page and send the link to all your friends 4 5
4 Fundraising events Once you ve asked everyone for sponsorship, you can boost your donations by organising a fundraising event. There are lots of quick and easy activities you can do. Pub quiz Hold a quiz and charge teams to enter. Get all your friends involved and maybe also organise a raffle to help you raise more on the evening. Garden party Even if you don t have green fingers, a garden party is a great way to raise money. Charge for food and drink: afternoon tea and BBQ s are always a big hit. Dinner party Host a dinner party and ask guests to donate. You could even organise your own come dine with me competition. Sports competition Organise a sport competition among friends or colleagues and ask for a donation to take part. Football, tug of war, arm wrestle, swimming race there are loads you can do. Cake sale Ask your friends and colleagues to bake their favourite culinary delights and hold a cake sale in your office. Donation in celebration Boost your fundraising by asking for donations to your challenge instead of Christmas or birthday presents. Dress-down day Ask for donations to wear casual clothes or fancy dress for the day. Clothes swap Ask colleagues to bring in unwanted clothes and exchange these with one another for a small donation. Leg wax Get sponsored to be waxed. It ll also help improve your aerodynamics increasing your cycling speed. Use your skills Ask for a donation for something you re good at. This could be handy man jobs, ironing, teaching, gardening, sewing or dog walking. Sweepstake Sweepstakes can be used for almost anything. A big sports event or the weight of a newborn baby are always good fun. Battle of the bands Pitch local bands against one another and charge guests for tickets. Seasonal events Organise a Halloween party, a Christmas dinner or an Easter egg hunt. Litter pick Get donations to clean up your local area. Tips Maximise your fundraising Try to run additional activities alongside your event it ll help you raise lots more. Hold a raffle or auction, or games like guess the number of sweets in the jar. 6 7
5 How to organise an event Keeping it legal Choose your event Select an activity that will appeal to your friends, family or colleagues. Think about their interests and hobbies, and create an event around these. Be realistic Organising a ball is a big undertaking, but a cake sale can be arranged in a matter of minutes. If you re new to organising events, focus on smaller activities. You can organise a number of these to appeal to different people. Choose a date and time Think about who s coming and what would most suit them. Avoid other major events such as a big football match or TV show final. Find a suitable location Think about how many people might come and the facilities you ll need. Look for a free venue so that as much money as possible can be put towards your sponsorship. Work out a budget For smaller events (and all those we ve listed) there should be little or no prior expense. If you re thinking of organising something larger put together a budget to work out how much it will cost and how much you re expecting to raise. Promote it Promotions are vital in making your event a success. Use Facebook and Twitter, friends and colleagues, put up posters, and include the event on your intranet or website. Send your event details to your local paper along with a picture they might be able to feature it. Use our sample press release on page 11 for guidance. Celebrities We can t secure celebrities for you, but if you know one personally you could ask them to support your event. Big events If you re looking to organise a large event please contact the Big Green Bike Ride team for further advice on There are some rules and regulations to keep in mind when organising your event, especially if it s a big one. Insurance Please remember that you are responsible for any fundraising events you organise. Friends of the Earth cannot accept liability or responsibility for anything that might happen to people or property as a result of your event. If you re planning to hold a public event you may need public liability insurance. Many event venues (such as schools, community centres and workplaces) will already have public liability insurance in place simply check to make sure that your event is covered by this. First Aid Some events may require first aid provision. Speak to your local council or St John Ambulance to find out more. Food If you re providing food you ll need to follow the Food Standards Agency guidelines for preparing, handling and cooking food. See for more information. If you have caterers you ll need to make sure they have a Food Hygiene Certificate and Public Liability Insurance. Alcohol Some venues are licensed, but if not, contact your local council to find out more about getting a temporary license. with your local authority whether you need to obtain any special licenses eg. Public Entertainment, Collection or Alcohol licenses. Collections It s illegal to carry out house-to-house or public street collections without a licence. To hold a collection in the street you ll need a licence from the local council in the area where you re collecting. Apply well in advance to make sure you get the license in time. To collect on private property (such as a shopping centre or supermarket) you will need permission from the owner or manager of the property. Raffles and lotteries There are different types of lotteries and raffles and some require a license. We d advise you to organise either a Private or Small lottery as (if run correctly) you won t need a license. Private lotteries If you hold a raffle at your workplace or a club you won t require a license. But you will need to make sure the raffle is only offered on the premises and it s made clear who is running the raffle. Small lotteries If you hold a raffle as part of your event, but not as the main focus of your event, you won t need a license, as long as there aren t any cash prizes, and both the ticket sales and announcement of the results take place during the event itself. In addition you can t spend over 250 on prizes, however there s no limit to the value of donated items. Licenses Public lotteries If you re holding an event in a public area, These require a license. We advise you 8 inform the local council and police. Check against this type of lottery. 9 8
6 Sample press release To help drum up local support for your challenge and fundraising events it s worth getting some coverage in your local press. The best way to do this is to send out a press release. We ve drafted one for you to use. Here s what you need to do 1. Copy and paste the text into the body of an and send to the News Desk at your local newspaper(s), radio and TV stations. 2. Fill in the blanks and delete or add information where appropriate. 3. Include a recent photograph of you on a bike. Save the image as a JPEG and attach it to your . Ensure the file size does not exceed 3MB. If you re unsure how to re-size Tips Personalise the press release as much as possible. Think about why your newspaper should write about you: what makes you newsworthy? Is this your first challenge event? Have you overcome a personal struggle to get this far? Do you have a prominent role in the community? Will you be doing anything unusual to help raise your sponsorship money? the image then simply state at the top of the that you have a relevant photograph available and don t send it until asked. Any interesting detail should be added to the press release and either written in the third person or in your quote. Send your press release to your local TV and radio stations too. You ll be able to find contact details for them and the newspapers on their websites. Send your press release out during working hours on a week day when newspaper staff will be more likely to pay attention to it. Press release LOCAL CYCLIST TO PEDAL from london to NEW forest in aid of planet A keen cyclist from <insert town> is pedalling for the planet in a twowheeled charity challenge. <insert full name>, <insert age> is raising money for environmental charity Friends of the Earth by taking part in their Big Green Bike Ride. He/she will be cycling from <insert first location> to <insert last location>, a <insert number of miles> mile feat over <insert number of days> day/s in April <next year /this year>. <insert first name> will be taking on a challenging ride from the heart of London, through some of the South-West s most stunning countryside, and around the idyllic New Forest National Park.
